Build the dashboard around a written metric policy, then show the contracted recurring base and variable usage on separate measures. ARR is a point-in-time, annualized view of eligible recurring revenue—not a synonym for every charge on a customer’s invoice. The interface should state its as-of timestamp, currency, contract-status rules, usage treatment, source systems and reconciliation state next to every headline number.
Start with the question your ARR number answers
An ARR dashboard becomes misleading when it combines several different questions under one label. Decide whether a stakeholder needs the value of subscriptions running now, signed business that will start later, all contracts already booked, or revenue earned under accounting rules. Those are different measures and should not share a generic “revenue” heading.

The SaaS Metrics Standards Board’s Annual Recurring Revenue (ARR) Metric Standards Document, Version 1.0 (January 10, 2023) defines ARR as recurring revenue under the company’s revenue-recognition policy, calculated on an annualized basis. Its common formula is:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
ARR = latest MRR × 12
That formula describes a point-in-time position. It does not describe total invoices issued during a period, cash collected, or revenue recognized during a period. Put the reporting timestamp beside the figure, such as “Current ARR, as of 2026-10-17 00:00 UTC,” rather than presenting it as a timeless total.

Write the metric policy before building charts
Make the policy a versioned document and expose a short version of it in the dashboard. A reviewer should be able to determine why a particular contract component was included without opening a spreadsheet or asking the finance team.
Define what counts as recurring
List the eligible recurring subscription components: for example, a contracted platform fee, recurring seat charges, or a recurring minimum on a usage plan. State whether discounts, credits, refunds, concessions and free periods reduce the recurring amount, and whether the policy uses gross or net contracted consideration. The chosen treatment must match the company’s revenue-recognition policy and remain consistent across customers.
Exclude one-time fees and professional services. The standards document says those items are not ARR even when a service is sold repeatedly. Keep implementation, migration, training and other non-recurring work in separate measures.

Choose the timestamp at which subscriptions are evaluated and state the time zone. Define which statuses count—such as active, in a paid grace period, scheduled to start, suspended or cancelled—and how a cancellation or downgrade effective in the future is handled. A point-in-time metric cannot be reproduced if the dashboard silently changes the effective-date rule.
Document annual and monthly treatment
The standards document notes that treatment of monthly versus annual contracts is debated and that its board had not taken an official position on the question in version 1.0. Publish your own rule instead of implying universal agreement. For example, you might annualize an eligible monthly recurring amount and separately state how an annual prepayment is converted to an annualized run rate. Record the rule, its effective date and any exceptions.
Specify currency and annualization
State the reporting currency, exchange-rate source and conversion date when contracts use multiple currencies. Explain whether the dashboard annualizes the latest recurring amount in each contract currency before conversion or converts first and then annualizes. Do not mix these approaches between reports.
Separate the subscription base from usage
Usage-based pricing usually has at least two economic components. The first is a contracted recurring minimum or base subscription. The second is consumption that may vary above an included allowance or minimum. Keep them in separate fields and visual series.

What belongs in the ARR calculation
Include only eligible recurring minimum commitments under your published policy. The SaaS Metrics Standards Board standard explicitly says usage overages above contracted minimums are not included in ARR, whether or not those overages have been invoiced.
If a usage-based contract has no contracted recurring minimum, the same standard says there is no ARR under that model. You may publish a separate usage run-rate or consumption forecast, but label it as an internal operating measure rather than standard ARR.
Use separate measures for variable charges
At minimum, expose these measures independently:
- Contracted recurring subscription base: eligible recurring minimum commitments used in the ARR formula.
- Usage above the included amount or minimum: metered consumption that does not qualify for ARR.
- Total billed usage charges: useful for billing operations; it may include usage inside or outside the reporting period depending on invoice timing.
- Recognized revenue: revenue earned under the applicable accounting policy, shown only when reconciled to the accounting system.
Do not add usage overages to the subscription base merely because both lines appear on one invoice. Invoice presentation is not a classification rule.
Map common pricing patterns explicitly
Stripe’s recurring-pricing documentation describes flat-rate, per-seat, tiered and usage-based structures, including fixed fee plus overage, pay-as-you-go and credit burndown. Your data model should identify the pattern for each contract component.
Recommended Free Tools
| Pricing pattern | Recurring component for ARR | Variable component to show separately | Key dashboard note |
|---|---|---|---|
| Flat rate | The eligible recurring subscription fee | None unless separate metered items exist | Show cadence, discount and effective date. |
| Per seat | The recurring charge for committed seats under your policy | Seat additions, removals or uncommitted usage outside the commitment | State whether the policy uses contracted or currently active seats. |
| Tiered | The contracted recurring tier or minimum | Charges caused by crossing a tier or consuming beyond an included amount | Record the tier boundaries and effective dates. |
| Fixed fee plus overage | The fixed fee or recurring minimum | Metered overage above the included quantity or minimum | Never fold invoiced overage into ARR. |
| Pay as you go | None when there is no recurring minimum | All metered consumption | Publish usage revenue or a usage run-rate, not standard ARR. |
| Credit burndown | Any qualifying recurring commitment that funds the credit balance | Consumption of credits and any additional usage | Define when credits expire and how unused balances are treated. |
Keep current, committed, booked and recognized measures distinct
These labels answer different timing and certainty questions. Give each its own card, definition and data lineage.
| Measure | What it answers | Typical contents | What it is not |
|---|---|---|---|
| Current ARR | What is the annualized run rate of active subscriptions at the as-of timestamp? | Eligible recurring amounts for subscriptions active under the policy. | It is not a period revenue total and excludes uncommitted usage overages. |
| Committed ARR | What recurring value is contractually expected, including future commitments? | Signed future commitments, with known churn or downgrade adjustments under the selected methodology. | It is a planning measure, not formal financial reporting, and excludes uncommitted usage. |
| Booked ARR | What annualized value has been signed? | Signed contracts, potentially including deals whose service has not started. | It is not proof that service is live or revenue has been recognized. |
| Recognized revenue | How much revenue has been earned under accounting rules? | Amounts recognized in the current period under the applicable policy. | It is not an annualized contract run rate. |
Stripe’s guidance on committed ARR recommends connecting contract, customer relationship and billing data. Treat that as implementation guidance rather than a universal accounting standard, and document how your company handles renewals, future starts, cancellations and downgrades.
Assemble reproducible source data
A reliable dashboard needs both the value and the evidence for the value. Keep source identifiers so an analyst can trace every included component to its contract and billing record.

