The dependable choice is an external USB drive with more capacity than the data you need to protect, dedicated to the operating system that will run the backup. Use a Windows-formatted drive for Windows File History, and a drive formatted as APFS or APFS Encrypted for Mac Time Machine. Use exFAT for moving files between Windows and Mac, not as the automatic-backup target for either built-in utility. Choose a portable HDD when capacity and cost matter most, or a portable SSD when low weight, quiet operation and faster routine access matter more. Whichever drive you buy, keep a second independent copy because one drive can still be lost, damaged, encrypted by malware or fail.
Start with the backup job, not the drive label
An external drive is only reliable when its hardware, format and backup software match the job. Decide first whether the drive will be used for one computer, for both operating systems in a household, or mainly to shuttle files between a Windows PC and a Mac.

- Windows-only protection: use an external USB HDD or SSD formatted for Windows use and designate it as the File History destination.
- Mac-only protection: use a USB or Thunderbolt HDD or SSD dedicated to Time Machine, with APFS or APFS Encrypted preferred for the backup disk.
- Frequent file exchange: use an exFAT volume for documents and media that must be read and written by both operating systems. Keep that exchange volume separate from native backup volumes.
- Mixed household backups: use separate drives, or carefully separated volumes with each volume formatted for the operating system that owns its backup.
The central distinction is between sharing files and running a native backup system. A disk that both systems can open is not automatically a disk either system can use reliably for its built-in versioned backups.

Microsoft states that setting up File History requires an external drive or a configured network location where backups are stored. For a local backup, connect the external drive, select it as the File History destination in Windows, and leave it available often enough for the schedule you configure. File History is intended to retain historical versions, so the destination must have room beyond the size of the files currently on the PC.

Windows setup checklist
- Choose a drive whose usable capacity exceeds the data set you intend to protect, with additional room for older versions.
- Format or dedicate the drive for Windows use rather than selecting exFAT solely because a Mac also needs to access it.
- Connect the drive and select it as the File History storage location. Windows can also use a network location, but an external drive is the straightforward local option.
- Keep the drive connected for the backup schedule you selected. If it is disconnected, the next run cannot write to it until it is available again.
- After the first backup, open several files from the destination or use File History’s restore workflow to confirm that versions can actually be recovered.
Windows and macOS do not need to share the same physical disk to share documents. In fact, keeping the File History destination dedicated to Windows avoids the format conflict that occurs when a single exFAT volume is treated as a universal backup target.
What Mac Time Machine needs
Time Machine supports directly connected USB or Thunderbolt storage. Apple says that APFS or APFS Encrypted disks are the preferred format for a Time Machine backup disk. Select a dedicated external drive in Time Machine settings, allow the initial backup to complete, and keep the disk connected often enough for automatic runs.
Mac setup checklist
- Select a USB or Thunderbolt HDD or SSD with more capacity than the Mac’s protected data, allowing space for historical versions.
- Prepare the backup disk as APFS or APFS Encrypted, the formats Apple identifies as preferred for Time Machine.
- Choose the disk in Time Machine settings and enable automatic backups.
- Leave the disk attached during the normal backup schedule. If you travel with a portable disk, reconnect it when you return so pending backups can run.
- Test recovery by restoring a representative file or folder. A backup is useful only if its contents can be read and restored when needed.
APFS Encrypted is the format choice when the Time Machine destination should be encrypted using Apple’s supported backup-disk format. The encryption option protects the backup contents if the physical drive is misplaced, but it does not remove the need for another copy.
Choosing the format: APFS, NTFS or exFAT
Formatting determines which operating system can write to the disk and whether a built-in backup utility recognizes it as a suitable destination. The following choices reflect the native capabilities and vendor guidance in the current documentation.
| Format | Best use | Windows behavior | macOS behavior | Backup guidance |
|---|---|---|---|---|
| APFS | Mac Time Machine destination | Not the native Windows choice | Preferred by Apple for Time Machine | Use on a Mac-dedicated Time Machine disk |
| APFS Encrypted | Encrypted Mac Time Machine destination | Not the native Windows choice | Preferred by Apple when an encrypted Time Machine disk is wanted | Use on a Mac-dedicated Time Machine disk |
| NTFS | Windows-native storage | Native Windows format | macOS can read it but cannot natively write to it | Suitable for Windows-focused backup storage, not a shared write volume |
| exFAT | Files that move between Windows and Mac | Can be used for cross-platform exchange | Can be used for cross-platform exchange | Seagate says it is not compatible or recommended for built-in File History or Time Machine |
That last row is the common source of failed “one drive for everything” plans. exFAT is convenient because both systems can exchange files, but convenience does not make it a dependable native target for either File History or Time Machine. Treat it as an exchange format and keep native backups on appropriately formatted storage.
Can one external drive back up both a PC and a Mac?
Yes, but not as one undifferentiated exFAT backup volume. The dependable arrangements are:
Two separate drives
Give the Windows computer its own Windows-formatted destination and the Mac its own APFS or APFS Encrypted Time Machine destination. This is the simplest arrangement to understand and troubleshoot. Each operating system controls its own backup disk, and a problem with one format does not interrupt the other system’s backup workflow.

