Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsA reliable self-hosted office-suite backup is a coordinated copy of the files, application metadata, configuration, database, and any persistent editor or service data that your topology uses. A Docker image or a folder of documents is not automatically enough. First map where each component stores canonical files and state; then capture a consistent backup, restore it to a compatible installation, and validate users, permissions, sharing, editors, and connected services before reconnecting clients.
What “self-hosted office suite” can mean
The phrase covers several architectures. A collaboration platform such as Nextcloud can hold users, shares, file metadata, application settings, and the document files themselves. A document server such as ONLYOFFICE Docs may be deployed separately and integrated with that platform. A complete workspace product can combine documents, mail, collaboration features, databases, and background services. In each design, the editor is not necessarily the place where the authoritative documents live.

In a common design, Nextcloud stores the canonical files and metadata while a separately managed document server provides editing. Backing up only the editor container can preserve editor-side state but still omit the users’ files, shares, permissions, and platform database. Conversely, backing up only the platform can omit editor certificates, caches, or service configuration that the integration needs.
All-in-one workspace or space server
Workspace and DocSpace installations have their own backup and restore workflows. Their archives can include application data and settings, but edition and version determine which features are covered. Treat the product’s own guide as authoritative for the exact release installed on the target server.

Docker does not define your backup boundary
A container is disposable by design. Data survives only where you deliberately persist it: host-mounted volumes, a separately managed database, object storage, or another external service. Trace every mount and connection before writing a backup script.
Inventory every dependency before taking a backup
Create an inventory that names the product and version, installation method, database engine, storage paths, external services, and credentials or keys required for recovery. Record whether the target is the same machine, a replacement machine, or a migration to a different version.

Nextcloud: the mandatory restore set
Nextcloud’s restore documentation identifies four categories: the configuration directory (including config.php), the data directory, the database, and the theme directory when custom themes are used. The database is not optional application metadata; it maps files to users, shares, versions, and other records. Nextcloud’s operations guidance says, “Nextcloud doesn’t come with any build-on backup solution.” Backups therefore need to be performed at the infrastructure level. See the Nextcloud 35 Administration Manual restore procedure and the Nextcloud Backup & Restore guidance.

ONLYOFFICE Docs in Docker: persist the documented paths
The Docker installation guide lists these persistent locations. Mount them outside the container so replacing or updating the image does not erase them:
| Container path | What it contains | Backup implication |
|---|---|---|
/var/log/onlyoffice |
Logs | Useful for incident analysis and post-restore troubleshooting. |
/var/www/onlyoffice/Data |
Certificates and related data | Include it when the editor’s TLS or signing material is stored there. |
/var/lib/onlyoffice |
File cache | Persist it when your deployment depends on the cache; verify whether it can be regenerated in your version. |
/var/lib/postgresql |
PostgreSQL database data | Back it up consistently, or back up the separately managed database if your topology uses one. |
These paths describe the Docs container, not the whole integrated office system. The platform connected to it may keep the canonical documents and application database elsewhere. Use the ONLYOFFICE Docs Docker installation guide to confirm mounts for your release.
Workspace and DocSpace: identify feature-specific data
Workspace’s Control Panel backup has an Include Mail choice. If Mail is left out, its data is lost after restore and accounts must be connected again. The product license is not contained in the backup, so plan to upload the license again. DocSpace has a separate server backup guide and different prerequisites; do not apply Workspace UI instructions to DocSpace.

External services, secrets, and keys
List Redis, RabbitMQ, reverse-proxy configuration, TLS certificates, object-storage credentials, cron or systemd jobs, antivirus or full-text-search indexes, and any separately hosted database. Whether each item is authoritative data or a rebuildable cache depends on your version and deployment. Record encryption keys and machine-specific secrets in a protected recovery location; a file archive without the key that decrypts it is not a usable backup.
Design a backup that can actually be recovered
Make the copy internally consistent
Coordinate the application, database, and file-system copies. Schedule a maintenance window or otherwise prevent writes while taking a simple file-level copy; for a live system, use the database engine’s consistent backup method and ensure the file snapshot corresponds to the same point in time. Note the backup timestamp, application version, database engine, and storage layout in the backup record.
Keep more than one reachable copy
Store a recovery copy separately from the production host and protect it from accidental deletion or ransomware. Choose retention and backup frequency from your acceptable data-loss window and recovery-time needs; the product documentation reviewed here does not prescribe a universal interval, retention period, RPO, or RTO. Workspace supports temporary download, the Documents module, a computer-file destination, and connected third-party storage. Temporary download links remain available for 24 hours, so a link is a transfer method, not a retention policy. An external drive can be a computer-accessible destination, but owning a drive alone does not make a backup complete or tested.

