How to check your Microsoft 365 storage use and find what is taking up space

For a personal Microsoft account, open the Microsoft account dashboard and select the Microsoft storage section to see your total cloud use and quota. Then inspect OneDrive’s files or storage view to locate large files, and open Outlook.com’s separate Settings > Account > Storage page to see mailbox usage by folder.

These views overlap but are not interchangeable. Microsoft cloud storage can include OneDrive files and photos, Outlook.com attachments and inline images, Teams message attachments and recordings, Loop files, and Designer project images. Mailbox storage covers Outlook.com mail, attachments, calendar items, contacts, and deleted messages.

Start with the account that is showing the warning

Sign in with the exact Microsoft account that reports low space. People often have separate personal, work, school, or older Microsoft accounts; checking the wrong identity can make the numbers appear incorrect. The account dashboard is the quickest way to confirm which subscription, cloud allowance, and current usage belong together.

  1. Open your Microsoft account dashboard and sign in.
  2. Select the Microsoft storage section.
  3. Record the used amount and the total quota shown for that account.
  4. Note whether the warning refers to cloud storage, Outlook.com mailbox storage, or both.

Microsoft Support describes the basic action as: “Sign in to OneDrive and see what’s taking up space.” The dashboard tells you how much capacity is used; OneDrive and Outlook.com show which content is responsible.

What “Microsoft 365 storage” includes

Microsoft uses related but distinct storage categories. Treating them as one undifferentiated drive can lead to deleting the wrong data or assuming that emptying one area will fix another.

Storage view Typical contents Where to inspect it Useful cleanup action
Microsoft personal cloud storage OneDrive files and photos; Outlook.com attachments and inline images; Teams message attachments and recordings; Loop files; Designer project images Microsoft account dashboard, then OneDrive for file-level detail Delete or move unwanted cloud files, then empty the online OneDrive recycle bin
Outlook.com mailbox storage Mail and attachments, calendar items, contacts, deleted messages, and junk mail Outlook.com Settings > Account > Storage Remove large messages or attachments and clear folders shown as large
Work or school OneDrive Files governed by an organization’s Microsoft 365 tenant and permissions OneDrive sync app or OneDrive website’s storage controls Delete or move files according to organizational policy; contact the site administrator if controls are unavailable

Attachments explain why a person may see cloud storage affected even when they are thinking only about OneDrive. Microsoft’s descriptions include Outlook.com attachments in the personal cloud-storage explanation, while the mailbox view also counts those attachments in the mail context.

Find large files in personal OneDrive

Use the OneDrive files or storage view

  1. Sign in to OneDrive with the same personal account shown on the storage warning.
  2. Open the files or storage view that lists space usage and largest items.
  3. Sort or review the largest files first.
  4. Pay particular attention to ZIP files and other archives, old device backups, camera-roll videos, screenshots, and image folders.
  5. Open a file’s details before deleting it if its name or location is unclear.

Large videos and archives commonly matter more than hundreds of small documents. Check shared folders and duplicated uploads as well as the root of OneDrive. A file downloaded to your computer still consumes cloud space until the OneDrive copy is deleted or moved out of the synced OneDrive location.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Understand sync before deleting

Deleting a file from a synchronized OneDrive folder normally deletes the cloud copy and propagates that deletion to other synchronized devices. If you need the file locally, first copy or move it to a folder that is not inside OneDrive. A local copy alone does not reduce cloud usage while the original remains in OneDrive.

Empty the online OneDrive recycle bin

Deleted OneDrive items can continue to count toward cloud use. After deleting files, open the OneDrive recycle bin online and empty it. Emptying the Windows Recycle Bin or macOS Trash is a different operation and does not empty OneDrive’s online recycle bin.

  • Solid state performance with up to 800MB/s read speeds in a portable drive. (Based on internal testing; performance may be lower depending on host device, interface, usage conditions and other factors. 1MB=1,000,000 bytes.)

  • Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
  • From Sandisk, a brand professional photographers trust to take on assignments.

Microsoft says the quota can take up to 24 hours to update after deletion. If the dashboard still shows the old number immediately afterward, wait for that refresh period before assuming the cleanup failed.

