Choose a passenger recovery platform by testing how it handles your airline’s real irregular-operations cases—not by counting features on a product page. The strongest shortlist candidates can ingest disruption events, apply your policies, re-accommodate passengers, coordinate hotels/meals/transport and vouchers, communicate through your channels, and leave an auditable record of every decision and cost.
Start with your own process and systems, then give each vendor identical scenarios and data. Require evidence for booking write-back, partner inventory, exception handling, degraded-mode operation, security, service levels and total cost. Vendor pages describe intended capabilities; only a controlled demonstration, pilot and reference checks can establish whether a platform fits your airline.

What an airline passenger recovery platform actually does
A passenger recovery platform is an operational system for managing the passenger consequences of an irregular operation (IROP). It is broader than a flight-search tool. Depending on the product and configuration, it can connect the disruption event to passenger segmentation, re-accommodation, communications, care fulfillment and financial controls.

Plan3 describes its product as a passenger disruption-management operating system and says every airline’s disruption playbook is different (Plan3 platform). Its FAQ lists cancellations, delays, diversions, overbookings, misconnections and advance schedule changes as supported scenarios (Plan3 FAQ). Nexa presents a control layer spanning operations, flight re-accommodation, hotels, passenger experience, ground transport and spend or vouchers (Nexa). Inspire AeroSuite Care+ describes configurable rebooking, conversational self-service, multichannel communications and voucher, refund and electronic miscellaneous document (EMD) workflows (Care+).

Those descriptions are vendor claims, not independent performance results. Treat them as hypotheses to prove in your environment.
Define the problem before you compare products
Write a one-page current-state map before scheduling demos. The map should show who detects an event, who declares an IROP, which system is authoritative for bookings and schedules, who can approve exceptions, and how passengers currently receive help.
Document disruption types and policy rules
- List the events you must handle: mass cancellations, long delays, diversions, misconnections, overbookings, partner failures and advance schedule changes.
- Record policy thresholds by market, cabin, loyalty tier, ticket type, disability or special-service requirement, and connection risk.
- Specify when agents may override a rule, who approves a high-cost option, and how exceptions are logged.
- Separate immediate recovery from post-disruption compensation. AviLabs describes Plan3 for disruption management and Cura for compensation claims; decide whether claims processing is in scope or a separate workflow (AviLabs).
Inventory the systems and suppliers
Identify your passenger service system (PSS) or reservation platform, departure-control and schedule sources, operational event feeds, loyalty data, notification tools, payment or voucher systems, hotel and ground-transport suppliers, and interline or codeshare agreements. For each interface, note the data owner, message format, latency target, write-back authority, retry behavior and reconciliation process.
IATA’s Passenger developer portal identifies AIDX as a global XML messaging standard for flight-data exchange among airlines, airports and third parties (IATA Passenger portal). AIDX awareness is useful interoperability context, but a standard’s existence does not prove that a vendor supports the messages, versions, extensions or operational write-backs your airline needs. Ask for a message-level interface specification and test evidence.
Use a common comparison framework
Give every shortlisted vendor the same requirements and score evidence rather than presentation quality. The following axes cover the decisions that most affect operational outcomes.

Demand a scenario-based demonstration
A scripted happy-path demo is insufficient. Prepare a fixed scenario pack and give every vendor the same passenger, inventory and policy inputs. Include at least the following cases.
Mass cancellation
Provide a cancellation affecting multiple cabins, loyalty tiers and special-service requests. Ask the platform to ingest the event, segment passengers, rank alternatives, apply your policy thresholds, reserve or recommend seats, send messages, and route unresolved cases to agents. Verify whether it can execute the booking change or only suggest an option.

