Do not assume a free AI assistant is private because it says “not used for training.” Training, storage, chat history, human review, connected-app access and deletion are separate questions. To find out what happens to your prompts and files, identify the exact product and account, read its current privacy and retention pages, inspect the live settings, record the exceptions and then verify the setting after changing it.
The procedure below works for consumer chatbots and can be adapted to an API account, school account or employer-managed workspace. Policies and interface labels change, so save the page date, your country and a screenshot or note of the setting state.

What you are actually trying to find out
A useful privacy check answers five different questions:

- Is it retained? A service can keep prompts, outputs, files, logs or safety records without using them for model training.
- Who can access it? Automated systems, authorized employees, contractors or human reviewers may see content for safety, support, abuse investigations or quality work.
- What happens when you delete it? Removing a chat from the visible history may be immediate while backend copies, backups or reviewed samples follow a different schedule.
- Does another service receive it? Connected applications, browser extensions, plug-ins and file-storage integrations can process data under their own policies.
“Not trained on” therefore does not mean “not stored,” and “deleted from my screen” does not necessarily mean “erased from every system.”

Step 1: Identify the exact product, account and region
Write down the details before reading a policy. A provider can use different rules for an individual free app, a paid personal plan, an API, an education tenant and a business workspace.
- Product and surface: consumer web app, mobile app, desktop app, API or an embedded assistant.
- Account state: signed in, signed out, or authenticated through an employer or school.
- Plan: free consumer tier, paid individual tier, business, enterprise or developer account.
- Country and applicable organization: privacy terms and data-transfer rules can vary by geography.
- Connected services: cloud drives, calendars, coding repositories, browser tools or custom assistants.
- Whether you submitted text only or also uploaded images, documents, audio, code or other files.
Record the product name exactly as shown in the account menu. “The company’s AI” is too broad to identify the applicable terms.
Step 2: Find and search the provider’s own documents
Use the provider’s privacy notice, data-use or model-improvement help page, retention page and account-settings help page. Search each document for these terms:

- prompts, inputs, outputs, conversations and uploaded files
- model improvement, training, personalization and feedback
- retention, deletion, backups and legal or safety logs
- human review, quality review, abuse monitoring and service providers
- temporary, incognito, history, activity and memory
- connected apps, shared links and public content
Read the scope sentence at the top of the notice. It may cover only signed-in use, only a named app, or only a particular country. Note the “last updated” date and save the URL. The same company can publish a separate document for API or business data.
Questions to extract from every policy
- Is model improvement enabled by default for this plan?
- Does the control apply to future conversations only, or can it affect existing content?
- Are ratings, thumbs-up or written feedback treated differently from ordinary chats?
- Are files, images and generated outputs included?
- Can safety investigations or human review override the normal setting?
- How long are ordinary chats, temporary chats, deleted chats and security logs retained?
- What happens to information already incorporated into a training run?
Step 3: Inspect the live account controls
Do not rely on an article or an old screenshot. Open the account you will actually use and inspect every relevant control.
Model-improvement or training control
Look for labels such as Improve the model, Use my conversations to improve services or Training. Confirm whether the switch is account-wide, limited to one workspace, or tied to the current browser or device. Read the explanatory text beside the switch; it often states whether the change is prospective.

History and activity controls
Chat history, activity logging and model-improvement settings are different. A history switch may stop chats appearing in the sidebar while a separate service log remains. Check whether disabling history also disables saved conversations, search, synchronization or personalization.

Find the control for a temporary, incognito or unsaved conversation. Read its retention and safety exceptions. Temporary mode commonly prevents ordinary history and training use but can still allow short-term safety retention.
Memory and personalization
Memory controls govern facts saved for future responses, not necessarily the underlying conversation. Review, delete or disable saved memories separately. Removing a memory may not remove the chat or an uploaded file from other systems.
Feedback, sharing and connected apps
Check whether submitting a rating, reporting a response or sharing a conversation grants a separate permission. Inspect public-link settings and every connected application. Content sent to a third-party integration is governed by that integration’s terms as well as the chatbot’s terms.
Step 4: Map the complete data lifecycle
Create a short record for each data type you submit. A useful worksheet has these columns: content, collection, use, access, retention and deletion result.
Prompts and generated responses
Determine whether the service stores the conversation, uses it for personalization, uses it for model improvement, or sends it to service providers. Ask whether generated responses are retained even when you delete your prompt.

