The safest pattern is data minimization plus application-side control: send the model only the fields needed for the current task, remove or mask unnecessary identifiers, retrieve records only after your application verifies the signed-in user’s permissions, and keep approvals and consequential actions outside the language model. Then document exactly how each provider endpoint uses, logs, and stores data, and give customers a clear retention and deletion policy.
These controls reduce exposure; they cannot guarantee that information will never be disclosed. Customer data can appear in prompts, retrieved documents, application state, logs, or generated outputs, so privacy has to be designed across the entire lifecycle rather than added with a clever system prompt.

What “without exposing customer data” really means
An AI feature may expose information even when the model is not being trained on it. Data can be copied into the request sent to a provider, included in retrieval results, persisted in a conversation or file store, written to application and abuse-monitoring logs, or reproduced in a response shown to the wrong person. A model can also be induced to reveal information through a malicious request or an instruction hidden inside a document it retrieves.
Examples of sensitive information identified by the OWASP GenAI Security Project include personal identifiers, financial and health records, confidential business information, credentials, and legal documents. Treat any field that could harm a customer or your business if disclosed as sensitive, even if it is not labeled “regulated.”

The goal is not to make a model “trustworthy” by itself. Your application should ensure that the model never receives data or capabilities that the authenticated user is not allowed to access, and that the model cannot directly authorize a payment, change an account, send a message, or perform another high-impact operation.
NIST’s voluntary AI Risk Management Framework (AI RMF) covers design, development, use, and evaluation. Its 2024 Generative AI Profile adds risks specific to generative systems, including prompt injection. NIST is revising the framework, so treat it as a living reference rather than a one-time checklist.
Start with a data-flow map, not a prompt
Before selecting a model or writing instructions, write down the complete path of information through the feature. A one-page map should answer these questions:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Who is the user, and how is that person authenticated?
- What exact task is the AI performing?
- Which input fields are required for that task?
- Which customer records, files, or messages can be retrieved?
- Where are prompts, retrieved context, tool calls, and responses stored?
- What actions can the feature request, and which actions require a separate approval?
- How are records deleted when they are no longer needed or when a customer asks for deletion?
Classify every field as required, optional, sensitive, or unnecessary. For example, a support assistant that summarizes an order may need an order number, product lines, status, and shipping region. It usually does not need a full payment-card number, a password-reset token, or the customer’s complete historical profile.
A practical data-flow inventory
| Location | Typical exposure path | Control to document |
|---|---|---|
| Model input | Prompt, system message, attachments, or retrieved context sent to an endpoint | Minimize fields, redact identifiers, validate input, and record the endpoint receiving the data |
| Retrieval layer | Search results, vector stores, files, email, or database rows inserted into context | Filter by the authenticated user’s permissions before retrieval results reach the model |
| Application state | Conversation history, files, cached responses, or provider-side stores | Set a retention period, restrict access, and test deletion for each feature |
| Logs | Request bodies, responses, traces, error messages, or abuse-monitoring records | Redact sensitive values, limit access, and establish a separate log-retention schedule |
| Output and actions | Generated text shown to a user or passed to a connected tool | Validate output, enforce authorization in code, and require confirmation for consequential actions |
Build sequence: seven controls that belong in the product
1. Define the job and its permitted scope
Write a short specification that names the user role, task, input fields, records the feature may retrieve, output format, and allowed actions. “Help support agents answer questions” is too broad. “Draft a reply using the signed-in agent’s assigned tickets, without changing ticket state or revealing payment data” is testable.
Define a maximum scope for each user role. An employee who can view one customer account should not receive a model context assembled from the entire customer database. If the feature serves multiple businesses, include the tenant identifier in every authorization decision and test for cross-tenant access.
2. Minimize and sanitize every input
Send the smallest useful representation, not an entire customer record. Replace direct identifiers with short-lived internal tokens when the model does not need names or contact details. Mask account numbers, government identifiers, passwords, session tokens, and payment information. Keep the mapping between a token and the real identity in your application, not in the prompt.

