How to choose a trustworthy AI note-taking app: privacy, data ownership, and local storage

The safest AI note-taking app is not necessarily the one that says “local,” “private,” or “we do not train on your data.” Those phrases describe different controls. A trustworthy choice requires tracing every data type—recordings, transcripts, summaries, notes, metadata, calendar details and attachments—from capture through transcription, AI processing, synchronization, export, retention and deletion. Verify each step for the exact app, platform, account, plan and region you will use.

What “trustworthy” should mean

Trustworthiness is a set of verifiable controls, not a marketing label. An app can record audio on your phone while sending that audio to a cloud service for transcription. It can let you download a transcript while retaining server backups. It can state that customer content is not used for model training while still allowing employees, subprocessors or workspace administrators to access data under defined circumstances.

As an Amazon Associate I earn from qualifying purchases.

Evaluate six separate questions:

  • Where is data captured? On a phone, a dedicated recorder, a browser or a meeting integration?
  • Where is each AI operation performed? Transcription and summarization may be local, cloud-based or split between the two.
  • What is uploaded or synchronized? Audio, text, summaries, timestamps, device identifiers, calendar information and attachments can follow different paths.
  • Who can access it? Consider the app provider, subprocessors, cloud infrastructure operators, workspace administrators and anyone with a shared link.
  • How long is it retained? The active record, deleted items, logs, caches and backups may have different lifetimes.
  • Can you leave? Ownership has little practical value if you cannot export usable audio, transcripts, summaries and attachments.

Vendor documentation is useful evidence, but it is still a vendor statement rather than an independent audit. Look for a precise policy, the applicable plan and the date it was updated, then test the controls yourself when the data is sensitive.

Local recording is not the same as local AI

“Local storage” normally means that a file is saved on a device. It does not prove that speech recognition or summarization happens there. A recorder may hold the original audio until an app connects, then upload it for processing. A transcript may be generated in the cloud and synchronized back to the device even when the original recording remains local.

Plaud’s support documentation illustrates the distinction. It says recordings are stored on the device and associated app by default, while recording data may be uploaded to servers for transcription and summarization. Its AI-processing documentation describes processing requested on demand and identifies Cloud Sync as a separate setting. The company’s own question—“Does Plaud save my transcription data?”—therefore cannot be answered by looking only at where the recorder keeps the audio. Read the recording, processing and synchronization explanations together: Plaud’s data-protection explanation and AI-processing explanation.

Notion documents a similar split for mobile AI Meeting Notes. It says recorded audio is uploaded to Notion’s servers and sent to subprocessors for transcription. It also offers a “Store audio locally” setting that keeps audio on the recorder’s device for download. That setting establishes local availability of the recording, not fully local transcription or summarization: Notion’s AI Meeting Notes documentation.

Do not call an app “fully offline” unless documentation establishes both local storage and local processing for the features you use. If either stage is unclear, describe it as local capture with cloud processing or as a hybrid workflow.

Follow every data type through the workflow

1. Recording and capture

Identify the first copy of the audio and every automatic copy made afterward. A dedicated recorder may retain audio until a phone app downloads it. A mobile app may keep a temporary file in its sandbox. A meeting bot may receive the provider’s mixed audio stream rather than a file on your computer.

Ask whether recording starts before consent is displayed, whether pause and stop remove the microphone stream immediately, and whether a failed upload leaves a retry queue. For in-person conversations, check local recording-consent laws and your organization’s policy separately from the app’s privacy promises.

2. Transcription

Speech-to-text can expose the full conversation to a remote processor even when summaries are generated elsewhere. Confirm whether audio, a compressed derivative or only a transcript leaves the device; whether language identification and speaker separation are cloud features; and whether a transcription provider keeps API payloads.

Apple states that when a user allows an app to use Speech Recognition, audio may be sent to Apple. Its statement that Siri Suggestions uses on-device processing for personalization should not be generalized to every Apple transcription feature or to third-party apps. Check the permission and the specific API path used by your app: Apple’s Speech Recognition and dictation privacy explanation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Summaries, action items and extracted text

A summary can contain more sensitive meaning than the raw audio because it concentrates names, decisions and financial or health information. Find out whether the summary model receives the audio, the transcript or both; whether prompts and generated output are logged; and whether edits, highlights and tags are synchronized as separate records.

“Not used for training” addresses one possible use, not every form of access or retention. A provider may still process content to deliver the feature, detect abuse, troubleshoot failures or comply with law. Read the service terms and the AI-specific policy for the account and plan you will purchase.

