To book flights and hotels through an online travel agency (OTA), search with the correct trip details, compare the full price and booking terms, enter traveler information carefully, and save both confirmations. Before paying, check who operates each flight, baggage and seat rules, hotel cancellation deadlines, payment timing, and which company will handle support if plans change.
What an online travel agency does
An OTA arranges travel between you and the airline or accommodation provider. The U.S. Department of Transportation (DOT) explains that when you buy a ticket through a travel agency or agent, you are not buying directly from the airline. That distinction matters if you need help: for an airline ticket booked through an OTA, the DOT advises contacting the agent first about a ticket problem. Support from the airline may be limited.

The OTA, airline, and hotel may each have different responsibilities. Check the booking-specific terms and confirmation rather than assuming the OTA controls every part of the reservation.

- Departure and arrival times, airports, and number of stops.
- The airline operating each flight. On a codeshare itinerary, the airline that sells the flight may differ from the one operating it.
- Total airfare, including baggage, seat selection, and other optional services you may want.
- Whether the fare is refundable, what changes are allowed, and any related fees.
- Baggage allowance and whether a seat is assigned or must be selected for an additional charge.
For airfare displayed in the United States, DOT rules require the advertised price to include applicable government taxes and fees and mandatory carrier-imposed surcharges. This does not mean every service is included: fare restrictions and optional-service charges can differ. The DOT says optional services cannot be automatically included in the airfare without your affirmative agreement. Discounted or basic fares can have stricter conditions, including limits on refunds, baggage, or seat assignment. See the DOT’s ticket-buying guidance for U.S. airfare information.
Compare hotel rooms by their terms, not just the nightly rate
Check the hotel’s location, stay dates, occupancy, room type, included services, and total charge. Then read the cancellation and payment terms for the specific room you are choosing. A property may offer different rules for different rates or rooms; do not assume that “free cancellation” or payment at check-in applies to every option.

The 24-hour cancellation or hold rule
For an eligible airline ticket bought at least seven days before departure, the airline must either allow cancellation for a full refund within 24 hours or offer a 24-hour hold at the quoted price. The airline does not have to offer both options. The DOT says this requirement does not apply to tickets booked through OTAs, travel agents, or other third-party agents. An OTA may offer a similar policy voluntarily, so check its own terms before relying on one. Details are on the DOT’s 24-hour reservation guidance.
Refunds after an airline cancellation or significant change
For covered U.S. travel, DOT guidance says you are entitled to a refund if the airline cancels your flight and you decline travel or credits, or if there is a qualifying significant delay or change and you decline the alternatives. If an agent is the merchant of record, the agent is responsible for providing the proper airfare refund. The merchant of record is the entity shown on your payment statement. Contact the booking agent first when you bought the ticket through an OTA. The DOT’s refund guidance explains the scope and conditions.
