Choose an AI meeting assistant only after verifying what participants are told, what the tool captures, whether it saves transcripts or prompts, who can access the output, how long data is retained, and what controls your administrator has. A notice is not automatically consent, and “not used to train models” does not mean that no meeting data is stored. Check the specific feature and configuration your organization will use.
Start with notice and participant control
Find out when participants are told that an assistant is joining and what it will do. Check whether the notice arrives before the meeting or only after the assistant joins, whether the assistant is visibly identified, and whether a participant or organizer can pause or remove it.

For third-party Google Meet and Microsoft Teams meetings, Zoom says AI Companion can join as a participant, transcribe, and support post-meeting questions. Zoom describes optional pre-meeting email notifications and an in-meeting chat notice; its participant tile shows Zoom branding, the owner’s name, and a transcribing status. These are notice mechanisms—not proof that a setup satisfies every organization’s policy or every jurisdiction’s consent requirements. Find out what the assistant captures and processes
“AI meeting assistant” can describe very different capture methods: a bot joining the call, the meeting platform’s built-in audio processing, or a feature that requires recording or transcription. Ask whether the tool processes audio, video, chat, screen content, attachments, transcripts, or prompts and responses. Also ask whether those data types go to third-party model providers.
Assistance without a saved transcript
Microsoft documents a Teams Copilot mode that works during a call or meeting without recording or transcribing it. In that mode, Copilot processes temporary speech-to-text data that Microsoft says is not saved after the meeting. If transcription is enabled, Copilot interactions can use speech-to-text data and the transcript; access after the meeting depends on transcription or recording. Even when both are off, prompts and responses may still be retained under the organization’s Microsoft Purview policies. Recording and invitation behavior
Otter says recording begins when a user or meeting participant presses Record or invites Otter. Its privacy and security page also describes de-identification for model training and says explicit customer consent is required before support staff access audio or transcripts for troubleshooting. These are Otter’s statements about its service; check the current policy and contract for the exact scope: Otter Privacy & Security.
Separate model training from storage and access
A provider’s statement that customer content is not used to train models answers only one question. It does not establish how long content is retained, who can access it, whether it goes to subprocessors, or what happens under support, safety, legal, or account-setting exceptions.

Microsoft 365 Copilot
Microsoft says Microsoft 365 Copilot interaction data, including prompts and responses, is stored in line with contractual commitments for Microsoft 365 organizational content, is encrypted at rest, and is not used to train foundation models. Microsoft says administrators can manage related retention through Purview. This statement concerns Microsoft 365 Copilot in the organizational service; do not extend it to consumer Copilot or unrelated products. Read Microsoft’s Microsoft 365 Copilot privacy documentation.
Zoom AI Companion
Zoom says it does not use customer audio, video, chat, screen sharing, attachments, or other communications-like content to train Zoom’s or third-party AI models. Its technical documentation describes content retention of up to 30 days for support and debugging, with exceptions including legal requirements, trust and safety, customer request, and account settings. It also describes Zero Data Retention for certain temporary inputs used for Meeting Summary, and model options that determine whether data is sent to third-party models. These qualifications are feature- and configuration-dependent; they should not be read as a universal zero-retention promise. See the Zoom AI Companion security and compliance documentation.

Fireflies publishes information about meeting-content access, retention, and model-training controls on its security page. Treat vendor security pages as statements of policy, not independent verification of how a particular account is configured.

Check retention, deletion, and access to outputs
Ask what persists after the meeting: recordings, transcripts, summaries, prompts, responses, or other interaction records. Identify the normal retention period, any exceptions, who can delete each record, and whether legal holds or compliance retention override ordinary deletion.

Microsoft says administrators can apply Purview retention policies to Copilot interaction records. Zoom says administrators can allow retention of transcripts generated with meeting summaries. When retained and relevant features are enabled, Zoom says transcripts may be available to hosts and other participants within the organization, and hosts can download them. Confirm the retention and access scope in the account itself; see Zoom’s instructions for allowing users to retain transcripts generated with meeting summaries.
Map access separately for hosts, workspace users, administrators, vendor support, and subprocessors. A transcript that is not visible to every participant may still be accessible to an administrator or covered by organization-wide discovery and retention controls.
Compare deployment and governance requirements
Before choosing a tool, establish whether it is native to your meeting platform or joins as a third-party bot. Check which plans, integrations, platforms, and administrator settings are required. Then determine whether administrators can disable the assistant, restrict it to approved users or meeting types, and audit changes or use.

Vendor documentation describes a product’s stated behavior; it does not verify the settings, contract, or policy applying to your tenant. Confirm each material claim in the environment where meetings will happen.

Use this checklist before enabling an assistant
- Capture: What data does it process—audio, video, transcript, chat, screen content, or prompts?
- Notice and choice: What notice do all participants receive, when do they receive it, and what action can stop capture?
- Persistence: Can it provide assistance without saving a recording or transcript? What other data, including prompts and answers, remains?
- Model use: Is customer content used to train the provider’s models or third-party models? Does the answer change by feature, plan, or setting?
- Retention and deletion: What is the normal retention period and what exceptions apply? Who can delete records, and how do legal holds or compliance retention affect deletion?
- Access: Who can view transcripts, summaries, prompts, and responses—hosts, workspace users, administrators, vendor support, or subprocessors?
- Administration: Can administrators disable the feature, limit it to approved users or meeting types, and audit its use or configuration changes?
- Governance: Which contract, data-processing terms, and organizational rules cover these meetings and their data?