Record what the archive contains
- Product name, edition, exact version, and installation method.
- Database engine, database name, host, character set or collation, and credentials held in a secure password manager.
- Absolute paths or volume names for configuration, data, themes, certificates, and persistent service data.
- Whether Mail, external storage, encryption keys, licenses, and custom applications are included.
- Restore owner, target host, required operating-system packages, and the date of the last successful validation.
How to back up and restore Nextcloud
Backup procedure
- Identify the active Nextcloud installation and record its version and database engine. Do not assume a sample path or database name matches your server.
- Put the instance into a controlled state for the copy, following your operations practice, so that the database and data files represent the same point in time.
- Copy the configuration directory, including
config.php, the complete data directory, the database using its engine’s consistent backup method, and the theme directory if custom themes are installed. - Save any reverse-proxy, PHP, web-server, cron, Redis, object-storage, certificate, and encryption-key material that the installation depends on but that is outside the four Nextcloud directories.
- Protect the archive, test that it can be read, and document the exact target version and paths for restoration.
Restore on the same or a replacement server
- Install the intended Nextcloud version and prerequisites on the target, or prepare the existing installation for replacement data. Confirm the database engine, database name, credentials, paths, ownership, permissions, and character set or collation before importing anything.
- Place the backed-up configuration and data directories in the target locations, preserving ownership and permissions. Restore custom themes when they were part of the backup.
- Clear the target database’s existing tables before importing the backed-up database. The Nextcloud manual provides engine-specific examples for MariaDB, MySQL, PostgreSQL, and SQLite; use the example for your actual engine rather than copying a command blindly.
- Import the database and verify that the restored configuration points to the restored data path and database.
- Bring the application online and inspect logs for missing PHP modules, file-permission errors, database connection failures, or unavailable external services.
The complete sequence and engine-specific examples are in Nextcloud’s “Restoring backup” manual. A file copy by itself cannot reconstruct database metadata, and importing a backup into tables that still contain newer records can produce an incoherent instance.
Recovering from a stale server backup
Nextcloud normally treats the restored server as authoritative. If clients contain newer files than the backup, its manual describes the maintenance:data-fingerprint process to attempt recovery from clients, followed by files:scan to update the database. This is a special stale-backup recovery case, not a routine restore step. Nextcloud warns that reconciliation can create conflict dialogs and make client-side deletion difficult; make a separate copy before attempting it and communicate the risk to users.
How to preserve an ONLYOFFICE Docs Docker deployment
Before replacing or updating the container
- Inspect the running container definition and list every bind mount and named volume. Compare them with the documented paths
/var/log/onlyoffice,/var/www/onlyoffice/Data,/var/lib/onlyoffice, and/var/lib/postgresql. - Determine whether PostgreSQL is inside the container or provided by a separate database service. Back up the authoritative database with its own consistent method.
- Copy host-mounted data, certificates, configuration files, secrets, and reverse-proxy settings. Keep the image reference and environment variables used to recreate the container.
- Back up the connected platform separately. The Docs volumes do not prove that user documents, shares, or platform metadata are present.
Restoring the editor service
Recreate the host mounts and database first, deploy the matching image or documented upgrade path, then restore certificates and service configuration. Confirm that the editor starts, its health checks pass, and the collaboration platform can reach it over the configured URL. Test opening, editing, and saving representative documents from a normal user account; a running container alone does not demonstrate that the integration is usable.