One-click scans. No signup required.
Diversion with an overnight stay
Use a diversion where hotel capacity is limited and ground transport must be coordinated. Test room allocation by passenger need, meal eligibility, voucher issuance, supplier confirmation, passenger acceptance and reconciliation when inventory disappears. Ask what happens when one supplier API is unavailable.
Missed connection involving a partner
Include an interline or codeshare segment with constrained inventory. Require the vendor to show the agreements and authority it relies on, the ranking logic, ticket or EMD handling, and the point at which a human agent must intervene. A claim that a system supports interline recovery is not proof of coverage for your partners.
Advance schedule change
Test a change announced days or weeks before departure. Check notification timing, passenger self-service, fare or cabin rules, group bookings, and the ability to undo or amend a prior choice.

Overbooking and special assistance
Use an overbooked flight with passengers requiring wheelchairs, unaccompanied-minor handling or other special services. Confirm that the platform preserves service requests, does not offer infeasible connections and records every manual override.

Ask the vendor to draw the end-to-end data flow and identify the authoritative system for each object: flight status, passenger name record, seat, ticket, voucher, hotel reservation and refund. A connector that can read data but cannot write back a confirmed rebooking may leave agents with duplicate work and stale records.
Questions for technical validation
- Which PSS, reservation, departure-control and schedule systems are supported natively, and which require custom work?
- Which AIDX messages, versions and extensions are consumed or produced? How are out-of-order, duplicate or late messages handled?
- What is the target and worst-case latency from operational event to passenger eligibility?
- How are retries, idempotency, dead-letter queues and reconciliation exposed to airline operators?
- Can the platform write a confirmed itinerary, ticketing action, EMD or voucher, or does it only create an agent task?
- How are partner inventory, interline agreements, married-segment logic and connection minimums represented?
- What happens when the PSS, messaging provider or supplier API is down? Can agents continue in a controlled degraded mode?
Make passenger communication measurable
Recovery is incomplete until passengers receive a usable option. Test message composition, channel preference, language, accessibility and delivery status. Require the platform to distinguish a sent message from a delivered message and to show which passengers have opened, accepted, declined or ignored an offer.
Self-service should have clear boundaries. Ask what a passenger can change without an agent, how identity is verified, how a failed payment or voucher is handled, and when the case returns to a queue. Conversational interfaces can reduce contacts, but they must expose the policy decision and preserve a transcript for audit and training.
Separate capability claims from evidence
Inspire’s Care+ page reports “up to 80%” of IROP interactions self-served, “68%” IROP-related agent time saved and a “4 min” median time to rebooked (Care+). The page is undated; the figures were presented by the vendor and their methodology, population, exclusions and independent corroboration were not established. Ask for the metric definitions, sample period, airline context, denominator, confidence limits and customer references before using any figure in a business case.

