How to Back Up a Plain-Text Knowledge Base Automatically Across Devices

The safest setup uses two separate layers: automatic synchronization to keep the latest notes available on every device, plus an independent, versioned or snapshot backup for recovery. Sync alone can replicate an accidental deletion or a bad edit everywhere. Keep your Markdown or other plain-text knowledge base in one folder, synchronize that folder with a method suited to your devices, then back it up to a separate location that live synchronization cannot erase.

The two-layer design: availability first, recovery second

Synchronization and backup solve different problems. Synchronization makes a current copy available on your laptop, desktop and phone. Backup preserves earlier states so you can undo a deletion, restore a damaged file or recover from a device failure.

As an Amazon Associate I earn from qualifying purchases.

  • Availability layer: a synchronization service or peer-to-peer tool keeps the knowledge-base folder converged across devices.
  • Recovery layer: version history, snapshots or a separate backup target retains older copies outside the live sync path.

If you use only synchronization, a deleted note can be deleted on every connected device. If you use only a periodic backup, the notes on your phone may be out of date. Combining both layers gives you current working copies and a way back.

Why plain-text notes are straightforward to synchronize

An Obsidian vault, for example, stores notes as Markdown-formatted plain-text files. The files can be copied, compared and versioned by ordinary folder tools rather than being trapped in a proprietary database. The same principle applies to a folder of Markdown, TXT or other text files created by another editor.

Before selecting a tool, identify the exact folder that contains the notes and any attachments you need. A vault may also include configuration files and subfolders. Decide whether those settings should travel between devices or whether each device should keep its own local configuration.

Choose a synchronization method

Method Best fit Where data travels Automation and history Main limitation
Obsidian Sync Obsidian users who want a managed mixed desktop/mobile setup An off-site remote vault plus local copies on devices Managed synchronization; keep a separate backup for historical recovery Consistency is the goal, not an independent archive
Syncthing People who want direct device-to-device control and no hosted notes service Shared folders copied directly between participating devices over a network or the internet Automatic file transfer; snapshots or file history must be configured separately Modifications and deletions propagate to peers
Joplin Joplin users who want offline-first editing and several sync-target choices Local data on each device plus a configured target such as Joplin Cloud, Nextcloud, S3, WebDAV, Dropbox, OneDrive or a local filesystem Background synchronization after local content changes; target retains whatever history or backup you configure The first upload should finish before adding more devices
Git Users who need detailed history, review and rollback A local repository and a remote repository when you push Strong commit history; push and pull are manual unless you automate them Git by itself is not unattended synchronization

Choose one synchronization method for the live folder. Mixing multiple tools against the same folder can create competing conflict files or race conditions unless you understand exactly how each one behaves.

Set up the folder safely before adding devices

  1. Consolidate the knowledge base. Put all notes in one clearly named folder. Include attachments only if the selected tool can handle them and you actually need them on every device.
  2. Confirm the file format. Open a few notes in a plain-text editor and verify that they are ordinary Markdown or text files rather than database records that require an export.
  3. Make a one-time safety copy. Copy the entire folder to an external drive or another location before the first synchronization. This gives you a clean starting point if initial configuration goes wrong.
  4. Choose a single source folder. On each device, configure the same synchronized folder or vault path. Do not create separate “master” folders and merge them later without a conflict plan.
  5. Finish the first convergence. Let the initial upload or full folder exchange complete on the primary device. Check that note counts and several representative files match before connecting additional devices.

Option 1: Obsidian Sync for a managed desktop-and-mobile setup

Obsidian describes Sync as its most straightforward and officially supported synchronization method. It supports Windows, macOS, Linux, iOS and Android, keeps a local copy on each device and uses an off-site remote vault. That combination is usually the clearest choice when one knowledge base must follow you across desktop and mobile operating systems without maintaining your own relay device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Configuration sequence

  1. Open the existing vault on your primary desktop and make sure all notes are saved and closed in other editors.
  2. Enable Sync for that vault and allow the initial upload to finish. Do not start editing from a second device while the first upload is still in progress.
  3. Install Obsidian on the next device, sign in to the same Sync account and choose the remote vault when opening a vault.
  4. Wait for the local copy to finish downloading. Open several old notes and a recently changed note to confirm that the expected content is present.
  5. Repeat for other devices only after the previous device has completed its download.

