Choose the right method

Microsoft confirms that Excel does not have a Change Case button. Microsoft’s case-conversion guidance documents formulas as its direct conversion method; Power Query and Flash Fill offer formula-free alternatives.

Change case with Power Query
Power Query provides lowercase, UPPERCASE, and Capitalize Each Word formatting commands. Use Add Column if you want to retain the unmodified text alongside the converted version.

- Select the text column you want to convert.
- Choose Add Column > Format, then select lowercase, UPPERCASE, or Capitalize Each Word.
- Review the new column, then load the query result back into Excel using your intended load workflow.
If you deliberately want to change the selected column instead of adding a separate one, choose Transform > Format and select the capitalization option. The Add Column route leaves the original in place, while Transform edits it. Microsoft’s Power Query formatting instructions list Excel for Microsoft 365, Excel 2024, and Excel 2021 in their Applies To section; command availability and load steps can vary by platform and workflow. Power Query in Excel is designed to shape data and load query results into Excel.

Try Flash Fill for a one-off conversion
Flash Fill looks for a pattern in examples you enter. Microsoft documents it for tasks such as combining names, not as a dedicated case-conversion command, so a capitalization attempt is conditional: Excel may or may not infer the pattern for your data.
- In a neighboring column, type one example in the capitalization you want.
- Start Flash Fill with Data > Flash Fill or press Ctrl+E where supported.
- Check the preview and inspect the filled results, including rows that contain names, acronyms, or unusual text.
Microsoft’s Flash Fill guidance lists Excel for Microsoft 365, Excel 2024, Excel 2024 for Mac, Excel 2021, Excel 2019, and Excel 2016. If Flash Fill does not run automatically, check its setting in Excel Options on Windows or launch it from the Data tab. The Excel keyboard-shortcut reference notes that shortcuts use a US keyboard layout, so Ctrl+E may vary with your layout.

Review the result before replacing text
Capitalizing each word is not a universal style editor. It can change acronyms, brand spellings, and names with internal capitals. Microsoft explains that PROPER capitalizes the first letter in a string and letters following characters other than letters, while converting other letters to lowercase; that behavior illustrates why automatic word capitalization can need correction. Review converted text before using it to replace source data.

If formulas are acceptable: convert, then paste values
For an explicit conversion choice, put one of these formulas in a temporary column, replacing A2 with the cell that contains the text:

=UPPER(A2)converts letters to uppercase.=LOWER(A2)converts letters to lowercase.=PROPER(A2)applies word-style capitalization.
- Fill the formula down alongside the source data.
- Review the converted text and correct any names or terms that need special capitalization.
- Copy the converted cells.
- Paste over the original cells using Paste Values to keep static text rather than formulas.
