How to Build an AI Meeting Prep Agent with Hindsight and Groq

Build the agent as two connected systems: Hindsight stores and retrieves durable contact memories, while Groq provides model inference in the documented integration pattern. Before each meeting, your application can retrieve relevant memories and turn them into a concise briefing. Hindsight and Groq do not, by themselves, provide a ready-made calendar or CRM connection in the sources cited here; those inputs need to be integrated and verified separately.

How do Hindsight and Groq work together?

Keep the responsibilities distinct. Hindsight is the memory layer: its Cloud documentation describes three operations—retain information in memory banks, recall relevant memories, and reflect on retrieved information. Groq is an inference provider that can generate responses in the Hindsight integration pattern. The official Hindsight chat-memory example describes Groq generating responses while Hindsight supplies persistent per-user memory. See the Hindsight Cloud introduction, the official Hindsight repository, and the Hindsight Groq integration guide for current implementation details.

That separation matters: memory is not just a larger prompt. Hindsight Academy puts it this way: “Agent memory is not a longer prompt. It is a separate place an agent stores what it learns, and reads from when it needs to.” The durable store can hold information across sessions; the prompt for a particular response should contain only the context needed for that task. Read Hindsight Academy’s explanation of agent memory.

What should the meeting-prep workflow do?

A practical design has three stages: capture useful facts after interactions, retrieve the relevant context before a meeting, then synthesize a brief. The following is an application pattern built around Hindsight’s documented memory operations, not a supplied calendar or CRM integration.

  • MAGSAFE COMPATIBLE FOR SEAMLESS USE: Easily attach Pocket to your iPhone or other MagSafe compatible devices for convenient, hands-free recording on the go. Perfect for capturing meetings, calls, and ideas without needing to hold your device.

1. Retain durable contact context

After an interaction, identify details likely to matter later: the contact’s role and stated preferences, decisions, open questions, and commitments made by either party. Retain concise facts with enough context to avoid turning a tentative suggestion into a firm commitment. Do not store every line of a transcript by default; noisy or irrelevant material makes future recall less useful.

Decide how your application will let people correct or remove stored information, and define access rules and retention periods before collecting sensitive contact details. The cited product materials establish memory operations, but do not establish a particular deletion, governance, or contact-bank policy for this design.

2. Recall context for the upcoming meeting

Before generating the prep document, query memory using the contact’s identity and the upcoming meeting’s subject or purpose. Retrieve a focused set of relevant facts rather than adding the entire conversation history to the model prompt. The application must reliably map a meeting attendee to the right identity; a calendar or CRM may be a future source for that mapping, but no specific integration is established by the cited materials.

3. Choose direct recall or reflection

Use direct recall when the application needs retrieved details presented with minimal transformation—for example, a list of prior commitments to verify. Use reflection when it needs a coherent answer or briefing synthesized from retrieved memories, such as “What should I know before this discussion?” Hindsight documents reflection as a synthesis-oriented operation over retrieved information; it is distinct from simply returning the recalled items. Choose based on the output you need, not an assumed speed or quality advantage.

4. Generate a grounded briefing with Groq

Pass the selected memories and the meeting context to the configured model provider, asking it to distinguish recorded facts from inferred suggestions. A useful brief can include the contact’s relevant preferences, previous decisions, unresolved items, and commitments to follow up on. Keep the prompt bounded and make the underlying memories inspectable in your application so a user can check a claim before relying on it.

How should you scope memory banks?

Hindsight describes memory banks as the place where information is retained. A bank per contact is one possible architecture choice, not a documented recommendation. It may make boundaries easier to reason about, but it also requires deliberate identity mapping, access isolation, and lifecycle management. A shared bank with contact identifiers is another possible design, but the application must prevent one contact’s information from leaking into another person’s brief.

  • Define the identity key used to associate an interaction and meeting with a contact.
  • Limit which users or services can read and write each person’s information.
  • Set a policy for correcting stale facts and removing information when it is no longer needed.
  • Test retrieval with similar names and overlapping organizations so context is not attributed to the wrong person.

These are application-level design responsibilities; the cited Hindsight material does not prescribe a contact-specific schema or guarantee a particular access-control or deletion behavior for this use case.

Should you use Hindsight Cloud or self-host?

Vectorize’s official materials describe both a managed Hindsight Cloud service and self-hosted server deployment. The right choice depends on who should operate the memory service, where the data may reside, and how much maintenance your team can take on. The cited sources do not establish a particular compliance posture, uptime, latency, or price, so check current official materials against your requirements.

Decision factor Hindsight Cloud Self-hosted Hindsight
Server operation and updates Managed service described in Hindsight Cloud documentation; verify the current division of operational responsibilities in the service terms. Your team operates and updates the server, using the repository’s documented Docker server approach.
Data environment Memory is held in the managed service environment; verify current data-location and handling details with Vectorize. You choose and administer the hosting environment, subject to your own infrastructure and security controls.
Setup and maintenance Less server administration is implied by a managed service, but current setup and maintenance details should be checked in the Cloud documentation. Requires deployment, monitoring, updates, and ongoing server maintenance by your team.
Pricing and feature availability Check current Hindsight Cloud materials; not stated here. Check current repository and deployment documentation for applicable costs and available features; not stated here.

For either option, assess identity and access controls, retention needs, and your organization’s security requirements before storing contact information. Hindsight’s repository also describes client libraries alongside its server approach; consult the live documentation for supported setup and configuration.

What should you verify before implementation?

  • Confirm the current Groq provider and model configuration in the official integration documentation; provider defaults can change.
  • Keep provider credentials on the server side rather than exposing them in a browser or client application.
  • Verify the current Cloud feature set, pricing, and data-handling terms before selecting a deployment.
  • Build and test any calendar, CRM, contact-directory, or transcript ingestion separately; the cited sources do not establish those integrations.
  • Make the source of each remembered fact clear in the product experience, and give users a way to flag or correct errors through your application’s own controls.

Vectorize’s product page reports a 94.6% result on LongMemEval and describes it as peer-reviewed and independently reproducible. That is a vendor-published claim; the cited material here does not provide the test configuration, baseline, or publication details needed to treat it as a general comparative result. Check the underlying benchmark context before using the figure to compare systems: Vectorize product page.