Validate length, type, encoding, and allowed fields before constructing a request. Reject unexpected structured fields rather than passing them through “just in case.” Strip hidden metadata from uploaded documents when it is not needed. Do not place secrets, connection strings, signing keys, or permission rules in a system prompt.
Sanitization is not a promise that content is safe. A customer message can contain instructions aimed at the model, and a document can contain text that tries to override your policy. Preserve the content needed for the business task, but mark it as untrusted data and keep it separate from your application’s control instructions.
3. Authenticate first and authorize in ordinary code
Authenticate the user before any retrieval or model call. Then check authorization for the specific record, field, file, and action. The check must occur in your application or data-access layer before the data is inserted into model context.
Do not ask the model whether a user is allowed to see a record. Do not rely on a hidden instruction such as “never reveal another customer’s information.” The OWASP GenAI Security Project states that prompts should not be treated as security controls; authorization and privilege separation must be enforced independently from the LLM.

A read-only support assistant should not have a database credential that can write records. If an action is necessary, expose a narrowly defined function such as create_refund_request(order_id, reason), validate its arguments in code, re-check the user’s permission, and require a human confirmation when the consequence is material.
4. Treat user and retrieved content as hostile
Prompt injection is an attempt to modify what the model receives so that it behaves in an unintended way. NIST defines it as: “Prompt injection involves modifying what input is provided to a GAI system so that it behaves in unintended ways.” A direct attack comes from the user’s message. An indirect attack is embedded in a webpage, email, ticket, or file that the model is asked to retrieve. NIST describes demonstrations involving proprietary-data theft and remote code execution.
Keep control instructions separate from quoted content, label retrieved text as untrusted, and avoid giving a model broad access to email, files, databases, or external tools. A model should not be able to turn a sentence in a customer document into a database query or an outbound message without an application-side policy check.

Limit retrieval to approved sources and the current user’s authorized records. Cap the number and size of retrieved passages. If a result contains an instruction to reveal secrets, ignore it as data and log the event for review rather than treating it as a new system instruction.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors5. Choose provider features with an endpoint-level retention matrix
“The provider does not train on API data” answers only one question. For every provider and endpoint, record the following before launch:
- Whether prompts, files, and responses are used for training by default.
- Whether abuse-monitoring systems may retain request and response content, for how long, and under what exceptions.
- Whether conversations, files, vector stores, batches, cached responses, or other application state persist.
- How deletion works, how long deletion takes, and whether backups or derived data remain.
- Whether reduced-retention controls require approval, special terms, or technical configuration.
- Which third-party services receive the data.
- Which regions and contractual terms apply to your account.
Endpoint details matter more than a provider’s headline policy. A chat endpoint, file store, fine-tuning workflow, and tool-use feature can have different storage behavior. Recheck documentation and contract terms immediately before deployment and whenever you add a feature.
6. Apply the provider example correctly
OpenAI’s API documentation is a concrete example of why the matrix is necessary, not a universal rule for all vendors. Its current policy documentation says API data is not used to train or improve models by default unless a customer opts in. The same documentation describes abuse-monitoring logs that may contain prompts and responses and are retained for up to 30 days by default, subject to stated exceptions. It also describes endpoint-specific application-state retention.
Zero Data Retention and Modified Abuse Monitoring are not automatic guarantees: the documentation says they require prior approval and additional requirements, and some endpoints or features may still store state. Confirm eligibility, configuration, and contractual language for your account. Never extend a policy for one endpoint to every API feature, and never assume another provider follows the same rules.

7. Publish a customer-facing policy and deletion process
Tell customers, in plain language:
- What information the feature collects and what it does not collect.
- Why the information is processed and which service providers handle it.
- How long prompts, files, logs, and generated records are retained.
- Who can access the information inside your business.
- How a customer can request correction or deletion.
- What happens to backups, audit records, and legally required records.
Implement the policy operationally. Create a retention schedule for each data class, automate deletion where possible, and assign an owner who can verify that deletion works in both your systems and any provider-managed stores. Legal obligations depend on geography, sector, data categories, and customer relationships; this design guidance is not a jurisdiction-specific legal determination or a security certification.
Keep secrets and permissions out of prompts
System prompts are useful for describing a task, output format, and safe handling of untrusted content. They are not a vault. The OWASP guidance states: “The system prompt should not be considered a secret, nor should it be used as a security control.” Assume a user may discover the prompt through model behavior, logs, a compromised client, or a misconfigured debugging tool.

Store API keys, database credentials, signing keys, and service-account tokens in a secrets manager or protected server configuration. Give each service the minimum credential scope and rotate credentials on a schedule. The model should receive a descriptive tool name and constrained arguments, not the credential that powers the tool.
Keep authorization rules in code and in the data layer. A prompt can explain that the assistant must not disclose another customer’s record, but the query itself must be constrained so that unauthorized rows are never returned. This remains true if the model is replaced, fine-tuned, or temporarily unavailable.

