How to Back Up a Large Video Library Without Running Out of Space

The practical answer is to size storage from your actual footage and its growth, then keep independent copies: your working library, a local backup on an external drive or NAS, and an off-site backup. No single drive capacity or cloud service fits every library. Before choosing, check what your backup method supports, how long the initial upload and a full restore will take, and what it retains or charges for recovery.

Build the backup around independent copies

A useful starting point is the 3-2-1 approach: keep three copies of important data, use two types of storage, and keep one copy off-site. Backblaze’s 2022 guidance illustrates the pattern with a local external drive and an online backup: Backblaze’s 3-2-1 backup strategy.

For a video library, that can mean keeping the originals on your computer or main storage, making a separate local copy, and keeping another copy somewhere outside your home. The local copy can make routine recovery more convenient; the off-site copy protects against events that affect both the computer and nearby storage. A synced folder may help keep files available across devices, but synchronization is not necessarily backup: deletions or unwanted changes can propagate. A RAID array can help a system stay available after some drive failures, but it is not an independent backup destination.

Calculate capacity before buying storage

Do not choose a drive based on a generic “large library” recommendation. Measure the footage you have, estimate how much you expect to add during your planning period, and decide whether the backup should preserve earlier versions or files you delete from the working library. Then size each copy for its job and check how the software handles usable capacity and retention.

  • The available storage capacity may vary.
  1. Measure the current library. Use your operating system’s storage view or file manager to total the folders containing footage you intend to protect.
  2. Estimate future growth. Base the estimate on your own recording habits, projects, and planned retention period; there is no universal headroom figure established for every video library.
  3. Choose retention deliberately. A mirror of current files and a versioned backup have different storage needs. Check whether deleted files and previous versions count toward the service’s storage or retention limits.
  4. Size each destination separately. Make sure the local destination can hold the current library plus expected growth and any retained versions. Confirm the off-site plan’s storage model and terms rather than assuming it will match the local drive.
  5. Verify available space and behavior. Confirm the backup software can see the destination and has enough working space to complete its process.

Compression should not be your capacity plan. Already-compressed video may offer little further lossless reduction, and lossy transcoding changes the original footage. No reliable, general video-specific compression ratio is established, so do not count on a particular amount of space saved.

Choose a local backup destination

Destination Useful for Check first
External hard drive A straightforward separate copy for a home library. Capacity, connection type, filesystem and operating-system support, and whether it will be connected often enough for backup updates.
NAS Centralized storage for a growing library or multiple users. Redundancy does not replace a backup. Configure another destination and confirm compatibility for the exact NAS model and software.

An external USB hard drive is often a simple local tier, but its capacity should follow your inventory and growth estimate, not a one-size-fits-all recommendation. If the library is shared or needs centralized access, a NAS may be more convenient; it still needs an independent backup destination.

Check that the backup service supports your source

“Cloud backup” does not automatically mean every drive or NAS can be protected by every product. Backblaze’s support rules illustrate why the exact product matters:

  • Backblaze Computer Backup: The service supports qualifying directly connected external drives, subject to its requirements. Its documentation says a drive must be reconnected at least once every 30 days under the default 30-day version history if the backed-up data is to remain available. Filesystem, operating-system access, and removable-media status also matter. See Backblaze’s external hard-drive requirements.
  • NAS and network-mounted storage: Backblaze says Computer Backup excludes network-mounted drives and NAS devices, while B2 can be used to back up network drives. This is a Backblaze-specific distinction, not a rule for every provider. See Backblaze’s list of items Computer Backup does not back up.
  • Synology example: Synology’s 2023 backup guide lists external HDD, cloud, and rsync destinations, and lists Backblaze B2 among Cloud Sync services. That guide is not a guarantee for every model or current app version; verify compatibility for your NAS model and chosen application. See Synology’s backup guide.

Understand large-file handling and computer space

Large video files can expose limits that are easy to miss with small documents. Backblaze Computer Backup documents splitting files larger than 100 MB into 10 MB chunks for transmission. Its documentation also describes temporary working-space needs related to file size and says a temporary data drive can be selected. If the computer backing up the footage is already low on free space, review the provider’s current instructions before starting; these details apply to Backblaze Computer Backup, not all backup software. See Backblaze’s guidance on backing up large files.

  • The available storage capacity may vary.

Backblaze B2 documents a separate large-file workflow. Its “Large Files” documentation states: “Large files can range from 5 MB to 10 TB which is well beyond the 5 GB limit on normal files.” Those are B2-specific limits, not general limits for cloud storage or other backup services. See Backblaze B2’s large-file documentation.

Make the off-site copy practical to upload and restore

For cloud backup or object storage, the monthly storage figure alone does not tell you whether recovery will work for your needs. Check the service’s source compatibility, retention and version history, upload requirements, restore methods, retrieval time, and any recovery charges. AWS describes S3 as suitable for backing up individual files, servers, or a data center, and includes S3 Glacier Deep Archive among backup and recovery options; that guidance does not establish which option is cheapest or best for a particular library. See AWS prescriptive guidance on backup and recovery.

Estimate the initial upload time using your actual upload speed and the amount of footage to send; a large first backup may take substantially longer than later incremental updates. Also consider the reverse path: ask how you would restore a full library, how long a download or shipped drive would take, and whether retrieval costs apply. Test restoring a small selection of files so you know the steps and can confirm that the backup is usable.

Compare the real costs and trade-offs

There is no single provider price comparison that applies across countries and plans. Compare current terms for your region and expected data volume, including storage, retention, restore or retrieval, and any required backup software. Include the practical cost of time: upload duration, how often an external drive must be connected, and how long a full recovery would take.

  • External HDD: A separate local copy is simple to understand, but it is still vulnerable to theft, fire, or damage at the same location and needs a reliable update routine.
  • NAS: Centralizes access and can support a larger or shared library, but adds setup and maintenance. Drive redundancy is not a substitute for copying data to another destination.
  • Managed cloud backup: Can provide an off-site copy through a backup workflow, but compatibility, retention, upload time, and restore terms vary by service.
  • Object or archive storage: Can scale for off-site data and may suit a workflow built around backup software, but setup, lifecycle and version rules, retrieval delays, and charges need careful review.
