It is a governed persistence and retrieval layer that records facts, decisions, documents and task state with identity, scope, provenance, time and version metadata. It authorizes every write and read, treats retrieved text as untrusted candidate context, and gives people tools to inspect, correct, delete and roll back what agents remember.
What shared memory means in a multi-agent team
Conversation context disappears when a session ends, while a shared memory layer is designed to persist information across sessions, agents and human collaborators. The stored material may include a customer preference, a project decision, a document excerpt, an open task, an agent’s working state or a tenant-wide policy.

Memory is also behavior control: whatever an agent retrieves can influence its next action. A system that stores a malicious instruction, exposes a private note or silently prefers an obsolete decision can therefore create a security or operational incident, not merely an incorrect answer.

- Persistence: a durable source of truth for records and their history.
- Retrieval: keyword, semantic/vector and, where relationships matter, graph indexes that find candidate records.
- Identity and authorization: deterministic rules for who may create, read, change or delete each record.
- Governance: provenance, review state, retention, audit, correction, deletion and rollback.
A vector index supplies only one retrieval mechanism. It does not establish ownership, tenant isolation, truth, freshness or permission correctness.

Use a four-layer architecture
A practical design separates ingestion, durable storage, derived indexes and access-aware retrieval. This synthesis follows the control points described in Microsoft’s memory-safety guidance, AWS agent-layer guidance, Azure agent guidance and the Microsoft multi-agent reference architecture.
1. Ingestion and write gate
Every write should enter through a service, not through an unrestricted model tool. The gate authenticates the caller, records the purpose, applies data-classification rules and rejects content that should not be inferred or persisted, such as credentials or sensitive attributes without a legitimate need.
Require an explicit user or system action for durable writes. A model may propose a memory, but a policy service should decide whether it is allowed, which scope it belongs to, how long it should live and whether it needs human review. Preserve the original source and the identity of the actor that requested the write.

Store the canonical record and its history in a database or managed memory service. Keep versions or supersedes links so a newer decision can replace an older one without erasing the evidence that the older record existed. Snapshots and conflict handling are useful when multiple agents update the same project state.
3. Derived retrieval indexes
Build indexes from the canonical records rather than treating an embedding store as the master copy. Full-text search is useful for exact names and identifiers; semantic search handles paraphrases; graph traversal helps when relationships, dependencies or ownership determine relevance. Each derived item needs a link back to the source record and version.

4. Access-aware retrieval service
Agents and human interfaces should request memory through a retrieval service that knows the caller’s identity and delegated authority. The service filters by scope and permissions before returning candidates, then evaluates relevance, freshness, conflicts, sensitivity and malicious instructions. It assembles only the permitted context and preserves source attribution for the eventual response.
Define scopes before storing anything
“Shared” must never mean globally readable. Put scope and permissions on the record at write time and enforce them again at every read. Typical scopes are:
| Scope | Typical contents | Access rule |
|---|---|---|
| Personal | A user’s preferences, private notes or saved drafts | That user and explicitly authorized services |
| Project or team | Decisions, plans, approved documents and task state | Members of the project, with role-based write rights |
| Agent working state | Short-lived plans, intermediate results and tool checkpoints | The owning agent and orchestrators for the active task |
| Tenant reference | Policies, approved procedures and shared reference material | Authorized principals in the tenant; changes restricted to stewards |
Use deterministic isolation by user, agent and tenant; do not rely on a prompt telling an agent not to reveal another person’s data. Google Cloud’s multi-agent architecture guidance also recommends least privilege, authorization, privacy controls, sensitive-data filters and monitoring for tool connections.
When a user delegates work, either carry the user’s permissions through the entire agent chain or define a narrower, explicit delegation rule. An agent should receive only the memory needed for its task, with credentials scoped to that task and tenant.
Adopt a record envelope with provenance
Different content types can share one metadata envelope. The following is a design recommendation, not a formal standard:

