To verify a mutual fund, use its exact share class, the latest prospectus, and the latest shareholder report. The prospectus fee table gives the annual operating expense ratio, the shareholder report gives dated fund net assets (the figure commonly used for AUM), and the prospectus management section identifies the adviser and named portfolio managers. Record each number or name with its share class, document date, and footnotes; otherwise, it is easy to compare the wrong class, an outdated asset figure, or a manager who no longer runs the portfolio.
The three documents and facts you need
No single page reliably supplies all three facts in the same way. Use the documents below and preserve the dates attached to each disclosure.

| Document | Where to obtain it | What to record |
|---|---|---|
| Latest summary or statutory prospectus | Fund company website, SEC EDGAR, or a broker or financial professional | Share class, “Total Annual Fund Operating Expenses,” gross and net expenses, waiver footnotes, adviser, sub-adviser, portfolio-manager names, titles and tenure |
| Latest shareholder report | Fund company website or SEC filings | Fund-level net assets and the report’s as-of or period-end date |
| Optional comparison tool | FINRA Fund Analyzer | Illustrative fee comparisons, applicable transaction costs and discounts; verify its inputs against the fund’s current filings |
A summary prospectus is shorter and focuses on key facts. The statutory prospectus contains additional detail. Both are useful, but the latest version available for the class you can buy takes priority.

Step 1: Identify the exact fund and share class
Search by the full legal name
Start with the fund’s complete name, then add its ticker and, where available, a share-class identifier. Similar names can represent different funds, and one fund can issue several classes. Confirm the fund family, investment objective and ticker before opening a document.

Why the class matters
Share classes can have different operating expenses, distribution or service fees, minimum purchases and purchase terms. An expense ratio copied from an institutional class may not apply to the retail class available in your account. Match the class shown in your account or intended purchase to the class column in the prospectus fee table. If the ticker is shared across platforms or the platform uses a separate identifier, use the prospectus class name as the controlling reference.
Make an identity record
- Fund’s full legal name
- Ticker and share-class name or identifier
- Fund company and, if shown, series or portfolio name
- Date you checked the documents
Keep this identity record with your notes. It prevents a later search from silently switching to another class.
Step 2: Obtain the latest prospectus
Use primary sources first
Look on the fund company’s official website, search the SEC’s EDGAR database, or request the document from your broker or financial professional. A third-party data page can help you locate a filing, but the filed prospectus is the authoritative source for the fee table and manager disclosure.
Check the document date and class
Prospectuses are revised. Before copying a percentage or manager name, check the cover or filing information for the document date and verify that the class is the one you identified. If you find multiple versions, use the most recent effective prospectus and retain the older version only when you need to understand a historical fee or personnel change.
Find the two relevant sections
The prospectus is standardized so readers can locate information in a predictable sequence. Go to the fee table for annual operating expenses, then to the management section for the adviser and portfolio managers. Search within the PDF for “Total Annual Fund Operating Expenses,” “Management,” “portfolio manager,” “sub-adviser,” or “investment adviser.”
Step 3: Read the expense ratio correctly
Locate “Total Annual Fund Operating Expenses”
The row labeled Total Annual Fund Operating Expenses is the fund’s annual operating expense ratio. It is expressed as a percentage of average net assets, not as a one-time percentage of the amount you invest. The components can include management fees, distribution or service fees commonly called 12b-1 fees, and other expenses. Acquired fund fees and expenses may also appear where applicable.

For example, a displayed ratio of 0.75% means the listed annual operating costs equal 0.75% of average net assets under the prospectus calculation. It does not mean that 0.75% is deducted from your account as a separate invoice on one particular day. Fund expenses generally reduce the fund’s assets and therefore its reported returns.

Separate gross and net expenses
Some tables show both gross and net operating expenses. The gross figure is before a contractual or voluntary waiver or reimbursement; the net figure reflects the reduction during the period covered by the arrangement. Record both when both are shown.
Read the footnote attached to the net figure. It should state the waiver or reimbursement terms and may give an expiration date. A net ratio can rise after the arrangement ends, so do not treat a temporary reduction as a permanent cost. Use the current prospectus to determine whether the agreement has been extended, replaced or allowed to expire.
Do not mix operating expenses with transaction charges
The expense ratio is different from costs a shareholder may pay directly. A prospectus can separately disclose a sales load, redemption fee, exchange fee or account fee. These are shareholder transaction or account charges, not part of the annual operating-expense percentage.
- Operating expenses: ongoing costs paid from fund assets and reflected in the fund’s return.
- Sales load: a purchase or sale charge, if the class imposes one.
- Redemption or exchange fee: a charge tied to a particular transaction.
- Account or intermediary fee: a platform or brokerage charge that may not appear in the fund’s prospectus fee table.
A brokerage commission or other intermediary fee can therefore make your personal cost higher than the fund’s stated operating-expense ratio. Check your account’s fee schedule separately.

When comparing two funds, compare the same type of ratio for the share class you can actually purchase. Do not compare one fund’s net expense after a waiver with another fund’s gross expense, or one class’s operating expenses with another class’s transaction schedule. Record the waiver status and expiration date beside each percentage.

