Build a project cash flow statement from dated cash receipts and cash payments, not simply from income and expense totals. Set the project and reporting period, record opening cash, capture each actual or forecast collection and payment, classify transactions, total inflows and outflows, and reconcile the result with closing cash = opening cash + net cash movement.
This process produces a useful project-management schedule. A statement intended for an entity’s financial statements must also follow the applicable accounting framework, including IAS 7 or its locally adopted equivalent, and classify cash flows as operating, investing, or financing.

What a project cash flow statement shows
A project cash flow statement explains when money enters and leaves a project during a defined period. It answers three operational questions:

Use a separate schedule for each project, or add a project-code column to a shared cash ledger. State the currency, reporting window, and whether figures are actuals, forecasts, or a mixture.
Cash flow is not income minus expenses
Income and expenses are often recorded when they are earned or incurred. Cash flow is recorded when money is collected or paid. A customer invoice can increase accounting revenue before the customer pays. A supplier invoice can create an expense and payable before cash leaves the bank. Depreciation is an expense with no current-period cash payment.
For that reason, copying an income statement into a cash flow statement gives a misleading result. A cash schedule must use collection and payment dates. If you later prepare an indirect-method cash flow, you reconcile accrual profit or loss to cash by adjusting for non-cash items, receivables, payables, accruals, deferrals, and items associated with investing or financing activities.

Management cash schedule
A project manager usually needs a practical schedule that tracks liquidity by month, phase, or milestone. It can include customer collections, grants or draws, supplier payments, payroll, contractors, taxes, equipment purchases, and financing proceeds. Project categories can be as detailed as needed for decisions.
Forecast cash flow
A forecast substitutes expected receipt and payment dates for cleared-bank transactions. Do not use an invoice date merely because it is known. Use the contractual or best-supported date on which cash is expected to move, and label assumptions such as “customer pays 30 days after approval.” Keep forecast and actual columns separate so a late collection is visible.
Formal financial-statement cash flow
IAS 7, Statement of Cash Flows, requires an entity to present cash-flow information as an integral part of its financial statements for each period presented. A project schedule is not automatically an IAS 7 statement. Confirm the jurisdiction, reporting framework, entity policies, consolidation requirements, and local adoption before using project data in statutory reporting.
Build the transaction register first
Start with a detailed register rather than entering only monthly totals. Import bank, cash, accounts-receivable, accounts-payable, payroll, tax, and financing records, then filter them by project code or approved allocation rule.

| Field | What to record |
|---|---|
| Date | Actual clearing date for historical reporting; expected cash date for a forecast. |
| Description and counterparty | Customer, supplier, employee, lender, tax authority, or other source. |
| Amount and currency | Gross cash amount, with exchange-rate treatment documented where relevant. |
| Direction | Receipt or payment; keep signs consistent throughout the file. |
| Project code | The project, work package, phase, or cost centre receiving the transaction. |
| Management category | For example, customer collection, materials, payroll, contractor, tax, or equipment. |
| Formal activity mapping | Operating, investing, or financing when a formal statement is required. |
| Source and status | Bank statement, ledger, approval, forecast assumption, cleared, pending, or disputed. |
Retain the management category even when you add formal activity mapping. A project’s internal categories help managers control cost; they do not replace the accounting framework’s classification rules.
Step-by-step: construct the statement
1. Define scope, period, and basis
Write the project name or code, reporting currency, start and end dates, and whether the schedule is actual, forecast, or mixed. Decide whether the report covers one project bank account, a virtual allocation from pooled funds, or all project-related cash in the entity.
If funds are pooled, do not imply that the project has its own bank balance. Define the allocation method, such as approved drawdowns or a proportion of a controlled account, and disclose it beside the schedule.
2. Establish opening project cash
Enter cash available at the beginning of the first period. Use a separately tracked project balance only when one exists. For a pooled account, use the documented allocation and preserve a reconciliation to the underlying bank or ledger balance.
3. Extract receipts and payments
List every relevant cash movement from bank statements, petty-cash records, payment runs, payroll files, and accounting ledgers. Deduplicate transfers and reversals. For forecasts, include expected collections and payments with confidence or approval status so users can distinguish committed cash from a rough estimate.
4. Tag each transaction
Apply a project category for management reporting and, when required, a separate formal activity class. A routine subcontractor payment may be operating. A purchase of long-lived equipment may be investing rather than operating. Borrowing proceeds and principal repayments are generally financing in frameworks that require that presentation. Verify the treatment under the governing standard and the entity’s policy instead of treating every project expense as operating cash.
5. Separate cash from accrual and non-cash entries
Reconcile invoices to collections and expenses to payments. Do not count an unpaid supplier invoice as a cash payment. Do not count depreciation, amortisation, provisions, or other non-cash charges as cash outflows. In an indirect reconciliation, show the required adjustment for these items and for changes in operating receivables, payables, accruals, and deferrals.

