There is no single cancellation deadline that applies to every Flock Safety customer. Your signed agreement, Order Form, amendments, renewal documents, and incorporated product or state provisions determine whether you can cancel, when notice is due, and what you may still owe.
Begin by identifying the contract that controls, then distinguish non-renewal at the end of the current term from early termination during that term. The current online Terms and Conditions include a 30-day cure period for an uncured material default and a 30-day non-appropriation notice route for qualifying public-fund customers, but neither is a universal early-cancellation promise.

The controlling contract comes first
Before sending anything, assemble the complete contract file. Flock Safety’s current online Terms and Conditions apply when the customer’s signed agreement incorporates those online terms. They do not automatically replace a separately signed Master Services Agreement, municipal agreement, or other standalone contract.
Collect these documents in one working copy:
- The fully executed agreement or Master Services Agreement.
- Every Order Form, because an Order Form identifies the services and the period of performance.
- Amendments, extensions, renewal notices, and replacement orders.
- Product-specific terms and addenda, including provisions tied to a particular program or hardware deployment.
- State-specific contractual provisions and any third-party terms incorporated by reference.
- Invoices and procurement records that may show the order number, contracting entity, term, or funding source.
Flock’s legal-document hub lists its online terms and related documents, but a document listed there governs your account only if your signed paperwork incorporates it in the way the agreement requires. Preserve the version and date of each document you rely on; a later web-page revision is not automatically an amendment to a static agreement.

How to find the end date and renewal rule
Read each Order Form’s term language alongside the agreement’s renewal clause. Record the start date, initial end date, renewal length, and the event that triggers renewal. Some contracts renew for a stated period unless either party gives timely notice; others require a new order or contain public-procurement rules that change the result.
Flock Safety’s current general online terms state that the Order Form supplies the term, but they do not establish one ordinary non-renewal window for every customer. Do not assume that every Flock contract renews annually or that every customer must give 30, 60, or 90 days’ notice.
A local agreement is an illustration, not a universal rule
A City of Troy agreement contains a 30-day pre-expiration non-renewal notice clause. That clause demonstrates how an individual agreement can set its own deadline; it cannot be used to establish the deadline for another city, agency, business, or homeowner association.

Calculate the deadline from the contract’s wording
If the clause says notice must arrive 30 days before expiration, count backward from the stated expiration date and use the contract’s receipt rule, not merely the date you press Send. If it says notice must be given during a particular window, follow that window exactly. Check whether the term is measured in calendar days, business days, fiscal years, or a specific date.
Write the calculation in your file: contract end date, required lead time, last safe delivery date, delivery method, and the date you actually sent the notice. If the agreement is ambiguous, obtain a written interpretation from the contracting authority or qualified counsel before relying on a disputed date.
Non-renewal and early termination are different
Non-renewal tells the vendor that you do not want another term after the current one ends. It normally depends on the renewal clause and its notice deadline. Service usually continues until the existing term expires unless the parties agree otherwise.
Early termination attempts to end the relationship before the current term expires. It requires a contractual right, a listed ground, or a negotiated release. Sending a notice labeled cancellation does not create a right that the agreement does not provide.

Grounds identified in the current online terms
The current online Terms and Conditions identify several termination grounds, including:
- An uncured material default after written notice identifies the default and the customer receives a 30-day cure period.
- Certain legal or regulatory violations described in the terms.
- Specified bankruptcy or insolvency events.
- The absence of any active Order Form.
Your signed agreement may add a satisfaction right, a termination-for-convenience option, a special public-contract remedy, or a different cure period. Confirm the exact clause before asserting a ground. If you allege default, describe the contractual requirement, the facts supporting the allegation, the date of the breach, and the cure requested.
What the 30-day cure period does and does not mean
The 30 days attached to a material-default clause is a cure period after the required notice. It is not a general 30-day cancellation option. If the default is cured within the permitted period, the contractual basis for termination may disappear. If it is not cured, follow the agreement’s next step for making termination effective.
Public-sector non-appropriation provisions
Qualifying public-fund customers may have a separate route when money is not appropriated for a future fiscal year. Under the current online terms, obligations requiring public funds are conditioned on appropriations. If funds are not appropriated, the applicable customer may terminate at the end of the relevant fiscal year by giving 30 days’ written notice, subject to the agreement and any product-specific addendum.

