Start with the company’s GSTIN, not just its name. Search every relevant registration on the official GST Portal, record the status and visible taxpayer details, then obtain notices, replies, orders and appeal papers from the company or an authorised representative. A public GSTIN lookup is useful for identity and registration status, but it is not a complete public docket of another taxpayer’s notices or court cases.
To decide whether a matter is only an allegation, a confirmed demand, stayed, paid or overturned, you must read the underlying documents and follow the case into the appropriate appeal forum. The process below separates public information, private taxpayer records and litigation records so that an empty search result is not mistaken for proof that a company has never faced a GST dispute.

What you can—and cannot—see publicly
GST information is split across three different record types:
- Public taxpayer lookup: The GST Portal’s taxpayer search can confirm whether a GSTIN is registered and display the taxpayer information that the portal makes public. It is primarily an identity and status check.
- Authenticated taxpayer records: GSTN functionality documentation describes notice and order areas inside a taxpayer’s account, including Additional Notices and Orders. Those screens are designed for the registered taxpayer and authorised users; they do not establish that an unrelated person can open every company notice.
- Court and tribunal records: An appeal may move to an Appellate Authority, Appellate Tribunal or High Court. Those records are separate from the GST taxpayer search, and the availability and completeness of party-name searches vary by forum.
GSTN’s functionality documentation explains taxpayer search and taxpayer-account notice/order features: GSTN, New Functionalities made available for Taxpayers on GST Portal between January–March 2021. It does not promise a single public search covering every notice, adjudication, appeal and court proceeding. Therefore, “no result” means only that the searched source showed no matching public record at that time.

Prepare the correct company identity before searching
A corporate group can operate through several legal entities and can hold separate GST registrations in multiple states. A trade name may also differ from the legal name. Assemble the identity information before opening the portal:
- Legal name and, if available, the company’s Corporate Identity Number (CIN) and Permanent Account Number (PAN).
- States in which the entity operates or is registered.
- Every GSTIN associated with the legal entity and the relevant period.
- Former names, mergers, demergers or acquisitions that could explain a different name on an older notice.
Ask the company to confirm which GSTIN belongs to the contracting entity or business unit you are assessing. Do not treat a similar trade name as proof of identity. A correct GSTIN is the anchor for every later document check.
Step 1: Check each GSTIN on the GST Portal
- Open the official GST Portal taxpayer-search function from the portal’s current public menu.
- Enter one GSTIN at a time and complete any displayed verification step.
- Record the legal name, registration status and other publicly visible fields, together with the date and time checked.
- Repeat the search for every state registration and every GSTIN supplied by the company. Do not stop after the first matching result.
- Save a dated copy of the result for your review file. A status can change, and an undated screenshot is difficult to audit later.
The search helps you test whether the GSTIN in a notice belongs to the entity you intended to review. It does not reveal all private notices, replies, orders or appeal filings. GSTN’s published functionality material should be read as describing the portal features, not as a guarantee of a complete public notice register.
Step 2: Obtain notices and orders lawfully
If you are a buyer, lender, investor, auditor or other third party, ask the company for the documents rather than trying to bypass login controls or obtain another taxpayer’s credentials. Request a complete, date-bounded set for each GSTIN:
- Show-cause notices and other tax notices.
- Replies, written submissions, requests for adjournment and proof of service.
- Orders-in-Original, demand orders and rectification orders.
- Appeal forms, acknowledgements, grounds of appeal and stay applications.
- Stay orders, payment challans, recovery correspondence and evidence of refunds or adjustments.
- Any disclosure schedule or management representation identifying open, disputed or settled GST matters.
Ask for PDF files in full, including annexures. A first page alone may omit the tax period, computation, relied-upon documents or response deadline. If the company says there are no notices, request that statement in writing with the GSTINs and review period covered.
What an authorised representative should confirm
Where documents are supplied by a tax adviser, lawyer or company officer, confirm that the person is authorised to disclose them. Keep the source, date received and file hash or controlled copy in your records. This creates an audit trail without asking anyone to share a portal password.
Step 3: Build a document register
Use one row per notice, order or appeal. Capture the fields below before interpreting the amount:

| Field | What to record | Why it matters |
|---|---|---|
| Entity and GSTIN | Legal name, state registration and GSTIN printed on the document | Prevents a group company’s case being attributed to the wrong entity. |
| Issuing authority | Commissionerate, division, range, DGGI unit or other named office | Identifies the decision-maker and the correct procedural route. |
| Document identifier | DIN, reference number, notice number or order number, if present | Allows the company or authority to locate the original record. |
| Issue and service dates | Date issued, date served and the method of service | Deadlines usually run from a legally relevant service date, not from when a file was opened internally. |
| Tax period | Financial year, month or other period stated | Shows whether two documents concern the same liability or different periods. |
| Legal basis | GST Act or rule provisions cited | Separates, for example, classification, input-tax-credit, registration and procedural allegations. |
| Amount | Tax, interest, penalty and any proposed or confirmed total | A headline figure may be only a proposed demand, not a payable liability. |
| Response history | Reply date, adjournments, hearings and order date | Shows whether the taxpayer answered and whether an adjudication followed. |
| Appeal and enforcement | Appeal form, acknowledgement, stay, payment, recovery or refund | Explains whether the order is being challenged, enforced or resolved. |
Read the procedural stage correctly
Notice or show-cause notice
A notice states the authority’s allegation and proposed action. It is not, by itself, proof that the proposed amount became a final demand. Check the cited provision, factual allegations, computation and deadline for a reply. The company’s response and any hearing record can materially change the outcome.
Adjudication or Order-in-Original
An adjudicating authority may confirm, reduce or drop the proposed demand. Record the amount actually ordered and separate tax, interest and penalty. Compare the operative portion with the calculation annexure; they should be read together.
Appeal, stay and payment
An appeal does not automatically mean that the original order disappeared. Determine whether an appeal was filed in time, whether recovery was stayed, and what amount was paid or secured. A payment may be made under protest, pursuant to a stay condition or as a final settlement; the document trail should say which.
Final outcome
Classify the matter only after locating the latest available order: confirmed, modified, set aside, remanded, withdrawn, paid, stayed or still pending. If the latest document is missing, report the matter as unresolved in the records reviewed rather than guessing its status.
Use the appeal form to trace where a dispute went
CBIC’s published appeal rules identify the forms used at important stages:
| Stage | Form named in CBIC appeal rules | What to look for |
|---|---|---|
| Appeal to the Appellate Authority | APL-01 | Filed form, acknowledgement, grounds, pre-deposit information and appellate order. |
| Appeal to the Appellate Tribunal | APL-05 | Tribunal filing, registration number, stay application and order. |
| Appeal to the High Court | APL-08 | High Court filing details and any interim or final judgment. |
The forms and routes are set out by CBIC here: Goods & Service Tax: Appeal Rules. Use the form reference in a company’s paperwork to identify the next forum, then seek the relevant official forum record. Current search screens, party-name support and record coverage are not uniform, so do not claim that a forum search proves the complete absence of litigation.
Search by more than the company name
Where a forum provides a search facility, try the legal name, historical names, GSTIN or PAN if accepted, the authority’s case number and the advocate or department reference shown in the papers. Keep the exact spelling and punctuation used in the order. A company name can be abbreviated, transliterated or shared by an unrelated entity.

Special case: DGGI notices handled by a Common Adjudicating Authority
CBIC Circular No. 250/07/2025-GST, dated 24 June 2025, addresses review, revision and appeal authorities for specified Orders-in-Original made by Common Adjudicating Authorities (CAAs) on Directorate General of GST Intelligence (DGGI) notices. For those specified orders, the circular states: “The Principal Commissioner or Commissioner of Central Tax under whom the Common Adjudicating Authority (Additional/ Joint Commissioner) is posted shall be the reviewing authority in respect of such O-I-Os.”
That sentence concerns the defined CAA orders covered by the circular; it is not a universal rule for every GST adjudication. Match the document to the circular’s scope before relying on the named reviewing authority. The circular is available at CBIC Circular No. 250/07/2025-GST.
Use a staged review plan for a transaction or audit
For a time-limited diligence exercise, separate the work into three passes so that identity errors do not contaminate the legal analysis:
- Identity pass: Reconcile the legal name, CIN or PAN, operating states and every GSTIN. Note inactive, cancelled or historical registrations instead of silently excluding them.
- Document pass: Index every notice, reply, order and appeal paper supplied for each GSTIN. Check that annexures and computation sheets are present and that dates form a coherent sequence.
- Outcome pass: Compare the latest document with the original allegation. Record whether the amount was confirmed, reduced, dropped, stayed, paid, remanded or remains pending, and list any missing record that prevents a conclusion.
This sequence also makes follow-up requests precise. Instead of asking for “all tax matters,” identify the missing item: for example, the service proof for a notice, the appellate acknowledgement, the latest stay order or the payment evidence for a confirmed amount.
Compare matters on a like-for-like basis
When a company has more than one GST dispute, avoid ranking risk by headline rupee value alone. Use the same comparison axes for every row:

| Authority and forum | Which office issued the document, and is the matter before an adjudicating authority, Appellate Authority, Tribunal or High Court? |
| Allegation versus result | Is the figure proposed in a notice, confirmed in an Order-in-Original, modified on appeal or merely mentioned in correspondence? |
| Tax period and legal basis | Do the periods overlap, and are the statutory provisions the same or different? |
| Procedural timing | Was a reply or appeal filed, and what deadline or hearing date controls the next step? |
| Enforcement position | Is recovery stayed, secured, paid, adjusted or continuing? |
| Entity match | Does the GSTIN and legal name match the company being assessed rather than a group entity? |
Two proposed demands may not represent the same level of exposure as one confirmed order. Conversely, a smaller confirmed amount with an imminent deadline can require more immediate action than a larger matter already stayed. State the basis for any risk ranking rather than presenting a single unexplained total.
Questions to put to the company
A written request should ask for facts that can be reconciled to the documents:

- Which GSTINs are included, and what date range does the response cover?
- Are any notices addressed to a former legal name, merged entity or acquired business?
- For each notice, was a reply or adjournment request filed, and on what date?
- Has an Order-in-Original been issued? If so, what tax, interest and penalty were actually ordered?
- Was an appeal filed using APL-01, APL-05 or APL-08, or under another applicable filing route?
- Is there a stay, pre-deposit, payment, recovery action, refund or adjustment?
- What is the latest order or correspondence, and are any annexures or hearing records unavailable?
Ask the company to distinguish “no notice received” from “no notice exists” and “no amount payable” from “no amount confirmed.” Those statements describe different evidential positions and should not be merged in a diligence report.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to report findings without overstating them
Use a conclusion that matches the evidence you actually reviewed. A defensible report states:
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute- Which legal entity, states and GSTINs were checked.
- The date of each public taxpayer search.
- Which company-supplied notices, orders and appeal documents were reviewed, and the period they cover.
- The latest procedural stage for each matter and whether the amount is proposed, confirmed, stayed, paid or overturned.
- Which official forum records were searched, using which identifiers.
- Known gaps, such as missing annexures, an unverified historical GSTIN or an unavailable court search.
Prefer “the documents reviewed show a proposed demand of…” or “an Order-in-Original confirms…” over “the company owes…”. Use “no adverse record was identified in the sources and period reviewed” rather than “the company has no GST litigation.” The latter requires broad, verified coverage that a public GSTIN lookup alone cannot provide.
Common mistakes and how to correct them
- Searching only a trade name: Obtain the legal entity and every relevant GSTIN; re-run the check for each state.
- Treating a notice as a liability: Find the reply, adjudication order and appeal status before describing an amount as payable.
- Assuming the public portal shows private notices: Request the taxpayer’s documents through an authorised channel.
- Ignoring service dates: Record issue and service separately; a missed deadline can change the available remedy.
- Combining group companies: Keep a separate register for each GSTIN and legal entity.
- Using an empty court search as proof of no case: Search the appropriate forum with multiple identifiers and disclose the forum’s coverage limits.
- Generalising the CAA circular: Apply Circular No. 250/07/2025-GST only to the specified DGGI/CAA Orders-in-Original within its scope.
When specialist advice is warranted
Consult a qualified Indian GST or indirect-tax professional when a notice has a short response deadline, involves a large or group-wide exposure, alleges fraud or suppression, concerns DGGI action, or requires a stay, pre-deposit, rectification or appeal decision. Provide the complete notice, annexures, registration history, ledgers and prior correspondence. Professional assistance does not replace identity checks and document control; it helps interpret the cited law and select the correct procedural remedy.

Frequently Asked Questions
Can I see another company’s GST notices by entering its GSTIN?
The public taxpayer search can show registration information, but GSTN’s documented notice and order functions are taxpayer-account features. Ask the company or its authorised representative for the notices, replies and orders instead of attempting to access its credentials.
Does a GST show-cause notice prove that tax is payable?
No. It records an allegation and proposed action. Confirm the adjudication order, appeal status, stay, payment and any later outcome before treating the amount as a final liability.
Recommended Free Tools
Which GST appeal forms should I look for?
CBIC’s appeal rules name APL-01 for the Appellate Authority, APL-05 for the Appellate Tribunal and APL-08 for the High Court.
Best Value
Does an empty GST Portal result prove that a company has no GST litigation?
No. Private taxpayer documents and court or tribunal records are not consolidated in one public search. Report only the sources, GSTINs, dates and documents actually checked.
Do I need to check every state GST registration?
Yes. A legal entity can hold separate registrations in multiple states. Check each relevant GSTIN and keep the result tied to the correct state registration and legal entity.
What should I do if the company will not provide its notices?
Record the refusal or limitation, identify the GSTINs and periods that remain unverified, and avoid concluding that no notices exist. A public GSTIN lookup cannot substitute for private taxpayer documents.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Does filing an appeal cancel the original GST order?
Not automatically. Verify the appeal acknowledgement, any stay or security condition, payments and the latest appellate order. Report whether the original order remains confirmed, modified, set aside, remanded or unresolved.
Which date should be used for a GST notice deadline?
Record both issue and service dates and the method of service. The legally relevant service date may control the response or appeal period, so do not rely only on the date printed at the top of an internal copy.
The Bottom Line
Check every relevant GSTIN, obtain the company’s complete notice and appeal file through an authorised channel, and classify each matter by its latest verified procedural stage. A clean public lookup is useful evidence of what was searched, not proof that no GST notice or litigation exists.
