Store untouched originals separately from searchable OCR, transcripts, redactions, and reviewer notes. A screenshot establishes what was visible at one moment; it does not by itself prove hidden prompts, tool calls, authentication events, model changes, or server-side processing.
What an audit-ready AI evidence package contains
An auditor should be able to identify the interaction, understand exactly what the operator saw and did, verify that files were not altered, and correlate the interface with system records. Package the following items under a unique interaction ID.
As an Amazon Associate I earn from qualifying purchases.
| Item | What to preserve | Why it matters |
|---|---|---|
| Original visual capture | Full-resolution screenshot(s) and, when order or timing matters, the original screen recording | Shows the visible prompt, response, warnings, citations, tool indicators, and surrounding interface at capture time |
| Raw export | Conversation export, API request and response, structured JSON, raw text, and request IDs when the service exposes them | Provides searchable content and fields that a rendered page may omit |
| Context sheet | UTC timestamp, operator, account or workspace, service URL, model and version, browser or app version, locale, device or network context allowed by policy, prompt, attachments, tools, and known limitations | Lets a reviewer reproduce the conditions and distinguish one run from another |
| Integrity manifest | Unique file names, sizes, capture times, SHA-256 (or another approved cryptographic) hashes, and the final package hash | Detects changes after collection |
| Chain-of-custody log | Every handler, transfer, access, redaction, conversion, review, purpose, UTC time, and resulting hash | Documents who controlled the evidence and what happened to it |
| Derivatives | OCR, transcript, labels, annotations, redacted review copy, and reviewer notes, each linked to its source hash | Supports search and review without overwriting the original |
| Corroborating records | Authentication events, application and API logs, configuration snapshots, model-version records, monitoring data, and reviewer actions when available | Fills gaps that a client-side view cannot show |
NIST’s audit-trail glossary describes an audit trail as “a chronological record of system activities that is sufficient to enable the reconstruction and examination of the sequence of events and activities surrounding or leading to an operation, procedure, or event in a security-relevant transaction from inception to results.” Its chain-of-custody glossary defines chain of custody as a process that tracks evidence through collection, safeguarding, and analysis by recording each handler, date and time, and purpose for transfer. Those definitions are useful tests for your package: can an independent person reconstruct the event and the evidence’s movement?

Set the scope before opening the AI interface
Define the audit question
Write the question in one sentence, such as whether a specified prompt produced a particular answer, whether a tool was invoked, or whether a warning was displayed. Define the population of interactions, the account or workspace in scope, the start and stop conditions, and the records that must be collected. A stop condition prevents an operator from continuing to click after the relevant state has been captured.

Decide what is allowed to appear
List secrets, personal data, customer content, regulated data, and internal instructions that may appear. Obtain authorization for the original capture and decide who may see an unredacted copy. Do not paste extra test data into a production conversation merely to make a screenshot easier to interpret.
Step-by-step capture procedure
1. Establish the interaction record
Assign a unique ID before capture, for example AI-2026-10-16-0042. Record the audit question, operator, organization, account or workspace, service URL, and the planned stop condition. Use a clock synchronized to UTC and note the time source used by your procedure.
2. Record environment and identity metadata
In the context sheet, write the UTC start time, the operator’s identity, account or workspace, service and model identifier as displayed, browser or app name and version, operating-system or device context permitted by policy, locale, timezone, and relevant network context. Record whether the interaction was manual, automated, or assisted by a tool. If a model version is not shown, write “not displayed” rather than inferring it.
Recommended Free Tools
3. Capture the complete visible state
Scroll through the conversation and capture the prompt, every attachment indicator, the complete visible response, citations, warnings, system notices, tool-use indicators, and enough surrounding navigation to identify the account and conversation. A screenshot is appropriate for a point-in-time state. Use a screen recording when interaction order matters—for example, when a tool call, approval click, or streamed response must be shown in sequence. Preserve the native, highest-resolution files and do not crop the originals.