The customer remains responsible for amounts incurred before termination. The clause is not a promise that all equipment, services, or discounts become free to return. A Safe City Program Addendum can require reimbursement of discounts after a non-appropriation termination under its stated calculation.
The 2026 terms update
In a September 29, 2026 article, Flock Safety Chief Legal Officer Dan Haley said the company removed prior language that restricted non-appropriation based on discretionary budget decisions or treated the provision as a termination-for-convenience right. That update explains a change in the online terms; it does not amend a separate signed agreement unless that agreement incorporates the updated online language.
Check the fiscal-year definition, the appropriation condition, the notice recipient, and every reimbursement formula in the documents governing your purchase. A budget reduction, grant ending, or council vote may have different contractual consequences depending on the wording and the customer’s legal status.

How to cancel a Flock Safety contract step by step
- Identify the contracting entity. Use the exact legal name on the agreement and Order Form. A department, city, county, school district, business subsidiary, or association may not be interchangeable with the entity that signed.
- Build the document set. Include the executed agreement, Order Forms, amendments, renewal correspondence, product addenda, state provisions, and any incorporated policies. Save dated copies rather than relying on a live web page.
- Mark the current term. Record the service start date, expiration date, renewal duration, and any automatic-renewal trigger. List separate end dates if different Order Forms run on different schedules.
- Choose the contractual route. Decide whether you are giving ordinary non-renewal notice, invoking an early-termination ground, using a non-appropriation clause, or asking for a negotiated release. Do not combine unrelated grounds in a way that creates ambiguity.
- Calculate the delivery deadline. Apply the exact notice period and receipt rule. Allow extra time for weekends, holidays, courier delays, internal approvals, and a rejected email address.
- Obtain authority to sign. Follow the agreement, procurement code, board resolution, delegation, or internal policy governing who may issue a binding notice.
- Draft a precise notice. Identify the customer, agreement and Order Form numbers, the requested effective date, the contractual basis, and the services or locations covered. State whether the notice is non-renewal or early termination.
- Send it through the required channel. Use the address and method specified by the controlling agreement. If the agreement allows more than one method, use a method that creates reliable proof of delivery and keep the transmission record.
- Confirm receipt in writing. Ask Flock to acknowledge the notice, confirm the effective date, identify the final invoice, and state any closeout actions. An acknowledgment is useful evidence, but it does not replace the original contractual deadline.
- Complete closeout. Reconcile charges, arrange hardware removal, restrict or end user access on the agreed date, and document data handling and retention. Keep the complete file under your organization’s records policy.
What the notice should contain
A cancellation letter should be specific enough that the recipient cannot confuse it with a service question or a request for pricing. Include:
- The customer’s full legal name and notice sender’s title.
- The agreement date, Order Form number, service locations, and covered products.
- A statement that the customer is electing non-renewal or exercising a specified termination right.
- The requested effective date, calculated under the agreement.
- The clause or contractual basis, when the notice relies on a particular right or default.
- A request for written confirmation of receipt and the effective end date.
- Questions about the final amount, hardware, user accounts, data, and any continuing obligations.
Do not claim that the contract permits termination for convenience unless you have located that language. If the notice concerns non-appropriation, identify the fiscal year, the appropriation decision, and the governing provision without suggesting that a general budget preference automatically qualifies.
Delivery and receipt rules
Under the current online terms, notices are sent to the email or mailing address shown in the Order Form. The terms describe different effective-receipt rules:
| Delivery method | When the online terms describe notice as effective | Evidence to retain |
|---|---|---|
| Personal delivery | When received | Signed delivery record or contemporaneous receipt |
| When electronically confirmed | Sent message, confirmation, response, and message headers if available | |
| Next-day courier | The following day | Waybill, tracking history, and delivery confirmation |
| Certified or registered mail | On receipt | Receipt, tracking record, and signed or electronic delivery record |
These rules describe the current online terms, not every Flock agreement. A standalone contract may name a different address, require a particular officer, or define receipt differently. If the Order Form contains both an email and a mailing address, read the notice clause to determine whether one or both are required. When the deadline is important, use the agreement’s required method and a second reliable method only as a backup, not as a substitute for compliance.
How to document the cancellation
Good documentation proves what right you used, when notice was due, what you sent, and what remained after service ended. Create a cancellation file containing:
- The signed agreement, Order Form, amendments, renewal records, and applicable addenda.
- A one-page date calculation showing the term end, notice deadline, delivery method, and intended effective date.
- The final notice in its original sent format, including attachments.
- Delivery evidence required by the agreement, such as electronic confirmation, courier tracking, or a signed mail receipt.
- Internal approval records and evidence that the signer had authority.
- Flock’s written acknowledgment and any disagreement about the date or contractual basis.
- Final invoices, credits, taxes, equipment charges, and proof of payment or dispute.
- Records of hardware pickup, return instructions, serial numbers, and site access.
- Written confirmation of account closure, data handling, retention, and the date user access ends.
This is a practical recordkeeping approach, not a statement that every item is a contractual condition. The agreement controls which documents are legally required.
Closeout: hardware, data, and access
The current online terms state that Flock will remove applicable Flock Hardware within a commercially reasonable time after termination or expiration. Ask for a schedule, identify the equipment covered, and record the condition and custody of each item. Do not disconnect or ship equipment on your own unless the contract or Flock’s written instructions require it.

