How to Back Up and Move Your Settings When Switching Open-Source Apps

There is no universal “move settings” file. An app’s export, complete profile backup, synchronization service, and raw settings-folder copy preserve different things, and the destination app may accept only one of them—or none. Identify both applications, their versions, operating system and installation method first; then use the source app’s documented backup and the destination app’s documented import path. Keep the original backup unchanged until the new installation has been tested.

What you can actually move

Switching applications is a data-migration project, not a file-copy operation. A source application may store preferences, accounts, databases, extensions, encryption keys, caches and app-specific state in several locations. A destination application may understand only a subset of those items. Even when two programs handle the same kind of data, their internal formats and feature models can differ.

As an Amazon Associate I earn from qualifying purchases.

Method Usually includes What it does not guarantee Best use
Native export or interchange file Data types the source deliberately exposes, such as bookmarks, contacts or records App-specific preferences, extensions, attachments, encryption settings or custom features Moving selected data into a different application
Complete profile backup The source profile’s accounts, data and settings, subject to that app’s design Compatibility with another application; a destination may not understand the profile format Restoring the same app or moving it to another computer
Synchronization service The categories and devices supported by the service Offline archives, every preference, local files, extensions or recovery material Keeping supported profile data current across devices
Raw settings-folder or profile copy Whatever is physically inside the copied folder A safe restore if files are incomplete, locked, version-incompatible or encrypted separately Large profiles and same-application recovery

Before choosing a method, decide whether you are restoring the same application or changing applications. A complete profile is usually the stronger safety copy for a same-app move. An interchange format is usually the more practical bridge to a different app, but it can omit features. Never assume that a successful import means every setting, password, extension or attachment arrived.

Identify the migration before touching the old installation

Write down the details below. They determine profile locations, supported import formats, encryption behavior and size limits.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  • Source application and exact version: Include the edition or channel if the project publishes more than one.
  • Destination application and exact version: Import support can change between releases.
  • Operating system and architecture: Windows, macOS and Linux builds may use different profile paths and capabilities.
  • Installation method: A system package, sandboxed package, portable build and manually extracted archive can use different data directories.
  • Data you must preserve: List preferences, accounts, messages, bookmarks, address books, password entries, attachments, extensions, custom dictionaries and other app-specific items separately.
  • Security material: Record whether the data depends on a master password, key file, recovery code, certificate or hardware-backed credential.

Use the current documentation for both applications. The source instructions define what a backup contains and how it is made; the destination instructions define what can be imported. Product documentation is the authority for volatile details such as operating-system support, version requirements and file-size limits.

Before switching: make a backup you can restore

1. Read the source app’s scope and limits

Look for headings such as Export, Backup, Profile, Portable or Restore. Record the exact data included and excluded. If the instructions describe an archive, note its format, encryption behavior and maximum size. If they describe copying a folder, note whether the application must be closed first and whether hidden files are included.

2. Make two kinds of copy when practical

For a same-application move, create the app’s native profile backup or a complete profile-folder copy. For a cross-application move, also create the source app’s interchange export for each data type the destination supports. These are complementary: the profile is your recovery copy, while the interchange files are your migration material.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Store the backup separately

Save the backup to storage that is not the computer being replaced. A USB flash drive or external storage drive is one possible destination; it is optional, not a requirement. Keep the original source profile untouched. If you create multiple exports, label them with the application, version, operating system and date so you can identify the correct file without opening it.

4. Protect secrets and recovery files

Password databases, private keys, certificates and recovery codes deserve separate attention. A data export may not contain the key needed to decrypt the original database. Keep any required key file in a secure backup location and protect it with the same care as the database. Do not place credentials in an unencrypted text export unless you understand the risk and have a controlled plan for deleting it afterward.

5. Check that the copy is usable

  • Confirm that the backup file exists at the destination and has a plausible size.
  • If the app offers an archive test, run it.
  • Open a duplicate of an export, not the only original, to confirm that it contains expected records.
  • For a profile folder, verify that the folder hierarchy and hidden files were copied rather than only visible documents.
  • Keep a written note of the backup location and any password or key required to restore it.

