Before a vehicle leaves, open the official Indian E-Way Bill System and check the specific bill’s status, displayed “valid until” time, and Part-B vehicle number. The record should be generated and active, not cancelled; its expiry must be later than the planned movement; and the vehicle number recorded in Part-B must match the vehicle carrying the goods. Keep the invoice or other underlying document and the e-way bill number with the person in charge.
Do not rely on a Part-A slip, an old distance calculation, or a verbal assurance from a transporter. Part-A is only temporary until Part-B transport details are entered. If the bill is expired, close to expiry, or shows the wrong vehicle, resolve that issue in the portal before dispatch.

What makes an e-way bill valid for departure?
For a road movement, a practical pre-departure check has four parts:

- Time: The bill-specific “valid until” time shown by the official system has not passed.
- Conveyance: The vehicle number in Part-B identifies the vehicle actually carrying the goods.
The person in charge should also have the invoice, bill of supply, delivery challan, bill of entry where applicable, or other prescribed document. The National Informatics Centre (NIC) FAQ says the person may quote the e-way bill number to a proper tax officer, who can use it for verification; carrying the underlying document remains part of the normal compliance check.

Step-by-step: check the bill in the official system
1. Get the exact e-way bill number
Obtain the 12-digit e-way bill number from the consignor, e-way bill generator, or assigned transporter. Do not substitute an invoice number, transport receipt, or Part-A reference. Confirm that the number belongs to the shipment being loaded, including the consignor, consignee, document number, and goods description shown in the record.
2. Open the bill record
Use the official E-Way Bill System’s search or verification facility. Enter the e-way bill number and the requested authentication details. If you are the generator or transporter, sign in to the relevant account and open the bill from the active e-way bill list. A screenshot or printed copy is useful for internal records, but the official online record is the authoritative operational check.
3. Confirm that Part-B is complete
Look for the road transport mode and the vehicle number in Part-B. NIC explains that entering Part-B transportation details converts the temporary Part-A slip into the e-way bill. A Part-A slip by itself is not a completed road e-way bill. Check that the vehicle number is not blank, truncated, or entered under a different conveyance.

4. Check status
Read the status displayed for that bill. It should be active. The official API documentation exposes active and cancelled status fields in system records, so a bill that appears in a search is not automatically usable. A cancelled record must not be treated as permission to move goods.
5. Read the bill-specific expiry
Record the exact “valid until” date and time shown for this bill. Compare it with the planned departure and the expected route. Do not calculate a new expiry from memory when the portal already gives a bill-specific result. If the displayed time has passed, stop and follow the expired-bill procedure described below.

6. Compare Part-B with the physical vehicle
Read every character of the registration number, including the state code and any leading zero. Compare it with the number plate and the vehicle documents. The recorded conveyance must be the vehicle actually carrying the goods. A different truck, trailer, or replacement vehicle requires an appropriate Part-B update.
7. Check the documents and handover
Give the driver or other person in charge the invoice or applicable document and the e-way bill number. NIC’s FAQ quotes Rule 138A as follows: “No. He can merely quote the e-way bill number to the proper tax officer. Tax officer based on that number will do all the requisite verifications.” The number should nevertheless be legible and available if an officer asks for it.

Part-A, Part-B and the difference between a reference and a usable bill
Part-A captures core transaction information such as the parties, document and goods. It can be prepared before transport details are known, but it is temporary. For road movement, Part-B records the conveyance and vehicle information. NIC states that Part-B entry converts the Part-A slip into the e-way bill.
This distinction explains a common departure failure: a warehouse prints a Part-A slip, assumes the compliance step is finished, and sends the truck without a vehicle number in Part-B. The driver may have a document number, but the road movement record is incomplete. Before loading is released, open the bill and verify that Part-B is populated for the actual vehicle.
How to handle the conflicting distance-validity figures
Official materials retrieved for India do not present one consistent static distance table. The NIC FAQ describes one day for each 100 kilometres, or part of 100 kilometres, for regular vehicles and one day for each 20 kilometres, or part, for over-dimensional cargo. The retrieved CGST Rules PDF similarly describes one day up to 100 kilometres and an additional day for each further 100 kilometres or part, while describing each day as 24 hours from the relevant date.

