How to Calculate the True Cost per Desk at a Coworking Space

By Freedom251 Team · · 11 min read

The true cost of a coworking desk is the total cost attributable to a defined period divided by a clearly named number of desk-months. For capacity planning, use total workspace costs ÷ (available desks × months). For a membership quote, use all expected charges during the contract ÷ (contracted desks × contract months). Keep an occupancy-based result separate: the same fixed costs divided by fewer actually used desk-months will produce a higher cost.

Start with the right desk-cost question

“Cost per desk” can describe three different measures. Mixing them creates misleading comparisons, especially when one provider quotes a price per seat and another bundles rooms, services and shared space into a membership.

As an Amazon Associate I earn from qualifying purchases.

Measure Formula What it answers
Cost per available desk-month Total workspace costs for the period ÷ (available desks × months) What does it cost to maintain each desk of capacity?
Effective contracted desk cost Total expected charges over the agreement ÷ (contracted desks × contract months) What will the buyer actually pay for each contracted seat each month?
Cost per occupied desk-month Total workspace costs for the period ÷ occupied desk-months What does each desk actually used during the period cost?

Use available desks for operating and pricing decisions, contracted desks for comparing offers, and occupied desks for utilization analysis. Do not label a capacity figure “cost per employee” unless employees are genuinely the denominator.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If capacity changes during the period, calculate each month separately and add the monthly desk-month denominators. For example, 40 available desks for six months and 50 for six months equals 540 available desk-months, not 50 desks multiplied by 12.

What belongs in the true cost?

Ask for a written quote and classify every line as included, metered, optional or one-time. A low headline rate can become more expensive after excluded services and exit obligations are added.

Cost category What to check How to treat it
Base rent or membership Monthly rate, desk type, scheduled increases and minimum commitment Include for every month in the comparison period
CAM or service charges Whether common-area maintenance is separate, fixed or variable Include when separately billed; document escalation rules
Utilities and facility operations Electricity, water, HVAC, cleaning, repairs and building operations Include actual or contractually expected amounts
Taxes and insurance Whether the operator or occupier bears them Include only the portion borne by the party being modeled
Internet and IT Standard connectivity versus dedicated bandwidth, private networks, static IPs, phone service or enhanced security Separate mandatory charges from optional upgrades
Meeting rooms Included credits or hours, overage rate, expiry and rollover terms Estimate expected use and charge overages; do not assume unused credits have cash value
Refreshments and hospitality Per-person, per-desk or office billing and minimums Include if required for the intended service level
Furniture and fit-out Desks, chairs, partitions, cabling, branding and reconfiguration Amortize one-time capital over a stated period
Deposit and advance payment Amount, refund conditions, deductions and timing Show as cash committed; do not treat a refundable deposit as a permanent expense without explanation
Exit and reinstatement Notice, restoration, “make good” work and removal charges Allocate the expected amount to the contract or planning period

Office Freedom’s guidance highlights meeting-room overages, specialist connectivity, hospitality, furniture changes, deposits and reinstatement as quote items that can change the apparent price. They are verification points, not fees charged by every workspace.

Choose a period before you calculate

Use the same time horizon for every option. A month is convenient for a current operating view, while a 12-, 24- or 36-month horizon is more appropriate for a contract decision that includes setup and exit costs.

Monthly operating view

Include recurring rent, service charges, utilities, cleaning, IT and other costs expected in that month. If a one-time cost supports several months, add its monthly amortization rather than assigning the entire payment to the first month.

Contract-term view

Sum every expected charge from signing through expiration: deposits and advances, setup, recurring payments, scheduled increases, room or connectivity overages, customization and exit costs. Divide that total by contracted desks and contract months.

Cash-flow or present-value view

Keep the timing of deposits, upfront fit-out, rent-free periods and later reinstatement visible. Add financing or opportunity cost only when you are intentionally building a cash-flow or present-value model. State the discount rate and payment dates; do not silently turn a cash-flow assumption into an operating expense.

Step-by-step calculation

  1. Define the scope. Write down the site, currency, start and end dates, desk type, whether shared desks count, and whether the analysis is for an operator, buyer or observed utilization.
  2. Build the cost ledger. Request the quote, lease or internal budget in writing. Put each line into recurring, metered, optional, one-time, refundable or exit categories.
  3. Separate included services from usage allowances. Record the number of meeting-room hours or credits, what happens after they are used, and whether credits expire or roll over. Do the same for printing, phone service, storage, guest access and connectivity tiers when relevant.
  4. Estimate variable use. Use a realistic expected volume for room bookings, dedicated bandwidth, hospitality or other metered services. If usage is uncertain, create low, expected and high cases instead of hiding the uncertainty in one number.
  5. Amortize one-time costs. Divide fit-out, furniture, cabling, setup and reconfiguration by the stated useful life or contract period. State the residual-value assumption. For instance, ₹24,000 of furniture amortized over 24 months contributes ₹1,000 per month; if it can be reused afterward, show that residual value rather than assuming it is worthless.
  6. Handle deposits separately. Include the amount in a cash-required schedule and note when it is expected back. Include only non-refundable portions, expected deductions or the modeled financing cost in a permanent-cost calculation.
  7. Choose the denominator. Use available desk-months for capacity, contracted desk-months for a buyer’s quote, and occupied desk-months for actual-use reporting. Record the count and definition beside the result.
  8. Calculate the result. Add costs for the selected period, divide by the matching desk-month denominator, and retain the unrounded total in your spreadsheet.
  9. Normalize competing offers. Recalculate every quote for the same desk count, period, services, taxes, payment timing and exit assumptions. A headline monthly rate is not comparable until those inputs match.
  10. Run sensitivity cases. Change occupancy, room usage, escalation, contract length and exit cost. Report which assumption moves the result most.