| Field | Purpose |
|---|---|
| Memory ID | Stable identifier for updates, references and deletion. |
| Tenant or workspace | Hard boundary for customer or organizational data. |
| Owner or originating principal | Person, agent or service responsible for the record. |
| Permitted readers and writers | Explicit principals, roles or policies allowed to access it. |
| Source reference | Document URL, message ID, ticket, database row or human entry from which it came. |
| Created and updated times | Supports freshness checks, ordering and incident reconstruction. |
| Content type and scope | Distinguishes a decision, preference, policy, task state or document chunk. |
| Confidence or review state | Marks proposed, verified, rejected or expired information where useful. |
| Model and system version | Identifies the software that extracted or transformed the memory. |
| Retention or expiry policy | Defines when the item and its derivatives should be removed. |
| Version and supersedes links | Connects revisions and resolves conflicting facts. |
Store the human-readable content alongside this envelope, but do not let a summary replace the source. A response should be able to point to the exact record or document chunk that influenced it.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Build the write path step by step
- Authenticate the caller. Resolve the human, agent, service, tenant and current delegation before accepting content.
- Classify the proposed memory. Identify scope, sensitivity, content type, retention class and whether the request is a durable fact or temporary working state.
- Validate purpose and authority. Confirm that the caller is allowed to write this type of data for the stated task. Reject credentials, secrets and sensitive attributes that are not necessary.
- Attach provenance. Save the source reference, actor, timestamps, model or system version and the reason for the write.
- Choose a review state. Mark uncertain or model-extracted material as proposed until a policy or human review promotes it. Do not present proposed content as an established fact.
- Commit an immutable event and current record. Keep an append-only audit event while maintaining the latest readable version for normal retrieval.
- Update derived indexes asynchronously or transactionally. Record which source version produced each embedding, keyword entry or graph edge.
- Notify affected users when appropriate. A team member should be able to see that a decision or preference was added, changed or rejected.
Design retrieval as a security and quality pipeline
Similarity is a ranking signal, not permission, truth or freshness. A safe retrieval request follows this order:
- Identify the caller and task. Include tenant, user, agent role and delegation context.
- Apply hard authorization filters first. Exclude records outside the caller’s scopes before semantic ranking or prompt assembly.
- Retrieve through complementary indexes. Combine exact search, semantic search and graph relationships when the workload requires them.
- Check source and version. Keep the original link or chunk attribution, identify superseded records and detect conflicting values.
- Evaluate freshness. Apply time-to-live or review rules appropriate to the content. A current policy may supersede a year-old project note.
- Scan for sensitive data and hostile instructions. Untrusted documents can contain prompt injection or secrets. Remove or quarantine material that should not enter the model context.
- Assemble the smallest useful context. Pass only records needed for the task, with labels that distinguish verified, proposed and expired material.
- Escalate high-impact decisions. Send the user to the authoritative source or a human reviewer instead of allowing an old memory to silently decide access, payment, safety or compliance matters.
SharedMemory’s platform overview describes one vendor approach combining private and shared volumes, a write guard, graph extraction, hybrid vector/graph search, source-attributed chunks and conversation history. Those are vendor-stated capabilities, not neutral evidence that its retrieval is more accurate than another design.
Give people control over what agents remember
A human-facing memory panel should answer five questions for every item: What is stored? Where did it come from? Who can access it? When was it last reviewed? Did it influence this answer or action?
Authorized people need controls to:
- View records by scope, owner, source and review state.
- Correct a factual error while preserving the previous version.
- Delete a memory and see where deletion propagates.
- Report an unsafe, poisoned or unauthorized record.
- Approve, reject or expire proposed memories.
- Inspect the audit trail for creation, reads, changes and removal.
Deletion must cover summaries, embeddings, graph edges, caches, replicas and backups according to the stated retention policy. If a backup cannot be changed immediately, document its expiry and prevent restoration from reintroducing a deleted item.