Similarly, duerming presents service reach of “14 countries” and “25+ airlines” on its provider page (duerming). Those are provider-reported figures, not independently validated market totals. If you are considering a coordinated hotel, transport and passenger-care service alongside software, verify countries, airport coverage, supplier capacity, service levels and contracting separately.
Design a pilot with explicit success measures
Do not begin with a vague “prove the value” objective. Define the baseline, target, measurement window, excluded cases and data owner before the pilot starts.
- Select representative events. Use your own mass cancellation, diversion, overnight delay, missed connection and partner-capacity cases.
- Freeze the inputs. Provide identical schedules, passenger attributes, policies, inventory snapshots and communication templates to each participant.
- Trace the complete workflow. Measure event ingestion, segmentation, option generation, policy application, booking action, notification, fulfillment, exception routing and audit logging.
- Inject failures. Disable a supplier, delay an operational feed, remove partner inventory and require a human override. Record what the platform does and what agents must do manually.
- Score outcomes. Use pre-agreed measures such as time to first passenger action, successful rebooking rate, percentage resolved without agent intervention, message delivery rate, exception volume, voucher fulfillment, cost per disrupted passenger and passenger complaints. These are buyer-defined measures, not industry benchmarks.
- Reconcile every transaction. Compare platform records with the PSS, ticketing, voucher, hotel and finance systems. Investigate duplicates, orphaned bookings and unclosed cases.
Assess people, operations and governance
Software does not replace disruption command. Establish who owns policy changes, who can pause automation, who monitors supplier capacity and who communicates during a crisis. Ask vendors about 24/7 support, incident escalation, release management, training, documentation and the staffing model for implementation.
Require role-based access, approval thresholds, immutable or tamper-evident audit history, data-retention controls and export capability. Review privacy obligations for passenger, payment, loyalty and special-assistance data. Confirm data residency, subprocessors, encryption, security testing, breach notification and deletion at contract exit. The public material reviewed for this category does not establish vendor-specific answers, so these must be diligence and contract items.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsCalculate total cost, not just license price
Request a five-year cost model that separates implementation, configuration, integrations, message volume, passenger or event-based fees, supplier transactions, support, training, custom changes and emergency capacity. Include internal costs for policy design, data mapping, testing, contact-center change and reconciliation.
Best Value
Ask what happens to historical records, templates, policies, passenger consents and open cases if you terminate. Require export formats, notice periods, assistance obligations and commercially reasonable transition support. Public pages do not provide comparable pricing or contract terms; a low initial quote may exclude the work that makes recovery operationally usable.
Know the category boundaries
Software platform
A platform such as the systems described by Plan3, Nexa or Inspire aims to coordinate event, passenger, rebooking, communication and care workflows across existing airline systems. Validate which functions are automated and which remain recommendations or agent tasks (Plan3; Nexa; Inspire Care+).
Adjacent compensation workflow
Compensation-claims automation addresses post-disruption eligibility and claims handling. It may complement immediate recovery but should not be assumed to replace it. Define the boundary in requirements and ownership.
Operational care service
A provider coordinating hotels, transport and passenger care can complement software. Evaluate geographic coverage, live supplier availability, service-level commitments, escalation and settlement as a separate procurement stream. duerming presents this type of service; its stated reach requires buyer verification (duerming).
Use references that resemble your airline
Request reference customers with comparable fleet and network complexity, passenger volume, PSS, contact-center model and interline profile. Ask each reference for measured outcomes, scope, implementation duration, integrations included, exclusions, peak-event behavior, support experience and what they would change. A reference using a different reservation system or operating model may not predict your result.
Common selection mistakes and their fixes
- Choosing by feature count: Replace a checklist with scenario evidence and transaction reconciliation.
- Assuming “integrated” means executable: Identify read versus write permissions for every booking, voucher and refund action.
- Testing only normal operations: Inject late, duplicate and missing events, supplier outages and partner-inventory changes.
- Ignoring policy ownership: Assign named owners and approval paths for rule changes and overrides.
- Accepting headline benchmarks: Demand definitions, samples, dates, exclusions and independent references for every performance claim.
- Leaving exit until the end: Negotiate data export, open-case transfer and transition assistance before signing.
- Confusing crisis planning with routine IROP recovery: IATA Emergency Response Planning addresses the aftermath of events such as diversion, disruption or loss; use it as adjacent crisis context while specifying the distinct requirements of routine passenger recovery (IATA Emergency Response Planning).
A practical decision sequence
- Map the current process and authority. Document events, policies, systems, suppliers, channels and manual work.
- Publish a requirements pack. Include disruption scenarios, integration objects, security controls, service levels, reporting, commercial assumptions and exit rights.
- Shortlist by fit, not fame. Include platforms and complementary services only where their category matches your need.
- Run identical demonstrations. Use the same data, scenarios, failure injections and scoring rubric.
- Conduct a technical proof. Validate event latency, booking write-back, inventory constraints, retries, reconciliation and degraded mode.
- Pilot with controlled success measures. Compare against your baseline and preserve a complete audit trail.
- Complete reference, security and contract diligence. Convert critical answers into service-level, data, support and termination commitments.
- Choose the smallest configuration that proves the workflow. Expand only after operational ownership, training and support are ready.
What a defensible final recommendation contains
Your selection paper should show the scored scenarios, unresolved exceptions, integration responsibilities, policy assumptions, pilot results, total-cost model, security findings, reference feedback and contractual protections. It should also state which capabilities are automated, which are recommended, and which still require an agent. That level of clarity prevents a polished demo from becoming an expensive manual work queue during the next major disruption.
