Before you send a Kindle for repair, replace it, or factory-reset it, connect it to Wi‑Fi and run Sync or Sync and Check for Items. Kindle sync stores your reading position, notes, and highlights on Amazon’s servers, so they can be available on other Kindle devices and apps linked to the same account. Do not reset the device until that sync has finished.
Purchased Kindle books can be delivered again to a replacement registered to the account that bought them. That recovery path is different from preserving personal documents and from preserving every kind of annotation. Keep the original files for documents you imported, and treat handwritten Scribe marks and unsynced data as special cases rather than assuming one universal downloadable backup exists.

What Kindle backup does—and does not—mean
Kindle’s built-in sync is an account-based backup for supported reading data, not a complete disk image of the e-reader. Amazon’s help guidance says, “Sync automatically backs up and saves data from your Kindle devices and apps, including your reading position, notes, and highlights, to Amazon’s servers.” The Kindle must be connected to the internet for that transfer to occur.

A new Kindle can retrieve account-held purchases and synced reading data, but it cannot recreate information that never reached Amazon’s servers. A factory reset also removes local data before you hand the device over.

| Content or data | What the official guidance establishes | Recovery route or precaution |
|---|---|---|
| Purchased Kindle books | Books bought through the account can be delivered again to Kindle devices registered to that account. | Register the replacement to the purchasing account, then use Manage Your Content and Devices if a title does not appear. |
| Reading position | Sync backs up reading position to Amazon’s servers. | Run a manual sync before the old Kindle is unavailable, then sync the replacement or another linked app. |
| Text notes and highlights | Sync backs up notes and highlights; synced highlights and text annotations can be accessible across Kindle surfaces. | Verify on another linked Kindle surface before repair. The check is practical confirmation, not a guarantee for every annotation format. |
| Handwritten Scribe annotations | Amazon states that handwritten annotations are currently accessible across Kindle Scribe devices. | Use another Scribe as the verification surface when possible. Do not assume that every Kindle app or e-reader displays handwriting. |
| Personal documents | USB and Send to Kindle support transferring files, but the cited guidance does not establish a complete standalone archive of every annotation. | Retain the original document files and any separate copies you already keep. |
| Unsynced local data | A reset removes content that has not been synced, along with personal data and downloaded content. | Finish syncing before a reset. There is no established recovery guarantee for data that remained only on the old device. |
Amazon does not describe one universal, user-downloadable archive containing every purchased book, personal file, and annotation type. Plan the handoff by content type instead of treating “backup” as a single export operation.
Before repair or replacement: the safe sequence
Use this order while the original Kindle still turns on and can connect to the internet. Menu labels can differ slightly by Kindle software version.
- Connect to a reliable Wi‑Fi network. Open the Kindle’s quick settings or menu and join Wi‑Fi. Sync cannot upload changes without an internet connection.
- Run a manual sync. Choose Sync or Sync and Check for Items. Sync is enabled by default, but manually starting it removes uncertainty about whether the latest notes and reading positions have been sent.
- Leave the Kindle connected while it finishes. Avoid powering it off, enabling airplane mode, or starting a reset during the operation. If the device reports a connection or sync error, resolve that before continuing.
- Confirm the account. Check that the Kindle is registered to the Amazon account that owns the books. A replacement registered to a different account will not show that account’s purchases for delivery.
- Verify important annotations elsewhere. Open a linked Kindle device or app, sync it, and check a few books containing important notes or highlights. Amazon says synced highlights and text annotations are available across Kindle surfaces; this check confirms that the particular items you care about are visible before the original device leaves your possession.
- Preserve personal-document originals. Copy the source files for PDFs and other documents to storage you control. If you originally sent a file by USB or Send to Kindle, keep that original and any separate annotated copy. File transfer is not documented as a complete annotation-archive process.
- Handle Scribe handwriting deliberately. If the material includes handwritten Scribe annotations, verify them on another Kindle Scribe when available. Amazon’s compatibility guidance does not make handwriting universally available on every Kindle surface.
- Only then decide whether to reset. A reset is destructive to local data. If a repair instruction requires a factory reset, complete the preceding steps first.
How to tell whether the important data is synced
There is no single progress report that proves every type of Kindle content has been archived. Use several checks together.

