Choose company laptops by employee role, required applications and deployment needs—not by picking one high-spec model for everyone. Standardize a small number of configurations, compare their security, support and full lifecycle cost, then test each option in your management and deployment process before placing a fleet-wide order.
Start with the work each employee needs to do
Build role-based requirements before comparing product specifications. A mobile sales employee may value low weight, battery life and reliable wireless connectivity; an analyst may need more memory and a larger display; a developer may have specific application or performance requirements; and a desk-based employee may be better served by a laptop designed for a dock and external displays.

Group employees with similar needs into a small set of standard configurations. This limits unnecessary high-end purchases while making deployment, support and replacement more manageable. Microsoft’s Windows 11 planning guidance recommends setting readiness criteria and testing applications as part of an organization’s deployment planning.
Write a role checklist
- Applications and workload: List required software, operating-system needs and demanding tasks such as analysis or development.
- Mobility: Note how often employees carry the laptop, work away from power or rely on wireless connections.
- Screen and input: Decide whether the role needs a larger built-in display, specific input options or a desk-based external monitor.
- Shared standards: Identify which requirements can be met by one common configuration and which justify a separate role-based option.
Check operating-system and deployment fit
Confirm that the chosen hardware is eligible for the operating system and fits the company’s application, enrollment, imaging or provisioning, management and update processes. Test business-critical applications and the organization’s actual deployment workflow before buying at scale; a device that looks suitable on a specification sheet can still create problems if its software or management path is incompatible.

For Windows 11, Microsoft’s planning guidance states that support is version-specific: Home and Pro editions receive 24 months of support from a version’s general availability, while Enterprise and Education editions receive 36 months. These are servicing periods for each Windows 11 version, not a promise that a laptop will be supported for that many years from purchase. Align the fleet’s update and replacement planning with the editions and releases the organization will use.
Make security part of the purchase and lifecycle
Evaluate hardware-backed platform protections alongside the company’s identity, endpoint and device-management controls. Microsoft’s Windows 11 Secured-core PCs guidance describes Secure Boot and TPM 2.0 among baseline platform protections. Confirm how a candidate’s firmware controls and authentication features work with the organization’s security policies rather than assuming a feature label alone makes a device secure.
Security responsibilities continue after procurement. NIST SP 800-124 Rev. 2, Guidelines for Managing the Security of Mobile Devices in the Enterprise, published May 17, 2023, frames enterprise mobile-device security across deployment, use and disposal. Apply that lifecycle approach to laptop enrollment, ongoing management, handling and secure retirement; the publication is security guidance, not a laptop product specification.

Compare service and total lifecycle cost
The purchase price is only one part of fleet cost. Compare warranty coverage, repair response and logistics, support availability, spare-device arrangements, accessories, energy use and planned replacement costs over the expected service period. Ask how a repair affects an employee’s ability to work, not just how long the warranty lasts.
The University of Pennsylvania Information Systems & Computing’s Notebook Purchasing Guide is a useful example of an institution publishing role-relevant recommendations, but its figures are not market averages or universal standards. Its current Windows business-class examples list 24–32 GB RAM, 256–512 GB SSD and an estimated $1,600–$2,400 with a three-year warranty; the guide recommends support periods of 42–48 months. These are Penn-specific recommendations and estimates that may change, not a required specification or price target for another company.
For energy and acquisition planning, the U.S. Department of Energy’s Federal Energy Management Program (FEMP) Purchasing Energy-Efficient Computers guide, updated in December 2024, covers notebook computers, points federal buyers to applicable ENERGY STAR and low-standby-power resources, and advises considering lifetime product costs. Its federal acquisition requirements apply to federal agencies, not automatically to private companies.

Check the desk setup and accessories
For employees who use multiple displays or desk peripherals, check the exact laptop configuration against the proposed dock or port replicator. Verify supported ports, charging, display outputs and wired networking for that specific model; a connector that fits does not by itself establish that every display or feature will work. Price compatible accessories as part of the role’s configuration rather than treating them as an afterthought.
External displays and docks can affect energy use as well as cost. DOE FEMP notes that a notebook paired with an external monitor or docking station may use more electricity than the notebook alone. Consider that combined setup when assessing lifetime costs and energy requirements.
Compare candidates with a weighted scorecard
Use a consistent scorecard for the shortlisted configurations, but weight each category according to the role. A mobile employee’s portability needs may matter more than desk connectivity; a fixed-desk role may place greater weight on display and dock compatibility.

Validate before ordering at scale
- Document roles and software: Record workload, applications, operating-system requirements and workplace setup for each employee group.
- Shortlist a small number of configurations: Match candidates to those requirements rather than selecting one high-end model for the entire workforce.
- Check lifecycle and security fit: Review eligibility, version servicing, support terms and compatibility with company management and security controls.
- Test the actual deployment: Use the organization’s enrollment or imaging process and test business-critical applications on each candidate.
- Verify accessories and costs: Check the specific dock, monitor and peripheral combination, then include support, energy and replacement planning in the comparison.
- Order only after validation: Resolve compatibility or process issues before expanding a candidate configuration across the fleet.
