How to Calculate the GST Refund Amount Your Business Can Claim

There is no single GST-refund formula that works everywhere. In most GST systems, you first total eligible GST on business purchases (input tax), subtract or reconcile it against GST charged on sales (output tax), and then apply local adjustments. A positive balance may be paid in cash, carried forward, offset against other liabilities, or require a separate refund application.

Start by identifying your country, registration status, reporting period and the type of refund you mean. The calculation, invoice rules, deadlines and claim channel differ between jurisdictions; the Australian “divide by 11” shortcut, for example, applies only to a GST-inclusive amount in Australia’s 10% GST system.

What “GST refund” can mean

Businesses commonly use “GST refund” for two different outcomes:

1. A credit on a regular GST return

You report GST collected from customers and eligible GST paid or payable on purchases. If allowable input tax exceeds output tax and other return adjustments, the return may show a net credit. Local law determines whether that credit is refunded, carried to a later period or used to offset another tax debt.

2. A separate refund application

Some claims sit outside the ordinary return—for example, particular export or zero-rated transactions, overpayments, or import-tax corrections. These often require a prescribed form, evidence and a different approval process. India’s electronic FORM GST RFD-01 process and Singapore’s Customs route for an incorrect importer name or UEN are examples of separate pathways.

Do not treat an excess of purchase tax over sales tax as an automatic cash payment. Confirm the rules for your jurisdiction and the specific category of claim.

The basic calculation

Use this as a planning framework, not as a universal filing formula:

Potential net GST credit = eligible input GST − output GST payable ± jurisdiction-specific adjustments.

  • Eligible input GST: GST actually paid or payable on qualifying business purchases, after business-use apportionment and expense restrictions.
  • Output GST payable: GST due on taxable sales for the period, including any required corrections.
  • Adjustments: Local rules may require changes for credit notes, bad debts, imports, private use, capital assets, prior-period errors, special schemes or other items.

The result is an estimate of the return balance. It is not, by itself, proof that a cash refund is available.

Information to gather before you calculate

  • Jurisdiction and tax type: Confirm the country (and, where relevant, province, state or territory), GST/HST registration and whether the claim is for a normal return or a special refund.
  • Reporting period: Use only transactions belonging to the return period under your local timing rules.
  • Tax rates and tax-inclusive prices: Separate the tax component from gross amounts; an invoice total is not automatically all GST.
  • Purchase evidence: Keep invoices, import documents, credit notes, proof of payment and calculations supporting mixed-use allocations.
  • Business-use percentage: Identify the portion consumed, used or supplied in commercial activity. Private or exempt use may be blocked or require an apportionment.
  • Restricted categories: Check special treatment for vehicles, entertainment, meals, employee benefits, financial services, capital assets, imports and other categories in your system.
  • Output records: Reconcile sales invoices, point-of-sale reports, credit notes and tax collected.

Step-by-step method for estimating the claim

  1. Identify the claim route. Write down the country, GST registration number, reporting period and whether you are filing the ordinary return or a separate refund application. The same purchase can be reported differently for an operating business, importer, exporter or nonresident.
  2. List every purchase and expense with tax evidence. Record the supplier, invoice date, taxable base, GST amount, currency, import status and business purpose. Use the tax amount stated on a valid document where available; do not infer GST from a gross total unless your jurisdiction permits that calculation.
  3. Remove non-creditable amounts. Exclude purchases with no eligible business purpose, amounts relating to exempt activity where credit is denied, and categories restricted by local law. If a purchase is partly private, retain only the creditable share.
  4. Apportion mixed-use purchases. Apply a reasonable, documented method—such as business-use percentage, floor area, mileage or time—when an asset or service serves both business and private purposes. Australian law, for example, reduces the credit for an acquisition that is only partly creditable; Canada’s guidance limits input tax credits to commercial activity use.
  5. Total eligible input GST. Add the allowable tax amounts after apportionment and category adjustments. Keep a reconciliation from the ledger total to the amount entered on the return.
  6. Calculate output GST payable. Total GST charged or otherwise payable on taxable sales, then apply required corrections for returns, discounts, bad debts or other local adjustments.
  7. Apply return adjustments. Include imports, reverse-charge mechanisms, capital-asset adjustments, prior-period corrections and special accounting methods only as your authority requires. Do not add an adjustment merely because it appears in another country’s return.
  8. Reconcile the difference. Compare allowable input tax with output tax and the adjustments. A positive difference indicates a possible credit; a negative difference generally indicates tax payable.
  9. Check the payment outcome. Read the return instructions to see whether a credit is refunded automatically, carried forward, offset against liabilities or released only after a separate application or review.
  10. File through the prescribed channel and retain records. Submit the correct electronic or paper return/application by the local deadline and keep the supporting records for the statutory retention period.

