Choose a local print shop by sending every candidate the same job specifications and comparing itemized quotes against your real deadline—not by relying on a headline price or a promise of fast turnaround. Ask each shop when its schedule starts and ends, how proofs and corrections work, what file help it provides, and which production steps it handles in-house. Those answers show whether it can deliver the materials your startup needs, on time and as specified.
Start with a consistent print brief
A quote is useful only when it describes the same job as the other quotes. Specify the printed piece, quantity, paper or finish if known, delivery location, and the date the finished materials must be in hand. If your order volume may change, request a price for the likely quantity and a second quantity you might realistically need; setup costs can affect the unit price.

Use the same brief with every shop. Include known details, and label undecided choices as undecided rather than letting each printer assume something different.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Piece: business cards, flyer, brochure, postcard, stationery, sign, or another specific item.
- Quantity: the planned run, plus an alternate quantity if relevant.
- Materials and finish: stock, coating, folding, binding, or other finishing requirements—or note what you still need help choosing.
- Deadline and destination: the date you need the order in hand and where it must arrive.
- Artwork: the file format you expect to provide, if known, and whether you need file-preparation support.
United GMG, for example, identifies the piece, quantity, stock if known, and required date as quote inputs, then describes an itemized estimate and PDF proof before printing. Those are details of that provider’s service, not a guarantee that every shop follows the same process. United GMG’s service information

Compare the complete cost, not just the headline price
Ask for an itemized total for identical specifications and quantities. The estimate should make clear which costs cover setup, printing, finishing, shipping, special proofs, and rush work. If a quote omits a cost or assumes a different delivery arrangement, ask for clarification before comparing it with another shop’s total.
Requesting two quantities can help if the launch plan is still flexible: a larger run may change the per-piece economics, but only the shop’s quote for your actual job can show the effect. Avoid choosing on unit price alone if the quote excludes finishing or delivery you will need.
How fast can you really turn a job without sacrificing quality?
Ask for the date the completed materials can be in your hands, not only a production estimate. Shops may count turnaround differently: one clock might begin when files arrive, another after proof approval; an estimate may end at shipment rather than delivery. Transit time, your own proof-review time, and any corrections can affect the real schedule.

Ask each shop to state:
- What event starts the turnaround clock: file receipt, payment, proof approval, or something else?
- What event ends it: completion at the shop, dispatch, or delivery?
- Whether the stated time includes proofing, finishing, shipping, and transit to your address.
- How much time you should allow for your team to review and approve the proof.
- Whether the shop can meet your required in-hand date for the specified job, and what could change that date.
Do not compare provider headline day counts until these definitions match. A provider’s stated turnaround is specific to its service and assumptions; it is not an industry-wide benchmark. If the date is critical, ask the shop to confirm the schedule and any rush charges in writing.
Understand the proof and reprint terms before approving
A proof gives you a chance to catch content and layout problems before the full run. Ask whether one is included, whether it is a PDF or a physical proof, and what the proof can—and cannot—show about color and material. Review the proof carefully before authorizing production.
Get the correction and reprint policy in writing. In particular, ask how the shop handles a production error versus an error in artwork you supplied, and whether changes requested after proof approval affect cost or schedule. Do not assume that a proof or a general quality assurance claim automatically means a free reprint.

There is no single file specification that fits every printed product and finish. Ask the shop what format and artwork requirements apply to your exact item, and whether it reviews files before production. Requirements can vary with the product and finishing, so use the chosen shop’s instructions rather than a generic checklist as the final authority.
Before approval, check the following with the printer:

Ask whether preflight or file correction is included, what issues the shop will flag, and whether fixes incur a fee. A shop that explains its file review process can help surface preventable production problems, but your team remains responsible for checking the content and approving the final proof.

Ask which products and finishing operations the shop makes in-house and which it sends to another provider. In-house work may simplify coordination, while subcontracting is not by itself a reason to reject a printer. What matters is whether the shop can manage the actual job, schedule, and quality checks you require.

If you expect to reorder launch materials, ask how it keeps approved files and specifications, and how it handles repeat runs. The useful comparison is the shop’s ability to reproduce your requirements and communicate any changes—not a blanket preference for one production model.

Use a quote checklist to make the decision
Send these questions to each shortlisted shop, using the same job details:
- What is the total itemized price for this piece and quantity, including setup, finishing, shipping, and any rush or proof charges?
- What stock and finish does the quote assume, and can you provide samples or a physical proof if needed?
- What is the in-hand date, when does the turnaround clock start and stop, and is transit included?
- What proof is included, and what are the written correction and reprint terms?
- What file format and product-specific artwork specifications should we follow, and is file preflight included?
- Which production stages are handled in-house and which are subcontracted?
- Can you support the likely schedule and any repeat orders for this work?
Compare the replies on schedule, total cost, proof and correction terms, production fit, and material options. If two shops remain close, follow up on the specific uncertainty that matters most—such as the delivery date, a color-sensitive proof, or a finishing step—instead of treating broad claims about speed or quality as decisive.
