Before you paste personal information into an AI app, identify the exact app, account and device you are using, then inspect privacy controls for training, history, retention, human review, memory, connected services and permissions. A training opt-out or temporary chat mode limits one use of data; it does not prove that the service will not process, retain or review information for answering, security, abuse prevention or legal compliance.
Use the checklist below every time an app, account type or major feature changes. If you cannot determine what is collected, who can access it or how long it is kept, redact the information or do not submit it.

How do I check an AI app’s privacy settings before sharing personal information?
Run this eight-step check in the account and app you actually plan to use. Web, mobile and desktop menus can differ, and a company’s consumer assistant may have different controls from its business or school product.

- Open Privacy, Data Controls or Activity. Read what the service collects from prompts, responses, uploads, feedback and usage.
- Find model-improvement controls. Check whether you can disable training or service improvement, when the change takes effect and what exceptions remain.
- Inspect history and retention separately. Note whether chats are saved, the automatic deletion period, manual deletion options and exceptions for safety, security, legal or already reviewed data.
- Check memory and personalization. Look for saved memories, profile information and the ability to use earlier conversations or account content.
- Audit connected apps and device permissions. Review access to email, files, calendars, contacts, browser context, photos, screen, microphone, camera and location. Disconnect anything unnecessary.
- Review sharing and exports. Look for public links, team sharing, conversation exports and any existing links that should be revoked.
- Decide whether the information is worth the remaining exposure. Use a redacted summary or synthetic example when possible. If the terms are unclear, do not submit the sensitive material.
Save a note of the settings you checked and the date. Recheck after a product update, account change or newly enabled feature.

Start with the exact product, account and platform
Privacy controls belong to a particular service and account context. A setting in one assistant does not automatically govern another product from the same company. The same brand can offer a personal app, a work or school version, an API and a device integration with different retention and administrator controls.
- Account: Determine whether you are signed in with a personal identity, employer account, school account or a managed family account.
- Platform: Record whether you are using a browser, iOS or Android app, desktop client, browser extension or operating-system assistant.
- Feature: A voice conversation, image tool, file-analysis mode, browser agent or connected-app action can have extra data sources and permissions.
- Integration: Check whether the assistant is embedded in email, office software, a phone, a smart device or a third-party application.
When a menu is missing, use the provider’s current official help page for that exact product and account type. Do not assume that an older screenshot or a path for a consumer account applies to your managed workspace.
Open Privacy, Data Controls or Activity settings
Look for labels such as Privacy, Data controls, Activity, History, Personalization and Memory. Read the explanatory text behind each switch rather than relying on the label alone. Make a short inventory of:

- records retained for safety, security, abuse prevention or legal obligations.
Terms may distinguish data used to provide the answer from data used to improve a model. Both can involve processing of your content. A switch that limits one purpose is not a promise that the content is never stored or accessed.
Will my AI chats be used to train the model?
Find the control that governs model improvement or service improvement and read its scope. It should tell you whether the setting applies to future activity only, whether feedback is treated differently and whether safety or abuse investigations are exceptions.
OpenAI and ChatGPT
OpenAI’s help documentation describes an “Improve the model for everyone” control under Settings > Data Controls. Turning it off is a choice about model improvement. It is not evidence that the service performs no processing needed to answer requests, maintain security, prevent abuse or comply with law. Chat history, export, account deletion, shared links and memory are separate controls described in OpenAI’s data-controls guidance. Workspace administrators and account type can change which choices appear.
Google Gemini Apps
Google calls its principal activity control Keep Activity. The Gemini Apps Privacy Hub says some activity is used to provide the service and protect Google, users and the public even when Keep Activity is off. The connected-app guidance says activity containing connected-app data may be used to improve Google services, including training generative AI models, when Keep Activity is on. Turning it off stops future chats from being used for that improvement purpose, subject to the exceptions in Google’s notice.

Microsoft Copilot
Microsoft’s privacy controls and FAQ for personal Copilot experiences apply to personal Microsoft accounts. Microsoft 365 Copilot for work or school has a separate protection and governance context. Use the current account privacy controls for the precise Copilot version instead of copying a path from a different edition.
Do not treat “training off” as “private.” It may not cover human review, operational logs, security analysis, legal retention, feedback submissions, connected services or data already collected before the change.
If I turn off chat history or delete a conversation, is it really deleted?
History, retention and deletion answer different questions. Determine what is visible in your chat list, what remains in an activity record, how long automatic deletion takes and what copies or exceptions the provider describes.
Google’s Gemini Apps example
Google’s Gemini Apps Privacy Hub, updated September 24, 2026, with a notice dated June 29, 2026, describes an 18-month default auto-delete period. Users can choose 3 months, 36 months or indefinite retention instead. Google says chats reviewed by human reviewers and related data are not deleted when a user deletes Gemini Apps activity; those materials may be retained for up to three years. These figures apply to Gemini Apps within the notice’s stated account and service scope, not to every Google product or AI app.
Questions to answer in any app
- Does deleting a conversation remove it from the visible history only, or from additional activity systems?
- Does a deletion request cover uploaded files, generated media, transcripts, feedback and shared links?
- Are reviewed, flagged or exported records retained for safety, abuse handling, security or legal reasons?
- Does changing the setting affect existing data, future data or both?
- Can an administrator, family manager or organization retain records independently of your personal deletion action?
A disappearing conversation is a user-interface result, not proof that every copy has been erased immediately.
Can a person at the company read my chats?
Look for language about human reviewers, contractors, quality assessment, safety investigations, abuse response and legal disclosure. A provider may limit routine access while permitting trained personnel to review selected content under specified conditions. Your settings may reduce one review or improvement pathway without eliminating every form of access.
Google’s Gemini notice explicitly warns users: “Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.” Treat that as a practical boundary for any information whose exposure would harm you, another person or an organization.