4. Synchronization and integrations

Sync can copy data to a second phone, a desktop client, a web dashboard and connected services. Calendar integrations may add meeting titles, attendee names, times and conferencing links even if you never upload a calendar file yourself. Disable integrations you do not need and inspect the permissions after every major app update.

Determine whether sync is automatic, manually requested or triggered when a device reaches Wi-Fi. A “cloud sync off” option may prevent future uploads without removing data already processed. Conversely, turning sync on briefly can create a cloud copy that persists until a separate deletion request is completed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Storage, encryption and access

Separate encryption in transit and at rest from the question of who controls the keys and who can read decrypted content. Plaud’s trust page describes TLS 1.2 or higher in transit and AES-256 at rest, and says data is transferred to the cloud for processing: Plaud’s trust page. These are useful technical details, but they do not by themselves establish customer-managed keys, a specific data-residency region or the absence of administrator access.

Ask where the primary database, object storage and backups are located; whether enterprise customers can choose a private storage environment; how support personnel access content; and whether audit logs record that access. Fireflies says customers own and control meeting data, does not train on customer data, applies a zero-day retention policy with AI vendors, and offers private-storage options and encryption for enterprise customers. Treat those as Fireflies’ stated controls and verify the terms, certifications and storage choices for your jurisdiction and plan: Fireflies’ security documentation.

6. Retention and deletion

Deletion must be defined at the object level. Ask what happens to the original audio, transcript, summary, thumbnails, search indexes, exports, logs, abuse-monitoring records and backups. “Delete” may mean hidden from the interface immediately while a scheduled purge runs later.

Plaud says data associated with disabled Cloud Sync is deleted from the cloud after transfer back to the phone, and that recordings may be deleted from the device after transfer to the phone app. Those statements describe particular stages and settings, not a universal offline guarantee. Notion says uploaded audio can be deleted from the block or by deleting the page, subject to workspace retention settings. A workspace administrator’s retention rule can therefore outlast a user’s action.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Request the retention period, backup-deletion schedule and legal-hold exceptions in writing. If the provider cannot state whether deleted content remains in backups, mark that behavior as unknown rather than assuming it is gone.

7. Export and portability

Ownership is meaningful only if you can retrieve your information in a useful form. Test exports for original audio, full-resolution transcripts, speaker labels, timestamps, summaries, comments, attachments and metadata. Check whether export is available to every user or only a workspace administrator, whether it is bulk-capable, and whether links remain valid after cancellation.

There is no common export standard established across the products discussed here. A PDF may preserve appearance but lose timestamps and speaker data; plain text may lose headings; a proprietary archive may be difficult to open elsewhere. Download a sample before committing important records and document the date and format of each export.

What current product documentation actually establishes

The following comparison keeps documented facts separate from unanswered questions. Product behavior can change by platform, plan, account, administrator setting and region.

Product or feature Documented behavior What the documentation does not establish
Plaud recorder and app Recordings are stored on the device and associated app by default. Recording data may be uploaded for transcription and summarization. Cloud Sync is described as a separate setting, and AI processing can be requested on demand. The trust page describes cloud transfer, TLS 1.2+ in transit, AES-256 at rest, and deletion of data associated with disabled Cloud Sync after transfer back to the phone. It does not prove that transcription or summaries are local, that every plan uses the same regions, or that all backups disappear immediately. Training and provider zero-retention statements are vendor-reported commitments.
Fireflies Fireflies says customers own and control meeting data, customer data is not used for training, and AI vendors have a zero-day retention policy. Enterprise customers can have private-storage options and encryption controls. The statement does not independently verify certifications, jurisdiction-specific residency, administrator access or the exact controls on every plan.
Otter Otter describes AWS S3 storage and server-side encryption. It says AI service providers do not store customer data sent through APIs. Third-party integrations may provide information such as calendar details. The cited material does not settle every question about retention, employee access, training, export formats or deletion of backups: Otter’s privacy and security page.
Notion AI Meeting Notes Mobile-recorded audio is uploaded to Notion servers and sent to subprocessors for transcription. Uploaded audio can be deleted from the block or by deleting the page, subject to workspace retention settings. “Store audio locally” keeps audio on the recorder’s device for download. Local audio storage does not establish local transcription or summarization, and the documentation does not create a universal export or backup-deletion standard.
Apple Speech Recognition Apple says audio may be sent to Apple when a user allows an app to use Speech Recognition. Siri Suggestions uses on-device processing for personalization. Siri Suggestions’ on-device statement cannot be applied automatically to every Apple transcription feature or third-party app.