How business use changes the amount

GST recovery generally follows the extent to which a purchase supports taxable or commercial activity. A wholly qualifying business purchase may be fully creditable in some systems; a mixed-use purchase is normally limited to its business portion.

For example, if an invoice shows GST of 1,000 and your documented commercial-use allocation is 70%, the starting credit is 700 before any category restriction or adjustment. This is an illustrative allocation, not a jurisdiction-wide rule. Your authority may prescribe a different method or require an annual true-up.

Canada Revenue Agency guidance states that an input tax credit is available only to the extent a purchase is for consumption, use or supply in commercial activities. See CRA’s input tax credit guidance. Australian legislation similarly reduces an input credit where an acquisition is only partly creditable; the relevant provisions are in the A New Tax System (Goods and Services Tax) Act 1999.

Separating GST from a tax-inclusive price: Australia example

The Australian Government’s small-business guidance says that, where a GST-inclusive total does not separately state GST, divide the total by 11 to find the GST component. Its example is:

Item Calculation Result
GST-inclusive purchase AUD 352 ÷ 11 AUD 32 GST
Non-GST component AUD 352 − AUD 32 AUD 320

In that Australian 10% GST context, AUD 32 is the tax paid in the example and may be the input-credit amount if the purchase is otherwise creditable and properly documented. The formula is not valid for a different GST rate or country. The same Australian guidance says a valid tax invoice is required for purchases over AUD 82.50; that threshold is Australian-specific and must not be transplanted to another jurisdiction. See Calculating GST on purchases.

Australian legislation describes the general credit amount this way: “The amount of the input tax credit for a creditable acquisition is an amount equal to the GST payable on the supply of the thing acquired.” The Act also provides for a reduction where the acquisition is only partly creditable. Read the current text at the Australian Government legislation site.

How four GST systems handle the calculation

Jurisdiction How the amount is generally recovered Key caution
Canada GST/HST on eligible purchases and expenses is generally recovered as input tax credits on the GST/HST return. Commercial-use limits, expense-specific restrictions and regular or simplified calculation methods can change the result. See CRA input tax credits and CRA calculation methods.
Australia A credit generally corresponds to GST payable on a creditable acquisition, reduced for partly creditable use and other statutory rules. Creditable purpose, consideration, tax-invoice evidence and Australian thresholds apply. A GST-inclusive amount in the 10% system can use total ÷ 11.
India Many refunds are claimed electronically using FORM GST RFD-01 under the Central Board of Indirect Taxes and Customs rules. Exports and supplies to Special Economic Zones have additional sequencing and evidence conditions. This is a refund application route, not a universal subtraction of input credits. See CBIC Refund Rules.
Singapore Taxable importers generally claim import GST as input tax in the company GST return. Singapore Customs identifies an exception where the wrong importer name or Unique Entity Number appears; that situation can require a Customs refund application. See Singapore Customs: Refund of Duties and GST.

Canada: choose the correct input-tax-credit method

For a Canadian GST/HST registrant, begin with GST/HST shown on eligible purchase and expense records, then limit the amount to commercial activity use and apply restrictions for the expense category. The CRA provides regular and simplified approaches; a shortcut based only on an invoice total or a single rate can produce the wrong claim.

Follow the CRA’s method guidance for the business’s reporting situation, retain the required documentary evidence and enter the resulting input tax credits on the GST/HST return. The CRA explains the eligibility framework at Input tax credits and the alternatives at Calculate input tax credits – Methods.

