To audit an Excel workbook, work on a copy, check sheet tabs, inspect gaps in row and column headers, display formulas, expand outline groups, review filters, and then run Document Inspector before sharing. These checks reveal different kinds of hidden content; none alone proves that a workbook contains no concealed information.
Start with a safe inspection copy
Save the workbook under a new name before unhiding, deleting, or running any cleanup command. Microsoft recommends using a copy for Document Inspector because removing information may not be recoverable. Deleting hidden rows, columns, or worksheets can also alter formulas and calculation results when those hidden cells are inputs, lookup ranges, or intermediate calculations.

Use the original as a reference and perform the inspection on the duplicate. If you do not know why material is hidden, reveal it and review it before removing anything. A hidden support sheet may be legitimate, while a hidden data column may be required by a chart or formula.
Record what you change
- Note the workbook filename and date of the copy.
- Write down each sheet, row range, or column range you reveal.
- Do not use a blanket Remove All action in Document Inspector until every finding has been evaluated.
- Keep the untouched original until the reviewed copy has been recalculated and checked.
A quick map of the inspection methods
| Method | What it checks | Where it works | Reversibility | Important limits |
|---|---|---|---|---|
| Sheet-tab menu | Hidden worksheets | Excel desktop; sheet-tab commands may vary in Excel for the web | High: choose Unhide | Does not reveal hidden rows, columns, formulas, groups, or filter results |
| Header-gap review | Ordinarily hidden rows and columns | Desktop and web grids | High: use Unhide Rows or Unhide Columns | Easy to miss a hidden first row or column; groups and filters need separate checks |
| Show Formulas | Replaces displayed results with cell formulas | Excel desktop; the web formula bar shows the selected formula | High: toggle the command off | It changes the view, not the workbook’s hidden-state settings |
| Outline controls | Collapsed grouped detail rows or columns | Desktop and web where outline controls are present | High: select a lower outline level | Clearing an outline can leave detail hidden |
| Filter review | Records excluded by AutoFilter or table filters | Desktop and web | High: clear or reapply filters | Filter caches can remain; Document Inspector cannot clear them |
| Document Inspector | Hidden worksheets, rows, data-containing hidden columns, metadata, and other supported content | Excel desktop | Mixed: inspection is safe; removal may not be recoverable | Does not detect every hidden object, and some findings are unhidden rather than removed |
Check for hidden worksheets
Use the sheet-tab indicator
- Open the copy of the workbook.
- Right-click any visible sheet tab.
- Look for Unhide. If it is available, at least one worksheet is hidden.
- Choose Unhide, select a worksheet from the list, and confirm.
- Review the revealed sheet’s formulas, values, and purpose before deciding whether it belongs in the distributed workbook.
If Unhide is unavailable, that tab menu is not reporting a hidden worksheet. Continue with the other checks; hidden rows, columns, groups, and filtered records are independent of sheet visibility.

When workbook protection blocks the command
Workbook-structure protection can disable structural commands such as Hide and Unhide. If you are authorized to change the file, use Review > Protect Workbook and provide the authorized password to unprotect the structure. Do not attempt to bypass protection. After unprotecting, repeat the sheet-tab check and protect the structure again if the workbook requires it.
Find hidden rows and columns from the grid
Recognize the visual clues
Compare the row numbers along the left edge and the column letters across the top. A sequence that jumps (for example, 12 followed by 15) indicates that one or more rows are hidden. A missing letter or a narrow double line between visible headers indicates hidden columns. A thick or double boundary can also appear where a hidden range starts or ends.
Unhide an ordinary range
- Select the row headers immediately above and below the missing numbers, or the column letters immediately to the left and right of the gap.
- Right-click the selected headers.
- Choose Unhide Rows or Unhide Columns.
- Read the newly visible cells and check whether formulas, charts, or named ranges depend on them.
Selecting adjacent headers is safer than dragging across the worksheet because it targets the hidden boundary rather than changing cell contents. If several gaps exist, repeat the check at each gap; unhiding one range does not reveal unrelated hidden ranges.
Reveal a hidden first row or first column
Row 1 and column A have no visible header on one side, so the normal “select the headers on either side” method cannot select them. Use one of these routes:
- Click the Name Box (the box to the left of the formula bar), enter
A1, and press Enter. This selects the top-left cell even when row 1 or column A is hidden. - Choose Home > Find & Select > Go To, enter
A1, and confirm. - With A1 selected, use Home > Format > Hide & Unhide > Unhide Rows and, if needed, Unhide Columns.
An alternative is to right-click the row 2 header and choose Unhide to reveal row 1, or right-click column B and choose Unhide to reveal column A.

Display formulas instead of calculated results
Excel desktop
Normally a cell displays its calculated result, such as 1250, while the formula bar shows the formula only for the selected cell. To display formulas throughout the sheet, press Ctrl+` (the grave-accent key, usually shared with the tilde key) or select Formulas > Show Formulas. Formula cells will show expressions such as =SUM(B2:B10) in the grid, making it easier to spot references to hidden ranges or unexpected constants.
Press Ctrl+` again, or select Formulas > Show Formulas again, to return to calculated results. This is a display toggle; it does not unhide sheets, rows, or columns and does not alter the formulas.
Excel for the web
In Excel for the web, the formula bar shows the formula for the selected cell while the grid continues to display the result. The cited Microsoft procedure directs users to the desktop application when they need formulas displayed in every cell across the sheet. If a workbook must be audited in a browser, select representative cells and inspect the formula bar, then open the file in desktop Excel for a whole-sheet formula view.
What to look for while formulas are visible
- References to rows or columns you just revealed.
- Formulas that point to another worksheet, including a sheet that was previously hidden.
- Ranges that stop before a newly revealed row or column, which may explain a missing total.
- Constants embedded in formulas where a linked cell was expected.
Do not delete a hidden input merely because it is not shown in the normal view. First determine whether a visible result depends on it.
Expand outline groups that conceal detail
Excel’s outline feature can collapse detail rows or columns behind plus and minus controls. A collapsed group can look like ordinary hiding even though no individual Hide command was used.