- HI RESOLUTION VIDEO RECORDING: Record Ultra High Resolution (4K 60fs) videos directly onto the T7 Portable SSD with your favorite camera or mobile devices; Supports iPhone 15 Pro Res 4K at 60fps video and more³
4. Export the conversation or API exchange
Use the interface’s export function when available. For API traffic, preserve the raw request and response, structured JSON, headers that identify the request, and any request or trace IDs. Save the export exactly as received before converting it to another format. If no export exists, record that limitation in the context sheet and rely on corroborating application or identity logs where available.
5. Hash each original immediately
Calculate a cryptographic hash before moving or editing a file. On a Unix-like system:
sha256sum AI-2026-10-16-0042-screen.png >> manifest.txt
sha256sum AI-2026-10-16-0042-recording.mp4 >> manifest.txt
sha256sum AI-2026-10-16-0042-export.json >> manifest.txt
On Windows PowerShell:
Get-FileHash .AI-2026-10-16-0042-screen.png -Algorithm SHA256
Get-FileHash .AI-2026-10-16-0042-recording.mp4 -Algorithm SHA256
Get-FileHash .AI-2026-10-16-0042-export.json -Algorithm SHA256
Record the hash, byte size, file creation time, collection time, and collector ID in a manifest. Hash the completed package after the manifest and chain-of-custody log are finalized, then record that package hash separately.
6. Separate originals from working derivatives
Put untouched files in read-only, access-controlled, or immutable storage. Make a working copy for OCR, transcription, redaction, annotations, and format conversion. Every derivative should name its source file and source hash. Never “clean up” an original in place.

7. Start the chain-of-custody log
For every movement or action, record who handled the item, when in UTC, what happened, why it was necessary, where it moved, and the resulting hash. Include access for review, not only physical transfers. A simple CSV can work for a small team:
event_id,interaction_id,utc_time,handler,action,source_hash,destination,purpose,result_hash

8. Correlate independent system records
Link the interaction ID or request ID to authentication logs, application and API logs, configuration snapshots, model-version records, monitoring data, and reviewer actions. NIST SP 800-12 says that where a system-level audit capability exists, the audit trail should capture at minimum successful and unsuccessful log-on attempts, log-on ID, date and time of each attempt, log-off times, devices used, and functions performed after log-on. Capture those records when they are within your scope and retention window.
Screenshot, recording, or export?
| Capture type | Best use | Important limitation |
|---|---|---|
| Screenshot | Proving a point-in-time visual state, including visible text, notices, citations, and controls | Cannot reveal hidden prompts, server-side routing, or events outside the frame |
| Screen recording | Showing sequence, streamed output, clicks, approvals, navigation, and tool-use order | Large files require careful hashing, access control, and retention planning; recording still shows only what was rendered |
| Conversation export | Searching and preserving raw text, attachments, and conversation structure | May omit UI warnings, account context, rendering defects, or hidden system activity |
| API request/response | Verifying exact inputs, parameters, response payload, headers, and request IDs | Does not automatically prove what a human saw in a client interface |
| Server and identity logs | Correlating authentication, routing, configuration, model version, and processing events | May be controlled by another team or provider and may have a shorter retention period |
Use more than one type when the audit question involves both visible output and hidden processing. Preserve the raw forms even if a reviewer prefers a PDF or transcript.

The hand-off should include an evidence index with one unique ID per interaction; original screenshots, recordings, and raw exports; the hash and package manifests; the complete chain-of-custody log; the context sheet; clearly labeled searchable derivatives; authorization and a log for every redaction; retention and legal-hold records; deletion approval when applicable; and readability-check results.

