What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The right data center provider is the one that can meet your workload, location, resilience, security, support and budget requirements at a specific facility, with those commitments documented in the contract. Start by deciding whether you need colocation, cloud, managed hosting or a hybrid arrangement. Then define technical and regulatory requirements, shortlist sites, send every candidate the same written RFP, verify evidence with facility and operations staff, and compare equivalent total costs.
Do not choose from a provider’s brand reputation or a generic uptime claim. Power, cooling, connectivity, certifications, staffing, deployment time and failover design can differ between buildings owned by the same company. Evaluate the named site, service scope and legal entity you would actually contract with.

Start with the workload and operating model
Your first decision is not which provider to call. It is which operating model matches the way your business runs applications and infrastructure.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?

In colocation, you own or lease the servers, storage and network equipment and place them in the provider’s facility. The provider normally supplies the building, power, cooling, physical security and connectivity options. Your team remains responsible for hardware lifecycle, operating systems, applications and much of the troubleshooting unless you purchase managed services.

Cloud infrastructure
Cloud services let you consume computing, storage and networking without owning the underlying physical equipment. They can provide rapid scaling and broad geographic choice, but pricing is usually metered. You must examine compute, storage, data-transfer and support charges, as well as the provider’s service-level terms, security controls, data location and integration options.
Managed hosting
Managed hosting transfers more operational work to the provider. Depending on the offer, the provider may supply hardware, patch operating systems, monitor systems, manage backups or operate applications. Confirm exactly what is included, which tasks remain yours, and how incidents are escalated.
Hybrid infrastructure
A hybrid design combines two or more models, such as colocated databases with cloud disaster recovery, or private equipment with cloud bursting for seasonal demand. It can improve flexibility but introduces dependencies between sites, networks, identity systems and support teams. Require a clear operating model for each component.

Write a responsibility matrix before requesting prices. List hardware, firmware, operating systems, applications, backups, encryption keys, physical access, network devices, security monitoring, incident response and recovery testing. Assign each item to your team, the provider or a shared process.
Translate business needs into measurable requirements
Requirements should describe a workload and an outcome, not vague terms such as “enterprise grade.” Record current consumption and a forecast horizon, commonly three to five years, so candidates quote the same scale.
Performance and equipment compatibility
- CPU, memory, storage, GPU or other accelerator needs, including peak and sustained demand.
- Rack count, equipment dimensions, weight, cable pathways and installation restrictions.
- Power draw per rack and per device, expected growth, voltage and plug types.
- Cooling method, allowable inlet temperatures and any liquid-cooling requirement.
- Compatibility with the facility’s racks, cages, fire suppression, monitoring and loading procedures.
Ask for the facility’s available power density in the configuration you need, not a maximum advertised number that applies only to a special room. Require confirmation that the requested density is available at the target site and date.
Availability and recovery
Define the business impact of an outage before discussing an SLA. Set a recovery-time objective (RTO), recovery-point objective (RPO), acceptable maintenance windows and dependencies that must remain available during a failure.
Request evidence covering historical uptime, incident frequency, maintenance practices, redundancy and failover testing. Ask whether power feeds, generators, cooling units, network paths and upstream carriers are independently redundant. Find out how the provider handles a simultaneous utility and equipment failure, not only a single component fault.
Disaster recovery may require a second facility. Assess whether the primary and recovery sites are far enough apart to avoid the same flood, wildfire, storm, earthquake, grid event or other regional hazard. Confirm replication bandwidth, data consistency, failover procedures, testing frequency and who declares a disaster.

Geography and data residency
Document where production, backup, support and replica data will be stored and processed. Residency obligations depend on your industry, customers, contracts and jurisdictions; they cannot be inferred from a provider’s global footprint.
Ask for the legal entity operating the site, the countries in which support personnel may access systems, the locations of subprocessors, and the process for moving data between regions. “Where is my data hosted?” should receive a precise, service-specific answer rather than a country-level marketing statement.