- Look above the column headers or beside the row numbers for outline levels and plus/minus buttons.
- Select the lowest (most detailed) outline level. This expands all available detail rows or columns for that outline.
- Review the expanded data and note which groups were collapsed.
If you clear an outline, its detail rows or columns may remain hidden. After removing groups, inspect the row numbers and column letters again and unhide any remaining gaps manually.
Check filters that hide records from the current view
AutoFilters and table filters can exclude records without changing row visibility in the way a manual hide does. Look for filter arrows in header cells and funnel indicators showing an active criterion. Open each active filter and review the selected values, search text, and date or number conditions. Clear the filter or reapply it when you need to compare the complete record set.
Filters can leave cached data. Document Inspector cannot clear filter caches. If cached values are a concern, remove the filters and apply them again, then save the copy. A filtered table may still appear complete at a glance, so include filter state in any hand-off notes.
Run Document Inspector before sharing
Open the inspector
- In desktop Excel, select File > Info.
- Choose Check for Issues > Inspect Document.
- Review the inspection categories, then start the inspection.
- Read each result and decide whether the content is required, acceptable, or unsuitable for the intended recipients.
- Only after that decision, use a removal command for a specific finding. Save and close the copy, then reopen it to verify formulas and visible content.
Document Inspector is especially useful for a workbook intended for public availability. It can report hidden worksheets, hidden rows, and data-containing hidden columns, along with selected metadata and other supported content. Treat the report as a set of findings to investigate, not as permission to erase everything it lists.
Why “Remove All” can be dangerous
A hidden worksheet may contain assumptions, staging data, or support calculations. A hidden row or column may feed a visible total. Removing such material can change calculation results, break references, or make a workbook unusable. Keep required support content in the reviewed copy, and document why it remains. If content should not be distributed, confirm that no visible formula, chart, PivotTable, or named range relies on it before removal.

Understand what Document Inspector can miss
Inspection has documented boundaries. It may not detect shapes, charts, controls, pictures, or SmartArt located in hidden columns, and it can miss objects covered by other objects. It can detect some external links and embedded files or objects without removing them. Those items require a targeted manual review of the workbook’s sheets and objects.
Hidden rows or columns that belong to table or list headers, or to PivotTables, may be unhidden rather than removed during inspection. After any inspector action, check the affected sheet and confirm that the table, PivotTable, and formulas still behave as expected.
Because filter caches require a separate remedy, a clean inspector result does not prove that every filtered record or cached value has been cleared. Remove and reapply filters when that risk matters.
A complete, low-risk checking sequence
- Duplicate the file. Preserve the original and work only on the copy.
- Check sheet tabs. Use the tab context menu and unhide each worksheet that needs review.
- Scan headers. Look for skipped row numbers, missing column letters, and double boundaries.
- Handle edge cases. Select A1 through the Name Box or Go To when row 1 or column A is hidden.
- Display formulas. In desktop Excel, use
Ctrl+`or Formulas > Show Formulas; in the web version, inspect formulas through the formula bar or open desktop Excel. - Expand outlines. Select the lowest outline level and check again after clearing any groups.
- Review filters. Clear or reapply active AutoFilters and table filters, especially when cached values matter.
- Inspect the copy. Run File > Info > Check for Issues > Inspect Document in desktop Excel.
- Investigate findings. Keep legitimate support content, remove only material approved for removal, and verify calculations afterward.
- Review inspector limits. Manually check hidden-column objects, covered objects, external links, embedded files, tables, and PivotTables.
Troubleshoot common inspection problems
“Unhide” is missing from the sheet-tab menu
The workbook may have no hidden worksheets, or workbook-structure protection may be active. Check Review > Protect Workbook and use the authorized password if you are permitted to unprotect it. Then repeat the tab check.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThe row numbers jump, but Unhide does nothing
First determine whether the gap is an outline group or an active filter. Expand the lowest outline level and clear filters, then try selecting the adjacent row headers again. A hidden first row requires the A1 selection method rather than a pair of neighboring headers.
Best Value
Values appear missing after a filter is cleared
Inspect the filter criteria and reapply the filter after removing it. Cached filter data is outside Document Inspector’s clearing capability, so a filter reset is necessary when stale cached values are suspected.
The inspector reports content that the workbook needs
Do not remove it automatically. Reveal the item, trace formulas and references, and decide whether the support content can remain in the distributed copy. If it must be removed, make a further copy, remove only the approved item, recalculate, and compare important outputs with the original.
Formulas are still not visible in the browser
The web grid is designed to show calculated results while the formula bar displays the selected cell’s formula. Use desktop Excel’s Show Formulas command for a worksheet-wide view.

Before sending the workbook, you should be able to explain every hidden sheet, range, group, filter, and inspector finding. Legitimate support calculations can stay hidden when their purpose is documented and the recipient is not expected to edit them. Content that is not intended for recipients should be removed only after dependency checks and a verification recalculation. Keep the untouched source file so that any change can be reversed or audited.