Replace the abbreviated hash in a real manifest with the complete digest. Keep the manifest itself under access control and include its hash in the package record.
Storage and integrity design
Use two tiers
Keep immutable or tightly restricted originals in one tier and searchable derivatives in another. An encrypted external SSD is a practical small-team medium. Maintain at least one separately protected copy and verify hashes after every transfer. For larger collections, evaluate digital-evidence management, e-discovery, immutable object storage, or AI-observability platforms that provide access logs, retention controls, export, and search.

| Criterion | Questions to answer |
|---|---|
| Immutability | Can originals be write-protected, and are attempted changes detectable? |
| Encryption and key ownership | Is data encrypted in transit and at rest, and who controls the keys? |
| Access logging and role separation | Are collection, review, approval, and deletion duties separated and logged? |
| Hash and integrity support | Can the system store, calculate, and verify hashes for files and packages? |
| Search, OCR, and export | Can reviewers search derivatives and export evidence without changing originals? |
| Retention and legal hold | Can deletion be suspended, approved, and audited? |
| Data residency | Where are originals and backups stored, and does that satisfy contractual or legal requirements? |
| Scale and cost | Will storage, indexing, and transfer costs remain predictable as volume grows? |
| Correlation | Can interface captures be linked to application and identity logs? |
Why screenshots alone are not enough
A screenshot cannot show a hidden system prompt, a tool call that was not rendered, server-side routing, a model change after the response, authentication events, or a transformation performed after the response left the model. It also cannot establish that the displayed account was the one authorized for the audit unless identity records corroborate it.

Correlate the visual file with application and API logs, identity and authentication logs, configuration snapshots, model and deployment records, and monitoring data. NIST AI Risk Management Framework materials call for mechanisms that make AI systems auditable, including traceability and logging of processes, outcomes, and impacts. A crosswalk from NIST to ISO/IEC 42001 identifies event-log recording and operation and monitoring controls as related evidence. Treat those records as complementary, not as substitutes for the original visual capture.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Privacy, redaction, and retention
Preserve first, redact a copy
Keep an access-controlled original where policy and law permit. If secrets or unnecessary personal data appear, create a redacted review copy and record every redaction, its reason, authorizer, time, and resulting hash. Never overwrite the source or silently remove a frame from a recording.
Set retention from the purpose
There is no universal NIST retention period for AI-interface captures. Set retention from the audit purpose, legal and contractual duties, risk, and legal holds. Document who may approve deletion, the approval date, what was deleted, and the resulting storage state. Schedule periodic readability checks so that files, codecs, exports, and manifests remain usable throughout the retention period.
Common capture and archive failures
| Symptom | Likely cause | Fix |
|---|---|---|
| The prompt or response is cut off | Only the viewport was captured or the page changed while scrolling | Capture each complete state, include continuation frames, and preserve a recording when streaming or scrolling order matters |
| Timestamp differs between files | Local time, device clock drift, or mixed timezone notation | Record UTC in the context sheet, note the device clock, and keep the original file timestamps alongside the collection time |
| Export and screenshot disagree | Streaming, edits after generation, rendering differences, or an export taken later | Capture the visible state and export at the same stop condition; document the sequence and preserve both versions |
| Hash changes after transfer | File corruption, conversion, line-ending changes, or editing the original | Stop review, compare source and destination hashes, recopy from the untouched source, and log the incident |
| OCR contains errors | Small text, low contrast, animation, or unsupported characters | Keep the image as authoritative, regenerate OCR at higher resolution, and label the transcript as a derivative |
| Secrets appear in the frame | Tokens, personal data, or internal instructions were visible | Restrict the original, obtain disclosure authorization, create a logged redacted copy, and do not place secrets in filenames or notes |
| No conversation export exists | The client does not provide one or the account lacks permission | Record “export unavailable,” preserve screenshots or recording, save permitted API and identity logs, and state the limitation to the auditor |
| A page is blank or blocked | Bot checks, a failed load, a timeout, or an access-control problem | Record the failure and URL, preserve the error state, verify authorization, and retry only under the documented stop and retry policy |
| Reviewers can edit originals | Archive permissions are too broad | Move originals to read-only or immutable storage, separate reviewer accounts, and log every access |
Or skip the browser setup
For an API capture, ScreenshotNeo is the first option to try because it removes consent banners, popups, and chat widgets before capture, bills only clean shots, and has the lowest paid plan. A GET request returns a PNG, JPEG, WebP, or PDF. Add the target interface URL and preserve the returned file as an original, then hash it and place it in the evidence package.
See the ScreenshotNeo documentation for parameter details. cURL:
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://chatgpt.com -o shot.webp
Python:
import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://chatgpt.com"}, timeout=90)
r.raise_for_status()
open("shot.webp", "wb").write(r.content)
Node.js:
const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://chatgpt.com' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);
if (!res.ok) throw new Error(`HTTP ${res.status}`);
const data = Buffer.from(await res.arrayBuffer());
await import('node:fs/promises').then(fs => fs.writeFile('shot.webp', data));
Capture controls useful for audit evidence
- Full-page capture loads lazy images; you can capture one element by CSS selector, choose dark mode, select one of 12 device presets or any viewport, and set a retina scale.
- PDF output supports paper size, margins, landscape orientation, and page ranges.
- Render HTML/CSS to an image, inject custom CSS or JavaScript, click an element before capture, hide selectors, and wait for a selector, a delay, or network idle.
- Block ads, trackers, specific requests, or resource types. Supply custom headers, cookies, a user agent, or Authorization; set timezone and geolocation; use a transparent background or resize the image.
- Choose a cache TTL, create signed links for public
<img>tags, submit asynchronous jobs with signed webhooks, capture up to 100 URLs per bulk call, query usage through the usage API, and use the OpenAPI specification. - Parameter names used by other screenshot APIs also work, which can simplify a migration.
Interpret the response before archiving it
ScreenshotNeo returns X-Page-Verdict and X-Billed headers. Keep those headers with the file metadata so the auditor can see whether the response was a clean capture, a bot check or CAPTCHA, a blank page, a timeout, a failed load, or a cache hit. Bot checks and CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing; only clean shots are billed. Each consent, newsletter-popup, and chat-widget cleanup step can be turned off when the audit requires the unmodified page.
ScreenshotNeo also provides an MCP server for AI agents, including Claude, Cursor, and any MCP client, with the tools take_screenshot, get_page_info, and capture_pdf. This can preserve a repeatable capture path when an agent, rather than a person, performs the collection.