Check the connection and sync command
On the e-reader, open quick settings or the main menu and select Sync or Sync and Check for Items. If the wording on your model differs, use the equivalent synchronization command. A successful command with an active Wi‑Fi connection is the required first step; sync cannot occur while the device is offline.
Check from a second Kindle surface
On another Kindle device or the Kindle app signed in to the same account, sync and open a book that contains a known note or highlight. Also check the reading position in a book you recently used. This is a useful, practical verification before repair, but it should not be described as proof that every annotation type is portable. In particular, handwriting has narrower support than text annotations.
Check the account before checking the library
If a second device shows an empty library, first confirm that it uses the same Amazon account as the original Kindle. Account mismatch can look like lost content even when the purchases and synced data remain associated with the original account.

Purchased books after a replacement or reset
Amazon’s delivery workflow is intended for books purchased through the account. On the replacement Kindle, register with that same account and run a sync. If a purchased title is still absent, use Manage Your Content and Devices to select the book and deliver it to a registered Kindle device.
- Register the replacement Kindle to the account used to buy the book.
- Connect the replacement to Wi‑Fi and run Sync or Sync and Check for Items.
- Open Manage Your Content and Devices and locate the purchased title.
- Choose the registered replacement as the delivery destination.
- On the Kindle, check the library filters and let the download complete.
Redelivery restores account-purchased books; it is not evidence that every personal document or every annotation has a separate downloadable copy. A book that was sideloaded or sent as a personal document follows a different path.
Personal documents: keep a file copy outside Kindle
Personal documents include files you supplied yourself rather than books purchased through the Kindle store. Amazon supports moving such files by USB and by Send to Kindle. Those methods help you put the document on another device, but the cited guidance does not say that either method exports a complete archive of all notes, highlights, underlines, or handwritten marks attached to the file.

- Adapts to your surroundings – The auto-adjusting front light lets you read in the brightest sunlight or late into the night.
Keep the original PDF or other source document in storage you control before handing over the Kindle. If you have already made a separate copy containing your annotations, retain it as well. Do not delete the original simply because the file appears in the Kindle library.
Compatibility differs by device and app. Amazon’s personal-document guidance specifically notes that Kindle Web does not support personal documents yet and distinguishes among handwritten notes, text notes, highlights, underlines, and Scribe active-canvas support by format and surface. Therefore, a document visible on one Kindle surface is not proof that every annotation will appear on another.

| Text notes and highlights in a supported Kindle book | Run sync, then check another linked Kindle surface. This is the most clearly covered cross-surface case. |
| Handwritten notes made on Kindle Scribe | Check another Kindle Scribe. Amazon identifies Scribe-to-Scribe access, not universal access across all Kindle apps and readers. |
| Annotations on an imported personal document | Keep the source file and any separate copy. Do not rely on USB or Send to Kindle alone as a full annotation export. |
| Personal documents viewed in Kindle Web | Kindle Web does not currently support personal documents according to Amazon’s compatibility information, so use an appropriate supported device or app instead. |
Important Scribe caveat for Google Drive and OneDrive imports
For Kindle Scribe models released in 2025 or later, Amazon warns that annotations added to files imported from Google Drive or OneDrive do not sync back to the original cloud-drive file. The annotation may exist on the Scribe while the file in the drive remains unchanged.

