Choose the merchant service that your business is eligible for, accepts the payment methods your customers use, settles into the account you actually reconcile, gives staff reliable payment alerts and records, and has fees and support you can verify today. This guide is for merchants in India and uses Google Pay for Business as the example with published primary documentation; it does not rank providers whose current merchant terms have not been directly established.
For Google Pay for Business, Google says merchants can accept payments by QR code, phone number or Tez mode, receive money directly into a bank account, and view detailed payment information. The app is listed for Android and iOS in India, but Google notes that some businesses are not eligible and that limits can be set by NPCI, the bank or Google and may change. Check the current eligibility screen before printing a QR or changing your checkout process.

Start with the job your business needs the app to do
A consumer UPI app and a merchant acceptance setup are not interchangeable. Your choice affects how a customer pays, how your staff know a payment succeeded, where the money arrives, how transactions are matched to orders, and what happens when a payment is pending or disputed.

- Where do sales happen? At a counter, at a customer’s premises, through delivery, or entirely online?
- Who accepts payment? Only you, or several employees on different shifts?
- What must be recorded? A simple daily total, an order-level reference, downloadable statements, or a formal reconciliation process?
- Which payment routes matter? A static QR, a payment request, phone-number payments, a web checkout, or several of these?
- What account should receive the money? A business current account, another bank account, or an account required by the provider?
- How much downtime can you tolerate? A busy shop needs a clear fallback for weak connectivity, dead batteries and delayed confirmations.
The answers are more useful than a generic “best app” list because providers can differ in eligibility, limits, settlement reports, support and charges.
A practical comparison framework
Score each provider against the same questions. If a provider will not state an answer in its current merchant terms or help pages, mark the item “not confirmed” rather than assuming it is standard.
| Decision area | What to verify | Why it matters |
|---|---|---|
| Eligibility and KYC | Accepted business type, documents, individual versus business account, verification steps and activation time | An otherwise suitable app is useless if your business or account cannot be approved. |
| Ways to get paid | Static or dynamic QR, phone number, in-app request, online checkout and whether customers can pay from any UPI app | Customers should not have to install a particular app just to pay you. |
| Settlement | Destination bank account, settlement timing, transaction limits, reversals and dispute handling | Cash-flow planning and customer-service decisions depend on the actual settlement path. |
| Records and reconciliation | Search, order references, downloadable statements, staff visibility and failed-transaction status | Good records reduce end-of-day counting and make refunds or disputes traceable. |
| Operating cost | Charges by payment method and amount, account or device subscriptions, settlement charges, taxes and minimums | A “free UPI” message may apply only to one route, account type or threshold. |
| Shop-floor usability | Sound or visual alerts, confirmation clarity, staff permissions, battery and connectivity requirements, and fallback procedures | Fast confirmation prevents duplicate payments and arguments at the counter. |
| Support and risk controls | Reachable support, reversal workflow, fraud warnings, account recovery and how to verify a claimed screenshot | Payment success must be established from your merchant record or bank account, not a customer’s image. |
Check eligibility and KYC before buying equipment
Do not order printed materials, soundboxes or other accessories until the provider confirms that your business can onboard and tells you which account is required. Google describes Google Pay for Business in India as a payment app for small- and medium-scale merchants, but its merchant help also says some businesses are not eligible. The same guidance says transaction limits can be imposed by NPCI, the bank or Google and can change. Read the live onboarding terms rather than relying on an old social-media post or a salesperson’s verbal assurance. Google’s merchant app help
Questions to answer during onboarding
- Is your activity accepted, including any restricted goods or services?
- Does the provider require a personal account, an individual current account or a business current account?
- Which identity, tax, address and bank-account documents are required?
- Who is the legal account holder, and can another employee operate the app?
- What transaction or monthly limits apply at activation, and how are increases requested?
- What happens if verification fails, a phone number changes or the account holder leaves the business?
Google’s separate business-acceptance help describes an individual current-account route. It says that route can receive up to ₹50,000 per month with UPI without fees, while the bank might charge fees or add requirements above that amount. This is a provider- and route-specific statement, not a universal limit for all merchant plans or UPI providers. Google Pay business acceptance help