Flock Safety’s current general materials do not establish one universal data-export deadline or post-termination access period. Confirm those matters in the governing agreement and relevant product provisions. Before the end date, ask in writing:
- What data can be exported, in what format, and by what date?
- When will administrator and ordinary-user access stop?
- How long will logs, images, account records, and backups be retained?
- What deletion or return certification is available?
- Which integrations, alerts, or shared credentials must your organization disable?
Coordinate the technical shutdown with the contractual date. Ending a subscription does not necessarily erase data immediately, and retaining access after the agreed end date may create security or billing issues.

Common mistakes that create disputes
Using a generic 30-day cancellation letter
Thirty days appears in specific clauses, but it is not a universal deadline. It may be a cure period, a public-sector non-appropriation notice period, or an example in an individual agreement. Use it only when the controlling clause says it applies.
Relying on a web-page update without checking incorporation
The online terms page can change, while a signed agreement may point to a dated version or contain its own terms. Save the incorporated version and determine whether the contract permits updates to apply.
Calling non-renewal an early termination
A notice that says both you are ending service immediately and you are declining renewal can create uncertainty about the requested date and contractual basis. State the route and date clearly, or send separate notices when the agreement requires different procedures.
Sending notice to a sales contact
A salesperson may acknowledge your message without being the contractual notice recipient. Send the formal notice to the address and method in the agreement, then copy operational contacts as a courtesy.

Failing to preserve receipt evidence
A sent email or postal receipt may not prove contractual receipt. Keep confirmation, tracking, and any response, and allow enough time to resend through a permitted method if delivery fails.
When professional review is sensible
Consider qualified legal or procurement review when the contract value is material, the agreement is public-sector, multiple Order Forms have different dates, you are alleging default, equipment discounts may be recaptured, or the vendor disputes your effective date. A reviewer can compare the signed language, incorporated terms, state provisions, procurement rules, and fiscal-year requirements. This guide cannot determine rights under an agreement that has not been examined.
Practical answer to the key questions
How do I cancel my Flock Safety contract?
Locate the executed agreement and all Order Forms, identify the term and the applicable cancellation route, draft a notice naming the contract and effective date, deliver it exactly as required, and retain proof of receipt. If you need to end service before expiration, identify the specific contractual ground or negotiate a written release.
Recommended Free Tools
How much notice do I need to give Flock Safety?
The answer is in the controlling agreement’s renewal or termination clause. The current general online terms do not provide one ordinary non-renewal period for every customer. They do contain a 30-day cure period for a material default and a 30-day non-appropriation notice route for qualifying public-fund customers, subject to the applicable documents.
Does my Flock contract automatically renew?
Only the agreement and Order Form can answer that for your account. Check whether renewal is automatic, the length of each renewal, the notice window, and whether separate orders renew on different dates.
How do I document a Flock Safety contract cancellation?
Keep the signed contract set, the date calculation, the formal notice, proof of delivery, authority records, written acknowledgment, final billing, hardware records, and written confirmation of data and access closeout.