Security and compliance
Match controls to your actual obligations. A certificate or audit report is useful only when its scope covers the facility, service, legal entity, period and controls you rely on.
- Physical entry controls, badge administration, visitor records, escorts, cameras and delivery procedures.
- Network segmentation, firewalling, DDoS protection, encryption options and key-management responsibilities.
- Security monitoring, vulnerability management, incident detection and notification timelines.
- Media handling, chain of custody, secure erasure and destruction certificates for failed drives.
- Evidence available for your auditors, including current reports and exceptions.
Ask what happens when a device leaves the building for repair and who can access it during remote-hands work. Secure media disposal and visitor controls are durable due-diligence questions even when a checklist or standard is older; the relevant test is whether the current procedure and evidence meet your requirement.
Capacity, power and cooling
Give every candidate the same capacity model: number of racks, usable kilowatts per rack, total kilowatts, expected growth, cooling tolerance, floor or cage area, and installation schedule. Ask how much capacity is currently committed, how much is reserved for expansion and how quickly additional power can be delivered.
Do not treat a provider’s total building capacity as your available capacity. A full facility can have little immediately deployable power, and a nominally available rack may not support your density.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteConnectivity and latency
Specify required carriers, bandwidth, latency, packet-loss tolerance, cloud on-ramps, cross-connects and redundant paths. Ask whether diverse network entrances and physically separate routes are available, and whether failover has been tested.
For hybrid workloads, measure latency between the facility and each cloud region, office, factory or partner that matters. Confirm one-time installation fees, recurring cross-connect charges, port speeds, data-transfer pricing and lead times for adding circuits.
Support and staffing
Define support coverage in operational terms: 24/7 or business-hours staffing, local technicians, remote-hands rates, response and restoration targets, escalation contacts, maintenance notices and incident communications. Ask about the provider’s experience with critical incidents and how often customers receive status updates.

Evaluate a specific facility, not a provider’s portfolio
Provider capabilities vary by building. Request a site-specific specification sheet and written answers for the exact room, suite or cloud region in your proposal.
Verify physical resilience
- Utility feeds, generators, fuel autonomy, UPS topology and maintenance arrangements.
- Cooling redundancy, water dependency, environmental monitoring and high-density support.
- Fire detection and suppression, flood protection, roof and structural protection, and loading access.
- Exposure to relevant environmental hazards and the site’s business-continuity plan.
- Physical separation of primary and recovery environments.
Tour the facility when feasible. Observe access controls, visitor handling, maintenance activity, cable management, staging space and the route equipment takes from loading dock to rack. Ask what the provider does when a customer needs urgent replacement hardware or a failed component must be destroyed.
Demand reliability evidence
Ask for historical uptime and incident records for the specific site and service, not an aggregate figure for every location. Request definitions for “availability,” measurement points, planned-maintenance exclusions, force-majeure exclusions, customer-caused outages and network-versus-facility responsibility.
A provider may advertise a 99.99% SLA for particular sites; such a figure is a provider claim for those facilities, not an industry benchmark. Verify the measurement method, reporting access and remedies. Credits may be the only contractual remedy and may not compensate for your business loss.
Microsoft Service Assurance describes its own facilities this way: “Critical datacenter facilities use multiple layers of redundant systems to sustain faults and minimize service disruptions.” The principle is useful, but the statement does not establish how another provider’s site is designed. Require diagrams, test records and contract language for the facility you will use.
Check assurance scope
For each certification, attestation or audit report, record the covered site, legal entity, service, control period, exclusions and any exceptions. Ask whether the report covers colocation customers, managed services, cloud services or only the building’s physical controls. If your auditor needs a specific control, request the evidence and the procedure for obtaining it before signing.
Assess financial and operational stability
Include provider stability in diligence. Review financial backing, ownership or operating continuity, insurance, maintenance investment and the concentration of tenants or revenue in a small number of customers. A provider dependent on one large tenant may face different business risk from a diversified operator.
Also ask about sustainability practices, energy sourcing, water use and efficiency where those factors affect your reporting or procurement policy. Treat sustainability claims as site-specific operating data rather than a corporate slogan.