If you need a copy outside the Scribe, Amazon says you can upload a PDF copy of the annotated file back to the cloud drive. Treat that PDF as a separate exported copy, not as live two-way synchronization with the original file. This limitation applies specifically to the stated Scribe models and those import routes; do not generalize it to every Kindle document workflow.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What a factory reset removes
Amazon describes a factory reset as returning the Kindle to its original factory settings while removing personal data, downloaded content, and content that has not been synced. The reset also deregisters the device.
That means a reset is not a backup step. It is a cleanup step that should happen only after you have completed synchronization, checked important data on another surface, preserved personal-document files, and confirmed which account will be used on the replacement.
If the repair center requires a reset
- Complete the Wi‑Fi sync and verification steps above.
- Copy personal-document originals and any separate annotated files off the Kindle.
- Confirm the replacement or post-repair device will use the same purchasing account.
- Perform the factory reset only after those checks are complete.
Because a reset removes unsynced data, do not promise yourself that a repair technician or a later account login can recover annotations that never synchronized.
Recovery routes by content type
Use the route that matches the item you are trying to recover. The routes are complementary, not interchangeable.
| Your item | Before the device leaves you | After replacement or reset | Main limitation |
|---|---|---|---|
| Purchased Kindle book | Run sync if you want its current reading position and supported annotations saved. | Register the same account, sync, and deliver the title through Manage Your Content and Devices if needed. | Account delivery covers purchases, not every personal file. |
| Text note or highlight | Run sync and verify on a linked Kindle surface. | Sync the linked device or app signed in to the same account. | Availability can depend on the annotation and surface. |
| Handwritten Scribe annotation | Run sync and, where possible, check another Scribe. | Use a Kindle Scribe surface that supports the handwriting data. | Amazon currently describes cross-Scribe access, not universal access on all Kindle surfaces. |
| Personal document | Retain the source file and any separate copy; sync supported annotations. | Transfer the retained file again by a supported method. | USB and Send to Kindle are not established as complete annotation archives. |
| Unsynced local change | Connect and sync before reset or handoff. | No established recovery route if it was erased before synchronization. | A factory reset removes unsynced content. |
Troubleshooting when a book, note, or highlight is missing
The replacement library is empty or incomplete
- Connect the replacement to Wi‑Fi and run Sync or Sync and Check for Items.
- Confirm the replacement is registered to the same Amazon account that owns the purchases.
- Use Manage Your Content and Devices to deliver a missing purchased book.
- Check library filters and downloaded-versus-cloud views so the title is not merely hidden.
A recent note or highlight is absent
- Return to the original Kindle if it is still available, connect it to Wi‑Fi, and run a manual sync.
- Check the same book on another linked Kindle surface after that sync.
- Consider whether the item is a personal document or handwritten Scribe annotation, because those have different compatibility rules.
- If the change existed only locally and the device has already been reset, do not assume that account delivery can restore it.
The personal document is back, but its annotations are not
Re-transfer the retained source file, then identify where the annotation was made and which surface is being used to open it. Amazon’s compatibility information separates text annotations, handwriting, document formats, and apps; a file copy and an annotation archive are not the same thing. For Scribe files imported from Google Drive or OneDrive on models released in 2025 or later, use an uploaded PDF copy when you need the annotated result in the drive.
Quick Recap
Common mistakes to avoid
- Resetting first: a reset removes personal data, downloads, unsynced content, and deregisters the Kindle.
- Assuming sync is offline: sync requires an internet connection even though it is enabled by default.
- Using the wrong account: purchased books belong to the account that bought them.
- Treating redelivery as a document backup: account delivery restores purchased books, not automatically every personal document or annotation.
- Assuming all annotations are equivalent: text highlights, text notes, handwritten Scribe marks, and personal-document annotations have different support across devices and apps.
- Deleting the source PDF: USB and Send to Kindle transfer do not establish a complete, independent annotation archive.
- Expecting Drive changes to be two-way on newer Scribes: annotations on Google Drive or OneDrive imports do not sync back to the original file on Scribe models released in 2025 or later.
A concise handoff checklist

- Handwritten Scribe material checked on another Scribe when possible.
- Original personal-document files and any separate annotated copies retained.
- Replacement account confirmed as the account that owns the purchases.
- Factory reset postponed until every preceding check is complete.