6. Total each reporting period
For each month, phase, or milestone, sum receipts and payments independently. Use one sign convention: either show payments as positive amounts in a separate column and subtract them in the formula, or show outflows as negative amounts and add the columns. Do not mix conventions between periods.
7. Reconcile to closing cash
Calculate closing cash from opening cash plus net movement, then compare it with the ledger, bank statement, or approved pooled-cash allocation. Investigate every difference. Typical causes include an omitted transaction, duplicate import, incorrect project code, uncleared transfer, foreign-exchange conversion, or a payment recorded in the wrong period.
8. Explain material movements
Add notes for major collections, delayed payments, milestone advances, equipment purchases, financing draws, unusual tax payments, and forecast assumptions. Label the schedule clearly as an internal project-control report if it is not intended to meet statutory presentation requirements.
Recommended management layout
This layout is suitable for a monthly or phase-based project schedule. It is a management format, not a prescribed IAS 7 template.
| Period | Opening project cash | Cash receipts | Cash payments | Net movement | Closing project cash |
|---|---|---|---|---|---|
| Month or phase | Prior period closing balance | Collections, grants, draws, and other inflows | Supplier, payroll, contractor, tax, equipment, and other payments | Receipts less payments | Opening cash plus net movement |
For formal reporting, add columns for operating, investing, and financing classification, the supporting ledger account, and a note reference. Keep the detailed transaction register as the audit trail behind each total.

Operating cash flow: direct or indirect method
IAS 7 permits two methods for presenting operating cash flows. Choose one that matches the applicable reporting rules and the records you can support; do not combine the methods without a clear reconciliation.
| Question | Direct method | Indirect method |
|---|---|---|
| Starting data | Gross cash receipts and gross cash payments from bank or project records. | Accrual profit or loss plus balance-sheet movements and other adjustments. |
| What readers see | Major classes such as customer collections, supplier payments, payroll, and taxes. | A bridge from profit or loss to operating cash flow. |
| Best fit | A project ledger or bank export that reliably identifies receipt and payment types. | An entity whose primary records are accrual-based and whose receivable, payable, and non-cash schedules are reliable. |
| Key work | Correctly classify, group, and reconcile every gross cash movement. | Remove non-cash items, adjust timing differences, and remove income or expenses belonging to investing or financing cash flows. |
| Project limitation | Detailed project coding does not by itself make the presentation compliant. | A project profit figure cannot be converted without complete timing and non-cash information. |
Direct-method example categories
- Cash collected from customers.
- Grants or approved project draws received.
- Payments to suppliers and contractors.
- Payroll and related withholding payments.
- Taxes paid, where separately identified.
- Other operating receipts and payments permitted by the applicable policy.
Indirect-method adjustment groups
- Depreciation, amortisation, and other non-cash charges.
- Changes in trade receivables and contract assets.
- Changes in trade payables, accruals, and contract liabilities.
- Deferred or prepaid amounts that shift cash timing.
- Gains, losses, income, or expenses associated with investing or financing cash flows.
Worked illustration
Assume a project has $2,000 of separately tracked cash on 1 April. During April, it collects $8,000 from customers, pays $3,000 to suppliers, and pays $2,000 in project payroll.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
| April item | Cash amount |
|---|---|
| Opening project cash | $2,000 |
| Customer collections | $8,000 receipt |
| Supplier payments | $3,000 payment |
| Project payroll | $2,000 payment |
| Net cash movement | $3,000 |
| Closing project cash | $5,000 |
The arithmetic is $8,000 − $3,000 − $2,000 = $3,000, then $2,000 + $3,000 = $5,000.
Suppose the project also records $1,000 of supplier invoices that remain unpaid on 30 April. The invoices may be April expenses or accruals, but they are not April cash payments. They affect an indirect-method reconciliation or a payable balance, not the direct cash-payment total for April.
Classify cash flows for formal reporting
IAS 7 groups cash flows by the nature of the activity:
Operating activities
These are the cash effects of the entity’s principal revenue-producing activities and other flows that are not investing or financing. Project customer collections, routine materials, payroll, contractors, and many tax payments commonly fall here, subject to the entity’s policy and the governing framework.
Investing activities
These generally relate to acquiring or disposing of long-term assets and investments. A project purchase of equipment may therefore need investing presentation even though the project manager labels it an expense. Check whether the payment creates or changes a long-lived asset and apply the entity’s policy.
Financing activities
These reflect changes in contributed equity, borrowings, and other financing arrangements. A project loan draw or repayment should not be buried in operating payments when the applicable framework requires financing classification.