- Component type, such as base subscription, seat commitment, minimum, overage, service or one-time fee.
- Amount, currency, billing cadence and discount or credit treatment.
- Included units and contracted minimum, when applicable.
- Start date, end date, renewal date and effective dates for amendments.

Metered usage records
- Usage event or aggregation identifier.
- Meter name and unit of measure.
- Quantity, event timestamp and aggregation window.
- Included allowance, contracted minimum and calculated excess.
- Rate, currency and whether the amount is estimated, invoiced or final.
- Invoice or billing-period linkage.
Future commitments and accounting data
Keep signed-but-not-started contracts and renewal information in a distinct commitment dataset. Do not silently merge those records into Current ARR. For Recognized revenue, bring in the accounting ledger or approved revenue subledger and retain the reconciliation period and accounting-policy version.
Build the dashboard in a controlled sequence
- Publish the policy. Write inclusion and exclusion rules, the as-of timestamp, annualization method, contract statuses, treatment of minimums and overages, discount and credit rules, currency conversion and handling of annual contracts.
- Ingest source records. Load subscription and contract components, metered usage, invoices and—if you show future commitments—signed contracts and renewal data. Preserve source IDs and synchronization timestamps.
- Classify every component. Assign each line to recurring base, variable usage, one-time fee, professional service, recognized revenue or another explicitly defined category. Do not classify by invoice description alone.
- Apply the policy at the as-of timestamp. Filter by effective date and contract status, calculate the eligible recurring amount, and annualize it consistently. Keep usage calculations in a separate path.
- Calculate neighboring measures separately. Build Current ARR from active eligible subscriptions, Committed ARR from the documented commitment methodology, Booked ARR from signed contracts and Recognized revenue from the accounting data.
- Reconcile totals. Tie the recurring base to contract records, usage totals to metering and billing records, and recognized revenue to the accounting system. Create an exception queue for missing IDs, currency mismatches, duplicate components and effective-date conflicts.
- Publish lineage and freshness. Show the definition version, as-of timestamp, source systems, last refresh time and reconciliation status beside the dashboard. Provide a drill-through list of included contracts and excluded usage lines.
- Version changes. When pricing, classification or accounting policy changes, record the effective date and recalculate historical views only under an explicitly labeled restatement policy.
Use a calculation example to test the policy
Consider a hypothetical customer with a $1,000 monthly platform minimum and $300 of metered overage in the current billing period. Under the standards-based treatment, the dashboard reports $1,000 of monthly recurring base and $12,000 of Current ARR. It reports the $300 as variable usage, whether or not that amount has already been invoiced.
A second hypothetical customer has only pay-as-you-go consumption and no contracted recurring minimum. The dashboard can show the period’s usage charges and a separate consumption trend, but it should not label that amount ARR under the cited standard.
If an annual contract requires a conversion to an annualized run rate, apply the company’s documented annual-versus-monthly rule and display that rule in the definition panel. The standards document does not establish one universal treatment, so the dashboard must not imply that its choice is mandated by the board.
Design the interface around decisions
Headline cards
Use separate cards for Current ARR, recurring base MRR, variable usage for the selected period, Committed ARR, Booked ARR and Recognized revenue when those datasets are available. Each card should include its definition and as-of date; do not rely on a tooltip that disappears during export.

