How to Check Which Microsoft 365 Family Member Uses the Most OneDrive Storage

There isn’t a documented Microsoft 365 Family owner dashboard that ranks every member by storage use in the Microsoft support pages reviewed. The practical way to compare is to have each member check their own Microsoft account, record the displayed amount and date, then compare like-for-like figures.

Compare each member’s storage usage

  1. Ask each person on the Family subscription to sign in to their own Microsoft account. Family sharing can include the subscription owner and up to five other people, for up to six people total. Microsoft’s sharing instructions explain how subscription sharing works.
  2. Open the Microsoft storage area on that account’s dashboard. Check the displayed usage details and note the amount and date checked. Microsoft’s storage overview describes this as information for the signed-in account. Microsoft’s cloud storage explanation also notes that the total can include OneDrive files and photos, Outlook.com attachments and data from other Microsoft apps.
  3. Compare the same kind of figure for every person. If you want OneDrive file usage specifically rather than the broader Microsoft cloud storage total, have each person check the OneDrive storage-management view too. Microsoft’s instructions say to sign in to OneDrive to see what is taking up space.

Each person can report their own displayed number; nobody needs to share a password. The Microsoft support pages reviewed describe account-level usage views, not a single Family-owner view that ranks all members, so this comparison is the documented practical method rather than a claim that no other interface or regional feature exists.

Make sure the figures are comparable

  • Use either the Microsoft cloud storage total for everyone or the OneDrive-specific usage figure for everyone. Do not compare one person’s cloud total with another person’s OneDrive-only amount.
  • Record the date checked, especially if a member has recently deleted files or changed storage.
  • Account for the subscription’s storage model. Some Family subscriptions may still show per-person allowances, while affected new or renewing subscriptions are moving to shared storage.

Why Family storage may look different over time

Microsoft describes a transition to 2 TB of shared cloud storage for Microsoft 365 Family, but its support pages give different dates. The general Microsoft page says new and upgraded subscriptions use shared storage starting October 8, 2026, and existing Family and Premium subscriptions generally move at renewal on or after May 2, 2027. That page’s schedule differs from Microsoft’s Australia quota page, which says new Family subscriptions from October 7, 2026 receive 2 TB shared storage and existing Family subscriptions receive it at renewals starting April 1, 2027. The regional quota page is specific to Australia.

Because the official dates conflict, check the notice for your own subscription and the current storage amount shown in the Microsoft account. Do not assume a universal changeover date. Microsoft says that under the shared-storage model, members’ files remain private unless they choose to share them; a shared quota is not shared file access.

If a storage number seems out of date

Microsoft says storage quotas can take up to 24 hours to update after deletion or purchase. If someone has deleted content, the online OneDrive recycle bin may also need to be emptied, and the displayed amount may not change immediately. Wait for the update and check again before drawing conclusions about who is using the most space. Microsoft’s storage guidance covers these updates.