Worked operator example

Suppose a 12-month operating plan has 20 available desks. Monthly recurring workspace costs are:

Item Monthly amount
Rent and service charges $9,000
Utilities, cleaning and repairs $1,400
Internet and IT operations $600
Insurance and taxes borne by the operator $1,000
Furniture amortization $1,000
Total $13,000

The available capacity is 20 desks × 12 months = 240 available desk-months. The capacity cost is therefore $13,000 × 12 ÷ 240, or $650 per available desk-month. The $1,000 furniture line is an amortized contribution, not a claim that $1,000 of furniture was purchased each month.

If average use is 15 desks, occupied desk-months are 15 × 12 = 180. The use-adjusted result is $156,000 ÷ 180 = $866.67 per occupied desk-month. Both figures are correct because they answer different questions: maintaining 20 seats costs $650 per available seat-month, while the observed use of 15 seats spreads the same cost over fewer used desk-months.

Worked buyer example for a membership quote

Assume a 12-month agreement for eight dedicated desks. The provider charges $5,600 per month, a one-time setup fee of $2,400, and a $5,600 refundable deposit. Expected meeting-room overages total $1,200 over the year, and a required reconfiguration at exit is estimated at $800.

Charge 12-month treatment
Recurring membership $5,600 × 12 = $67,200
Setup $2,400
Meeting-room overages $1,200
Exit reconfiguration $800
Refundable deposit $5,600 cash committed, shown separately
Total economic cost before deposit $71,600

Contracted desk-months are eight desks × 12 months = 96. The effective contracted cost is $71,600 ÷ 96 = $745.83 per desk-month. Required cash at signing may be higher because the refundable deposit is due, but the deposit is not included in the economic-cost numerator unless it is forfeited, deducted or assigned a financing cost.

How to allocate shared space and building costs

Desk count is not the only allocation method. If a landlord or operator allocates costs by area, define the area consistently: usable or rentable square feet, and whether corridors, reception, meeting rooms, kitchens and other common spaces are included.

Leadership Answers describes allocating monthly occupancy costs by usable area, then applying the resulting rate to an individual space. CoworkingResources likewise warns that inconsistent area definitions distort comparisons. Do not allocate one option using rentable area and another using usable area without showing the difference.

Area-based allocation

Calculate the monthly cost per square foot by dividing attributable occupancy costs by the selected area. Multiply that rate by the area assigned to the desk, office or team zone. This is useful when desks have different footprints or when private rooms consume materially more space than open seating.

Desk-based allocation

Divide shared costs by available or contracted desks when the workspace is designed and priced around seats. State whether meeting rooms and support areas are embedded in the desk count or allocated separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Hybrid allocation

Allocate rent by area, then allocate desk-level services such as furniture, connectivity or access control by desk. Keep the two layers visible so a change in density does not appear to change the building’s rent.

Comparing coworking with a conventional office lease

Model both choices over the same period, with the same headcount or desk requirement and the same service expectations. Savills Singapore summarizes the method this way: “Model both scenarios over the same period, on a total cost of occupancy basis, and reduce each to a single effective cost per desk per month.”

Cost or assumption Coworking model Conventional lease model
Occupancy payment All-in desk or office rate, including separately billed CAM and services Base rent, service charges and rent step-ups over the lease term
Fit-out and furniture Setup, customization, cabling and furniture changes Fit-out capital, furniture, professional fees and IT installation
Operating costs Utilities, cleaning, support and connectivity not included in the rate Utilities, janitorial service, repairs, security, taxes and insurance retained by the occupier
Concessions Free periods or included services stated in the membership Rent-free periods and landlord contributions deducted from total occupancy cost
Exit Notice, removal, customization reversal and reinstatement charges Lease break costs, restoration and make-good obligations
Capacity assumption Contracted desks, desk sharing and included common space Usable area, planned density and any unassigned capacity

For a multi-year decision, preserve payment timing. A lease may require a large fit-out payment at the beginning and reinstatement at the end, while coworking may spread setup through a service rate. A simple total can be enough for a stable cash-budget comparison; a present-value model is more appropriate when timing materially affects the decision.

