Choose an AI marketing platform by testing how it will work with your CRM—not by accepting “integration” as a checkbox. Start with the records, fields, events, and marketing-to-sales handoffs your team needs. Then verify the connector’s coverage, sync behavior, permissions, error handling, and upkeep, and test whether the AI can use approved CRM data for a specific job.
Will this marketing platform sync with my CRM?
Possibly, but a general claim of CRM integration does not tell you which records or fields are supported, which system can update them, or how quickly changes appear. Salesforce defines CRM integration as connecting third-party applications so data and workflows can sync; the buyer still needs to establish what that means for their own setup. See Salesforce’s CRM integration guide.

First identify your CRM product, edition, configuration, and any licensing prerequisites. Ask the marketing-platform vendor to confirm that the specific connector supports them. Then map your essential workflows—for example, how a new lead reaches sales, how sales activity informs marketing, or how campaign responses are recorded. A connector that moves contacts but not the activity or campaign data those workflows depend on may not be sufficient.

Request an object-and-field matrix for the data you intend to use. Depending on your workflow, that could include leads or contacts, companies or accounts, opportunities or deals, campaigns, activities, tickets, custom objects, consent fields, and marketing events. Have the vendor identify what is excluded, not just what is supported.

For each field, establish whether updates travel from CRM to marketing platform, from the marketing platform to CRM, or both ways. If both systems can write to a field, ask which value wins in a conflict. Also verify how the integration treats record creation, deletions, merges, duplicate matches, changed email addresses, and incomplete records. Agree on which system is authoritative for each important piece of data.
Ask how quickly changes move—and what happens when sync fails
Find out whether the connector is event-driven, real-time, or scheduled; what normal and maximum delays to expect; and how the vendor surfaces, retries, and reconciles errors. A successful demo does not establish how the integration behaves when a credential expires, a field mapping changes, or a record cannot be matched.
Adobe’s documentation for Marketo Engage and Salesforce provides a concrete, vendor-specific example: the initial full-database sync may take hours or days, while later syncs of changed records typically take seconds or minutes. Adobe also says the sync repeats throughout the day with a five-minute pause between syncs. These figures describe that integration, not a general benchmark for other products. The same documentation says sync direction varies by object and that the Salesforce credentials configured in Marketo constrain which data is included. See Adobe’s Marketo Salesforce sync documentation, updated May 13, 2026.

What CRM data can an AI marketing tool use?
The practical answer is the data the connector exposes, the permissions allow, and your team has approved for the task. If the platform cannot access a relevant field or event—or the data is incomplete or unreliable—do not assume its AI can use that information effectively.
Choose a specific job before evaluating AI features. Examples include building a segment, drafting campaign content, personalizing a landing page, scoring leads, recommending an action, or analyzing campaign results. For each proposed use, ask which CRM records and fields ground the output, whether the data refreshes in time for the workflow, and what a staff member must review before acting on it.
Salesforce Trailhead describes using CRM ecommerce data such as past purchases and browsing history to personalize landing pages. It also recommends planning for trust, data readiness, and team skills. This is an example and vendor guidance, not evidence that a particular platform will improve performance. See Salesforce Trailhead’s guide to AI, data, and CRM.
How do I compare CRM integrations?
Use the same questions for every candidate, and evaluate integration quality, AI fit, governance, and operating effort together. A feature is useful only if the platform can access the right data under permissions your organization accepts, and your team can monitor what happens to it.
| What to compare | What to establish |
|---|---|
| CRM and edition coverage | Whether your product, account edition, and configuration qualify; confirm licensing prerequisites with the vendor. |
| Objects and fields | Which standard and custom records, fields, events, and activities sync—and which do not. |
| Direction and authority | Which system writes each field, how conflicts are resolved, and how deletes, merges, and duplicates are treated. |
| Timing and resilience | Sync method and expected delays, plus failure alerts, retries, and reconciliation procedures. |
| Identity and data quality | How records are matched when emails change or identities are shared, and what happens to incomplete records. |
| AI task fit | Which real marketing jobs are supported, what CRM data grounds each one, and where human review remains. |
| Governance | Required credentials and permissions; controls for sensitive fields, retention, consent, audit, and human review under your policies and jurisdictions. |
| Implementation and upkeep | Mapping, administrative or developer work, training, monitoring, and maintenance after product changes. |
| Total operating cost | CRM tier prerequisites, data or contact volumes, connector or middleware costs, implementation, and staff time. Current prices were not established in the vendor materials cited here; confirm them with vendors. |
Built-in connector, connector service, or custom integration?
Salesforce describes built-in applications, connectors, and APIs as integration approaches. APIs or an integration platform can help when an out-of-the-box connection does not cover the required workflow, but flexibility can bring implementation and maintenance work. Ask who owns the integration, who monitors it, and who fixes it when a field, API, or product changes. Do not equate “available connector” with “effortless deployment.” Details are in Salesforce’s CRM integration guide.
Use vendor examples as questions to verify
HubSpot describes its Salesforce integration as supporting bidirectional sync, lead-intelligence data such as email opens, form submissions, website activity, and lead scores, campaign revenue attribution, and custom-object sync. These are HubSpot’s stated capabilities, not an independent assessment of performance or confirmation that every feature is available in your plan or configuration. Confirm the exact entitlements and behavior with the vendor. See HubSpot’s Salesforce integration page.