Base-versus-usage trend
Plot the contracted recurring base as one series and usage charges as another. A stacked chart can be useful only if the legend makes clear that the stack is not a single ARR total. Offer a table view with customer, contract, minimum, included units, excess usage and source IDs for investigation.
Timing and commitment view
Use a separate panel for future starts, renewals, known churn and downgrades that feed Committed ARR. Mark the panel as a planning view and show the assumptions used to turn signed commitments into an annualized value.

- Contract-to-dashboard tie-out: the sum of included recurring components should equal the Current ARR bridge before annualization and currency conversion.
- Overage exclusion test: create a test contract with a minimum and an invoiced overage; verify that only the minimum changes ARR.
- No-minimum test: create a pure usage contract and verify that its consumption appears in usage reporting but not standard ARR.
- Effective-date test: schedule a future start, cancellation and downgrade; verify that each changes the appropriate measure on the correct date.
- Duplicate test: compare contract-component IDs with billing-line IDs so an amendment is not counted alongside its superseded version.
- Currency test: confirm that every converted amount carries its source currency, rate date and reporting currency.
- Accounting tie-out: compare Recognized revenue to the approved accounting source for the same period and investigate timing differences rather than forcing equality with ARR.
Stripe Support describes its Billing Analytics data as generally available within one hour. Treat that as a Stripe-specific product statement, not a universal freshness target; your dashboard should publish the actual latency of its own pipelines.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCompare pricing models without comparing unlike metrics
When a company combines subscription and usage pricing, compare the contractual recurring minimum, uncommitted consumption, timing and accounting basis separately. The following questions prevent a misleading cross-model comparison:
- How much recurring value is contractually committed, and how much depends on future consumption?
- Does the plan have a recurring minimum, or is every dollar pay-as-you-go?
- Are usage charges shown when consumed, invoiced or recognized?
- Are seats or tiers contracted in advance or determined by current activity?
- Are the compared figures Current ARR, Committed ARR, Booked ARR or Recognized revenue?
- Do the companies use the same annual-versus-monthly policy, currency date and treatment of discounts?
A flat-rate plan may have a straightforward recurring base. A per-seat plan requires a decision about contracted versus currently active seats. A tiered plan needs effective tier boundaries. A fixed-fee-plus-overage plan requires two series. A pure usage plan may have substantial revenue but no standard ARR when no recurring minimum exists. These are structural differences, not merely presentation preferences.
Common failure modes and fixes
Calling the invoice total ARR
Symptom: ARR jumps whenever a large usage invoice is issued. Fix: classify the recurring minimum separately and move overage to variable usage.
Mixing live subscriptions with signed future contracts
Symptom: a contract that starts next quarter appears in Current ARR. Fix: keep Booked ARR or Committed ARR in a separate panel and apply start-date rules to Current ARR.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Hiding the as-of date
Symptom: two exports show different ARR with no explanation. Fix: print the timestamp, time zone, refresh time and policy version on every export.
Best Value
Assuming annual contracts have one universally correct treatment
Symptom: finance, sales and the dashboard annualize the same contract differently. Fix: choose one documented rule, disclose it and apply it consistently; the standards board has not settled the monthly-versus-annual question in version 1.0.
Using recognized revenue as a substitute for ARR
Symptom: a period revenue report is labeled annual recurring revenue. Fix: show Recognized revenue under the accounting policy and Current ARR as a separate point-in-time operating metric.
Relying on a single source system
Symptom: the dashboard cannot explain an amendment, delayed meter event or future commitment. Fix: retain lineage across contract, subscription, metering, billing and accounting sources, with exception reporting for missing joins.
Governance for a dashboard people can trust
Assign an owner for the metric policy and require approval for changes to inclusion rules, annualization, usage treatment and currency conversion. Store policy versions with each data refresh so historical numbers can be explained.
Review the dashboard after pricing-plan changes, billing-system migrations, acquisitions, material refunds and accounting-policy updates. Reconcile on a schedule appropriate to your billing volume, and record unresolved exceptions rather than silently excluding them.
The cited standards and vendor guidance support operating-metric design, but they do not replace the company’s accounting policy or professional advice in its jurisdiction. Keep accounting conclusions scoped to the approved policy, and label any internal usage forecast or commitment model so readers do not confuse it with standard ARR.
Source notes
The ARR definition and overage treatment in this guide follow the SaaS Metrics Standards Board’s Annual Recurring Revenue (ARR) Metric Standards Document, Version 1.0, issued January 10, 2023. Pricing-pattern terminology follows Stripe’s documentation on recurring pricing models. Distinctions among Current ARR, Committed ARR, Booked ARR and Recognized revenue follow Stripe’s Committed annual recurring revenue explained, last updated February 18, 2026, which is vendor guidance rather than a universal financial-reporting standard. Stripe Support’s Billing Analytics description supplies the platform-specific statement about data generally being available within one hour.