What Sync does not replace

The remote vault and local copies are synchronization replicas. A deletion or an unwanted edit can become the new state everywhere. Keep an independent versioned or snapshot backup outside the synchronized vault. Store that backup in a location the sync client does not monitor, so a propagated deletion cannot remove the archive as well.

Option 2: Syncthing for direct, self-controlled synchronization

Syncthing copies a shared folder directly between devices over a local network or the internet. It is useful when you want to decide which devices communicate and where the files travel instead of placing the working folder in a hosted notes service. For an Obsidian vault, configure the same vault folder on each device and use bidirectional Send & Receive when every device should both read and modify the notes.

Configuration sequence

  1. Install Syncthing on the devices that will participate and give each device a recognizable name.
  2. On the primary device, add the knowledge-base folder and share it with the selected devices.
  3. Accept the share on each device and choose an empty destination folder, or a folder whose contents you have verified are identical. Never point a new peer at an unrelated folder containing different notes.
  4. Set the folder type to Send & Receive if edits made on any device should flow back to all peers. Use a one-way mode only when you deliberately want a read-only or source-only replica.
  5. Allow the first transfer to finish. Compare files on both sides before making new edits.

Plan for an intermittently connected device

Syncthing works best when at least one participating device is regularly available. A laptop that is powered off for weeks cannot relay current changes until it reconnects. When it returns, allow synchronization to settle before opening the same files on multiple devices.

Why Syncthing is not your backup

Syncthing’s FAQ states that it is “not a great backup application” because modifications, deletions and other changes are propagated to all devices. Configure snapshots, file history or a separate backup target in addition to Syncthing. Keep that target outside every shared Syncthing folder.

Option 3: Joplin’s offline-first synchronization

Joplin saves data locally first, then uploads and downloads changes through a configured synchronization target. Its documentation says background synchronization starts automatically after content changes in the local application. Supported targets include Joplin Cloud, Nextcloud, S3, WebDAV, Dropbox, OneDrive and a local filesystem.

Configuration sequence

  1. On the primary Joplin installation, open synchronization settings and select one target type.
  2. Enter the target’s account, server or filesystem details and run the first synchronization.
  3. Wait for the first upload to complete and verify that notebooks, notes and attachments appear on the target.
  4. Only then configure synchronization on another device. Sign in or select the same target and allow the initial download to finish before editing.
  5. Repeat for additional devices, checking that each one has completed its first exchange.

Joplin’s sync target keeps devices aligned, but the target is not automatically an archival system. Check what retention or versioning your chosen target provides and add a separate export or snapshot schedule if you need recovery from older states.

Option 4: Git for detailed history and rollback

Git records each committed state of the text files, making it valuable for review, comparison and precise rollback. It is especially useful when you want to see what changed, when it changed and which files were affected.

A practical Git workflow

  1. Initialize a repository in the knowledge-base folder or clone an existing repository into the location your editor uses.
  2. Create a commit after a meaningful session, such as finishing a project or reorganizing a set of notes.
  3. Push commits to a remote repository when you need an off-device copy.
  4. On another computer, pull before editing so its working tree starts from the latest committed state.
  5. Resolve merge conflicts deliberately, inspect the resulting files and commit the resolution.

Obsidian’s documentation describes Git as strong version control but notes that synchronization is manual: users must commit, push and pull. Git therefore works best as the recovery layer or as part of an automated script or plugin workflow. If you automate commits and pushes, include logging and failure alerts; a scheduled job that silently stops is not a dependable backup.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build the independent backup layer

Place the backup destination outside the live synchronization folder. A separate disk, server share or storage account can work, provided the backup retains older versions rather than mirroring only the latest state.

Choose retention that matches your notes

  • Frequent snapshots: useful when you edit throughout the day and need to recover a recently overwritten paragraph.
  • Daily or weekly versions: suitable for a personal knowledge base whose structure changes gradually.
  • Longer-term milestones: retain a monthly or project-completion copy before major reorganizations.

The exact schedule depends on how much work you can afford to lose. Whatever schedule you choose, ensure that at least one retained version predates the problem you are trying to recover from.

