Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteThe right managed security service provider (MSSP) is the one that can show, in writing and with evidence, exactly which systems it protects, how its staff access them, how incidents are handled, and what happens when the contract ends. Treat the provider as a supplier with privileged-access risk—not as a replacement for your organization’s security responsibilities. Define your requirements first, compare every candidate against the same questions, test the provider’s controls and recovery plan, and put measurable duties and notification obligations in the contract.
What a small organization is actually buying
An MSSP may monitor security alerts, manage endpoint protection, investigate suspicious activity, maintain firewalls or cloud controls, coordinate vulnerability remediation, and support incident response. Some companies bundle those services with ordinary help-desk and infrastructure work. That bundle can be useful, but it can also hide important exclusions. “Managed IT” does not automatically mean continuous security monitoring, threat investigation, backup protection, or incident leadership.

Because the provider may receive administrator-level credentials, remote-management access, or copies of logs and backups, it becomes part of your attack surface. A compromise of the provider’s tools or staff accounts could affect several customers at once. CISA’s 2025 small-business supply-chain template specifically treats vetting an MSP with critical access to systems or data as a supplier-assessment use case.

Those figures describe the importance of the sector, not the effectiveness of any particular security service. There is no universal “best” package or validated ranking that fits every small organization.

Step 1: Define the service and the outcome before requesting proposals
Write a requirements document that a provider can answer line by line. CISA’s 2025 customer guidance recommends a master requirements list and a shared-responsibility model. Start with facts about your environment, then describe the security outcomes you need.
Inventory the environment
- Systems: laptops and desktops, servers, identity platforms, email, cloud applications, network devices, industrial or point-of-sale systems, and third-party services.
- Data: personal information, payment data, health information, intellectual property, regulated records, backups, and data shared with customers or partners.
- People and locations: employee count, contractors, remote workers, offices, warehouses, branches, and users with elevated privileges.
- Operating pattern: business hours, weekends, seasonal peaks, maintenance windows, and whether an outage outside business hours is material.
- Obligations: customer security clauses, insurance requirements, regulatory duties, retention rules, and contractual notification deadlines.
Describe the outcomes, not just the tools
State what the provider must monitor, maintain, investigate, and recover. Examples include detecting malicious sign-ins, investigating endpoint alerts, maintaining firewall rules, coordinating critical patching, preserving logs for investigations, isolating a compromised account, and restoring provider-managed backups. Separate security operations from ordinary IT support so a low-cost help-desk plan cannot be mistaken for an incident-response service.
Record exclusions and customer responsibilities
Ask who owns unsupported devices, personal devices, cloud applications outside the approved list, legacy systems, and work performed by another contractor. Document which approvals must come from your organization, who supplies licenses, who maintains asset inventories, and who decides whether a risk is accepted. An explicit exclusion is safer than an assumption.

Step 2: Screen providers with evidence, not marketing language
Use the same questionnaire for every candidate. CISA’s 2025 SMB template and its 2023 fact sheet provide a structured model in which a provider can answer yes, no, or partial and explain the evidence behind each response. A partial answer is not automatically disqualifying; an unexplained answer is a warning sign.
Request a due-diligence packet
- Current security and privacy policies that apply to the service and its workforce.
- An architecture or access diagram showing management tools, data flows, administrative paths, and customer separation.
- Asset and vulnerability-management procedures, including ownership of remediation decisions.
- Access-control standards, privileged-account procedures, remote-access controls, and MFA requirements.
- Training and screening practices for employees who use privileged tools.
- Incident-detection, escalation, evidence-preservation, and recovery procedures.
- Independent assessment reports or certifications, with their scope, dates, exceptions, and covered services clearly identified.
- Subprocessor and subcontractor information, including how their access is controlled.
A certification or self-attestation can be useful evidence, but it does not explain what your package includes, which systems are outside its scope, or how the provider will perform for your organization. Ask the provider to explain any qualified, expired, or out-of-scope evidence.

Step 3: Examine privileged and remote access in detail
The most important practical question is not whether a provider has “secure access,” but which person or service account can reach which system, under what approval, for how long, and with what record.
Use least privilege and role-specific access
- Require separate named accounts for each administrator; prohibit shared credentials except where a documented technical limitation exists.
- Limit permissions to the systems and actions needed for a role. A monitoring analyst should not automatically receive domain-administrator rights.
- Use just-in-time or time-limited elevation where the provider supports it.
- Define who approves new access, who reviews it, and how quickly access is removed when an employee changes role or leaves.
- Require the provider to review its own privileged accounts and service accounts on a stated schedule and provide the result to you.
Secure remote administration
Joint guidance from CISA, NSA, the FBI, and international partners in 2022 recommends MFA for remote access where possible, along with monitoring and logging. Ask whether MFA covers every administrator, every remote-management portal, and every vendor connection—not merely the provider’s corporate email.

Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clarify whether remote sessions use a controlled jump host, whether access can be restricted by device or network, whether commands and file transfers are recorded, and whether your staff can see the relevant logs. Ask how the provider detects misuse of its remote-management tools and how quickly it can disable a suspected account.
Verify customer separation
Find out how your data, credentials, tickets, logs, and backups are separated from those of other customers. Ask whether tenants share management servers, storage, encryption keys, or administrative personnel; what prevents cross-tenant queries or restores; and how a suspected breach of one customer is contained. The provider should be able to explain the control and show an appropriate test, audit result, or operating record.
Step 4: Test monitoring, logging, and vulnerability management
Monitoring coverage
Get a written list of telemetry sources: endpoint agents, identity logs, cloud audit logs, firewalls, email systems, VPNs, and critical applications. Confirm the collection frequency, expected gaps, operating hours, and what happens when an agent stops reporting. “24/7 monitoring” is meaningful only when the covered systems, triage activity, and escalation path are defined.

Alert triage and investigation
Ask for examples of alert categories, severity criteria, analyst actions, and customer escalation. Establish which events the provider can investigate without permission, which containment actions require approval, and which actions are prohibited. Request anonymized sample reports or a walkthrough of a closed investigation so you can assess the level of detail supplied.

Logging and records
Specify which logs are retained, for how long, where they are stored, who can delete them, and how you obtain them during an investigation or at termination. Logs should include relevant administrative activity and remote sessions, not just alerts generated by a single security product. Agree on export formats and a process for preserving records when a legal, regulatory, or insurance investigation begins.
Vulnerability and patch management
Ask how assets are discovered, how vulnerabilities are prioritized, who approves exceptions, and how remediation is verified. A provider should distinguish between identifying a vulnerability and actually correcting it. Require reports that show open findings, aging, affected assets, assigned responsibility, and documented risk acceptance.
Step 5: Make the incident and recovery story concrete
CISA’s ransomware guidance advises organizations to consider third-party and MSP cyber hygiene, restrict access to role needs, protect backups, and formalize requirements in contracts. Ask the following questions in a live discussion, not only in a questionnaire.
Incident decision and notification
- Who receives the first alert, and who is on call outside normal business hours?
- Who decides that an event is a security incident, and what criteria are used?
- How quickly will the provider notify your designated contacts after confirming or reasonably suspecting an incident?
- What information will the first notice contain, and how will updates be delivered if email is unavailable?
- Who leads containment, eradication, communications, legal coordination, and recovery?
Do not accept an undefined promise to be “responsive.” Put notification triggers, contact methods, escalation levels, and update expectations in the agreement. Your legal or regulatory deadline may be shorter than the provider’s default process.

