The dependable way to back up notes is to use the app’s official export or download command, save the resulting files outside the service, and open a sample to verify that the pages, databases, attachments, recordings, transcripts, and metadata you need are really present. A provider’s internal backup can help it restore your account, but it is not a copy you control or a guaranteed package that another app can import.
What “back up” and “export” mean
AI note-taking services usually protect data in two separate ways. Their infrastructure may create server-side backups for disaster recovery or account restoration. An export is a user-initiated copy—such as Markdown, HTML, CSV, PDF, audio, or a ZIP archive—that you download and keep somewhere you control.
As an Amazon Associate I earn from qualifying purchases.
Those purposes overlap, but they are not interchangeable. A service can restore a page from its own systems without giving you the underlying files. Conversely, a downloaded archive can preserve readable content without recreating the original workspace, permissions, links, automations, or search index when imported elsewhere.
Recommended Free Tools
- Provider backup: maintained by the vendor, usually invisible to you, and intended for service-side recovery.
- User export: requested by you, downloaded to your storage, and available for inspection, migration, or evidence.
- Independent copy: a second copy of the export on separate storage, useful if the account is locked, a workspace is deleted, or an export link expires.
When someone asks, “How do I back up my notes?”, the practical answer is therefore: export them, retain the original files, and verify the result. Do not assume that a vendor’s statement about daily or per-minute backups gives you a downloadable archive.

A repeatable export-and-check procedure
Use this process for any AI note app. Menu names vary by product, plan, language, and administrator settings, so treat the app’s current help page as the authority for the exact controls.
- Define the scope. List the workspaces, folders, pages, databases, conversations, recordings, and attachments that matter. Decide whether you need everything or only a project archive. Check whether you can actually view each item; private pages and restricted conversations may be excluded.
- Start the official export. Use an account, workspace, or conversation-level Export, Download, or Export all command. Avoid relying on browser “Save page” or screenshots when you need structured data, attachments, or audio.
- Select every relevant content type. Some apps expose separate checkboxes for attachments, images, speaker names, timestamps, highlights, transcripts, summaries, comments, or original audio. Read the options rather than assuming the default includes them.
- Choose formats deliberately. Use Markdown or HTML for readable pages, CSV for database rows, PDF for a fixed visual record, and audio formats for recordings when offered. If the app provides several formats, exporting more than one can protect against a later conversion problem.
- Download promptly. Save the archive outside the app—on your computer and, if the notes are important, on separate storage. Email-delivered links can expire, and a browser download folder is not a long-term filing system.
- Inspect before deleting anything. Open the archive, browse its folders, load representative pages, and play sample audio. Confirm that links resolve locally where promised, tables contain the expected rows, images open, and transcripts or summaries are not missing.
- Record the date and scope. Put the export date, account or workspace name, selected options, and app version or plan (if shown) in a small text file beside the archive. This makes later copies understandable.
- Repeat on a sensible schedule. If the app has no automatic user-export feature, run a manual export after major projects or at an interval appropriate to how quickly your notes change. A portable external drive can hold a second copy of an already exported archive, but it does not automate future exports.
Which export format should you use?
Formats preserve different properties. There is no universal “best” export, and an app may not offer every format for every object.
| Format | Best use | What to check |
|---|---|---|
| Markdown | Portable, editable text and headings; convenient for moving notes among text-based tools. | Whether images, nested pages, comments, database properties, and internal links are represented separately. |
| HTML | Reading a local copy in a browser while retaining page layout and links. | Whether assets are downloaded locally and whether links work without signing in. |
| CSV | Rows from a database or table that you want to analyze or import into a spreadsheet. | Which columns are included, how multi-select fields are encoded, and whether page content or attachments are omitted. |
| A fixed, shareable visual record for reading or printing. | Text editability, selectable content, embedded images, page breaks, and whether it represents one page or an entire workspace. | |
| DOCX or TXT | Word-processing or plain-text copies of individual transcripts or conversations. | Loss of layout, tables, comments, media, and application-specific metadata. |
| SRT | Timestamped subtitles or transcript text that can be used with media tools. | Speaker labeling, timestamp accuracy, and whether non-spoken notes are excluded. |
| MP3 or another audio file | Preserving the original recording where the service offers audio export. | Whether the file is the original audio, a processed rendition, or unavailable for your plan or conversation. |
Keep the native export alongside converted copies. Conversion can flatten database relationships, remove comments, or alter timestamps; the original archive is your reference if you later discover that a migration tool interpreted a field incorrectly.