Choose the right method for the job

Native export for selected data

Use a native export when the destination app explicitly lists that format. Treat CSV, JSON, HTML and similar files as interchange data unless the source documentation calls them a full backup. They commonly preserve records but not application behavior. A contacts export may omit account authentication; a bookmark export may omit browser extensions; a password export may omit attachments, custom fields or database protection.

Complete profile backup for the same application

A profile backup is designed to restore the source application’s own state. It can include accounts, messages, address books, preferences and other internal files. It is not automatically portable to a different application. Use the profile route when moving the same app to a new computer, recovering after a failure or preserving a known-good installation before an upgrade.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Synchronization for supported profile data

Sync is a convenience and a second copy, not a complete archival strategy. It may update bookmarks, passwords or settings across signed-in devices while excluding local databases, extensions, caches and recovery material. Read the service’s category list and account-recovery requirements. Keep an independent backup before uninstalling the old application.

Raw folder copy for large or unsupported profiles

A folder copy can bypass an archive-size limit, but it requires more care. Close the source application, copy the entire documented profile folder, include hidden files, and preserve the directory structure. A raw copy is most reliable when restoring the same application and compatible version. It is not a substitute for an import format when changing applications.

Thunderbird: profile export, large profiles and selective import

What Thunderbird’s export contains

Mozilla’s Thunderbird Export tool creates a ZIP backup of the profile. The documented profile scope includes accounts, messages, address books and settings. The export tool currently supports ZIP backups up to 2 GB. That figure is a product limit, not a general estimate of how large a mail profile should be.

What to do when the profile exceeds 2 GB

For a profile larger than the documented ZIP limit, Mozilla describes locating the Thunderbird profile folder and copying its contents to another location. A USB flash drive is one example destination; external storage can be used if it has enough capacity. The documentation also mentions split-volume compression as another option. Keep the copied folder intact and do not delete the original until the restored installation has been checked.

Restoring or importing Thunderbird data

Thunderbird’s Import tool can accept Thunderbird profiles, data from other applications and certain files. The wizard lets you select which categories to import, so you can stage the operation instead of replacing everything at once. The same 2 GB ZIP limit applies to ZIP imports; use the documented profile-folder route for a larger profile.

  1. Install the destination Thunderbird version and close it before replacing or restoring profile files.
  2. Choose the Import function and read the source choices presented by the wizard.
  3. Select only the data you need, review the summary and start the import.
  4. Open Thunderbird and inspect accounts, folders, recent messages, address books, attachments and settings.
  5. If the profile is larger than 2 GB, stop using the ZIP route and follow the profile-folder instructions instead.

A complete profile can be restored to Thunderbird, but it does not follow that another mail application can consume the same ZIP. For a cross-application move, check whether the destination accepts the specific mail, address-book or account format and export those categories separately.

Firefox: backup files, operating-system differences and Sync

Mozilla describes a Firefox backup file as containing profile data such as bookmarks, settings and passwords. The current help material states that feature availability differs by operating system and Firefox version. Check the requirements for the version you are actually running rather than relying on an older tutorial or assuming that every platform exposes the same controls.

Plan a Firefox move

  1. Note the Firefox version, operating system and installation type on the source computer.
  2. Read the current backup instructions for that combination and create the supported backup file.
  3. Store the file separately from the source computer and protect it if it contains passwords.
  4. On the destination computer, install a compatible Firefox version and verify that its backup or restore feature is available.
  5. Restore the file, then check bookmarks, saved passwords, preferences and any data you consider essential.

Firefox Sync is another way to keep supported profile data updated across devices. Sync should not be treated as proof that every local setting or extension has been archived. Confirm the categories it covers and retain a separate backup file before removing the old installation.

KeePassXC: why an export is not the encrypted database

KeePassXC illustrates the difference between a native database and an interchange export. Its documentation covers import and export operations and warns that formats such as CSV do not retain all database features. A CSV file can carry readable records while losing database-specific structure, attachments, custom fields, protection settings or other capabilities. It is therefore not equivalent to the encrypted native database.

