How to Build a Trustworthy Online Presence for a Medical Practice

A trustworthy medical practice’s online presence rests on three things: accurate, useful information; privacy practices that match what the practice says; and clear boundaries for social media and public review responses. Audit the website, connected services, profiles, and staff workflows together—because a privacy statement alone cannot show what information actually flows through them.

Start with the information patients need

A practice website can help people find basic business information, learn about services, and reach an appointment pathway. The American College of Obstetricians and Gynecologists (ACOG) describes professional webpages as useful when physicians keep them within professional boundaries. In particular, physicians should not offer online medical advice outside an established patient–physician relationship. ACOG’s guidance on professional digital and social media provides that distinction.

Review the patient-facing details as a set, rather than treating the website as a brochure separate from the practice’s other channels:

  • Practice name, addresses, phone numbers, and other contact details.
  • Services and specialties described, including any limits that should be clear to patients.
  • How to request or schedule an appointment, and whether each link or form still works as intended.
  • Whether the same information is consistent across the website and professional social profiles.

Correct outdated or conflicting details promptly. Make it clear how someone can contact the office for individual care questions rather than inviting them to post personal medical details in a public space.

Map the information your website and services collect

Trust depends on actual data practices, not just reassuring privacy language. A website may be connected to appointment forms, scheduling services, analytics, advertising tools, messaging, or other third-party services. Make an inventory of each relevant flow and document what information it collects, where it comes from, why it is used, who receives it, and how long it is retained. Then review the safeguards and the statements shown to users against those practices.

The Federal Trade Commission (FTC) says businesses should understand their health-data practices and ensure that consumer-facing representations match them: “Representations to consumers must be consistent with your practices and clear and conspicuous.” See the FTC’s guidance on consumer health information, the FTC Act, and the Health Breach Notification Rule.

  • Revisit the inventory when a service, feature, vendor, or practice workflow changes.

Avoid broad claims such as “HIPAA Certified,” “HIPAA Secure,” or “HIPAA Compliant” unless they are accurate and legally supportable. The FTC specifically warns against false or misleading representations of this kind.

Understand which privacy rules may apply

HIPAA does not automatically cover every website, app, or online exchange involving health information. HHS describes the HIPAA Rules as applying to covered entities: health plans, health care providers that conduct standard electronic transactions, and health care clearinghouses. Some requirements also apply to business associates. The FTC Act’s protections against unfair or deceptive practices can apply to covered entities and business associates as well as organizations outside HIPAA. The Health Breach Notification Rule may apply to certain personal health record vendors, related entities, or service providers, depending on the service and its role.

These are general boundaries, not a determination that a particular practice, analytics tool, advertising pixel, scheduling service, or messaging vendor is compliant or lawful. Applicability depends on the practice’s status, the information flows, contracts, technology, and jurisdiction. Consult qualified privacy or legal professionals about the practice’s specific circumstances and check applicable state and specialty rules. See HHS’s overview of HIPAA and the FTC Act and the FTC’s Health Breach Notification Rule overview for businesses.

Set boundaries and controls for social profiles

Professional social profiles can make it easier to share practice information, but they need active oversight. ACOG recommends close monitoring of professional pages and controlled settings. Decide who is authorized to administer each account, publish posts, and respond to comments. Review platform permissions, posting and tagging settings, and how unwanted or inappropriate content will be handled.

Respond to reviews without discussing care

A physician or practice can respond to an online review without confirming that the reviewer is a patient or disclosing information about care. Give staff a written, privacy-safe process: keep any public response general, refer to standard office policies where appropriate, and invite the person to contact the practice through an appropriate offline channel. Do not reveal or confirm a care relationship, or disclose patient information in an effort to correct a reviewer’s account.

The American Medical Association explains this distinction in its guidance on responding to online patient reviews. A useful workflow is to have a designated, trained responder use an approved general response, then route any individual concern to a private practice channel without confirming the person’s status publicly.

Use a repeatable audit when services or workflows change

There is no universal scoring system for deciding whether an online presence is trustworthy. Use the same practical dimensions whenever you review a website, profile, or connected service:

  • Accuracy and clarity: Are the practice details and service descriptions current and understandable?
  • Access: Can patients reach the practice and follow the scheduling pathway?
  • Data practices: What information does the service collect, use, and disclose?
  • Safeguards and transparency: Are retention, protections, and user-facing statements aligned with actual practices?
  • Account oversight: Are access, publishing, tagging, and monitoring responsibilities controlled?
  • Confidentiality: Can staff handle public reviews without confirming a patient relationship or sharing private information?

Record who owns each follow-up item and revisit the audit when a website feature, vendor, account permission, or staff workflow changes. For legal or privacy questions, assess the practice’s actual circumstances with qualified professionals rather than relying on a generic claim or checklist.
