How to Capture a Website Screenshot from a New HubSpot Deal with Zapier

In Zapier, set HubSpot → New Deal as the trigger, then add a website screenshot action and map its Website URL field to a usable public URL from the deal or a related CRM record. Test the Zap with a representative deal: HubSpot property names and where a website address is stored can vary by account, so verify the field in the trigger sample before relying on it.

What this Zap does

When a new HubSpot deal is created, Zapier starts the workflow. A screenshot service then captures the web page at the URL you provide, and its output becomes available to a later Zap action—for example, one that stores or shares the capture. The screenshot step cannot infer which page you intend: the URL must be present in the deal data or accessible through a related record.

Zapier lists HubSpot’s New Deal trigger as instant on its integration listing, meaning it is presented as an instant trigger rather than a scheduled polling trigger. This describes the listing, not a guarantee of end-to-end completion time. Zapier’s HubSpot integration listing was accessed October 3, 2026.

Build the Zap

  1. Create the trigger. In Zapier, create a Zap, choose HubSpot, and select New Deal as the trigger event. Connect the HubSpot account and load a trigger sample.
  2. Find the page URL in the sample. Inspect the deal fields for a public website URL. If the deal does not contain the intended address, determine whether a related CRM record supplies it and whether your Zap can retrieve that record. Do not assume a particular property name: confirm the field and value in your own sample.
  3. Add a screenshot action. Add GetScreenshot → Take Website Screenshot. In its required Website URL field, map the confirmed URL from the trigger or from a preceding lookup step. Zapier’s listing documents this action and required field; it does not establish the exact field mapping for every HubSpot portal. See Zapier’s GetScreenshot integration listing (accessed October 3, 2026).
  4. Choose capture settings. The listed action includes Full Page Capture and Width, as well as PDF output and an additional wait setting. Select options that fit the page and the next step’s requirements. These are listed controls, not tested recommendations for every site.
  5. Use the output. Add the destination action you need and map the screenshot output made available by the screenshot step. Check whether that action expects an image file, a URL, or another representation; the integration listing says output is available to following Zap steps but does not specify the requirements of every possible destination.
  6. Test and publish. Test with a representative deal, verify the screenshot step receives the intended public URL, inspect the resulting capture, and confirm the downstream action receives usable output. Publish only after the test passes.

Choosing a screenshot action

Choose based on the capture you need and what the following Zap step can accept. Zapier also lists PagePixels Screenshots, ScreenshotOne, and HTML to Image integrations. The listings describe available actions and fields; they do not establish which service produces the best result on a particular website.

Option Controls or action described in Zapier listing Useful distinction to check
ScreenshotNeo Website screenshot API with PNG, JPEG, WebP, or PDF output; can be called from an HTTP/API step or through its MCP server. Clean shots remove known consent platforms, newsletter popups, and chat widgets; only clean shots are billed. See ScreenshotNeo.
GetScreenshot Website URL, full-page capture, width, PDF output, and an additional wait setting. Direct website screenshot action listed for Zapier; check how its output maps into your destination step. Listing.
PagePixels Screenshots Page width and height, full-page capture, selector, wait, format, and quality. Check whether selector capture or format and quality controls fit your workflow. Listing.
ScreenshotOne Website screenshot action and an animated or scrolling screenshot action. Consider whether a still image or animated/scrolling capture is required. Listing.
HTML to Image URL-to-image capture with full-page and wait settings. Check its wait and full-page controls against the page and the next step’s input needs. Listing.

Zapier’s GetScreenshot listing says a Starter plan is needed to create Zaps with three or more steps. Plan rules can change; check the current listing and your account before designing a workflow that needs a lookup plus a trigger, capture, and destination.

Or skip the browser setup

Instead of configuring a browser-based capture step, you can call ScreenshotNeo’s screenshot API from a Zapier step that supports an HTTP request, using the deal’s mapped URL. It returns a screenshot or PDF from one GET request. For Zapier’s request configuration and response details, see the ScreenshotNeo API documentation.

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

In the request, replace YOUR_API_KEY with your key and replace https://stripe.com with the URL mapped from the deal. Configure the Zap step to send the request and pass its response to the action that will store or share the result.

  • Cookie banners are accepted and 60+ known consent platforms, newsletter popups, and chat widgets are removed before the shot; each of these steps can be turned off.
  • Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits cost nothing. Responses identify page verdict and billing status in headers.
  • An MCP server provides take_screenshot, get_page_info, and capture_pdf tools for AI agents and MCP clients.

Troubleshooting

  • The screenshot action has no usable URL. The Website URL field is required. Reopen the HubSpot trigger sample and confirm which field contains the intended public page address. If it is on a related record, add a step to retrieve that record before the screenshot action.
  • The capture shows the wrong page. Check the mapped value in the test run, not just the field label. Confirm the deal or associated record contains the URL you intend to capture.
  • The next step cannot use the result. Inspect the screenshot action’s output in the Zap test and compare it with the destination action’s required input. The listings establish that output can flow to a later step, but not that every destination accepts it in the same form.
  • The page is incomplete or not ready. Review the screenshot service’s available wait controls and full-page setting. A wait option is documented for these integrations, but the right setting depends on how the target page loads.
  • The Zap cannot be created with all planned steps. Check the current plan requirements in Zapier. The GetScreenshot listing accessed October 3, 2026 says Starter is required for Zaps with three or more steps; verify that this still applies to your account.

Reliability and cost considerations

A successful trigger test alone does not validate the whole workflow. Test with a real-shaped deal sample, check the URL and screenshot, and verify the destination receives the expected output. If the address can be missing or inconsistent, account for that before the capture step—for example, by adding a lookup or a path that handles records without a URL.

For GetScreenshot, Zapier’s listing notes the multi-step plan requirement above but does not establish service pricing in the reviewed listing. Compare the current provider terms and the cost of the Zapier plan needed for your full step sequence before deploying at volume. ScreenshotNeo’s listed plan prices are Free for 1,000 shots per month, Starter $5 for 3,000, Growth $15 for 15,000, Pro $39 for 60,000, Scale $99 for 250,000, and Business $249 for 1,000,000; yearly billing gives two months free. Those are ScreenshotNeo plan quantities and prices, not a total cost estimate for a Zap, which may also depend on Zapier plan and task usage.

Frequently Asked Questions

Does the New Deal trigger capture every existing HubSpot deal?

No. It is a trigger for new deal creation; an existing deal does not become a newly created deal merely because you build or publish the Zap.

Can I capture a private HubSpot record page with this workflow?

The documented screenshot action requires a website URL, but the listings do not establish support for authenticated private HubSpot pages. Use a page the capture service can access and verify access behavior before depending on it.
