How to Build an Agile Workflow in Wrike: Boards, Backlogs, and Sprints

To use Wrike for agile work, start with a space or project for the team, choose whether work will move continuously or in time-boxed sprints, and set up a Board view whose columns reflect the team’s actual statuses. For sprint planning, keep intake, backlog, current sprint, and completed work distinct; select backlog items deliberately rather than assuming dates will route them into a sprint automatically.

Choose continuous flow or sprints

Wrike’s Board view groups work by status, and moving an item between columns changes its status. That makes it useful for visualizing a workflow, but the board itself does not determine the team’s agile method. The team must decide how work enters the process and when it is considered ready to start.

Decision Continuous flow Sprint-based work
How work is selected Pull the next ready item when capacity opens. Select a planned set of backlog items for a defined sprint.
How to organize the board Use status columns for the ongoing workflow. Use status columns and a separate sprint container, project, or location.
What to review Blocked or aging work and movement through statuses. Sprint scope, completed work, effort estimates, and changes after the sprint starts.
Wrike reporting option Board visibility into status and work in progress. Sprint Overview and Agile Velocity analytics templates, subject to plan availability.

These are ways to organize work in Wrike, not modes the software enforces. A team can adapt the structures to its process.

Use continuous flow when priorities change as work progresses

Create a status-based board that makes the team’s current work and next actions visible. A simple example is Ready, In Progress, Review, and Done. Treat those names as a starting point, not required Wrike statuses. Add a status only when it represents a meaningful state that helps the team decide what to do next.

  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Use sprints when the team plans a bounded set of work

Keep new requests separate from the unprioritized backlog, and keep both separate from the current sprint. A Wrike community example uses intake, backlog, current sprint, and completed-sprint locations, alongside a sprint workflow and dashboards. This is one workable pattern, not a required template or product hierarchy.

Configure statuses and access

Wrike workflows describe an item’s lifecycle through statuses. Its documentation distinguishes default workflows from custom workflows, and describes account-wide and space-level workflows. Creating or editing a custom workflow depends on administrator permissions and the account’s plan entitlement. Wrike documentation has used differing plan labels across pages, so check the current entitlement and your role in the account before building a process around a custom workflow.

Keep the workflow legible. Distinguish active work from completed work, and avoid statuses that do not prompt a clear action. A team’s board is easier to use when each column answers a practical question: is this ready, underway, awaiting review, or finished?

Set up the board and make intake visible

  1. Open the team’s space or project and choose Board view. Use a location that gives the relevant team a clear home for its work.
  2. Arrange the status columns in workflow order. Use the statuses that match the team’s process rather than treating columns as generic categories.
  3. Define where new requests enter. For sprint work, make intake distinct from the backlog so untriaged requests are not mistaken for prioritized, ready work.
  4. Move selected work into the current sprint deliberately. Assign the sprint location or project as part of planning, then use the board to track status as work progresses.

A common question is how to create a backlog and move tasks up from it every week. The practical approach is to review the backlog during planning, select the items the team is ready to take on, and place those items in the current sprint. Do not assume a date field will automatically assign them to the right sprint.

What about automatic routing to “Week 25” or “Week 26”?

A Wrike community reply dated October 8, 2025 said that, at that time, project-level custom item types could be used to create sprint items automatically, but backlog items could not be routed to particular sprints based on dates. The reply suggested Wrike Integrate might provide flexibility; it did not confirm a specific working automation. Because this is dated community guidance rather than a current guarantee, verify the behavior in your account before designing around it.

Plan, run, and review a sprint

At planning

  • Write down the sprint goal so the selected work has a shared purpose.
  • Choose ready items from the backlog and place them in the current sprint.
  • Assign owners and clarify dependencies or acceptance expectations that could block delivery.
  • Record effort or story points only if the team uses a consistent definition. Estimates are team-defined, not an objective measure of task value.

During the sprint

Use the board and task updates to spot blocked or aging work and make its status visible. If new work is added after the sprint begins, record that change rather than treating the final scope as if it had never shifted.

At review and retrospective

Compare what the team planned with what it completed, note work carried over, and record why scope changed or items remained unfinished. This gives the next planning discussion concrete context without implying that Wrike prescribes a universal ceremony schedule or estimation method.

Use analytics when the account includes them

Wrike’s analytics-template documentation describes two sprint-oriented templates. Sprint Overview includes measures for sprint scope, percentage of tasks completed, tracked hours, effort or story-point progress, tasks added after the sprint started, and burnup or burndown. Agile Velocity summarizes completed sprints and average completed tasks, story points, and tracked hours per sprint. The documentation lists these templates as Pinnacle/Apex capabilities; confirm access in the current account because plan availability can change.

Use velocity as a planning aid for the same team over time, not as a cross-team productivity score. Compare estimates and completed work alongside scope changes, and remember that story points and effort values depend on the team’s own definitions. The available measures do not establish a universal performance benchmark.

Use Whiteboard only if visual planning helps

Wrike says a Whiteboard can be attached to a task for activities such as sprint planning, storyboarding, and prioritization. It is an optional visual aid, not a prerequisite for using Board view or workflows. Access requires a Wrike Whiteboard or eligible Klaxoon subscription/add-on; a standalone Klaxoon account also requires an integration enabled by support.