Run a consistent RFP
Send identical questions and workload assumptions to every candidate. Require unanswered items to be marked “not stated” rather than allowing sales language to fill gaps.
- Inventory the workload. Record locations, latency, capacity, rack power and density, cooling, availability, RTO, RPO, compliance, network, staffing and budget requirements. Include current use and forecast growth.
- Select models to compare. Decide whether the shortlist includes an owned facility, colocation, cloud, managed hosting or a hybrid design. Document responsibility boundaries and integration dependencies.
- Shortlist geographies and sites. Remove locations that fail residency, latency, hazard-separation or deployment requirements before requesting detailed prices.
- Issue the same written questions. Request site-level power, cooling, connectivity, security, assurance documents, SLA text, recovery evidence, implementation timing and an itemized quote.
- Validate answers. Tour the facility, meet operations staff, inspect evidence and ask how a recent critical incident was handled. Obtain written clarification for every exception.
- Score and negotiate. Use weighted business requirements, compare equivalent configurations and negotiate only after the baseline is like for like.
Questions your RFP should include
| Area | Questions to ask |
|---|---|
| Site and residency | Which building, room and legal entity will provide the service? Where are production, backup and support-access data located? |
| Power and cooling | What usable kW per rack is committed now? What redundancy, cooling method and expansion lead time apply to our density? |
| Network | Which carriers, cloud on-ramps, cross-connects and physically diverse paths are available? What are installation and recurring charges? |
| Resilience | What historical uptime, incident records, failover tests and maintenance exclusions apply to this site and service? |
| Security | How are entries, visitors, remote hands, media destruction, segmentation, DDoS protection and incident notification controlled? |
| Recovery | Where can a recovery site be located, how far apart is it, and what replication, testing and failover assistance are included? |
| Support | Who is on site, what are response and escalation targets, and how are customers updated during a critical incident? |
| Commercial terms | What are the term, installation, power, bandwidth, transfer, cross-connect, remote-hands, overage, migration and exit charges? |
Compare total cost for the same configuration
The lowest monthly rack or compute price is rarely the lowest operating cost. Normalize every quote to the same capacity, resilience, network design, support coverage and contract term.
| Cost category | Items to include |
|---|---|
| Deployment | Migration planning, shipping, receiving, staging, installation, cabling, setup and testing. |
| Facility or compute | Rack, cage, floor space, reserved capacity, virtual machines, storage and licensing. |
| Power and cooling | Committed and metered power, peak charges, power-factor rules and high-density premiums. |
| Network | Ports, bandwidth, cross-connects, carrier circuits, cloud on-ramps, egress and data transfer. |
| Operations | Remote hands, monitoring, patching, backups, managed services, security services and support tiers. |
| Change and growth | Additional racks, power upgrades, circuit changes, storage growth, burst capacity and overages. |
| Exit | De-installation, packing, data destruction, equipment removal, migration assistance and early-termination fees. |
For cloud proposals, model at least three consumption patterns: normal operation, seasonal peak and disaster recovery. Include storage growth, snapshots, inter-region replication, support plans and outbound data transfer. For colocation, include the cost of owning and replacing hardware, spare parts, travel and staff time even when those costs are outside the provider invoice.
Use a weighted scorecard, then verify the contract
Weight criteria according to business impact rather than allowing an attractive price to dominate. A regulated payment workload may weight compliance and recovery above cost; a latency-sensitive trading or industrial workload may weight location and network paths above floor space.

| Provider stability | Financial backing, operational history, tenant concentration and investment. |
Put the winning score into a contract, not just a spreadsheet. The agreement should identify the site and services, define availability and measurement, list exclusions, state maintenance notice requirements, set incident-notification deadlines, describe service credits or other remedies, and specify data return and secure deletion at exit.
Plan implementation and reassessment
Before production migration, run a controlled deployment. Test power and network failover, monitoring, backup restoration, remote-hands procedures, access approvals and escalation contacts. Confirm that the provider’s inventory, rack diagrams and asset records match your own.
Schedule recovery exercises that include the people and dependencies outside the facility. A recovery plan that has never been tested may fail because of credentials, DNS, certificates, replication lag or unavailable application owners rather than because the data center lacks generators.
Reassess the provider when your workload, business direction or the provider’s capabilities change. New density requirements, a merger, a regulatory change, a cloud migration or a facility expansion can invalidate an earlier decision. Review capacity, SLA performance, incidents, costs, certifications and exit options at least annually and before a major renewal.
Common mistakes and how to avoid them
Choosing the logo instead of the site
Problem: A well-known provider’s portfolio claim is treated as proof that every facility offers the same resilience or compliance.
Best Value
Fix: Name the exact site, service and legal entity in the RFP and contract. Obtain facility-specific evidence.
Comparing unlike quotes
Problem: One quote includes power, support and network redundancy while another shows only space or compute.
Fix: Use one workload model and itemized total-cost schedule. Mark missing values as not stated and resolve them before scoring.
Accepting an SLA without reading exclusions
Problem: The headline percentage excludes maintenance, network faults, customer equipment or force-majeure events.
Fix: Define the measurement point, exclusions, notice rules, reporting and remedies in the contract.
Assuming certification equals compliance
Problem: A report covers a different region, service or legal entity from the one you will use.
Fix: Verify scope, dates, exceptions and evidence access with your auditor or compliance owner.
Recommended Free Tools
Ignoring the exit
Problem: Equipment removal, data transfer, egress, destruction and early termination make a change of provider prohibitively expensive.
Fix: Price migration and exit during the initial RFP and negotiate data-return formats, deletion evidence, notice periods and assistance obligations.
The practical decision rule
Choose the candidate that demonstrates a documented fit for your workload at a named facility, satisfies your location and compliance obligations, provides credible resilience and recovery evidence, can support forecast capacity and connectivity, and offers transparent total cost and exit terms. If a provider cannot answer a material question in writing or will not identify the site and scope behind a claim, treat that uncertainty as procurement risk rather than assuming the best case.