Controls that prevent unreliable project statements
- Bank-to-ledger tie-out: reconcile the period’s cash movements and ending balance to bank statements or the documented pooled-cash allocation.
- Receivable check: compare billed income, approved milestones, and actual collections; list overdue amounts separately.
- Payable check: compare approved supplier invoices, unpaid commitments, and actual payments; exclude unpaid invoices from direct cash outflows.
- Cut-off review: inspect transactions immediately before and after period-end for late-clearing payments and early or delayed collections.
- Duplicate and reversal check: search for repeated imports, voided payments, refunds, and bank transfers counted on both sides.
- Currency control: document the exchange rate and whether differences are shown as cash-flow effects or as a separate reconciliation item under the applicable framework.
- Approval trail: retain invoices, payment approvals, bank evidence, forecast assumptions, and allocation decisions.
- Version control: lock closed periods and identify changes to forecasts, project codes, or classification mappings.
Common failure modes and fixes
Using invoice dates as cash dates
Symptom: cash appears earlier or later than the bank movement. Fix: use clearing dates for actuals and supported expected payment dates for forecasts; retain invoice dates as separate fields.
Subtracting all accounting expenses
Symptom: the statement includes depreciation and unpaid invoices as cash outflows. Fix: rebuild from receipts and payments, then handle accrual and non-cash items in an indirect reconciliation where required.
Calling every project cost operating
Symptom: equipment purchases or loan proceeds appear among routine operating costs. Fix: map each flow to operating, investing, or financing according to the governing framework and policy.

Pick the symptom - the matching free tool is one click away.
Inventing a project bank balance
Symptom: a schedule shows “cash in bank” even though all funds are pooled. Fix: disclose the allocation method and call the result an attributed or allocated project cash balance.
Mixing actuals and forecasts silently
Symptom: a favorable balance depends on unmarked expected collections. Fix: show actual, committed, and forecast columns or use clear status tags and an assumptions note.
Forcing a management schedule to look statutory
Symptom: project categories are presented as if they were an IAS 7 statement. Fix: identify the schedule as management reporting and obtain accounting review before incorporating it into formal financial statements.
IAS 7, IFRS 18, and local requirements
The IFRS Foundation’s 2022 issued IAS 7 text defines the objective as providing information about historical changes in cash and cash equivalents, classified as operating, investing, and financing activities. It describes both direct and indirect operating presentations.