A practical vetting process before you trust an app

  1. Define the data and threat model. List the conversations you will record, who could be harmed by disclosure, the countries involved and whether your employer, clients or regulators impose retention or residency rules.
  2. Inventory every platform. Write down the recorder, mobile operating system, desktop client, browser extension, meeting integration and connected calendar. Do not assume a privacy setting on one platform applies to another.
  3. Locate the first upload. Use the vendor’s help pages and, where permitted, your device’s network controls to determine whether audio, transcripts or both leave the device. Record the trigger: start, stop, Wi-Fi, manual sync or AI-button press.
  4. Separate AI stages. Ask where transcription, speaker labeling, translation, summarization and search indexing run. Require a clear answer for each stage instead of accepting “AI is secure” as a substitute.
  5. Read the applicable terms. Check the privacy policy, AI-processing terms, data-processing addendum and plan-specific security page. Look for training use, subprocessors, support access, legal disclosures and regional transfers.
  6. Verify storage controls. Identify the primary region, backup region, encryption methods, key ownership, private-storage availability and administrator roles. Save copies of the current policy because settings and terms can change.
  7. Run a deletion test. Create a harmless test recording, sync it, generate a transcript and summary, export it, then delete each object. Note what disappears from every client and ask support how long backups and logs remain.
  8. Run an export test. Export audio, transcript, summary, timestamps, speaker labels and attachments. Open the files in another application and confirm that the result is complete and intelligible.
  9. Check integrations and sharing. Revoke calendar, contacts, cloud-drive and meeting permissions that are unnecessary. Inspect public-link defaults and workspace roles.
  10. Document the decision. Keep a one-page record of the app version, platform, plan, region, settings, policy URLs, support answers and unresolved unknowns. Recheck it after major product or policy changes.

Common misleading signals and how to correct them

  • “The recorder is offline.” Confirm whether AI processing starts only after an upload. If so, describe it as local capture with cloud transcription.
  • “We never train on your data.” Ask about service delivery, abuse review, human support, subprocessors, prompts, outputs and logs. Training is only one possible use.
  • “You own your data.” Request the export formats, bulk-export procedure, deletion scope and post-cancellation access. Ownership without portability is difficult to exercise.
  • “Encrypted.” Identify whether the claim covers transit, storage, backups and device caches, and who controls decryption keys.
  • “Deleted.” Ask whether deletion includes search indexes, derived summaries, attachments, logs and backups, and whether workspace retention or legal holds override it.
  • “Private cloud available.” Confirm that the option applies to your plan and geography, and ask whether subprocessors still receive content for transcription or model inference.
  • “Local audio” setting. Verify whether only the original file is local or whether transcription and summarization are also performed locally.

Safer operating patterns for different needs

Personal journals and low-sensitivity reminders

Choose the minimum integrations, disable automatic sharing and periodically export records. A hybrid service may be acceptable if you understand that audio or text is processed remotely and you are comfortable with the provider’s retention terms.

Client, employment or confidential project meetings

Obtain consent and organizational approval before recording. Prefer a plan with documented administrative controls, private-storage choices and a tested deletion process. Restrict access by role, avoid public links and set a short retention period that matches the contract.

Regulated or data-residency-sensitive work

Require written confirmation of processing regions, subprocessors, backup locations, deletion schedules and incident procedures. If the provider cannot answer those questions for your exact plan, do not infer compliance from a general security page.

In-person recording with a dedicated device

Treat the recorder as one stage of a larger service. Confirm when files move to the phone, when the phone uploads them, whether the device copy is deleted after transfer and how to recover a recording if sync fails. A dedicated recorder such as the PLAUD Note AI voice recorder is best understood as hardware paired with an AI service, not as proof of fully offline note-taking.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Questions to send to support or procurement

  • Which exact data types leave the device: raw audio, compressed audio, transcript, summary, timestamps, metadata, calendar data or attachments?
  • At what event does each transfer occur, and can that transfer be disabled without losing local recording?
  • Where are transcription and summarization performed, and which subprocessors receive the data?
  • Is customer content used for training, evaluation, abuse detection or human review? Are any uses opt-in by default?
  • What are the retention periods for active data, deleted data, logs and backups?
  • Does a workspace retention rule, legal hold or administrator role override a user deletion?
  • Which export formats include original audio, timestamps, speaker labels, summaries and attachments, and is bulk export available?
  • Which controls vary by platform, plan, region or administrator setting?
  • Can enterprise customers select private storage or a specific residency region, and what remains handled by third parties?

Bottom line

Choose the app whose complete data path you can explain, test and document—not the one with the strongest single slogan. Separate local capture from local AI, ownership from export, encryption from access, and deletion from backup deletion. If a material step is unknown, treat it as an unresolved risk, limit the sensitivity of what you record or choose a service that provides a clearer, verifiable answer.
