The dependable way to build an earnings calendar is to use each company’s investor-relations (IR) events page as the authority, then keep the date, call details, source link, certainty label and last-checked date in a spreadsheet or digital calendar. Third-party calendars are useful for finding candidates, but future dates can be estimates and schedules can move. Confirm important entries on the issuer’s IR page and check them again close to the event.
What an earnings calendar should do
An earnings calendar is more than a list of quarterly dates. A useful one tells you which reporting period a company is discussing, whether the date is estimated or issuer-scheduled, when the release is expected, when management’s call begins, which time zone applies, and where the original materials will appear. It also preserves what happened after the event so you can compare one reporting period with the next.

That structure prevents three common mistakes: treating a calendar-service estimate as a confirmed announcement, missing a conference call because only the release date was recorded, and losing the source needed to verify a date after it changes. The Nasdaq events and presentations page illustrates the useful pieces in one place: results events, releases or presentations, webcast access, reminders and an archive of past materials.

1. Define the companies and periods you will cover
Start with a watchlist
Write down every company you want to monitor before looking for dates. At minimum, include the company name, ticker and exchange. Decide whether the list is limited to current holdings or also includes peer companies, suppliers, competitors and other firms that can move the market around the same time.

- Holdings plus peers: useful for comparing a company’s results with the businesses investors use as benchmarks.
- Market-moving coverage: broader lists help identify periods when several large firms report together, but require more maintenance.
Choose the reporting periods
Specify whether you want every fiscal quarter, only the next reporting period, or a rolling 12-month history. Fiscal quarters do not always match calendar quarters, so store the issuer’s own label, such as “fiscal Q2 2027,” rather than converting it to a calendar-quarter name that could be misleading. If you track annual results, record the fiscal year end as well.
Decide what counts as an event
Some issuers list a results release and a later conference call as separate events. Keep them separate when the IR page does. A release is the point at which the numbers and accompanying statement become available; the call is a different deadline with its own time, webcast and preparation requirements. Combining both into one vague entry makes reminders ambiguous.
2. Find the date from the right source
Use the issuer’s IR page as the confirmation point
Search the company’s website for an IR section named “News and Events,” “Events and Presentations” or “Financial Results.” On that page, look for the reporting-period label, event date, release timing, call time, time zone, webcast and links to the release or presentation. Save the exact page URL in your record, not just the company’s IR home page.
The issuer page is the strongest evidence that a date has been scheduled. For example, Nasdaq’s individual event listing shows how a results entry can include the date and time, webcast, materials and an option to add a reminder. The same site advises visitors to sign up for email alerts when details of an upcoming event are not yet available.
Use third-party calendars for discovery
A calendar service can save time when you have a long watchlist. Treat its date as a lead until you find the issuer’s announcement. The service may use a different definition of “confirmed,” may update on a different schedule, or may display a forecast before the company publishes anything.
EarningsTracker describes its own method as combining issuer IR pages with SEC EDGAR and says its date becomes confirmed when the company files its earnings report. That is the service’s stated methodology, not a universal industry standard. Keep the service name and the issuer URL in separate fields so a forecast never replaces the primary source.

Record an unavailable date honestly
If an issuer has not announced a date, enter “not announced” or leave the date blank and set a follow-up reminder. Do not convert a third-party forecast into an official date merely because it appears in several calendars. You can retain the forecast in a separate “estimated date” field while the official-date field remains empty.