Microsoft’s Privacy FAQ for Microsoft Copilot gives a comparable warning: “You shouldn’t provide any confidential or sensitive personal data that you would not want Microsoft to use for purposes explained in this FAQ and in the Microsoft Privacy Statement.” These statements do not establish identical practices across providers; read the notice for the app and account you use.

Does this setting apply to uploaded files, voice, images and connected apps too?
Never assume a text-chat switch covers every input type. Open the privacy description for each feature and identify whether it creates a transcript, thumbnail, embedding, summary, inference or other derivative record.
Uploads and generated media
Check whether documents, spreadsheets, photos, screenshots, audio clips, video and generated files have separate storage or deletion controls. A file may remain available in a project, library or conversation after the visible message is removed. Ask whether feedback on an image or answer is included in improvement data.
Voice, camera and screen
Review microphone, camera and screen-sharing permissions at both the operating-system level and inside the AI app. Determine when capture starts, whether recordings are transcribed, how long recordings or transcripts remain and whether a live stream is sent to a third party.
Connected apps
A connected email, drive, calendar, contacts account or browser can widen the information available to the assistant. Google says connected-app information can include excerpts, summaries and inferences, so the original connected content may be implicated even when you did not paste it into the chat. Read the connected service’s policy as well as the AI provider’s notice, then disconnect integrations that are unnecessary.
Device and browser context
Check permissions for location, contacts, photos, notifications, browsing context, clipboard and installed-device data. A browser extension or operating-system assistant may receive context from pages or applications beyond the conversation window.
Does my work or school account have different privacy settings?
Usually, the answer can be yes, because an organization may control access, retention, logging, connectors and deletion. An administrator can disable a feature, set a retention policy or make records available for compliance even when a personal account offers a user-level switch.

- Confirm who owns the account and who can administer it.
- Find the organization’s AI and acceptable-use policy.
- Ask whether administrators, security staff or legal teams can access prompts, files, logs or exports.
- Check whether data stays within the organization’s tenant or is sent to an external connected service.
- Do not move confidential work or student information to a personal account to bypass controls.
Microsoft specifically separates personal Copilot controls from Microsoft 365 Copilot for work or school. Google’s Gemini activity guidance also notes that work or school controls may be administrator-managed. Verify the edition shown in your account before relying on any consumer instructions.

Minimize what you disclose when settings are unclear
Privacy settings reduce exposure; they do not make a sensitive disclosure risk-free. Before sending a prompt, ask whether the app needs the actual identity, full document or exact location.
- Replace names, addresses, account numbers, customer IDs and dates of birth with neutral labels.
- Remove credentials, authentication codes, private keys, medical record numbers and payment details.
- Share the smallest excerpt that answers the question instead of an entire file.
- Use a synthetic example to test formatting, code or brainstorming.
- Crop faces, signatures, license plates and unrelated background information from images.
- Do not paste confidential employer, client, patient or student information unless the approved service and policy expressly allow it.
If a provider’s terms do not clearly explain training, retention, review and deletion for your account, stop at the redaction step. A useful answer is not worth an exposure you cannot evaluate.
Common mistakes and how to correct them
“I turned off training, so no one can see the chat.”
Correction: Check human-review, safety, abuse, legal and operational language separately. Training and access are different questions.
“Temporary mode means nothing is retained.”
Correction: Find the temporary mode’s actual retention period and exceptions. Look for records created for security or abuse handling.

Correction: Check project storage, file libraries, exports, shared links and reviewed-data exceptions.
“The assistant only saw what I typed.”
Correction: Audit connected accounts, browser context, screen, microphone, camera, contacts and device permissions.
“The settings from my personal account apply at work.”
Correction: Verify the account owner, edition and administrator policy. Organization-level retention can override or supplement personal controls.
“The menu in an old guide is still accurate.”
Correction: Use the provider’s current help page for your platform and version. Labels and defaults change after product updates.

Repeat the review when you install a new app version, enable memory, connect a service, switch accounts or start using voice, image, file or agent features. Revoke public links and unnecessary permissions, review saved memories and confirm that auto-delete choices still match your needs.
For especially sensitive work, document the approved product, account type, administrator policy and redaction standard. If any of those facts change, perform the privacy check again rather than assuming the previous decision still applies.
A five-minute decision rule
Share only when you can answer four questions in plain language: What data does this feature receive? Is it used for model or service improvement? Who may review or administer it, and how long can it remain? Can I remove or revoke it, including connected copies and shared links? If any answer is unclear, provide a de-identified summary or keep the information out of the AI app.
