What you need before capturing
- A Windows PC with access to the SharePoint Online site in a browser.
- Permission to view the page and any information you plan to include. SharePoint Online is a cloud service normally used through a web browser.
- The Snipping Tool available in Windows. Microsoft documents Windows logo key + Shift + S as the shortcut that opens its capture overlay.
Sign in first and wait until the page has finished rendering. Expand the section, list, image, or web part that must appear in the image. A screenshot records what is visible at capture time; it does not reveal content hidden behind a collapsed control or content you cannot access.

Open the exact page
Open the SharePoint site in your browser and navigate to the page, document library, list, or dashboard you want to show. Scroll to the point that matters and close menus or notifications that would obscure it.

Arrange the browser view
Resize the browser window, adjust browser zoom, or scroll so the relevant content is visible. Zooming out can fit more columns or page sections, but very small text may become difficult to read. For evidence or instructions, keep text large enough to inspect.

Open the capture overlay
Press Windows logo key + Shift + S. The screen dims and Snipping Tool presents the capture choices. If the shortcut does not work, open Snipping Tool from the Windows Start menu and choose New.

Choose a capture mode
Select Rectangular, Freeform, Window, or Full screen. The mode determines whether you capture only the SharePoint content, the entire browser window, or the whole display.

Make the capture
For Rectangular, drag around the page area. For Freeform, draw an outline around an irregular region. For Window, select the browser window. For Full screen, Windows captures the complete display.

Review and save
The result is copied into Snipping Tool. Open the notification or Snipping Tool window, inspect the image, annotate it if necessary, and select the Save Snip control. Choose an image format and a location that your team can use.

Which Snipping Tool mode should you use?

Choose the smallest scope that communicates your point. A rectangular snip is usually clearest for a single SharePoint component; Window is useful when the browser context matters; Full screen is appropriate only when the entire desktop is intentional.
Capture more of a long SharePoint page
Snipping Tool captures the pixels currently visible; it does not automatically stitch an entire scrolling SharePoint page into one image. To document a long page, use one of these practical approaches:
- Capture several overlapping sections and label them in order.
- Reduce browser zoom until the required content fits, then use a rectangular or window snip.
- Use the page’s own print or export capability when a document-style record is more useful than an image.
- Use an automated browser screenshot service that supports full-page capture when you need one image containing content below the fold.
Before capturing, scroll through the page once so lazy-loaded images, lists, and web parts have had an opportunity to appear. If a section loads only after interaction, expand it first and wait for its contents.

Microsoft documents an option in Snipping Tool for browser-window captures saved as HTML: the page URL can appear beneath the snip. If you do not want that URL included, open Snipping Tool settings or options and clear Include URL below snips (HTML only). The setting concerns the URL shown with an HTML save; it does not change the pixels captured from the page.
A screenshot is not a SharePoint permission
An image is a visual copy, not a live link to the page. Anyone who receives the file may be able to see information in the image even without SharePoint access, so remove confidential data before sharing it.

If recipients need to interact with the underlying page, use SharePoint’s Share control instead of relying on the screenshot. Check access for the page and for every embedded item. Microsoft notes that documents, videos, and lists stored elsewhere can have permissions separate from the page that embeds them. A person who can open the page may still be unable to open one of those embedded resources.
Other built-in Windows capture methods
Print Screen
The PrtSc key takes a static full-screen snapshot and places it on the clipboard. Paste it into an image editor, document, or message, then crop and save. This is useful when you need a quick display-wide capture, but it gives you less immediate control over the selected region than Windows logo key + Shift + S.
Snipping Tool from the Start menu
If keyboard shortcuts are disabled by policy or a compact keyboard lacks a clearly labelled Windows key, open Snipping Tool from Start, select New, and choose the same capture modes. The resulting workflow—capture, review, annotate, save—remains the same.
Troubleshooting SharePoint screenshots
The shortcut does nothing
- Press the Windows key and Shift together, then press S.
- Open Snipping Tool from Start and use New to confirm the app works.
- A managed work PC may restrict screenshots through policy or security software. Ask your administrator rather than attempting to bypass the restriction.
The page is blank or incomplete
- Confirm that you are signed in to the correct Microsoft 365 account and can refresh the page normally.
- Wait for web parts, images, and lists to finish loading before pressing the shortcut.
- Scroll to the missing section and capture it separately if the page loads content progressively.
- If a bot check, sign-in prompt, or error page is visible, the screenshot accurately records that state; it does not repair the underlying access or loading problem.
Text is too small to read
Capture a smaller region, increase browser zoom, or enlarge the Snipping Tool image before annotating. Capturing the whole desktop at a low zoom often produces an image that looks complete but cannot be read in a presentation.
Unexpected notifications or private windows appear
Use Rectangular or Window mode instead of Full screen, close unrelated applications, and turn off desktop notifications temporarily if your workplace policy permits. Inspect the image at 100 percent before sending it.

The browser frame is missing
That is expected with a rectangular selection. Select Window mode when the address bar, tab title, or surrounding browser context is part of the evidence you need.

The screenshot itself should open as an image, but any URL or embedded item shown in it still follows SharePoint permissions. Send the SharePoint link separately and verify access to embedded documents, videos, or lists.
Quality, privacy, and repeatability
- Use descriptive filenames: include the site, page, and date, such as Finance-QuarterlyDashboard-2026-09-29.png.
- Keep an original: save the unannotated capture before adding arrows, boxes, or redactions.
- Redact deliberately: crop or cover names, email addresses, customer records, access tokens, and other sensitive data; do not assume a hidden browser tab is excluded from a Full screen capture.
- Capture a stable state: wait for loading indicators to disappear and avoid capturing while a carousel, notification, or live metric is changing.
- Match the output to the job: PNG is suitable for crisp interface text and annotations; use the format your document or presentation workflow requires.
