Microsoft 365 is a strong fit when desktop Word, Excel, PowerPoint, Outlook, Exchange, or Microsoft’s collaboration and security tools are important. Google Workspace is a strong fit when Gmail, browser-based collaboration, Meet, and shared Drive storage match the team’s routine. Compare the exact tier, storage model, user limit, security features, migration work, local price, and subscription terms before committing.
Start with the work your team actually does
Business email is part of a larger work system. Microsoft describes a platform that includes Exchange, Office apps, Teams, and SharePoint; Google Workspace combines Gmail with Meet, Drive, Calendar, and Docs, Sheets, and Slides. The practical choice depends on which of those tools employees rely on and how they collaborate—not on a universal winner.

- Identify where files live and how people share, edit, and retrieve them.
- Map the team’s calendar, video meeting, chat, and scheduling needs.
- Note critical integrations and workflows that could be disrupted by a change.
Microsoft’s platform service description explains the broader service context, while current product inclusions should be checked on the Microsoft 365 business plan page and Google Workspace business page.

Compare the exact plans, not just Microsoft versus Google
Plan names do not guarantee equivalent features. Microsoft’s business tiers differ in desktop app access and security management. Google’s tiers scale storage and add meeting, retention, endpoint, and security capabilities. Check the current feature table for your market and edition before assuming a feature is included.

Check email, calendar, and collaboration requirements
Both vendors list custom-domain business email. Before choosing, spell out what email administration means for your company: mailbox needs, calendars, routing, retention, and migration. Then compare the meeting, chat, document editing, file-sharing, and scheduling features employees will use. Google’s tiers vary in meeting capacity and add features such as recording or appointment scheduling; Microsoft’s business plans list Teams and related apps. Confirm the exact capabilities in the edition you intend to buy.

Calculate storage using the right model
Microsoft lists 1 TB of cloud storage per user on Business Basic. Google lists pooled organization storage: 30 GB per user on Starter, 2 TB per user on Standard, and 5 TB per user on Plus. “Per user” does not mean the same thing in both models: Microsoft’s stated Basic allocation is per user, while Google’s allowance is pooled across the organization. Estimate both individual file use and the organization’s shared total, including growth, before comparing capacity.
Match security and administration to actual obligations
Write down the controls your company must have rather than assuming that a higher tier automatically meets every requirement. Consider identity and access, device management, threat defense, retention, eDiscovery, encryption, and applicable compliance obligations. Microsoft says Premium adds advanced threat protection and device management. Google lists Vault, advanced endpoint management, and enhanced security controls on Plus, with additional enterprise controls on Enterprise. Verify each required control against the precise edition and your jurisdiction.

Check user limits before you scale
Microsoft’s business-plan family is for up to 300 users. Google caps Starter, Standard, and Plus at 300 users; its page states no minimum or maximum for Enterprise. If your current headcount is close to 300 or may exceed it during the subscription term, ask the vendor to confirm eligibility and the appropriate enterprise route before signing.
Compare the full cost and contract terms
The displayed prices are localized snapshots, not universal quotes. Microsoft’s page displays Business Basic at $7.00 per user per month with yearly payment. Google’s US page displays $7, $14, and $22 per user per month for Starter, Standard, and Plus on its annual plan. Your actual cost can depend on country, currency, taxes, commitment, offers, included apps, add-ons, and renewal price; compare the checkout quote for the needed seats and term.
