The right screenshot method depends on what you need to show: the guest display alone, the guest operating system processing a Print Screen key, or the entire VM window and host desktop. Use a hypervisor’s guest-capture function for a clean image of the virtual machine’s display; forward Print Screen when the guest must create the image itself; and use the host operating system’s capture tool when host menus or the surrounding desktop matter.
A screenshot is an image. A VM checkpoint or snapshot records machine state for later restoration. They are not interchangeable: creating a checkpoint will not produce a picture.
Choose the capture that matches your goal

Before capturing, decide whether a single display or a particular monitor is required. Multi-display guests may need a display selector, while a host-level capture can include anything visible around the VM.
VirtualBox: save the guest display as a PNG
Oracle VirtualBox provides a command-line capture that writes the guest display directly to a PNG file. Run VBoxManage on the host while the VM is available, replacing the VM name and output path:

VBoxManage controlvm "VM name" screenshotpng "/path/to/screenshot.png"The command captures the guest display and saves it as PNG. For a single-monitor guest, the display number is 0. If the VM has multiple virtual displays, consult the syntax installed with your VirtualBox release and select the display you intend to document.
Practical VirtualBox procedure
- Start the VM and arrange the guest display exactly as it should appear.
- On the host, open a terminal or command prompt in which
VBoxManageis available. - Run the command with the exact VM name in quotes if it contains spaces.
- Open the resulting PNG and verify that the intended guest display, resolution, and application state are present.
When VirtualBox capture is preferable
- It gives you a file immediately instead of requiring a clipboard paste.
- It excludes host menus and other desktop content when you want only the guest screen.
- It is useful for automated documentation because the command can be placed in a script.
Guest Additions provide display integration such as additional video modes and VM-window resizing for supported Windows, Linux, and Solaris guests. They are not described as a prerequisite for the documented VBoxManage screenshot command.
Hyper-V: use VMConnect’s screen-capture shortcut
Microsoft’s VMConnect shortcut list assigns Ctrl+C to screen capture. Make sure the VMConnect window has keyboard focus, then press Ctrl+C. The exact handling can depend on the host and VMConnect version, so check the shortcut behavior in the release installed on your machine.
Do not confuse capture with a checkpoint
Hyper-V uses other shortcuts for machine-state operations. Ctrl+N creates a checkpoint, and Ctrl+E reverts to a checkpoint. A checkpoint is intended to preserve current VM state for troubleshooting or later restoration; it is not the screen-capture action.
Hyper-V checklist
- Open the VM in VMConnect and click inside the guest display.
- Press
Ctrl+Cfor the documented screen-capture action. - Confirm where the capture is placed or saved by your VMConnect version.
- If nothing happens, test again after returning focus to VMConnect and verify that another application is not intercepting the shortcut.
VMware Fusion: send Print Screen to a Windows guest
In VMware Fusion, choose Virtual Machine > Send Key > Print Scrn. Broadcom documents this as sending the key to a Windows guest as a regular Windows screen-print action. The resulting image is placed on the Windows guest clipboard, so open an image-capable application such as Paint or Word and paste it.

Guest-capture steps in Fusion
- Bring the Windows guest to the foreground and display the content you want to capture.
- Open the Fusion menu and select Virtual Machine > Send Key > Print Scrn.
- Inside Windows, open Paint, Word, or another application that accepts images.
- Paste from the clipboard and save in the format required by your documentation.
Menu labels and key-forwarding behavior can vary by Fusion release. If the guest does not receive the key, click the VM first, confirm that keyboard input is captured by Fusion, and check the menus for the installed version.
Capture the VM window or host desktop on macOS
A host-level capture is the correct choice when the image must show the VM window, host menus, or the desktop around the VM. Broadcom documents Command+Shift+3 for capturing the whole Mac screen and saving the result to the Mac desktop. Depending on whether Fusion is windowed or full-screen, the image may include host UI around the guest.
Host-level trade-offs
- Advantages: captures exactly what is visible, including VM chrome, menus, and side-by-side host applications.
- Limitations: may expose notifications, unrelated windows, or sensitive host information; it also depends on the host’s display scaling and current layout.
- Use it for: support tickets that need context about the host, demonstrations of VM integration, or evidence of a menu setting.
Guest display versus host-visible window
These approaches are not interchangeable. A hypervisor guest-display command is usually the cleanest way to document an application running inside the VM. Sending Print Screen is useful when the guest’s own screenshot behavior matters, such as testing a Windows shortcut or capturing content that the guest places on its clipboard. A host capture is the only one of these choices that naturally includes the VM frame and host controls.

For multi-monitor VMs, verify which virtual display is active. A guest-display command may let you select a display, while a host screenshot captures whichever monitor or region you select on the host. Record the selected display in your documentation so readers can reproduce the result.
Reliable, repeatable capture workflow
- Define the boundary. Decide whether the image is guest-only, guest-plus-VM-window, or the entire host screen.
- Prepare the display. Close transient pop-ups, set the required resolution, and put the application in the exact state to be documented.
- Choose the least destructive method. Prefer direct guest-file capture for automation, clipboard capture for guest-key testing, and host capture for context.
- Check privacy. Remove credentials, personal data, notifications, and unrelated host windows before saving or sharing.
- Verify the output. Open the file or paste the clipboard image and check that text is legible, the intended display was captured, and no cursor or menu obscures the evidence.
- Name files consistently. Include the VM, display, date, and scenario in the filename when producing a series of screenshots.
Troubleshooting common failures
Nothing happens when a shortcut is pressed
Keyboard focus may be outside the VM connection window, or the host may intercept the key combination. Click inside VMConnect or Fusion, then retry. Confirm that the shortcut belongs to the installed version and that the VM is not paused or disconnected.

The image shows the host instead of the guest
You used a host-level capture. Switch to the hypervisor’s guest-display function or send the screenshot key into the guest. Host capture is correct only when the surrounding desktop is part of the requirement.
The image contains only one monitor
For VirtualBox, check the display selector in the installed VBoxManage documentation; a single-monitor guest uses display number 0. In other hypervisors, select the required virtual monitor in the VM display settings or capture each monitor separately.

Use the VM’s exact registered name, including capitalization and spaces, and keep quotation marks around names or paths that contain spaces. Run the command on the host where VirtualBox is installed and ensure VBoxManage is on the executable path.
Fusion’s Print Screen image is not visible
The action places the image on the Windows guest clipboard; it does not necessarily create a file on the Mac. Switch to a guest application such as Paint, paste, and save from inside Windows.
The capture is blurry or clipped
Check guest resolution, host display scaling, and whether the VM is in a resized or full-screen mode. For a clean guest image, use the hypervisor’s guest-display capture instead of photographing a scaled VM window.

A checkpoint was created instead of an image
Check the command or shortcut used. A checkpoint records VM state for restore; it cannot be pasted into a document as a screenshot. Return to the documented screen-capture action for your hypervisor.

Direct command-line capture is easiest to automate because it writes a predictable file. Use a dedicated output directory, fail the script when the command returns an error, and retain the VM name and display number in your log. For clipboard workflows, automation must also open a guest application and save the pasted image, which adds more failure points.
Capture only after the UI has settled. Animations, delayed application rendering, and changing notifications can make two otherwise identical screenshots differ. When a screenshot is evidence for troubleshooting, preserve the original file and make annotated copies separately.