Dated India model: use it as an example, not a benchmark

A CBRE-prepared report for Smartworks gives a hypothetical Tier I city flexible-workspace model in INR, with assumptions stated as of 31 March 2025. It is geographically bounded and not a present-day quote or global average.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Model assumption Value
Fit-out cost ₹2,400 per sq. ft. of leasable area
Rent ₹102 per sq. ft. per month
CAM ₹13 per sq. ft. per month
Operating expenses ₹35 per sq. ft. per month
Stabilized occupancy 85%
Average seat density 60 sq. ft. per seat on leasable area
Rent-free period Five months
Other modeling features Periodic cost and revenue escalations

To use those assumptions responsibly, keep the currency, unit, date, hypothetical status, occupancy, density and rent-free period attached to every calculation. Do not turn the ₹2,400 fit-out or ₹102 rent assumption into a market-wide desk price without modeling the actual building, contract and utilization.

Occupancy, utilization and the denominator trap

Occupancy is not a universal profitability threshold. CoworkingResources.org notes that area mix and business model affect the relationship between occupancy and profit, and recommends tracking both space occupancy and workstation occupancy. Its reference to 80–85% profitability experience is operator experience from that guide, not a rule that applies to every workspace.

Space occupancy

Space occupancy measures the portion of the available area that is leased or revenue-generating. It is useful for property and portfolio planning, but it may conceal empty desks inside a leased suite.

Workstation occupancy

Workstation occupancy measures desks sold, reserved or used against workstation capacity. Define whether “occupied” means contracted, booked or physically used; those are different events.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why lower utilization raises unit cost

Most rent and facility costs are fixed for the short term. If monthly costs are $13,000, the cost is $650 at 20 used desks, $812.50 at 16 used desks and $1,300 at 10 used desks. The numerator did not change; the occupied desk-month denominator did.

Use a representative period rather than one busy day. A daily snapshot can overstate demand because of events, part-time attendance or end-of-month booking patterns. A desk-booking or workplace-utilization system can help collect the data, but the software cost belongs in the model if it is required for the operating plan.

Quote-comparison checklist

  • Confirm the legal entity, location, currency, tax treatment and quote validity date.
  • Record contracted desk count, desk type, private versus shared access and any minimum seat commitment.
  • Ask whether CAM, utilities, cleaning, repairs, taxes and insurance are included or billed separately.
  • List internet speed, dedicated bandwidth, private network, static IP, phone and security options.
  • Write down meeting-room credits, overage prices, expiry and rollover rules.
  • Check refreshments, hospitality, printing, storage, guest access and after-hours charges.
  • Identify every setup, furniture, cabling, branding, partition and reconfiguration fee.
  • Document deposit amount, payment date, refund conditions and permitted deductions.
  • Ask for notice, early-termination, removal, reinstatement and make-good obligations.
  • Normalize all offers to the same desk count and term before ranking them.
  • Show available, contracted and occupied desk calculations separately when utilization matters.

Common mistakes and how to correct them

Using the advertised rate as the total cost

Problem: The rate excludes rooms, connectivity, setup or exit work.
Correction: Rebuild the numerator from the written quote and an expected-use schedule.

Spreading a refundable deposit across the term as an expense

Problem: Cash required and economic cost are conflated.
Correction: Show the deposit in a cash schedule; include only forfeiture, deductions or explicitly modeled financing cost in permanent expense.

Putting all fit-out cost in month one

Problem: A long-lived asset makes the first month look artificially expensive.
Correction: Amortize over the useful or contract period and disclose residual value.

Comparing different periods

Problem: A one-month promotion is compared with a three-year lease burdened by fit-out.
Correction: Use the same horizon and include all concessions, escalations and exit costs.

Calling available capacity a cost per employee

Problem: Empty desks disappear from the denominator even though their costs remain.
Correction: Report capacity cost and occupied-use cost as separate metrics.

Mixing area definitions

Problem: Rentable area in one scenario is compared with usable area in another.
Correction: Define included common spaces once and apply that definition consistently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assuming a published occupancy percentage guarantees profit

Problem: Density, room mix, pricing and service costs differ by operator.
Correction: Use the percentage as a scenario input and test the actual cost structure.

Make the result auditable

Keep a calculation sheet with one row per charge and these columns: description, amount, frequency, included or extra status, tax treatment, start date, end date, payment timing, recurring or one-time classification, amortization period, residual value, source document and notes. Add a denominator sheet that records available, contracted and occupied desks by month.

Present the final output in a compact form:

  • Period: exact start and end dates.
  • Numerator: total included costs and excluded cash items.
  • Denominator: available, contracted or occupied desk-months, with the desk definition.
  • Result: effective cost per desk-month, rounded only for display.
  • Sensitivities: occupancy, room usage, escalation, contract length and exit cost.
  • Qualifications: currency, geography, tax assumptions, deposit recovery and residual-value treatment.

This format lets an operator see whether capacity is being underused, a buyer see what a membership really costs, and a workplace manager compare coworking with a lease without hiding obligations in a headline rate.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