Check Outlook.com mailbox storage separately

Open the mailbox breakdown

  1. Sign in to Outlook.com.
  2. Open Settings.
  3. Choose Account.
  4. Select Storage.

The page breaks usage down by folder. Start with the folders identified as largest, then inspect messages with substantial attachments. Sent Items often contains copies of files you sent, while Deleted Items and Junk Email can retain messages that no longer seem visible in the main inbox.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reduce mailbox use without losing needed content

  • Delete obsolete messages with large attachments.
  • Save attachments that must be retained to a computer folder or another approved location, then remove the message or attachment from Outlook.com.
  • Review Sent Items for repeated copies of large files.
  • Empty Deleted Items and Junk Email after confirming that nothing needed remains there.
  • Keep legal, financial, or business records in the location required by your organization before deleting them.

Saving an attachment elsewhere does not reduce mailbox usage by itself. The Outlook.com copy remains counted until the message or attachment is removed from the mailbox, and a downloaded copy does not reduce OneDrive usage if the original cloud file is still present.

Personal cloud storage and mailbox storage: what the numbers mean

The two views are related because an Outlook.com attachment can be described as part of both Microsoft’s personal cloud-storage ecosystem and the mailbox that contains it. The practical rule is to use the dashboard for the total cloud allowance, OneDrive for large cloud files, and Outlook.com’s storage page for folder-level mailbox cleanup.

Question Use this view Why
How much Microsoft cloud capacity is left? Microsoft account dashboard’s Microsoft storage section It shows the account-level usage and quota.
Which OneDrive files are largest? OneDrive files or storage view It exposes individual cloud files, including archives and videos.
Which mail folder is consuming mailbox space? Outlook.com Settings > Account > Storage It groups mailbox use by folder and helps target messages.
Why did deleting files not immediately change the total? OneDrive recycle bin and the dashboard after propagation Deleted items may still count, and Microsoft says the quota can take up to 24 hours to refresh.

Work or school OneDrive uses a different route

Organizational OneDrive accounts do not always expose the same controls as personal accounts. Permissions, retention policies, and administrator settings can change what you are allowed to delete.

From the OneDrive sync app

  1. Select the OneDrive cloud icon in the notification area or menu bar.
  2. Open Settings.
  3. Choose Manage storage.
  4. Use the resulting largest-files page to review the items consuming space.

From the OneDrive website

On the OneDrive website, the usage value in the left navigation links to the largest-files view. If the link is missing, deletion is blocked, or the usage cannot be displayed, contact your Microsoft 365 site administrator. Do not bypass organizational retention or legal-hold rules by deleting files from another interface.

Current published quotas and why your allowance may differ

Microsoft’s quota guidance accessed in 2026 lists the following examples. They are Microsoft Support figures, not independent survey statistics, and plan terms can change.

Account or plan example Published cloud-storage figure Qualification
Free personal account 5 GB Microsoft’s 2026 quota guidance; the allowance applies to the account shown in your dashboard.
Basic 100 GB Microsoft’s 2026 quota guidance; verify the active subscription and renewal terms.
Personal 1 TB Microsoft’s 2026 quota guidance; verify the active subscription and renewal terms.
Qualifying new Family or Premium subscription 2 TB shared For subscriptions started on or after October 8, 2026, according to Microsoft’s stated terms. Existing subscriptions receive the change at renewals beginning April 1, 2027.
Pro Plan-specific Microsoft gives separate timing and conditions; use the account dashboard rather than assuming the Family or Premium schedule.
Mailbox storage for Microsoft 365 subscriptions 100 GB Microsoft’s 2026 quota guidance; mailbox and cloud-storage limits remain distinct categories.

Those figures should not be treated as a universal entitlement. Subscription start date, renewal date, account type, region, and later Microsoft changes can affect the displayed allowance. The dashboard is the authoritative place to confirm your contract’s quota.

What happens when cloud storage is over quota

Exceeding the cloud quota can have effects beyond OneDrive. Microsoft says an over-quota account may be unable to upload, edit, or sync new OneDrive files. It may also be unable to send or receive Outlook.com mail even when the mailbox quota itself has not been exceeded, and Teams messages with attachments may be blocked.

