This guide covers the fields to track, the routine, the accounting-method choice, how spreadsheets compare with apps, and a one-afternoon setup. The tax references are US-focused; rules elsewhere differ.
Why freelance money tracking gets painful
The usual problem is scatter. Income sits in bank activity, invoices live in a document folder, receipts are in email or a drawer, and a spreadsheet is updated whenever you remember. When you want to know what you earned, or which client still owes you, you have to reconstruct the answer from four places. A good tracker fixes that by being the single place you look, with pointers to the evidence.

What the IRS actually requires of your records
There is no mandatory format in most cases. IRS Publication 583 (revised December 2024) says: “You can choose any recordkeeping system suited to your business that clearly shows your income and expenses.” It names journals and ledgers as examples of books that summarize transactions. Two practical points follow:

One-click scans. No signup required.
- Records serve two purposes: running the business day to day, and supporting the figures on your tax return.
- Your system should let you identify where money came from and capture expenses as they occur.
So a well-built spreadsheet, an app, or even a paper ledger can all qualify. The test is whether it clearly shows income and expenses and you can back it up.

The minimum viable tracker
These columns are a design suggestion, not an IRS-mandated field list. They are enough to answer most questions without becoming a chore.
| Field | Why it earns its place |
|---|---|
| Date | Sorting, monthly totals, and matching to bank statements |
| Payer / payee | Per-client income and per-vendor spending |
| Description | Context you will have forgotten in six months |
| Amount | Use positive numbers and let the type column decide direction |
| Type (income / expense) | Drives profit calculations |
| Category | Software, travel, equipment, fees, and so on; keep the list short |
| Status | Invoiced, paid, overdue, so you can see what needs follow-up |
| Reference / link | Invoice number or a link to the receipt file |
Keep categories few and stable. Ten you use consistently beat forty you argue with yourself about. If you are unsure which categories map to tax-return lines, check the current IRS instructions for Schedule C or ask a tax professional.

Cash or accrual: decide when a transaction counts
Do not log invoices on a date out of habit. The SBA distinguishes two methods: cash recording, where a transaction counts when money moves, and accrual recording, where it counts when the sale is completed. Many solo freelancers use cash, but the right choice depends on your circumstances, and whichever you use should be applied consistently. If you use cash, an invoice sent in December and paid in January is January income. Either way, keep the invoice date, status, and payment date so the tracker can support both views.

- Capture on the spot. Photograph or save each receipt when you pay, into one folder or app, named by date and vendor.
- Log weekly. Spend ten minutes entering new transactions and updating invoice statuses.
- Chase unpaid invoices. Filter for status “invoiced” or “overdue” and send reminders.
- Reconcile monthly. Compare your tracker’s totals to bank and card statements. Missing or duplicated entries show up here while they are easy to fix.
- Archive at year end. Export the full year and keep it with the supporting documents.
The SBA’s guidance puts it this way: “Maintaining proper bookkeeping can help keep your business running smoothly.”

What your tracker should output
- Total income and total expenses for any period.
- Net profit or loss.
- Totals by category and by client.
- A list of open and overdue invoices.
- A clean year-end export you can hand to an accountant.
In a spreadsheet, a pivot table or SUMIFS formulas on the type and category columns produce all of this from the same data sheet.
US tax context your tracker feeds into
This is orientation, not individual advice. The IRS says independent contractors generally report sole-proprietor income and expenses on Schedule C, with Schedule SE used to calculate self-employment tax when it applies. Self-employed people generally file annual returns and may need to make estimated tax payments during the year. Publication 583 says sole proprietors, partners, and S corporation shareholders generally must make estimated payments if they expect to owe at least $1,000 when filing.

Two cautions. The IRS FAQ mentions $400 in net self-employment earnings as the point at which most people owe self-employment tax, but that does not mean other filing requirements vanish below it. And no source supports a universal percentage to set aside for taxes; amounts, forms, deadlines, and state obligations depend on your situation. A tracker gives you the profit figure to work from, but it does not make tax decisions for you.

| Axis | Spreadsheet | Light tracker (e.g. Round) | Fuller app (e.g. QuickBooks Solopreneur) |
|---|---|---|---|
| Setup effort | You design it | Low | Low to moderate |
| Invoices and paid/overdue status | Manual columns | Built in | Built in |
| Receipt storage | Links to your own folder | Receipt scanning | Receipt capture |
| Mileage | Manual log | Not stated on its page | Listed on its page |
| Reports and export | Whatever you build | Profit views, tax-time exports | Reports |
| Bank feeds and reconciliation | Manual | Not offered; Round says it is not full accounting software | Check the live plan page |
| Cost | Free to low | Check current pricing | Free plan with limits plus paid tiers at last check; verify live |
Round’s own page says it lacks bank feeds, reconciliation, a chart of accounts, and double-entry bookkeeping. That makes it an admin tool for invoices and expenses rather than a full set of books. QuickBooks Solopreneur’s official page describes income and expense tracking, invoices, receipts, mileage, and reports. Vendor features, limits, and prices change often, so confirm them on the vendor’s page before committing.
Where automation helps and where it costs you
Automatic imports and categorization cut manual entry, but they may require connecting your accounts, may sit behind paid plans, and still need you to review what was categorized. Automation shifts your work from typing to checking; it does not remove the monthly reconciliation.
Choosing quickly
- Few clients, few transactions, comfortable with formulas: a spreadsheet.
- Invoicing and chasing payments is your main pain: a light tracker.
- Lots of transactions, mileage, or an accountant who wants live access: a fuller app.
- You like handwriting entries: a paper ledger is fine, since the IRS lists ledgers among acceptable books.
Consider professional help if you have employees, multiple business entities, sales tax, or foreign income. A tracker is not a substitute in those cases.
Quick Recap

- Create a receipts folder and link or attach the supporting records.