A spreadsheet is sufficient for most watchlists. Create one row per event, not one row per company, so a release and call can carry different times, links and statuses. The following columns cover the information you will need to verify, attend and archive an event.
| Column | What to enter | Why it matters |
|---|---|---|
| Company | Issuer’s legal or commonly used name | Prevents similarly named firms from being mixed. |
| Ticker | Ticker exactly as used on the relevant exchange | Makes filtering and duplicate checks easier. |
| Exchange | Primary exchange or market | Clarifies which listing the event belongs to. |
| Fiscal period | Issuer’s quarter and fiscal year | Fiscal calendars vary by company. |
| Event type | Results release, conference call, presentation or other IR event | Separates deadlines that occur on the same day. |
| Date | Announced date, with the calendar year | Supports sorting and reminder creation. |
| Release timing | Before market open, after market close or exact time when stated | Shows when the numbers are likely to become available. |
| Call time and time zone | Exact time plus zone supplied by the issuer | Avoids missed calls when participants are in different regions. |
| Webcast or event link | Direct issuer event URL | Provides one-click access at the deadline. |
| Materials link | Release, presentation or filing link when available | Lets you review the source documents later. |
| Date status | Estimated, issuer scheduled or reported/filed | Communicates certainty without hiding uncertainty. |
| Source URL | Page used to establish the entry | Allows another person—or you later—to recheck it. |
| Last checked | Date you last visited the source | Shows how fresh the entry is. |
| Outcome | Completed, postponed, cancelled or pending | Turns the calendar into a durable record. |
A practical row example
A row might contain “Example Holdings Ltd.,” its ticker and exchange, “fiscal Q3 2027,” “results release,” an issuer-announced date, “after market close,” a blank call-time field if none is listed, the direct event link, “issuer scheduled,” the source URL and the date you checked it. When the company later posts the release, change the status to “reported/filed,” add the materials link and mark the event completed. Do not overwrite the original source or silently change the fiscal period.
4. Label certainty so estimates cannot masquerade as facts
Estimated
Use this label when a date comes from a forecast, historical pattern or third-party calendar and the issuer has not published it. Keep the estimated date visibly distinct from an official date. If you show both in a user-facing view, name the columns “Estimated date” and “Issuer date.”
Issuer scheduled
Apply this label once the company’s IR page lists the event. Retain the page URL and last-checked date because a scheduled event can still be moved. If the page gives only a day but not a release time or call time, leave those fields as “not stated” rather than inferring a standard market convention.

Reported/filed
Use this after the release is available or the relevant filing has appeared, according to the rule you choose for your workflow. If you follow a service’s filing-based convention, document that convention in a note; do not imply that every calendar provider uses the same trigger.

Postponed or changed
Do not delete the former date when the issuer changes it. Keep the original value in a history or notes field, enter the new date, update the source-check date and add a reason only when the issuer supplies one. This creates an audit trail without presenting stale information as current.
5. Add release and call events to a digital calendar
- Create the release event. Use a title that includes the company, ticker and fiscal period, such as “Company — fiscal Q3 results release.” Enter the issuer’s stated date and release time. If only “before market open” or “after market close” is provided, put that wording in the event notes instead of inventing an hour.
- Create a separate call event. Add the conference-call date, exact start time and time zone when supplied. Paste the webcast or dial-in page into the location or description field.
- Paste verification details. Include the source URL, event type, certainty label and last-checked date in the notes. This means the calendar entry carries its own provenance when it is forwarded or viewed away from the spreadsheet.
- Set layered reminders. Choose a preparation reminder far enough ahead to review the prior release and a second alert shortly before the event. The exact lead time is a personal operating choice; the important point is to create reminders when entering the event rather than relying on memory.
- Use the issuer’s reminder option when available. Nasdaq’s event listings provide a direct calendar-reminder control, and its events page offers email-alert guidance when future details have not been posted. Those issuer alerts complement, rather than replace, your own record.
Handle time zones explicitly
Store the time zone exactly as shown by the issuer, then verify how your calendar displays it. A date without a zone is not enough for an international team: a call listed at 8:00 a.m. Eastern Time occurs at a different local time elsewhere, and daylight-saving changes can affect conversions. If the issuer does not state a zone, write “time zone not stated” and link to the source instead of guessing.
6. Build a repeatable spreadsheet workflow
Initial setup
- Create a “Watchlist” sheet with company, ticker, exchange and the fiscal periods you follow.
- Create an “Events” sheet using the columns in the data-model table.
- Use a controlled list for status values: estimated, issuer scheduled, reported/filed, postponed, cancelled and completed.
- Freeze the header row and enable filters so you can view one quarter, exchange, company or status at a time.
- Sort first by event date and then by event type, keeping release and call rows distinct.
Weekly maintenance
Review rows with an upcoming date, an estimated status or an old “last checked” value. Open the source URL, compare the fiscal period and time, and update only the fields that changed. If the page is unavailable, record that fact in notes and use another issuer page only when it is clearly the company’s own IR source.