Keep the backup from being erased by sync

Do not place the backup repository inside the folder synchronized by Obsidian Sync, Syncthing or Joplin. If a deletion propagates through the live folder, an embedded backup can disappear in the same operation. Use a destination with its own versioning or snapshots, and restrict write access when practical.

Back up configuration and attachments intentionally

Plain-text notes are easy to copy, but a complete knowledge base may also contain images, PDFs, audio, templates or application settings. Decide which of these are essential and confirm that your backup job includes them. Test opening a restored attachment, not just the Markdown file that links to it.

Conflict handling: prevent silent data loss

Conflicts occur when two devices change the same file before they exchange updates. Editing different files is usually simpler: each change can propagate independently. Simultaneous edits to one file require you to understand the tool’s merge or conflict-file behavior.

  • Let the first device finish syncing before opening the same note elsewhere.
  • When traveling or working offline, record which files you changed so you can inspect them after reconnection.
  • Never delete a conflict copy until you have compared it with the accepted version.
  • For high-value notes, make a manual copy before resolving a merge.

Git exposes conflicts during a pull or merge and requires an explicit resolution. File synchronizers may create duplicate or conflict-marked files instead. The exact behavior differs by tool and file type, so test with disposable notes before relying on a workflow for important material.

Mobile behavior and background limits

Desktop applications can usually remain available to exchange files, while mobile operating systems may pause background work to save battery. A method that supports iOS or Android does not guarantee that every change is uploaded immediately while the app is closed.

  • Open the mobile app after a significant editing session and confirm that synchronization has completed.
  • Keep sufficient free storage for the local copy and temporary conflict files.
  • When switching from phone to laptop, wait for the laptop’s sync indicator to settle before editing the same note.
  • If a device has been offline for an extended period, let it catch up before making a large batch of changes.

Verification and restore testing

A backup is only useful if it can be restored. Schedule a small verification exercise rather than assuming that a completed upload proves recoverability.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Choose a non-critical note and record its current path and contents.
  2. Restore that note from a retained snapshot, version history or Git commit into a temporary folder, not over the live knowledge base.
  3. Open the restored file in a plain-text editor and check links, front matter, formatting and any attached files it references.
  4. Confirm that the restored timestamp or commit corresponds to a state before the test change.
  5. Document the restore location and the steps you used so the procedure is repeatable during a real incident.

Restore testing should be periodic and should include a complete folder check occasionally, especially after changing synchronization tools, storage targets or device platforms.

Troubleshooting common failures

A note is missing on one device

Check whether that device finished its initial download, has network access and is pointed at the same vault or folder. Compare the file path and name, including capitalization. Do not create a replacement note until you confirm that the original is not waiting in a conflict or unsynchronized state.

An old version replaced newer writing

Stop editing the affected file on every device. Preserve the current copies, then recover the desired state from snapshots, file history or a Git commit. After recovery, resume synchronization only after the folder has one clearly chosen version.

Synchronization keeps producing conflicts

Look for two devices editing the same file while offline, duplicate folder mappings or two synchronization programs watching the same directory. Simplify to one live sync method, allow it to converge, and resolve conflict copies manually.

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The first setup never completes

Check available storage, permissions and the number and size of attachments. Pause other synchronization jobs, allow the initial transfer to finish, and add devices one at a time. For Joplin, complete the first upload before enabling synchronization elsewhere; for Syncthing, verify that the shared folder is accepted and that at least one peer is reachable.

A backup exists but cannot be opened

Restore to a temporary location and inspect the file directly. If the archive contains only application metadata rather than the plain-text files, change the backup job to include the actual knowledge-base folder. Re-test after the change.

A decision framework

  • Choose Obsidian Sync when you use Obsidian and want the least operational work across Windows, macOS, Linux, iOS and Android.
  • Choose Syncthing when direct device control and avoiding a hosted notes service matter more than convenience, and you are willing to manage an independent snapshot system.
  • Choose Joplin when you want offline-first editing and the flexibility to select among cloud, server, object-storage, WebDAV or local targets.
  • Choose Git when detailed history and review are central, and you can commit, push and pull consistently or automate those actions safely.

Whichever method you select, apply the same order: establish one canonical folder, complete the first convergence, test conflict behavior, then add a backup destination that is separate and versioned. That sequence keeps everyday access convenient without confusing synchronization with recoverability.