The Notion Help Center’s “Back up your Notion data” instructions place the whole-workspace command at Settings → General → Export all workspace content. The exporter can provide HTML, Markdown, and CSV for databases, together with uploaded files.
Whole-workspace workflow
- Open the relevant workspace and go to Settings.
- Choose General, then Export all workspace content.
- Select the formats and content options offered by your account.
- Request the export and watch for the download message by email.
- Download the archive before the link expires; the help page states a seven-day validity period for that link.
- Unzip the files and open
index.html. The export includes this sitemap with local links to pages, which is a practical starting point for checking coverage.
Access controls affect the result. Pages you cannot access—for example, another user’s private pages—are omitted. Teamspace settings can also exclude content. Therefore, an administrator’s export and a member’s export may not contain the same pages even when they belong to the same organization.

Large-workspace failures and selective exports
If a large all-workspace request fails, the same help article describes a temporary workaround: export important top-level pages separately, choosing Markdown and CSV or HTML with subpages included. Prioritize the pages that contain the most dependencies, then inspect each resulting folder rather than assuming a partial archive is complete.
PDF availability and restoration limits
Workspace-level PDF export is being phased out gradually through August 31, 2026, and availability can vary during the rollout. Individual pages can still be exported as PDF. If you need a visual record, test the control in the specific workspace instead of assuming that a workspace-wide PDF option will be present.

An export is not an instant workspace clone. Uploading the files again will not necessarily restore the original navigation, permissions, databases, or other workspace behavior. Keep the source workspace and the downloaded files until you have opened the pages and confirmed that the material you need is usable.
Notion’s own backups versus your archive
Notion says its service keeps per-minute backups of page content and that support can help restore a page snapshot from the previous 30 days. Those statements describe recovery inside the service; they do not replace the HTML, Markdown, CSV, and file archive you download. If you need a copy that remains available when you cannot access the workspace, maintain your own export.
Otter: conversations, audio, and bulk exports
Otter’s “Export conversations” instructions describe an individual-conversation workflow. Open the conversation, choose Export, and select the text format and available options. The listed formats are TXT, DOCX, PDF, and SRT. The page, updated June 12, 2026, says Basic-plan users can export conversations only as TXT.

Export one conversation
- Open the conversation you want to preserve.
- Select Export.
- Choose TXT, DOCX, PDF, or SRT when your plan offers it.
- Enable the options you need, such as speaker names, timestamps, highlights, images, and paragraph formatting.
- Use the separate audio control if you need the recording; MP3 is listed as an available audio export.
- Open the downloaded text and play the audio to verify that both correspond to the same conversation.
Permissions can block the command. A viewer needs export enabled or collaborator access, so an absent Export button may be an authorization issue rather than a technical failure. Ask the conversation owner or administrator to grant the appropriate access, then try again.
Bulk export
Otter documents bulk export of conversations, audio, or Takeaways as a ZIP link delivered by email. The bulk feature is available on Business and Enterprise plans, not universally. Because summaries and audio can use separate controls, check each relevant option before relying on the ZIP as a complete record. Download the email link promptly and inspect several conversations, including one with attachments or images if those matter to you.
Granola: do not confuse infrastructure backups with export
Granola’s security page says notes are stored in a US-hosted AWS Virtual Private Cloud, encrypted at rest and in transit, and backed up daily. That is a statement about infrastructure protection. The documented page does not establish a user-facing export procedure, so you should not infer that a daily provider backup is downloadable or importable into another app.
If you use Granola, look in the current application menus and official help documentation for an explicit Export or Download command. Until you can produce files and inspect them, treat the service-side backup as recovery handled by the provider—not as an archive you possess.
Moving notes to another app
Exporting is the first step in migration, not a promise of a one-click restore. Before choosing a destination, map each source object to what the destination can represent.