Authority to contain
List actions the provider may take immediately, such as disabling a compromised account, isolating an endpoint, blocking a malicious domain, or disconnecting a remote-management session. List actions that require your approval, such as shutting down a production server or restoring a system from backup. Include a method for recording who authorized each consequential action.
Backups and restoration
Clarify who owns backup accounts, encryption keys, schedules, retention, immutability or isolation controls, and restore testing. Ask whether the provider can access backups with the same credentials used for production systems and how that risk is reduced. Establish who can request a restore, who validates the restored data, where recovery occurs, and what happens if the provider’s own platform is unavailable. A backup that cannot be accessed independently during a provider outage is a dependency you should document and address.
Exercise the plan
Before signing, request a tabletop exercise using a scenario relevant to your organization, such as a stolen administrator session, ransomware on a file server, or compromise of the provider’s management tool. The exercise should identify missing contacts, approval delays, evidence-handling gaps, and recovery decisions. Record corrective actions and assign owners.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Step 6: Compare proposals on one scoring sheet
Send every candidate the same requirements, definitions, and hypothetical incident. Score evidence rather than presentation quality. A simple scale can be: 0 not offered or not answered, 1 assertion without evidence, 2 documented control with limitations, and 3 documented control plus relevant operating evidence and a clear customer commitment. Weight categories according to your risk; do not let a polished sales demo compensate for a missing recovery capability.
| Comparison axis | Questions to score | Evidence to request |
|---|---|---|
| Scope | Which systems, users, locations, hours, and data are covered? What is excluded? | Service description, asset list, coverage map, exclusion register |
| Security controls | How are privileged access, MFA, monitoring, logging, vulnerability management, and tenant separation implemented? | Policies, architecture, sample logs, access review, assessment evidence |
| Response | How are alerts triaged, escalated, communicated, and contained? | Runbooks, contact tree, notification commitments, exercise results |
| Resilience | Who owns backups, outage support, restoration, and recovery planning? | Backup design, restore records, recovery roles, dependency list |
| Accountability | Are service levels, reports, remediation, and named responsibilities measurable? | Service-level schedule, reporting samples, remediation process |
| Fit | Can the provider meet your requirements and explain every gap plainly? | Completed requirements matrix and gap plan |
| Commercial and exit terms | What are the full costs, duration, termination rights, transition duties, and data-return rules? | Order form, master agreement, data-handling and exit schedules |
The available guidance does not establish market prices or universal contract language. Compare the actual proposals, including one-time charges, recurring charges, required licenses, overage rules, and professional-services work. Obtain qualified legal advice for contractual, regulatory, or insurance obligations.
Best Value
Step 7: Put responsibilities and performance in the contract
A proposal is not a control. Convert the agreed operating model into a master agreement, service description, responsibility matrix, and service-level schedule. CISA customer guidance emphasizes clear requirements, shared responsibility, incident management, remediation, software-component information, data separation, and log retention.
- Service scope: name every covered system, service, location, data type, operating hour, and exclusion.
- Access controls: require least privilege, MFA for remote access where possible, named accounts, access reviews, prompt removal, and customer-visible administrative records.
- Monitoring and records: define telemetry, retention, report content, log access, export format, and preservation procedures.
- Incident response: define severity, notification triggers and channels, escalation contacts, containment authority, evidence handling, and update cadence.
- Remediation: state who fixes vulnerabilities, how exceptions are approved, what evidence closes a finding, and how unresolved risk is reported.
- Backups and recovery: assign ownership for schedules, isolation, keys, testing, restore authorization, validation, and outage support.
- Subcontractors and changes: require disclosure of material subprocessors and material changes in provider ownership or leadership, with a defined notice process.
- Data handling: specify location, permitted use, retention, deletion, return, breach obligations, and separation from other customers.
- Exit and transition: require cooperation, credential rotation, asset and configuration export, log and ticket delivery, backup disposition, and support for a replacement provider.
Service levels should measure both IT operations and security services. Define the measurement method, exclusions, reporting frequency, remedies, and what happens when the provider misses a commitment. Avoid a single uptime number that says nothing about alert triage, notification, or restoration.
Warning signs that should change your decision
- The provider refuses to identify which staff or service accounts can access your systems.
- MFA is limited to corporate email while administrative portals use passwords or shared credentials.
- “24/7” coverage is advertised without defining monitored sources, analyst activity, or escalation.
- The provider cannot explain how one customer’s logs, backups, credentials, and tickets are separated from another’s.
- It promises prevention or complete security rather than describing detection, response, and residual risk.
- Incident notification depends on an informal phone call, with no trigger or timeline in the contract.
- Backups are included in marketing material but ownership, isolation, restore testing, or outage access is unclear.
- A certification is presented as proof that every service and subcontractor is secure, without scope or exceptions.
- The proposal combines help-desk tasks and security operations so you cannot tell who investigates an alert or approves containment.
- The provider will not commit to returning data, logs, configurations, and credentials during transition.
A practical selection and onboarding sequence
- Assign an internal owner. Include an executive sponsor, an operational contact, a system owner, and legal or compliance support where needed.
- Complete the inventory and requirements matrix. Mark mandatory controls, acceptable alternatives, and exclusions.
- Shortlist providers that can cover the environment. Reject proposals that omit critical systems or rely on unsupported assumptions.
- Issue the same questionnaire and scenario. Require written answers, evidence, and explanations for partial responses.
- Interview the operational team. Speak with the people who would triage an alert and lead recovery, not only the sales contact.
- Run a technical validation. Review access paths, log visibility, backup ownership, and a tabletop incident exercise.
- Score and document gaps. Record risks that will be accepted, corrected before launch, or written into the service plan.
- Negotiate the agreement and responsibility matrix. Do not allow a proposal, marketing page, or verbal assurance to override the signed scope.
- Onboard in stages. Inventory assets, create named accounts, enforce MFA, integrate logs, validate alert routing, and test restoration before declaring coverage complete.
- Review after launch. Set a recurring governance meeting to examine incidents, access reviews, open vulnerabilities, service-level reports, backup tests, and material changes.
How to keep responsibility after signing
An MSSP can improve detection and response, but it does not transfer all security responsibility or guarantee that an incident will not occur. Your organization still controls business priorities, risk acceptance, user behavior, system ownership, legal decisions, and many configuration choices. Keep an up-to-date list of provider contacts and internal decision-makers. Review privileged access and exclusions when systems or staff change. Test the communication and restoration paths periodically rather than waiting for a crisis.
When the provider reports a gap, decide explicitly whether to remediate it, accept the risk for a defined period, or remove the affected service from scope. A signed exception with an owner and review date is safer than an unresolved email thread.
Questions to ask in the final provider meeting
- Show the exact path an analyst uses to reach a customer endpoint and the log a customer receives afterward.
- Which actions can you take without our approval during a suspected compromise?
- What happens if your remote-management platform or identity provider is unavailable?
- How do you detect and contain misuse of an administrator account belonging to your own workforce?
- How are customer backups isolated, and who can restore them if production credentials are compromised?
- What information is included in the first incident notification, and how is it delivered if our email is down?
- Which subcontractors can access our systems or data, and how are their permissions reviewed?
- What records and assistance will we receive if we terminate the agreement?
The strongest answer is specific, documented, and tied to a named responsibility. If the provider cannot answer a question, record the uncertainty as a gap rather than silently assuming the best case.