Microsoft describes possible longer-term consequences as well: OneDrive may freeze after three months over quota, and content may be subject to deletion after six months over quota. These are possible future consequences, not an immediate deletion promise. Reduce usage or increase capacity promptly, and check the current notice on your account for the exact deadline.

A safe cleanup sequence

  1. Confirm the account. Compare the signed-in email address with the address receiving the storage warning.
  2. Capture anything irreplaceable. Copy important documents, photos, and attachments to an approved local or external location before deleting cloud data.
  3. Remove the largest OneDrive items first. Start with videos, archives, duplicate folders, and obsolete backups.
  4. Clear the online OneDrive recycle bin. This is required for deleted items to stop counting toward cloud use.
  5. Inspect Outlook.com storage. Use Settings > Account > Storage and target the largest folders and messages.
  6. Empty Deleted Items and Junk Email. Do this only after reviewing their contents.
  7. Allow the figures to refresh. Microsoft says OneDrive quota updates can take up to 24 hours after deletion.
  8. Recheck the dashboard. Confirm that the used amount is below the quota and test a small upload or message only after the account has recovered.

Outlook desktop has different cleanup controls

If you use a desktop Outlook application connected to a local data file or an Exchange account, Microsoft documents controls that are not universal across New Outlook, Outlook on the web, mobile Outlook, or every organizational setup.

Mailbox Cleanup

In specific classic Outlook desktop versions, open File > Tools > Mailbox Cleanup to find large or old items and manage deleted content.

Folder-level size details

For a particular folder in supported desktop versions, use Folder > Folder Properties > Folder Size. This can show which local mailbox folders are large, but it should not be presented as a replacement for Outlook.com’s online Settings > Account > Storage page. If your menus differ, use the controls provided by your installed Outlook edition or your organization’s administrator.

Common problems and fixes

The dashboard says I am over quota, but OneDrive looks empty

Check the OneDrive online recycle bin, then inspect Outlook.com attachments, Teams attachments and recordings, Loop files, and Designer project images. Confirm that you are signed in to the account named in the warning. Wait up to 24 hours after emptying the recycle bin for the quota to refresh.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

I deleted files from my computer, but storage did not fall

Deleting from the computer’s Windows Recycle Bin or Mac Trash does not empty OneDrive’s online recycle bin. Also verify that the files were actually in the synchronized OneDrive folder; deleting a local duplicate outside OneDrive has no effect on cloud usage.

Outlook.com will not send mail even though mailbox storage is below its limit

Check the account-level cloud quota. Microsoft says an over-quota cloud account can prevent Outlook.com sending and receiving even when the mailbox quota itself has not been exceeded. Remove cloud files and empty the online recycle bin, or use Microsoft’s account options to add capacity.

I cannot see Manage storage on a work account

Your organization may restrict the control or require administrator permissions. Use the OneDrive cloud icon route if available, then contact the site administrator rather than deleting files through an unapproved method.

When adding capacity is the better option

If the files and messages are all needed, Microsoft documents subscriptions and additional OneDrive storage as options. Review the offer shown in your own Microsoft account because price, availability, quota, and renewal terms are account- and date-dependent. Increasing capacity does not replace cleanup when an organization requires retention controls or when duplicated data is the real problem.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An external SSD or another approved local destination can hold downloaded files and retained Outlook attachments. It frees cloud or mailbox space only after the cloud copy is removed and, for OneDrive, the online recycle bin is emptied. Keep at least one verified backup before deleting the only cloud copy.

Use this decision path

  • If you need the total allowance, open the Microsoft account dashboard.
  • If you need the largest cloud files, open OneDrive’s files or storage view.
  • If you need folder-by-folder email usage, open Outlook.com Settings > Account > Storage.
  • If the account is organizational, use OneDrive cloud icon > Settings > Manage storage or the website’s usage link.
  • If numbers remain unchanged after deletion, empty the online OneDrive recycle bin and allow up to 24 hours for propagation.
  • If the account remains over quota and the data is necessary, review the capacity option shown in the account dashboard.