FINRA’s Fund Analyzer can help illustrate how fees and discounts affect comparisons, but its results depend on the information entered and the date of its data. Confirm the ratio, class and transaction charges against the current prospectus.
Step 4: Check AUM using dated net assets
Find the fund-level disclosure
Download the newest shareholder report and look for a section titled “Fund Statistics,” “Total Net Assets,” or equivalent fund-level net-assets language. Copy the value exactly as reported and copy the report’s as-of or period-end date in the same note.
Shareholder reports are required to disclose fund net assets at the end of the reporting period. That dated figure is the most defensible answer when someone asks for a fund’s assets or AUM.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsUnderstand net assets versus total assets
Total assets are the value of the fund’s holdings and other assets before liabilities. Net assets subtract liabilities. A fund’s net asset value and many published AUM figures are based on net assets, but data services do not always use identical definitions. If a website labels a number “AUM,” check its definition and date against the official report before repeating it.
Never present a report figure as live AUM
Markets move every trading day, and investors add or withdraw money. A shareholder report is an authoritative snapshot for its reporting period, not a live balance. Write the date with the value, such as “net assets of the amount reported as of the period-end date,” rather than saying the fund currently has that amount.
Make comparisons date-consistent
When comparing funds, use reports with similar period-end dates and consistent net-assets definitions. If one fund’s latest report is older than a third-party number for the other, label both dates instead of silently mixing them. A newer number is not automatically more comparable if it measures a different concept.

Use the report when sources disagree
- Confirm that both sources refer to the same fund and share class or series.
- Check whether one number is total assets and the other is net assets.
- Check each number’s as-of date and whether it is a fiscal period end.
- Prefer the latest official shareholder-report disclosure for a dated statement.
- Retain the third-party figure only with its publisher, definition and date clearly labeled.
Step 5: Verify the fund manager and the management structure
Record the adviser separately from the portfolio manager
The investment adviser is the firm hired to provide portfolio-management services. The portfolio manager or managers are the named individuals responsible for day-to-day investment decisions. Record both: a firm name alone does not identify the person making the decisions.
Check for sub-advisers
Some funds delegate part of the portfolio-management work to a sub-adviser. Read the management section for a sub-adviser and identify which named manager works for which firm. A fund can have an adviser, one or more sub-advisers and several portfolio managers, each with a different role.
Capture names, titles and experience
SEC guidance says the prospectus generally lists each manager’s name, title, prior work experience and time with the fund. Copy the manager’s full name and title, then note the disclosed tenure. This is more useful than recording a name without context, particularly when several managers share responsibility.
Confirm that the roster is current
Use the latest prospectus and compare the names with the management discussion in the latest shareholder report when one is included. Personnel can change between filings. If the names differ, check the effective dates and any current supplement before interpreting historical performance. A manager change is relevant context; it does not by itself prove that the fund is better or worse.

How to compare two funds without creating a misleading result
| Comparison area | Use | Avoid |
|---|---|---|
| Expense | Same share-class basis; state gross or net status and waiver terms | Comparing a waived net ratio with an unwaived gross ratio |
| Assets | Net assets from reports with close period-end dates and matching definitions | Calling a dated report figure live AUM or mixing total and net assets |
| Management | Adviser, sub-adviser, named managers and disclosed tenure | Assuming the adviser’s name identifies one individual manager |
| Transaction costs | List loads, redemption or exchange fees and account charges separately | Adding direct charges into the annual operating-expense percentage |
These checks verify disclosures. They do not determine whether a fund fits your goals, risk tolerance, tax situation or existing portfolio.

Common failure points and how to resolve them
You found several expense ratios
First check whether they belong to different share classes. If the class is correct, determine whether one is gross and one is net, then read the waiver footnote. Keep both figures and the waiver end date rather than selecting the lower number without explanation.
The website shows an AUM number with no date
Do not treat it as current. Locate the latest shareholder report, copy its net-assets figure and period-end date, and label the website number only if its publisher, definition and date are available.
The manager name differs across documents
Compare filing dates and look for a current prospectus supplement or shareholder-report management discussion. Record the effective date of the change. Do not use an older manager roster to explain performance from a period after the roster changed.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →The fund’s fee table omits a cost you paid
Review the prospectus transaction-fee section and your brokerage or platform fee schedule. Intermediary commissions, account fees and certain transaction charges can sit outside the annual operating-expense table.
The latest report is older than the number on a data site
Use both only with explicit dates and definitions. The official report supports a period-end statement; the newer third-party number may be a different measurement or an estimate. Do not merge them into one undated “current AUM” claim.
Why the expense ratio deserves attention
Fees reduce the return left for shareholders. The SEC’s Office of Investor Education and Assistance stated in its July 23, 2025 Investor Bulletin, “A fund with higher costs must perform better than a lower-cost fund to generate the same returns for you.” That statement explains the arithmetic burden of higher costs; it does not promise that every lower-cost fund will outperform.
Use the ratio as one input alongside the fund’s strategy, risks, performance periods, tax characteristics and role in your portfolio. The filing workflow tells you what the fund disclosed and when; it does not substitute for a suitability decision.
What a defensible final note looks like
A useful record names the exact class, cites the prospectus date, states the total annual operating-expense ratio and whether it is gross or net, describes any waiver and expiration, gives net assets with the shareholder-report period-end date, and lists the adviser, sub-adviser and named portfolio managers with their disclosed tenure. If you cannot attach a date or definition to a number, leave it qualified rather than presenting it as a current fact.