For a large list, work in batches: review one exchange, sector or reporting week at a time. Filter for “estimated” to focus research on the least certain entries, then filter for events in the next seven or fourteen days to catch changes before they matter. A spreadsheet can be imported into a calendar, but preserve the source and status columns in the spreadsheet because many calendar views hide that context.
7. Recheck dates before relying on them
Future scheduling details are volatile. Revisit the issuer’s page when you first enter an event, again as the event approaches, and immediately before publishing a schedule or making a decision that depends on the timing. The closer the event, the more valuable the direct source becomes: a company may add a call time, change a webcast link or move the date after your original entry.
- Seven or more days out: confirm that the event still appears and that the fiscal period is correct.
- One to two days out: verify release timing, call time, time zone and webcast access.
- On the day: open the event page rather than relying solely on an old calendar notification.
- Afterward: replace “pending” with the appropriate completed or reported status and save the posted materials.
These checks are especially important for dates discovered through a third-party service. The service may be accurate, but the available evidence here does not establish comparative accuracy, update frequency or audited coverage for any provider.

8. Archive the result and its materials
Save the release
When the company posts results, add the direct release link and the posting date. Keep the original scheduled date in the event record so you can see whether the event occurred as planned.
Save presentations and webcasts
If the issuer supplies a presentation, webcast or transcript, link it from the completed event. Nasdaq’s events archive demonstrates why this is useful: past results remain associated with their materials, allowing a later review without searching the entire site again.
Record changes and outcomes
If the release and call happened at different times, close each event separately. If an event was postponed, retain the original row or history note and create the replacement date. This keeps the calendar useful as a historical dataset rather than a list that erases its own corrections.
9. What to compare when choosing a third-party calendar
Use a comparison checklist instead of assuming that a polished interface means better data. The available source descriptions show useful differences in sourcing and event presentation, but they do not prove that one service is more accurate than another.
| Criterion | Questions to ask | How to use the answer |
|---|---|---|
| Source transparency | Does the service identify issuer pages, filing records or another feed? | Prefer entries you can trace to an original source. |
| Estimate labels | Can you distinguish forecast, scheduled and completed dates? | Avoid presenting an estimate as an announcement. |
| Coverage | Which companies, exchanges and regions are included? | Check that your watchlist is actually supported. |
| Update practice | How often are dates refreshed, and are changes visible? | Use the issuer page for final verification. |
| Timing detail | Are pre-market, after-market and time-zone details shown? | Choose a service that exposes the timing you need. |
| Event materials | Are releases, presentations and webcasts linked? | Reduce the number of separate searches after publication. |
| Reminders and export | Can you set alerts or move events into your own calendar? | Match the service to your workflow, while retaining your source record. |
Do not treat a service’s “confirmed” badge as self-explanatory. Read its definition and retain your own certainty label. In the case of EarningsTracker, the stated filing-based confirmation approach is useful context, but it remains that service’s description rather than an industry-wide rule.
10. How to handle a date three weeks in advance
Three weeks before a reporting period, an official date may not exist. Start with the company’s IR page; if no event is listed, consult a third-party calendar only to obtain an estimate. Enter that estimate in its own field with the “estimated” label, set a follow-up reminder and leave the issuer-date field unfilled.
Best Value
When the issuer eventually posts an event, replace the blank official field with the announced date, keep the estimate for reference if it helps explain a change, and update the source URL and last-checked date. If no official date appears by the time the estimate is near, do not escalate the estimate to “scheduled.” Mark it as unresolved and check again later.
11. Troubleshoot the most common calendar failures
The third-party date and issuer date disagree
Keep both values temporarily, clearly labeled, and make the issuer’s page the authoritative current date. Note when you checked each source. Once the issuer confirms a date, retain the third-party value only as an estimate or historical note.
The issuer lists a day but no release time
Enter the date, set release timing to “not stated,” and create a day-level reminder. Do not infer before-open or after-close timing from the company’s previous quarters.
Recommended Free Tools
The release and call are listed together
Read the event description carefully. If it supplies two times or separate links, create two rows and two calendar entries. If only one combined time is provided, keep one event but identify exactly what the listed time represents in the notes.
The webcast link changes
Update the event link after checking the current IR page, and keep the page URL as the source. Avoid relying on a copied link from an old email or an archived calendar notification.
A date passes without materials
Mark the event as pending or changed rather than assuming the release occurred. Reopen the issuer’s event page, check for a revised date or newly posted release, and record the result of that check.
You need to publish a calendar for other people
Show the certainty label, source URL and last-checked date alongside every future event. Readers can then distinguish a company announcement from a forecast and decide how much reliance is appropriate.

This routine scales from a personal holdings list to a broader peer-monitoring calendar because it separates discovery, verification, scheduling and archiving. The separation is what keeps an attractive date list from becoming an unreliable one.