Choose a persistence pattern by requirements
There is no universal winner. Select the pattern that fits your identity system, data residency, team skills, latency target, portability needs and threat model.
| Pattern | What it provides | Questions to answer |
|---|---|---|
| Managed agent-memory service | A provider-managed way to retain conversation history and extracted long-term insights across sessions, with fine-grained access and storage isolation described in AWS guidance. | How are identities integrated? Can records, indexes and audit history be exported? What are retention, deletion, residency and provider-dependency limits? |
| Database-backed memory | Relational persistence with vector, full-text and graph options described in Azure’s PostgreSQL-based agent guidance; an existing shared database can also coordinate agents. | Who owns authorization, indexing, lifecycle jobs, evaluation, backups and operational on-call work? |
| Purpose-built memory product | A packaged combination of scopes, write controls, extraction and hybrid retrieval, such as the capabilities described in SharedMemory documentation. | Are tenant boundaries independently verified? Can you inspect source attribution, delete all derivatives, export data and test retrieval under your own threat model? |
Run the same workload through each candidate and compare permission correctness, tenant isolation, source fidelity, freshness, conflict handling, user review and deletion, audit and rollback, retrieval quality, portability, latency, cost and operational effort. The cited material provides architectural guidance, not a neutral head-to-head benchmark or a performance percentage.
Use protocols for connection, not policy
Model Context Protocol (MCP) and Agent-to-Agent (A2A) interfaces can standardize how agents reach tools and collaborate. They do not decide which memory a caller may read or write. Put identity, authorization, input validation, monitoring and data-loss controls at the service boundary.
Register only approved MCP servers, authorize each tool and inspect traffic for sensitive-data exposure and indirect prompt injection. An agent connected through a protocol still needs a narrowly scoped credential and an access-aware memory service.
Test the failure modes before rollout
Use adversarial and ordinary scenarios that exercise both data protection and correctness:
Best Value
- An agent attempts to persist a false or malicious instruction.
- A user asks for another user’s private preference.
- An old decision conflicts with a newer approved record.
- A user deletes a memory that has already been copied into a summary, embedding or cache.
- Two agents update the same fact concurrently.
- An untrusted document contains a secret or an instruction aimed at hijacking the next agent.
- A delegated agent tries to use the principal’s authority outside the delegated task.
- A tenant boundary is crossed through a shared index, cache key or backup restore.
For each case, verify the expected deny, quarantine, escalation or supersession behavior. Keep enough event history to reconstruct who created, accessed, changed or removed a record and what downstream systems received it.
Monitor quality, security and operating cost
Track unauthorized read and write attempts, stale or conflicting records, poisoning indicators, deletion propagation, retrieval latency, source-attribution coverage and audit completeness. Measure how often users correct memories, how long reviews take and how frequently retrieval returns superseded content.
Safety checks add retrieval latency; transparency features require user-interface work; lifecycle logs and retention increase storage and operational cost; and versioning, conflict resolution and isolation make the architecture more complex. Measure those trade-offs in the target workload rather than applying a generic performance claim.
A staged implementation plan
Stage 1: Establish boundaries
Choose tenants, scopes, data classes, retention classes and identity/delegation rules. Write the authorization policy before selecting an index.
Stage 2: Ship a narrow canonical store
Implement the record envelope, append-only audit events, versioning and source links. Start with one project or workflow and a small set of memory types.
Stage 3: Add retrieval and evaluation
Build exact and semantic retrieval behind the authorization service. Add freshness, supersession, sensitive-data and prompt-injection checks, then evaluate with known questions and denied-access tests.
Stage 4: Add human controls
Expose review, correction, deletion and provenance views. Test deletion through indexes, summaries, caches and backups before expanding the retention period.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Stage 5: Expand agent collaboration
Introduce additional agents or protocols only after the first workflow demonstrates correct scope enforcement, traceable writes and recoverable failures. Give each new agent the minimum memory and tool authority it needs.
Quick Recap
Operational checklist
- Every durable write has an authenticated actor, purpose, scope, source and timestamp.
- Authorization is enforced in storage and the retrieval service, not only in prompts.
- Agents inherit user permissions through delegation or receive an explicitly narrower policy.
- Canonical records, derived indexes and summaries retain version and source links.
- Retrieved content is treated as candidate context and checked for freshness, conflicts, sensitivity and hostile instructions.
- People can inspect, correct, delete, approve and report memories.
- Deletion and retention rules cover replicas, caches, embeddings, graph data and backups.
- Audit events support incident reconstruction and rollback.
- Failure tests cover poisoning, private-data requests, stale facts, concurrent updates and cross-tenant leakage.
- Architecture decisions are evaluated against a real workload rather than a claimed universal best product.