Uploaded files
Find the file-specific rule. A file may be stored in a separate document area, copied into a conversation record, scanned for abuse, or retained after the chat is deleted. Do not assume a training opt-out covers file storage.
Human review
Identify the stated reasons for people to access content, such as safety investigations, abuse reports, support requests or quality review. Check whether a reviewer’s copy has a different retention period from your visible chat.
Deletion stages
Separate these events:
- Visible removal: the item disappears from your history or activity page.
- Backend deletion: production systems and associated records are removed on the provider’s stated schedule.
- Copies and exceptions: backups, fraud or safety logs, legally required records and reviewed samples may persist longer.
- Model treatment: content already used in a completed or ongoing training process may not be reversible by deleting the original chat.
If a policy gives only a window, preserve the wording. “Within 30 days” is not the same as immediate erasure.

- Change one control, such as the model-improvement opt-out.
- Close and reopen the settings page. Confirm that the switch still shows the intended state.
- Check another signed-in device or browser if the provider synchronizes settings.
- Read the confirmation text for the effective date and exceptions.
- Review history, activity and memory separately; do not treat one disabled switch as proof that all three are off.
- For a sensitive test, use a harmless marker rather than real personal information. Do not upload confidential material merely to test retention.
- Save the policy URL, update date, region, account type and setting state.
If the documentation and the live interface conflict, stop submitting sensitive content and ask the provider or your organization’s administrator which rule applies.
What current official documentation says about three consumer services
These examples illustrate why the checks must be service-specific. They are not a universal rule for every free AI tool. Confirm the current app, account and region before relying on a setting.

How to interpret common reader questions
“If I turn off chat history, are my prompts still stored?”
Possibly. History visibility, model-improvement use and backend retention are separate controls. Read the service’s explanation of what the history switch changes and how long temporary or safety records remain.
“Does a free chatbot save uploaded files?”
It may. Look for a file-retention section and determine whether files are attached to chats, stored in a separate library, scanned for safety or shared with an integration. A training opt-out alone is not evidence that a file is immediately discarded.
“Can employees read my chats?”
Some providers permit authorized personnel or reviewers to access selected content for safety, abuse investigation, support or quality work. The relevant policy should identify the purpose and any retention period; do not infer that routine human reading is either universal or impossible.
“If I delete a chat, is it gone from the company’s servers?”
Deletion can have stages. Check the stated backend deadline, backup exceptions, safety logs, reviewed samples and treatment of information already used in model improvement.
“What does temporary or incognito chat actually do?”
It generally limits ordinary history and training use, but the exact promise is product-specific. Read its safety-retention and abuse-monitoring exceptions before treating it as confidential storage.
Common mistakes and how to correct them
- Reading the wrong policy: a business or API page may not apply to a free consumer app. Return to Step 1 and match the exact surface.
- Using a stale screenshot: labels and defaults change. Verify the live account controls and record the date.
- Confusing an opt-out with retroactive deletion: determine whether the switch affects only future conversations.
- Ignoring feedback: ratings, reports and comments can have a separate data-use rule.
- Forgetting connected apps: an integration may copy prompts or files outside the chatbot’s retention schedule.
- Assuming paid means private: a paid plan can have different terms, but payment alone does not guarantee no retention or review.
- Testing with real secrets: use fictional data; a test upload is still a disclosure.
A decision rule for sensitive information
Use the least permissive interpretation that is supported by the policy. If you cannot establish all of the following, do not submit the sensitive material:
- the exact service and account terms
- whether training or improvement is disabled for the content type
- the retention period for prompts, files and safety records
- who may review the content and under what exceptions
- how deletion works and whether it is prospective or retroactive
- whether connected apps or administrators receive copies
When the answer remains unclear, remove names and identifiers, summarize rather than upload the original, use a plan whose published terms meet the requirement, or avoid submitting the data. For employer or school accounts, ask the administrator because organization-level controls can override personal preferences.

Updating this worksheet is more reliable than remembering a single “private” label, because each setting covers only part of the data lifecycle.