Safer password-database migration

  1. Keep the original encrypted database unchanged.
  2. Back up the database using the project’s documented method.
  3. Back up the key file separately if the database uses one, and store it securely.
  4. Use an interchange export only when the destination application documents support for that format.
  5. Import into the destination and inspect entries, groups, URLs, notes, attachments, custom fields and timestamps that matter to you.
  6. Test that the destination can unlock the imported data and that the required key or recovery material remains available.

Never discard the native database merely because a CSV import completed. The import may have transferred the visible entries while omitting features you need later.

Cross-application migration procedure

Phase 1: inventory

  • List every source category and mark it as essential, useful or disposable.
  • For each essential category, identify the source export and the destination import format.
  • Mark items that require separate handling, including credentials, key files, certificates and attachments.

Phase 2: prepare and export

  1. Update or install the destination only after you know its supported import path.
  2. Close the source app if its documentation requires it for a consistent profile copy.
  3. Create the native profile backup and each required interchange export.
  4. Copy backups to separate storage and record the source version and date.
  5. Do not overwrite the only source copy during any test.

Phase 3: import selectively

Start with a small, representative subset if the destination offers that choice. Import one category at a time, read the wizard’s summary and note any warnings. Selective import helps you identify which format or category caused a problem and avoids replacing destination settings unnecessarily.

Phase 4: verify the result

  • Preferences: Confirm the settings that affect daily use, not just the application’s launch screen.
  • Accounts: Verify account names, servers and authentication prompts without assuming passwords transferred.
  • Content: Open representative messages, bookmarks, address-book entries, password records and attachments.
  • Security: Test the master password, key file, certificate or recovery code required by the destination.
  • Behavior: Restart the destination app and confirm that imported data remains present.

Phase 5: retain the source

Keep the original profile and exports until the new setup has been used successfully and all essential data has been verified. The documentation for these applications does not establish one universal retention period, so choose a period appropriate to your work and recovery needs rather than relying on an invented number of days.

Troubleshooting common failures

The destination does not list the backup file

You may be holding a complete profile when the destination expects an interchange format, or the file may belong to an unsupported version. Recheck the destination’s accepted sources and do not rename the file to force recognition. If no supported path exists, keep the source app available and export each compatible data category separately.

The archive is too large

Check the source app’s documented limit. Thunderbird’s ZIP export and import limit is 2 GB; a larger Thunderbird profile requires the documented profile-folder copy or split-volume approach. Do not split an archive arbitrarily or remove files from a profile to make it fit.

Some settings or extensions are missing

This is normal when moving between applications. Interchange formats generally describe data, not implementation-specific features. Recreate unsupported preferences manually, install destination-compatible extensions from their trusted project sources and keep the old profile until you know which behavior cannot be reproduced.

Passwords or encrypted data will not open

Look for a separate master password, key file, certificate or recovery code. A successful data import does not prove that encryption material transferred. Restore the required key through the source project’s documented process and avoid placing it in an unprotected export.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The imported data looks incomplete

Compare counts and representative records with the source. Check folders, archived items, attachments, custom fields and address-book groups rather than checking only the newest entries. If the destination supports selective re-import, repeat the operation with a different category or source file while preserving the first import and the original backup.

A concise decision checklist

  • Am I restoring the same application or changing applications?
  • What exact source and destination versions and operating systems are involved?
  • Does the destination explicitly accept this file format or profile?
  • What data does the export include, and what does it exclude?
  • Is there a size limit, such as Thunderbird’s 2 GB ZIP limit?
  • Do passwords, encryption keys or recovery files need separate backups?
  • Can I test the destination without modifying the only source copy?
  • Have I opened and verified the essential data after import?

The practical rule

Use the source app’s supported export or profile-backup procedure, then match it to a destination import that is explicitly documented. A profile backup protects the original application; an interchange export moves selected data; Sync keeps only supported categories current; and a raw folder copy is primarily a same-application recovery method. Preserve the original backup until the destination has passed a real-world check of the settings and data you depend on.