Restoring ONLYOFFICE Workspace
- Open the Workspace Control Panel and go to the Restore page for the backup you intend to use.
- Check whether the archive includes Mail. If it does not, plan for Mail data loss and reconnect the affected accounts after recovery.
- Start the restore and allow the portal to reload. Do not treat the reload as proof that every module and file is intact.
- Upload the product license again because license data is not included in the backup.
- If the backup came from the cloud version and is restored to a server version, expect current passwords to be reset; users regain access through the Forgot your password flow.
Follow the edition-specific details in ONLYOFFICE Workspace’s Control Panel backup and restore guide. Workspace and DocSpace are separate products with separate procedures.
Moving ONLYOFFICE DocSpace to a new server
DocSpace’s documented new-server restore has prerequisites that matter when the original machine is unavailable:
- Perform the documented operations as
root. - Make the backup archive accessible to the target server.
- Install the latest version specified by the guide and complete the initial portal setup before starting a new-server restore.
- Decide whether to retain the original
core.machinekeyor omit it, based on the documented migration scenario and your key-management plan. - After restoring multiple spaces, reset the password as required by the guide.
The portal reloads after restoration. Verify sign-in, spaces, files, sharing, and integrations after it returns. Use the current ONLYOFFICE DocSpace backup and restore settings guide for release-specific commands and archive requirements.
Choosing a recovery approach
| Decision axis | Platform such as Nextcloud | Separate document server | Workspace or DocSpace |
|---|---|---|---|
| Restore scope | Application, database, files, configuration, and optional themes. | Editor service only; the connected platform is a separate restore. | One selected backup or, where supported, multiple spaces; exact scope is edition-specific. |
| Completeness | Requires data, database metadata, configuration, and any custom themes. | Requires persistent mounts, database, certificates, and service configuration; canonical documents may live elsewhere. | Check Mail selection, license handling, keys, and external integrations. |
| Deployment target | Same installation or a prepared replacement with matching prerequisites. | Recreated container or host-mounted volumes plus the integrated platform. | Same server or a new server following the product’s version and setup prerequisites. |
| Credential and key impact | Depends on preserved configuration, encryption keys, and external identity services. | Depends on restored secrets, certificates, and database credentials. | Some migrations can require password recovery or a reset; machine-key handling is scenario-specific. |
| Client impact | Clients may contain newer files than a stale backup; conflict reconciliation may be needed. | Clients are normally governed by the platform that owns the files. | Users may need to sign in again after a password reset or account reconnection. |
Post-restore validation checklist
Use two test accounts: an administrator and a normal user. Complete these checks before declaring recovery complete:
- Sign in successfully and verify that the administrator console loads.
- Open representative documents in the integrated editor, edit a small test file, save it, and reopen it.
- Check folders, file versions, shares, links, comments, metadata, and permissions for different users.
- Confirm that certificates are valid, the reverse proxy routes correctly, and separately hosted databases, Redis, queues, storage, and mail services are reachable.
- Review application, web-server, database, and container logs for errors that did not appear on the home page.
- Verify scheduled jobs, notifications, search, previews, and any custom applications that the business requires.
- Only after these checks, reconnect or release client synchronization. If the server copy is stale, decide explicitly whether to attempt the Nextcloud fingerprint recovery process rather than allowing silent overwrites.
Common failure modes and fixes
| Symptom | Likely cause | Corrective action |
|---|---|---|
| Files appear but shares, versions, or permissions are missing. | Only the data directory was restored; the database was omitted or mismatched. | Restore the matching database and configuration, then verify paths and ownership. |
| A new Docker container starts empty. | Volumes were not mounted outside the old container. | Recreate the documented host mounts and restore their contents; verify any external database. |
| Editing fails although the platform loads. | Editor URL, certificates, secrets, or separately hosted service was not restored. | Check editor health, TLS, integration settings, and service logs. |
| Mail is absent after Workspace restore. | Mail was not selected in the backup. | Reconnect accounts and recover Mail from another backup if one exists. |
| Users cannot use their old passwords. | The source and target editions or migration path reset credentials. | Use the documented password-recovery flow and communicate the change before reopening access. |
| Client conflict dialogs appear after recovery. | Clients contain files newer than the restored server. | Pause broad synchronization, preserve copies, and use the product’s documented reconciliation process only after assessing which copy is authoritative. |
When is the restore finished?
Recovery is finished only when the restored service has the intended data and metadata, administrators and ordinary users can work, integrations and scheduled jobs operate, and the team has recorded what was restored and what was intentionally excluded. Keep the original archive untouched until validation is complete. A repeatable restore runbook, protected keys, and a tested target environment matter as much as the backup copy itself.