One physical drive with separate volumes
A single enclosure can contain carefully separated volumes, with one volume prepared for Windows backup use and another prepared for Mac Time Machine. This saves physical space but requires deliberate partitioning and enough capacity for both historical backup sets. Do not format the entire disk as exFAT and assume that File History and Time Machine will both behave as native backup systems.
A separate exFAT exchange volume
If the household also moves working files between computers, reserve an exFAT volume for that purpose. Keep the native backup volumes distinct. Before reformatting any disk, copy off files you need: formatting erases the volume being reformatted.
HDD or SSD: what changes and what does not
Both portable HDDs and portable SSDs can serve as external backup destinations when their capacity, connector and format fit the computer. The choice is a practical trade-off rather than a guarantee of backup reliability.
| Consideration | Portable HDD | Portable SSD |
|---|---|---|
| Capacity per purchase cost | Generally offers more capacity for the money | Usually costs more for the same capacity |
| Routine access | Slower than an SSD for many everyday operations | Faster routine access |
| Physical design | Uses spinning storage components | Has no spinning parts and is typically smaller and quieter |
| Best fit | Large, mostly stationary backup libraries where price and capacity dominate | A drive that travels often or needs compact, quiet, quick access |
| Reliability implication | Lower price does not remove the need for another copy | Solid-state construction does not remove the need for another copy |
Do not buy an SSD solely because it is called more reliable, and do not reject an HDD solely because it is mechanical. The decisive questions are how much data must be retained, how often the drive moves, how quickly you need to browse or restore files, and how much you are willing to spend. No universal HDD-versus-SSD failure-rate figure establishes one technology as safe enough to replace a second backup.
How much capacity should you buy?
Start with the complete data set that must be protected: user folders, photographs, project files, mail archives and any other locations included in the backup plan. Then buy more capacity than that current total. File History and Time Machine retain historical versions, so a drive that barely fits today’s files can fill quickly as versions accumulate or the source computer grows.
A practical sizing method
- Measure the data currently included in the backup scope.
- Exclude files that are genuinely reproducible or intentionally outside the backup plan, but make that decision explicitly.
- Select the next available drive capacity above the measured total rather than matching it exactly.
- Allow additional headroom for new files and historical versions.
- Recheck free space periodically. When the destination approaches capacity, decide whether to remove unnecessary source data, narrow the backup scope, or move to a larger destination while preserving the older copy.
There is no official universal multiplier that converts source data into the ideal backup capacity. The right margin depends on how quickly the source grows, how many historical versions matter and how long you expect to keep the destination.
Connector and compatibility checks before purchase
Confirm the connector on the computer and the connector supplied with the drive. Time Machine supports USB or Thunderbolt external storage; Windows File History requires an external drive or network location. A drive that cannot connect reliably, or a cable that does not fit the computer’s port, cannot run a scheduled backup regardless of its capacity.

- Identify the ports available on each computer before ordering the drive.
- Check whether the enclosure includes the required cable or whether an appropriate cable is needed separately.
- For a shared household, verify connection compatibility with both computers before choosing a single enclosure.
- Do not confuse a connector that physically fits with a format that the operating system can use for native backups.
When a drive is shared through separate volumes, plan the volume sizes before formatting. Resizing or reformatting later can require moving the existing backups elsewhere first.