India: distinguish return credits from refund applications

India’s CBIC refund rules cover an electronic FORM GST RFD-01 route for many refund claims. Export and Special Economic Zone cases can require particular evidence, tax-payment sequencing and supporting statements. Calculate the eligible amount under the relevant category, then follow the form and documentation requirements rather than treating the claim as an ordinary input-minus-output calculation.

Singapore: import GST and the importer details

For a taxable Singapore business, import GST is generally claimed as input tax in the company GST return when the import and documentation meet the applicable conditions. If customs documentation names the wrong importer or Unique Entity Number, Singapore Customs identifies a separate refund process rather than simply correcting the GST return.

Check the transaction documents and the current Singapore Customs refund guidance before filing. Import GST should not be entered twice—once through Customs and again as an ordinary purchase credit.

A worked planning example (not a filing rule)

Assume a registered business’s records for one reporting period show:

  • Eligible input GST after documented business-use allocations: 8,400 currency units.
  • Output GST payable on taxable sales: 6,100 currency units.
  • Required return adjustments: 300 currency units payable.

The planning balance is 8,400 − 6,100 − 300 = 2,000 currency units in potential net credit. Whether 2,000 is paid, carried forward or offset depends entirely on the jurisdiction’s return rules. The figures are illustrative arithmetic, not an average refund or a claim guarantee.

Common errors and how to correct them

Using the Australian ÷11 shortcut everywhere

Why it fails: ÷11 extracts the GST component from an Australian 10% GST-inclusive price. It does not apply to another rate, a tax-exclusive price or another country.

Fix: Use the rate and tax-included formula prescribed by your authority, or rely on the tax amount shown on a compliant invoice.

Claiming the entire invoice as GST

Why it fails: A gross total includes the underlying goods or services. Only the eligible tax component is potentially creditable.

Fix: Separate taxable value and tax, then document any apportionment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring private or exempt use

Why it fails: Personal use and non-creditable activity can reduce or eliminate input tax recovery.

Fix: Apply a reasonable allocation method and retain the calculation and source records.

Submitting a normal return for a special refund

Why it fails: Export, SEZ, import-correction and overpayment claims may have different forms and evidence.

Fix: Identify the legal basis of the refund before choosing the filing channel.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Double-counting imports or credit notes

Why it fails: Import tax, supplier credits and prior-period corrections can appear in more than one ledger or period.

Fix: Reconcile the purchase register to customs records, supplier statements and the return before submission.

Assuming a positive balance guarantees cash

Why it fails: Authorities may carry the balance forward, offset liabilities, review the claim or require a separate application.

Fix: Read the payment and offset rules for the exact return and registration type.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Documentation and record controls

Keep a transaction-level schedule that ties each claimed amount to an invoice or import document. At minimum, capture:

  • Supplier or customs reference and invoice date.
  • Taxable value, GST rate and GST amount.
  • Currency and exchange-rate method where applicable.
  • Business-use percentage and allocation basis for mixed-use costs.
  • Reason for any restriction, adjustment or correction.
  • Link between the ledger total and the amount reported on the return or refund form.

Before filing, perform a three-way check: purchase records to the general ledger, ledger totals to the GST calculation, and the calculation to the return fields. Retain records for the period required by your tax authority.

A practical decision checklist

  1. Have you identified the country and the exact GST/HST regime?
  2. Is this an ordinary return credit or a special refund application?
  3. Was the business registered for the relevant period?
  4. Do you have compliant invoices or import evidence?
  5. Did you separate GST from tax-inclusive totals correctly?
  6. Did you remove private, exempt and restricted expenses?
  7. Did you document mixed-use apportionment?
  8. Did you include output tax and every required adjustment once?
  9. Does the authority pay, carry forward or offset the resulting balance?
  10. Are you using the correct form, electronic portal and deadline?

If any answer is “no,” the number is not ready to file. Resolve the missing jurisdiction, evidence or allocation first, then recalculate using the authority’s current instructions.