HubSpot’s Knowledge Base listing, last updated September 30, 2026, describes syncing supported contacts, companies, deals, activities, and other data, and notes subscription availability. Because the direct support page is not established here, verify the current edition requirements and detailed terms directly with HubSpot: HubSpot’s integration setup listing.
Adobe’s Marketo documentation is useful for a different reason: it illustrates why buyers should ask about object-level sync direction, initial rollout time, subsequent change timing, and the access granted by configured CRM credentials. Neither example is a comprehensive market comparison or a tested ranking.
How to run a useful proof of concept
A controlled test can expose gaps that a feature list or demo may not. Use a limited, representative sample of records and realistic custom fields, and agree on success criteria before the test begins.
Best Value
- Document the current setup. Write down your CRM and edition, relevant objects and fields, systems of record, and three to five essential marketing-to-sales workflows.
- Get the support matrix. Ask the vendor to mark which objects and fields are supported, what direction each syncs, and any plan, permission, or configuration prerequisites. Request a sandbox or controlled proof of concept rather than relying on a demo slide.
- Test ordinary and edge-case records. Check creates and updates, duplicates, changed email addresses, merges, deletes, custom objects, and incomplete records. Confirm field conflict rules and verify consent and suppression handling.
- Observe timing and failures. Measure the delay for the workflows you care about. Trigger or simulate a safe, controlled error and check where alerts appear, whether retries occur, and how records are reconciled.
- Test one AI use case. Use only approved CRM data. Have a person review outputs, check how permissions and sensitive data are handled, and record how corrections feed back into the workflow.
- Estimate the operating work. Include initial mapping, training, administrative or developer time, middleware, monitoring, and ongoing maintenance as well as subscription costs. Confirm current pricing and plan requirements directly with vendors.
- Assign owners and acceptance criteria. Before expanding the rollout, name who owns data quality, privacy, integration monitoring, and human review, and define what must work for each essential workflow.
What can make an integration a poor fit?
Salesforce identifies mapping, compatibility, data security and compliance, duplicates, update maintenance, and budget as common CRM-integration risks. Treat these as operational checks, not issues a connector automatically solves. In your evaluation, establish which team owns field mappings, how compatibility is maintained, how records are deduplicated, and what safeguards apply to the data your AI feature will use. See Salesforce’s CRM integration guide.
Do not approve a platform solely because it connects to your CRM or advertises AI. Approve it when the required records and workflows pass a realistic test, the AI use case has appropriate data and review, and the ongoing responsibilities fit your team.
