How to Choose a B2B Payment Platform for a Construction Business

The right construction payment platform is the one that matches your role in the payment chain and controls the complete workflow—from pay application or invoice review through lien waivers, compliance checks, approvals, holds and disbursement—not merely the one with the most payment methods. Start by identifying whether you are a general contractor, an owner-builder acting as a GC, a subcontractor or a supplier; then test each candidate with your own documents, accounting system and jurisdictional requirements.

What construction payment software must do

Construction payments are document and approval workflows as much as they are money movement. A typical payment may depend on a schedule of values, approved change orders, retainage, an AIA pay application or invoice, insurance and other compliance records, conditional or unconditional lien waivers, internal approvals and a final release instruction. A platform that only sends ACH can still leave the risky work in email, spreadsheets and shared drives.

Use the following outcome as your selection standard: the system should show what is owed, which requirements are missing, who must approve it, whether a hold applies, which waivers have been exchanged and when the payment was released. It should preserve an audit history that your project, finance and compliance teams can understand later.

Define your role, geography and payment chain first

General contractors and owner-builders

As the payer, you need control over pay applications, invoice validation, waiver collection, approval authority, payment holds, disbursement and reporting. Procore’s support documentation describes Procore Pay as available in the United States for general contractors and owner-builders acting as their own general contractor. Treat that as a specific eligibility statement, not proof that every construction payment product serves the same audience.

Subcontractors

A subcontractor usually needs a clear way to submit applications, invoices, waivers and compliance documents, see status and understand what is delaying payment. Confirm whether the platform requires the subcontractor to create a paid account, whether an invitation is enough, and which actions remain available to a payee.

Suppliers and sub-tier participants

Suppliers may need invoice submission, payment-status visibility and reliable remittance information rather than a full project-management suite. If your business pays sub-tiers, verify whether the platform supports those relationships and documents rather than assuming a prime-contract workflow will cover them.

Geography and contract rules

Availability, required waiver forms, notice rules, signer requirements and payment timing vary by location and contract. List every state or country in which you operate, the legal entities that will pay, and the forms your counsel or contract team requires. Ask the vendor to demonstrate those exact forms and release rules; a generic “lien waiver automation” label is not a legal sufficiency guarantee.

Build a requirements matrix before speaking to vendors

Write measurable requirements and classify each as mandatory, preferred or unnecessary. This prevents a polished demo from deciding the purchase for you.

Examine the workflow, not just the feature list

Pay applications, invoices and retainage

Ask the vendor to process the type of submission your team actually receives. GCPay describes configurable applications for payment, schedules of values, change orders and retainage. Trimble Pay describes AIA pay-application collection and accuracy checks. Those descriptions identify useful capabilities, but you still need to test your own approval sequence, revisions, partial approvals and rejected line items.

During a demonstration, submit an application with a changed contract value, a retainage adjustment and one incorrect amount. Watch whether the system identifies the discrepancy, preserves the original version, routes the correction and prevents an accidental release.

Lien waivers and compliance documents

Payment and waiver controls should be evaluated together. Trimble, Procore and Oracle describe collecting or exchanging lien waivers alongside payment readiness or disbursement. Ask specifically:

  • Which waiver types and templates are supported?
  • Can requirements differ by project, contract, state or payment stage?
  • Can a document be signed by the correct person and verified before release?
  • What happens when a waiver is late, incomplete or inconsistent with the payment amount?
  • Can the system hold only the affected payment or must it stop an entire draw?
  • How long are documents and their version histories retained, and can authorized users export them?

Do not treat a stored PDF as proof of compliance. The meaningful test is whether the platform enforces your required sequence and gives your team a defensible record of exceptions.

Approval chains, holds and audit history

Construction organizations often have different approval limits for project managers, controllers, owners and joint-venture partners. Procore describes configurable disbursement approval chains and audit trails; Oracle describes version history and auditing. Verify whether you can set thresholds, require multiple approvers, delegate during absence, cancel a pending approval and document the reason for a hold.

Run a negative test: create a payment with a missing waiver, an expired compliance document and an amount above a user’s authority. The platform should show the blocking conditions, identify the responsible person and prevent release until the rule is satisfied or an authorized override is recorded.

Payment rails and release timing

Trimble Pay describes ACH and continued paper-check flexibility. Oracle describes ACH and sub-tier payments. Ask each vendor for the available rails for your legal entity and payee types, cutoff times, expected settlement windows, returns handling, remittance detail and all transaction charges. If checks remain necessary for a portion of your network, confirm that the check process is supported rather than treated as an exception outside the system.

GCPay Configurable applications for payment, schedule-of-values and change-order handling, retainage processing, lien-waiver exchange, dashboards and payment-release workflows. Claims about speed or customer results are vendor-published marketing unless independently validated. Test performance and workflow fit with your own data.
Handle Lien and notice management, waiver safeguards, credit management and online payments. Establish whether its scope matches your payer or supplier-side role and request a detailed demonstration of payment, approval and document workflows.