However, the E-Way Bill System homepage identifies Notification 94/2020 dated 22 December 2020 and says the validity rate changed from 100 kilometres per day to 200 kilometres per day effective 1 January 2021. The available official pages therefore conflict. The static 100-kilometre wording should not be presented as an uncontested current calculation, and the 200-kilometre notice should not be assumed to answer every exception or movement type.
For dispatch, use the expiry actually displayed on the individual bill in the official system. If that result appears inconsistent with the route, date, vehicle category, or the applicable notification, preserve a copy of the record and confirm the treatment with the GST helpdesk or a qualified tax professional before moving. The portal’s bill-specific expiry is safer for an operational decision than manually applying an older table.
Vehicle-number checks and vehicle changes
When the number matches
Proceed only when the Part-B number matches the vehicle physically carrying the goods. Check the registration prefix, digits, letters, and trailer or transport-unit details where the record requires them. A typographical error can make the electronic record describe a different conveyance.
When the system flags the registration
The NIC vehicle FAQ says the E-Way Bill System is integrated with the Vahan vehicle system. If the registration is missing or inconsistent in that source, the e-way bill system may display an alert. Check the vehicle record and contact the relevant Regional Transport Office (RTO) when registration data needs correction. NIC also identifies temporary registration numbers as a special case, so do not replace a valid temporary-registration workflow with a guessed permanent number.
When a truck breaks down or goods are trans-shipped
For a breakdown or trans-shipment, the NIC FAQ says the generator or assigned transporter may update Part-B with the new vehicle number, subject to portal rules. Make the change so the record reflects the conveyance now carrying the goods. The API documentation states that a Part-B update is limited to an active bill and cannot be completed after validity has expired. A replacement vehicle should therefore be recorded while the bill remains eligible for editing.

What to do when validity is close to expiry
Compare the remaining time with the planned route, loading delay, toll or border stops, and any known trans-shipment. If the displayed expiry leaves no realistic margin, do not send the vehicle merely because it has not technically expired yet. Ask the current transporter or generator to resolve the timing through the official system before departure.
The API documentation describes a validity-extension window from eight hours before expiry through eight hours after expiry. An extension request requires a reason, present location, and remaining distance. It also states that only the current transporter may extend the validity, or the generator when no transporter is assigned. Eligibility and portal permissions still apply; an extension is not automatic.
What to do after an e-way bill expires
The NIC FAQ says goods whose e-way bill validity has expired are not supposed to be moved. Stop the movement and identify why the bill expired. Exceptional circumstances described by NIC include a natural calamity, law-and-order problems, a trans-shipment delay, or a vehicle accident.
- Record the bill number, displayed expiry, vehicle location, and the event that caused the delay.
- Check whether the eight-hour-before to eight-hour-after extension window is open in the official system.
- Have the current transporter submit the extension with the reason, present location, and remaining distance. If no transporter is assigned, the generator may be the eligible user.
- Verify that the system accepts the extension and displays a new valid-until time before continuing movement.
- If the portal does not permit an extension, obtain professional tax advice on the correct corrective action instead of moving on the expired record.
Do not backdate a vehicle change, rely on a printed copy with an old expiry, or assume that an accident or traffic delay automatically keeps the bill valid.
Thresholds, exemptions and transactions that need closer review
The E-Way Bill System homepage gives a general threshold of goods movement exceeding ₹50,000, subject to the prescribed rules. That figure is not a universal exemption test. The NIC FAQ notes exemptions and special cases, including specified handicraft and job-work movements that may require an e-way bill below ₹50,000.

Before deciding that no bill is needed, check the transaction type, the applicable rule, the goods, the route, and whether a special category applies. If a bill exists, validate it as described above; the existence of a bill does not remove the need to ensure that its data is accurate.

Who should perform each check?
The consignor or generator is normally best placed to confirm that the transaction data and document numbers are correct. The assigned transporter controls vehicle and movement details in the situations allowed by the portal. The driver or person in charge must verify that the physical vehicle matches Part-B and must be able to provide the bill number and applicable document during transit.
For a handover between vehicles, record who made the Part-B update and when. This creates a clear operational trail if the vehicle changes again or an officer asks why the conveyance differs from an earlier loading plan.

For each load, retain the e-way bill number, a copy or export of the bill showing status and expiry, the invoice or other underlying document, and the vehicle details checked at dispatch. Note the date and time of the check and the identity of the person who released the vehicle. If an extension or vehicle update is made, retain the reason and the resulting system confirmation.
These records do not replace the official online record, but they help reconcile a later question about what was displayed when the vehicle left. They are especially useful where a route is long, a trans-shipment is planned, or an expiry calculation is disputed.
Final dispatch decision
Release the vehicle only after the official record is generated and active, Part-B identifies the actual vehicle, the displayed expiry covers the intended movement, and the person in charge has the required document and e-way bill number. If any one of those checks fails, pause the dispatch and correct the record or obtain an eligible extension before the goods move.