Quick Recap
Performance and reliability notes
- Capture after the page reaches a documented readiness condition. For dynamic interfaces, wait for a selector, a delay, or network idle and record that setting in the context sheet.
- Use full-page capture when the audit requires content below the fold, but preserve the viewport or element capture too if surrounding navigation establishes identity.
- Prefer asynchronous jobs and signed webhooks for large collections; retain the job identifier, callback payload, and final file hash.
- Use caching only when a cached response is acceptable evidence. Record the chosen TTL and the
X-Page-VerdictandX-Billedheaders. - For bulk work, the service accepts up to 100 URLs per call. Keep one interaction ID per URL or explicitly map the batch ID to each item.
- When a capture fails, preserve the failure metadata rather than silently retrying until a different page appears. A retry policy should state the maximum attempts and why a retry is allowed.
Final audit-readiness checklist
- The audit question, scope, stop condition, and authorization are written down.
- UTC time, operator, account or workspace, service, model/version, client version, locale, device context, prompt, attachments, and tools are recorded.
- Original screenshots or recordings show the complete relevant visible state.
- Raw exports, API requests and responses, and request IDs are preserved when available.
- Every original and the final package have cryptographic hashes.
- Originals are separated from OCR, transcripts, redactions, and annotations.
- Every transfer, access, conversion, redaction, and review appears in the chain-of-custody log.
- Identity, application, configuration, model, and monitoring records are correlated where available.
- Redactions have authorization and a separate log; the source remains intact.
- Retention, legal hold, deletion approval, and readability checks are documented.