A practical selection process

  1. Map one complete payment. Write every handoff from contract value and pay application through approval, waiver exchange, hold resolution, payment release and reconciliation. Include exceptions, not only the happy path.
  2. Inventory your systems and documents. Record accounting and project platforms, versions, chart-of-accounts rules, AIA or other application formats, waiver templates, notice requirements and reports that must remain authoritative.
  3. Set non-negotiable controls. Decide which missing documents block payment, who can override a hold, which approval limits apply and what must appear in the audit history.
  4. Invite a small, role-balanced shortlist. Include the people who submit applications, approve work, release funds, reconcile accounting entries and answer subcontractor questions. A platform that satisfies finance but frustrates payees may increase manual work.
  5. Run the same scripted demonstration. Give every vendor identical sample data: a normal application, a change order, retainage, an incorrect amount, a missing waiver, a late compliance document and a payment requiring two approvals. Score each step against your matrix.
  6. Test integration before signing. Confirm field mapping, sync direction, frequency, duplicate prevention, failed-record handling, correction ownership and whether historical transactions migrate. Ask who pays for configuration and testing.
  7. Model the full cost. Compare recurring licenses, payment transactions, implementation, integration, support, check processing, accelerated-payment options and any charge passed to payees. Use the same project volume and number of legal entities for every quote.
  8. Start with a controlled pilot. Choose a representative project and a mix of cooperative and less technical payees. Define success measures such as fewer revisions, faster document completion, fewer payment holds caused by missing data and accurate accounting transfers.
  9. Write governance into the rollout. Name owners for templates, approval rules, user access, exception review, vendor support and periodic audit checks. Schedule a review after the first payment cycle and after any change to contract or waiver rules.

Integration due diligence

“Integrates with our accounting system” is not a sufficient answer. Trimble names construction ERP and project integrations; Procore positions payment within its platform; Oracle describes accounting-system data transfer and client services. These statements establish areas to investigate, not the behavior of your exact configuration.

Integration question Why it matters
Which products and versions are supported? A connector for a product family may not support your edition or release.
What data moves in each direction? Confirm whether vendors, contracts, commitments, applications, approvals, payments and status updates are included.
How often does synchronization occur? Timing affects duplicate submissions, available balances and payment-status accuracy.
What happens when a record fails? You need an identifiable error, retry process and owner rather than a silent mismatch.
Who owns setup and changes? Clarify whether the vendor, an implementation partner or your staff configures mappings and maintains them.
Can you reconcile the result? Require reports or exports that let accounting compare platform activity with the ledger and bank records.

Cost, contracts and “free for subcontractors” claims

The available product materials do not establish a reliable, comparable current price list. Request a quote that separates license fees, transaction charges, implementation, integration, training, support, check handling, optional programs and any fees paid by or charged to subcontractors and suppliers.

A payee’s ability to submit documents at no charge is not the same as a free platform for the payer. Trimble’s materials describe no-charge document submission for invited subcontractors; confirm the exact scope, limits and conditions in writing. For every candidate, ask whether payees must pay to receive funds, whether fees can be passed through, and whether a project invitation expires.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Also review renewal terms, minimum volumes, termination assistance, data export, retention, service-level commitments and responsibility for correcting payment or integration errors. Pricing that looks low per transaction can become expensive if implementation, manual exceptions or payee support are excluded.

Onboarding and adoption determine the real result

Subcontractors and suppliers may use many different systems and levels of technical expertise. Prefer an invitation flow that is clear in a browser, allows required documents to be submitted without unnecessary duplication and gives payees a visible status explanation. Trimble describes browser access and invited subcontractor document submission; Oracle describes dedicated client services. Verify what onboarding assistance is included for your network.

Prepare a short internal and external playbook covering invitation, account setup, application submission, waiver signing, correction of rejected items, payment-status questions and escalation. Decide which team answers a missing-document question and which team handles a bank or payment-rail issue. Track adoption by project and payee type rather than assuming that a signed contract means usage.

How to judge vendor evidence

Separate documented functionality from results claims. A product page may describe a feature, while a customer testimonial may describe one company’s experience. Procore’s page attributes a statement from Erik Feld of TruEdge Builds that the company saved dozens of hours each month by submitting correct invoice amounts and eliminating multiple revision rounds. That is a vendor-published customer statement, not an independent cross-platform measurement. Ask for references with a similar project profile and measure your own baseline during a pilot.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There is also no independent side-by-side performance test in the available material. Do not infer that one product is faster, cheaper or legally safer merely because its marketing page uses stronger language.

Common selection mistakes and how to correct them

  • Choosing by ACH alone: Add pay-application, waiver, compliance, approval and audit requirements to the scorecard.
  • Assuming every role is supported: Verify whether the candidate is designed for your payer, payee, owner, GC, subcontractor or supplier workflow.
  • Accepting a generic waiver demo: Supply your actual templates, jurisdictions, signer rules and hold conditions.
  • Ignoring retainage and change orders: Include both in the scripted demonstration and integration mapping.
  • Testing only a successful payment: Deliberately create missing, late, incorrect and over-limit conditions to observe controls.
  • Treating integration as a logo list: Obtain supported versions, field-level mapping, sync direction and error handling in writing.
  • Underestimating payee support: Count invitations, training requests, rejected submissions and status questions in the operating-cost model.
  • Comparing incomplete quotes: Require every vendor to itemize implementation, support, payment rails, check processing, payee charges and optional services.
  • Confusing intentions with adoption: Use market statistics as context, not as proof that digital payments will deliver a particular result for your company.

What the market data actually says

PYMNTS Intelligence, in a 2024 report published with American Express, reported that 30% of construction companies in 2023 aimed to use digital technologies to speed payments and ease cash-flow management. The same report said 31% planned to leverage instant bank verification and virtual cards for supplier payments. These are intention measures for 2023, not current adoption rates, realized savings or evidence that one platform outperforms another.

Make the final decision

Select the platform that passes your role, document, control, integration, adoption and cost tests with the fewest manual exceptions. Before signing, obtain written confirmation of geographic eligibility, supported application and waiver formats, payment rails and timing, approval and hold behavior, integration scope, onboarding responsibilities, support, data export and every fee. Then prove the design on a representative project before expanding it across the business.