A robust pattern is to make the model propose an action while your application decides whether to execute it.
- Authenticate: establish the user identity and tenant before accepting the request.
- Classify: determine whether the request is informational, sensitive, or consequential.
- Authorize: check the user’s role and the specific object or operation in application code.
- Retrieve narrowly: fetch only permitted fields and records, then redact unnecessary values.
- Generate: send the minimized context to the selected endpoint with no secrets.
- Validate: check the output schema, prohibited disclosures, and tool arguments.
- Confirm or execute: require explicit user confirmation for actions such as refunds, account changes, deletion, or outbound communication; execute through a separately authorized service.
- Audit: record who requested the operation, what policy decision was made, and what action occurred without copying sensitive payloads into logs.
If any authorization check fails, return a safe error and do not ask the model to “try another way.” Avoid detailed errors that reveal whether a protected customer or document exists.
Compare architectures and providers on the same questions
Whether you use a hosted API, an internal service, or a hybrid design, compare the actual feature path rather than a brand-level promise.
| Decision axis | Questions to answer | Evidence to retain |
|---|---|---|
| Training use | Is data excluded by default? Are opt-in, account-level, or product-specific exceptions possible? | Current policy, account setting, and contract clause |
| Abuse monitoring | Can prompts or outputs be reviewed? What is the default retention period and who can access them? | Provider documentation and approved-retention configuration |
| Application state | Do conversations, files, vector stores, batches, or responses persist? How are they deleted? | Endpoint documentation and a completed deletion test |
| Eligibility | Do reduced-retention controls require approval, special terms, or technical limits? | Approval record and implementation checklist |
| Access control | Can retrieval and tools be restricted by user, role, tenant, and object? | Authorization design and negative test results |
| Data minimization | Can the feature work with redacted, tokenized, or summarized inputs and limited context? | Field-level data map and prompt construction rules |
| Auditability | Can you review access, retention, deletion, policy decisions, and consequential actions? | Audit-log specification with redaction rules |
If a provider does not state a value for one of these questions, record it as “not stated” and treat the uncertainty as a risk to resolve, not as evidence of privacy.

Best Value
- A user asks for another customer’s address, order history, or support transcript.
- A user changes the tenant identifier or object ID in a request.
- A retrieved document says to ignore the application policy and reveal a secret.
- A customer message asks for the system prompt, API key, database password, or connection string.
- A model-generated tool call targets a record outside the signed-in user’s permissions.
- A tool argument contains an extra field intended to change authorization or destination.
- An error occurs while retrieving data, and the resulting message might include a raw query, token, or customer record.
- A deletion request is made after data has been copied into a conversation, file store, cache, or log.
For each case, verify that the application denies or safely limits the operation, does not leak whether protected data exists, and records enough non-sensitive evidence for investigation. Inspect production-like logs and traces for prompts, responses, uploaded files, and stack traces that should have been redacted.
Operate the feature as a continuing privacy program
Provider policies, endpoint behavior, model versions, and your own integrations change. Assign an owner to review provider documentation and contracts, approve new endpoints, and revisit the retention matrix at a defined interval. Review every model, retrieval source, tool, and data field when the feature’s purpose changes.
Use ordinary small-business security fundamentals alongside AI-specific controls: inventory systems and data owners, protect administrator accounts with strong authentication, patch dependencies, restrict production access, and review suppliers. NIST’s CSF 2.0 quick-start resources for small businesses with modest or no cybersecurity plans can help establish baseline security ownership and supply-chain review.
Keep an incident procedure for suspected disclosure. It should identify who can disable a model endpoint or tool, preserve relevant audit evidence without spreading the data, notify affected customers when required, rotate exposed credentials, and determine whether provider-side deletion or investigation is needed.
What a small business can implement first
If resources are limited, sequence the work by exposure impact:
- Remove secrets and unnecessary sensitive fields from every prompt and log.
- Put authentication and record-level authorization in front of retrieval and tools.
- Restrict the model to read-only, narrow capabilities until monitoring is established.
- Create the endpoint retention matrix and verify deletion behavior.
- Add tests for cross-customer requests, indirect prompt injection, credential disclosure, and unauthorized tool calls.
- Publish a concise data-use and deletion explanation and assign an owner for reviews.
This sequence does not make an AI feature risk-free. It prevents the most avoidable design error: allowing a general-purpose model, broad data source, or hidden prompt to become the system’s access-control layer.