| Source content | Portable representation | Likely migration issue |
|---|---|---|
| Plain pages and headings | Markdown, HTML, DOCX, or TXT | Nested links, callouts, comments, and styling may need manual adjustment. |
| Database records | CSV | Relations, formulas, select values, and page bodies may not survive as equivalent fields. |
| Images and files | Downloaded attachments plus a text export | File names or relative links can change; verify that every referenced asset exists. |
| Recorded meetings | MP3 plus transcript or SRT | Speaker mapping, timestamps, highlights, and summaries may be separate files. |
| PDF views | Usually readable but less editable and difficult to turn back into structured notes. |
A safe migration sequence
- Export a small representative sample first: a simple page, a deeply nested page, a database row, an attachment, and a recorded conversation if applicable.
- Import that sample into the destination or open it with the destination’s documented importer.
- Compare titles, hierarchy, links, tables, file attachments, timestamps, speakers, and searchability.
- Adjust your full export settings based on what was lost or transformed.
- Import the complete archive only after the sample is acceptable.
- Retain the original workspace and untouched export until the destination has been used successfully for a meaningful period.
If the destination cannot import the format you have, keep the files as a readable archive and convert only copies. A conversion that makes notes easier to browse can still remove information needed for later recovery.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to verify an export
A successful download is not proof of a complete backup. Use a short inspection checklist before you close the source account or delete pages.
- Open the archive and confirm that it is not empty or password-protected unexpectedly.
- Check the number and names of top-level folders, pages, conversations, and database files against your scope list.
- Open several files from different dates and projects.
- Follow local links from an HTML sitemap or page and note any broken references.
- Open images, PDFs, and other attachments; verify that file sizes are plausible.
- Play at least one exported recording and compare it with its transcript, timestamps, and speaker labels.
- Look for comments, summaries, highlights, and metadata that may have separate export settings.
- Check that CSV columns contain real values and that delimiters or encodings do not scramble non-English text.
- Keep a read-only copy of the untouched archive before editing, renaming, or converting files.
For high-value records, you can also create a simple inventory listing file names, dates, and sizes. It gives you a reference when you repeat the export and helps reveal an unexpectedly smaller or incomplete archive.
Common failure modes and fixes
The export button is missing
Check your role, workspace permissions, plan, and whether an administrator controls exports. In Otter, viewers need export enabled or collaborator access, and Basic users have a narrower format choice. In any app, switch to the account or workspace that owns the content and consult the current official instructions.
The email never arrives
Check spam and organization mail filters, confirm the account email address, and request a new export if the link expired. Do not assume that a browser tab left open will preserve an email link indefinitely; Notion states that its workspace-export link expires after seven days.

The archive is missing pages
Review visibility and teamspace boundaries. A user export cannot include pages the account cannot access. Compare the requested scope with the permissions of the person who ran the export, and ask an owner or administrator to export restricted areas when policy allows.
Attachments or audio are absent
Run the export again with attachment or audio options enabled. Some services expose these as separate controls, and a text archive can be complete as text while containing no recordings. Inspect the archive rather than inferring inclusion from its file name.
The files look readable but cannot be restored
That is normal for many exports. HTML, Markdown, CSV, and PDF are representations, not guaranteed workspace snapshots. Keep the source and export copies, and use a sample import to learn what the destination can reconstruct before attempting a full migration.

Reduce the scope and export important top-level pages separately. For Notion, the documented workaround is to export those pages as Markdown and CSV or as HTML with subpages included. Verify each partial archive and maintain an inventory so that separate downloads can be combined logically.
Security and retention choices
Exports can contain private conversations, personal data, client information, and audio. Store them where access is controlled, use device encryption or an encrypted archive when appropriate, and avoid leaving copies in shared download folders. Do not upload a sensitive archive to a new service merely to test it; use a redacted sample when possible.
Keep at least one copy independent of the original account. A second computer, removable drive, or other separate storage location reduces dependence on one login or one provider. Label copies with the date and scope, and periodically open a sample so that a silent corruption or incomplete export does not remain undiscovered.
A practical decision checklist
- Need readable notes? Start with Markdown or HTML.
- Need database rows? Include CSV and verify every column.
- Need a print-ready record? Add PDF, understanding that it is less editable.
- Need recordings? Select the separate audio export and test playback.
- Need a whole workspace? Use the account-level export, then inspect its sitemap or folder structure.
- Need another app? Run a small sample migration before exporting or deleting everything.
- Need disaster protection? Keep an independent copy; provider backups alone are not user-held files.
- Need certainty about current controls? Check the app’s official help page, because labels, plan entitlements, and export availability can change.
Bottom line
Use the official export flow, select every content type you need, download the files outside the service, and verify them before treating the job as complete. Notion provides workspace exports in HTML, Markdown, CSV, and uploaded files, with a seven-day email-link window and access-based omissions; Otter separates individual text and audio exports from plan-limited bulk export; Granola’s documented daily backup statement describes provider infrastructure rather than a user download. In all three cases, preserve the original source until your independent archive—or a tested migration—proves that the notes you care about are actually there.