In-person QR acceptance
A provider-generated QR is the essential payment credential at a counter. A standee or sticker simply makes that QR visible; it does not process, verify or settle a payment by itself. Google’s merchant materials refer to QR standees and stickers and say its merchants can accept payments through a QR code. Google merchant app help
Before displaying a QR:
- Generate or download the QR from the approved merchant account, not from an unverified image.
- Check that the displayed business name and destination account are yours.
- Print it at a size and contrast that a phone camera can scan without glare.
- Make a small test payment and confirm the result inside the merchant app and, where appropriate, the bank account.
- Keep a replacement copy ready if the counter display is damaged.
Google says its customer-facing merchant QR can be scanned from any UPI-based application. Do not generalize that acceptance promise to another provider without reading that provider’s terms. Google merchant app help
Phone-number and app-based requests
Google lists phone-number payments and Tez mode as additional acceptance methods. These can help when a customer cannot conveniently scan a printed code, but they require careful confirmation of the intended amount and recipient before you treat the payment as complete. Google merchant app help

1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesRemote and online sales
If you sell by telephone, messaging or delivery, ask whether the provider supports a payment request or an online checkout rather than sending a static image without an order reference. A remote workflow should let you match the payment to the customer, amount and order, and should define what you do when the status remains pending. Do not claim that a particular provider offers a checkout integration unless its current merchant documentation says so.

Understand settlement, records and reconciliation
“Payment received” can mean several different events: the customer’s app may show a success screen, the merchant app may receive a confirmation, and the bank account may show a credit. Your operating rule should identify which record authorizes release of goods or services. A customer screenshot alone is not sufficient evidence because it can be old, edited or associated with another merchant.
Records to require from a provider
- Transaction search by date, amount, payer reference or order reference
- Clear states for successful, pending, failed, reversed and disputed payments
- Downloadable statements in a format your accountant can use
- A visible destination account and settlement date
- Staff access that does not expose more customer data than necessary
- A way to identify duplicate payments and issue or track a refund
Google says its merchant app provides detailed payment information and sends money directly to a bank account. Confirm the exact statement format, settlement timing and dispute process during onboarding because those operational details are not established by that broad feature description. Google merchant app help
A simple end-of-day routine
- Export or review the provider’s transaction list for the trading day.
- Match each successful payment to an invoice, order or till entry.
- Separate pending, failed, reversed and disputed items from completed sales.
- Compare the expected total with the bank credit or settlement report, allowing for the provider’s stated timing.
- Record unresolved items with the transaction reference and the support case number.
Treat “free UPI” and MDR claims as time- and route-specific
Do not put a permanent “UPI is free” promise on a price board unless you have checked the current rule for your exact merchant route. Google’s help pages describe different arrangements, and the policy position dated October 13, 2026 is not settled enough to collapse into one universal fee statement.

- The Ministry of Finance release dated August 8, 2026 says consumers will not face UPI transaction charges, person-to-person transactions remain free, and the vast majority of merchant transactions will remain free. It says any merchant discount rate would be limited to transactions above a threshold and would depend on a proposed bill and a committee decision. Ministry of Finance release via PIB
- Google’s MDR help page states that a fee would apply from October 15, 2026 to qualifying direct-bank-account UPI merchant transactions above ₹2,000, with rates varying by merchant category. It says customers must not be surcharged and distinguishes direct bank-account payments from other payment products. Because October 15 is two days after the current date and the Ministry release describes an unresolved legislative and committee process, treat the exact schedule and legal status as unresolved until checked against the operative NPCI circular and current government notice. How to verify a fee before you switch
- Identify the exact payment rail: direct bank-account UPI, a card-linked product or another route.
- Check the provider’s current merchant schedule and effective date.
- Confirm whether the amount is a percentage, a fixed charge, a threshold allowance or a one-time promotion.
- Ask whether taxes, settlement charges, device subscriptions or minimums are additional.
- Save the dated terms and recheck them when a policy or account plan changes.
Make the counter reliable for staff and customers
A QR that works technically can still fail operationally if employees cannot tell which device received the alert. Choose a setup with a clear confirmation screen or sound/visual alert, then define who is allowed to approve a sale, refund a payment or change account settings.
Minimum shop-floor controls
- Use a dedicated, charged device or an approved alert device where the provider supports one.
- Keep the merchant phone number and recovery method under business control rather than one employee’s personal account.
- Train staff to check the merchant app or bank record, not a customer’s screenshot.
- Display the QR where customers can scan it but cannot easily replace it with a fraudulent sticker.
- Maintain a written fallback for poor connectivity: hold the order, use another approved acceptance method, or complete the sale only after a verified confirmation.
- Never ask a customer to disclose a UPI PIN, one-time password or full banking credentials.
For Google Pay for Business, the published help lists Android and iOS availability, but it does not establish a particular soundbox, staff-role model or offline mode. Verify those features for your device and account instead of assuming they are included. Google merchant app help
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Plan for failures, reversals and fraud
When the customer says the payment succeeded
- Ask for the transaction reference and amount, without requesting a PIN or password.
- Search the merchant app for the reference and exact amount.
- Check whether the status is successful, pending, failed or reversed.
- If it is not visible, check the bank account and provider status page or support channel.
- Do not release high-value goods solely on a screenshot or an SMS that you cannot authenticate.
When money is debited but you do not see it
Record the customer’s reference, time and amount, keep the order on hold according to your policy, and open a case through the provider’s official support route. Avoid asking the customer to pay repeatedly until the first attempt is resolved; duplicate payments create a second reconciliation problem.
When a QR may have been tampered with
Compare the printed business name and account identifier with the merchant profile, inspect the display at opening time, and replace any sticker that appears layered or altered. Test-scan after replacement. A standee is only a display accessory; it cannot guarantee that a payment reached you. Google MDR help