Encryption and privacy decisions
A backup contains the same sensitive material as the computer it protects. If the drive leaves the home or office, loss of the physical device becomes a privacy problem as well as a data-loss problem.
For Mac Time Machine, Apple explicitly identifies APFS Encrypted as a preferred backup-disk format. Select it when encrypted Time Machine storage is required and keep the recovery credentials available in a secure place. Losing the credentials can prevent access to the encrypted backup.
The supplied platform guidance does not establish one universal Windows encryption format or workflow. On Windows, use the encryption capability supported by the edition and backup method you have selected, and verify that you can unlock and restore from the destination before relying on it. Do not claim a disk is protected merely because the enclosure or operating system offers an encryption setting; test the actual recovery path.
Habits that make an external backup dependable
Keep the destination available for its schedule
Automatic backup software cannot write to a disconnected drive. Keep a desktop backup disk connected, or reconnect a portable disk often enough for the configured schedule. If a computer has been away from its drive for several days, allow the next run to finish before disconnecting again.

Use the operating system’s eject command before removing the cable. Clean removal reduces the chance of interrupting a write operation and leaves the backup volume in a consistent state.
Verify restoration, not just completion notices
Periodically restore a few files from different dates, including at least one file that would be difficult to recreate. Check that the restored copy opens correctly. A status message saying that a backup ran does not prove that every needed file is recoverable.

Maintain an independent second copy
One external drive is one point of failure. It can be stolen, lost during travel, damaged by a spill or other incident, encrypted by malware while attached, or fail electronically. Keep another copy on independent storage, ideally in a separate physical location. The second copy should not depend on the first drive being present to exist.
Review the plan when the computer changes
When you add a large media library, replace a computer or change which folders matter, reassess capacity and backup scope. A destination sized for last year’s data may no longer retain useful history.

Mistake: choosing exFAT for every purpose
Symptom: the drive opens on both computers, but File History or Time Machine does not provide the expected native backup behavior.
Fix: reserve exFAT for file exchange and use a Windows-formatted destination for File History and APFS or APFS Encrypted for Time Machine.
Mistake: buying exactly the amount of current data
Symptom: the first backup fits, but historical versions disappear or the destination fills soon afterward.
Fix: replace the barely fitting drive with one that has meaningful headroom for growth and version history. There is no single official multiplier, so base the margin on your growth rate and retention needs.

Decision guide for common households
One Windows PC with a large photo library
Choose a USB HDD when purchase cost and capacity dominate. Format it for Windows use, select it for File History, leave it connected for scheduled runs and keep a second independent copy elsewhere.
One MacBook that travels
Choose a portable SSD when compact size, quiet operation and resistance to movement matter more than the lowest cost per unit of capacity. Use USB or Thunderbolt storage formatted as APFS or APFS Encrypted for Time Machine, reconnect it regularly and maintain another copy that does not travel with the MacBook.
A Windows desktop and a Mac sharing documents
Use separate native backup destinations for File History and Time Machine. Add an exFAT volume only for documents that must be exchanged. This arrangement separates the cross-platform convenience layer from the two native backup systems.
A household determined to use one enclosure
Plan separate volumes with enough capacity for each operating system’s historical backups, format each volume for its owner, and reserve any exFAT space for exchange files. Keep an independent second copy outside the enclosure; a single enclosure can still be lost or damaged as one object.
Final pre-purchase checklist
- Is the drive’s usable capacity greater than the data set, with room for historical versions?
- Will the connector work with every computer that must use it?
- Is the destination dedicated to Windows File History, Mac Time Machine or file exchange?
- For Windows, is it prepared for Windows use rather than chosen as exFAT solely for convenience?
- For Mac Time Machine, is it APFS or APFS Encrypted as Apple prefers?
- If files must move between systems, is the exFAT area separate from native backup storage?
- Does the plan include clean ejection, periodic restore tests and a second independent copy?
Answer those questions before comparing brands or enclosure designs. The format and workflow decisions determine whether the backup is usable; HDD-versus-SSD preferences then determine cost, portability and access speed.