How to compare providers without making an unsupported ranking
Ask every candidate for the same written answers and compare like with like. Current, directly comparable merchant terms for several competing providers have not been established here, so a ranking would be misleading. Instead, create a one-page comparison with these columns:
| Question | Provider A | Provider B | Provider C |
|---|---|---|---|
| Eligible business and required account | Record the current answer and date | Record the current answer and date | Record the current answer and date |
| Customer payment methods | QR, phone, request, checkout: mark only confirmed methods | QR, phone, request, checkout: mark only confirmed methods | QR, phone, request, checkout: mark only confirmed methods |
| Settlement destination and timing | Not confirmed until stated in terms | Not confirmed until stated in terms | Not confirmed until stated in terms |
| Searchable records and exports | Note format, filters and staff access | Note format, filters and staff access | Note format, filters and staff access |
| Fees and thresholds | Quote the effective date and payment route | Quote the effective date and payment route | Quote the effective date and payment route |
| Support and dispute route | Record channel and stated response process | Record channel and stated response process | Record channel and stated response process |
Give extra weight to an answer that is both specific and available in a current help page or agreement. “Free,” “instant” and “works everywhere” are not comparable specifications without the route, threshold, region, account type and effective date.
A setup checklist for a small shop
- Describe your sales channels and average transaction pattern.
- Confirm business eligibility, KYC documents and the required bank account.
- List the payment methods your customers actually need.
- Verify transaction and monthly limits before switching.
- Confirm settlement destination, timing and searchable records.
- Obtain the current fee schedule, including any threshold and effective date.
- Install the merchant app on a controlled device and configure recovery access.
- Generate the provider-issued QR and test it from more than one UPI app where the provider promises that capability.
- Train every staff member on confirmation, pending status, reversals and fraud warnings.
- Run a short live pilot, reconcile it to the bank and only then print permanent signage.
For a counter business, a printed “UPI QR payment standee” or sticker can be a convenient accessory once the active QR has been tested. It is optional, and no particular seller or model is endorsed here. Google merchant app help

Choosing between a simple and a more controlled setup
Choose the simpler route when
- You are the only operator and can reconcile transactions yourself.
- Customers mainly pay at one physical location.
- A provider-issued QR and basic payment history cover your needs.
- Your expected volume fits the confirmed account limits.
Choose a more controlled merchant workflow when
- Several staff members accept payments or work different shifts.
- You need order-level references, exports or formal daily reconciliation.
- You sell remotely and need payment requests or checkout links tied to orders.
- A delayed or disputed payment has a material effect on delivery or inventory.
- You need documented support, recovery and refund procedures.
The correct decision is the setup whose documented limits, records, controls and costs fit your actual operation. Recheck those terms whenever your bank account, business structure, payment volume or sales channel changes.
