An export is a copy in the formats the service provides—not a guaranteed clone of your workspace. Pages, database relationships, attachments, comments, automations, permissions and shared content may not survive in the same form.
What can disappear when you leave
“My data” is usually more than visible documents. An all-in-one workspace can contain pages and notes, task or database rows, uploaded files, comments, calendars, contacts, templates, automations, links between records, sharing rules and material owned by a team rather than an individual. Leaving safely means identifying each category and deciding what must remain usable.

Export scope is controlled by more than a button in the settings menu. Your role, workspace permissions, subscription plan, teamspace rules and ownership of shared items can limit the result. Content that you can view may still be excluded if you are not its owner or if an administrator must authorize the export.
Formats also determine what remains useful. HTML and Markdown can preserve readable page content; CSV can preserve rows and fields; downloaded files can preserve attachments. None of those formats automatically preserves an app’s databases as live databases, its automations, its permission model or the behavior of linked records.

Before you export: make a data inventory
Write down what you expect to find in the archive before you create it. This list becomes your completeness checklist and prevents a successful-looking download from hiding omissions.
- Documents and notes: include current and historical pages, meeting notes, research and reference material.
- Structured records: list task, project, customer, inventory or other database tables, including the fields and views that matter.
- Attachments: identify images, PDFs, recordings, spreadsheets and other uploaded files, including large or rarely opened files.
- Conversation and history: note comments, discussions, activity records and revision information if they are needed for legal, operational or editorial reasons.
- Planning data: include calendars, due dates, reminders, recurring work and dependencies.
- Reusable material: record templates, saved views, forms, formulas, automations and integration settings.
- Shared areas: identify teamspaces, shared drives, folders and pages owned by another person or organization.
- Access information: list owners, administrators, collaborators and any permission rules that the replacement must reproduce manually.
Mark each item as essential, useful or disposable, and record who owns it. For a team workspace, ask an administrator to confirm your export authority before you rely on a personal account copy. This is especially important when the workspace contains private pages, shared material or records owned by a departing employee.
Confirm the exact export rules for your app and plan
Use the current help documentation for the precise product, account type and edition. Export controls change, and instructions for one product in a suite do not necessarily apply to another. Check five things before you start:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Which formats are offered, and are they readable without the original app?
- Does the control export the whole workspace, selected pages, individual views or only data you personally own?
- Are private pages, teamspaces, shared drives, comments, attachments or configuration excluded?
- Does an administrator or a particular workspace permission need to run it?
- Where will the archive be delivered, how long will it take, and when will the link or storage expire?
Notion
Notion’s documented workspace export can provide all pages as HTML or Markdown, databases as CSV and uploaded files. Pages the exporter cannot access—including another user’s private pages—may be omitted, and teamspace settings can affect the scope. Workspace export is available on the desktop or web app. The download link sent by email expires after seven days, so save the archive promptly.
Notion also warns that an exported workspace cannot be instantly recreated by uploading the archive again. You should therefore treat the export as portable content and files, not as a complete reconstruction of the original workspace’s relationships, permissions or behavior. If a large workspace export fails, a page-level or smaller-batch export is documented as a practical workaround.
ClickUp
ClickUp’s capabilities vary by plan, role and permissions. The Free Forever and Unlimited plans can export five List, Table or Form views. A workspace task export is separately permissioned, so a lower-level user may not be able to create the workspace-wide copy. Its export views can use CSV or PDF. Confirm both the plan and your specific permission before assuming that a personal export covers the whole account.
Microsoft services
Microsoft documents product-specific routes that can include secure APIs, PowerShell and browser portals. There is no single export procedure for every Microsoft 365 product. The documentation also identifies technical configuration information and proprietary data that are not exportable. First identify the exact service and data classes you need, then follow that service’s current route rather than applying a generic Microsoft account export instruction.

Organization export is an administrator workflow. Workspace edition determines which filters and continuous or incremental options are available. A filtered export may omit content that is not owned by an individual user, including shared drives, so choose a scope that includes the material you intend to retain.

Google says an organization export is available no earlier than 48 hours after it is started, typically takes 72 hours and can take up to 14 days. When you use a temporary Google-provided Cloud Storage bucket, the exported data is automatically deleted after 60 days. Longer-running exports can therefore have less remaining retention time when they finish. Record the start date and the deletion deadline in your migration checklist.
Export while access is still intact
Start the export before you cancel a subscription, transfer ownership or delete an account. Do not wait for the final billing day: generation may be delayed, an administrator may be unavailable, or a link may expire while you are troubleshooting.
- Confirm the account state. Make sure you can still sign in and that your role permits the required export.
- Freeze avoidable changes. Ask collaborators not to reorganize folders, delete pages or rename critical records while the archive is being generated. If work must continue, record the cutoff time.
- Start the broadest authorized export. Select the workspace or organization scope that matches your inventory, not merely the pages currently visible to you.
- Save the confirmation. Record the request time, selected filters, expected completion window and delivery location.
- Download immediately. Follow the delivery message or storage instructions and do not assume the service will keep another copy for you.
- Repeat for excluded areas. If the service reports inaccessible pages, shared areas or unsupported data, have the owner or administrator export those items separately.
For Notion, the seven-day email-link lifetime makes prompt downloading essential. For Google organization exports, monitor the Cloud Storage location and its 60-day temporary retention period. Keep the source account active throughout this process.
Keep an independent copy of the archive
An archive that exists only inside the departing service is not an independent backup. Download it to a computer and copy it to a separate storage location under your organization’s retention and security rules. A portable external SSD is one practical local option; choose capacity based on the actual archive size and verify that its connection works with the computer you will use for inspection.
- Keep the original downloaded archive unchanged.
- Make a second working copy for extraction, conversion or import.
- Use access controls and encryption appropriate to confidential work data.
- Record the archive date, source workspace, export filters and any known exclusions in a text file beside the copy.
- Do not treat a drive as a substitute for an application backup: it stores exported files but does not restore app-specific behavior.
If company policy requires approved storage, follow that policy instead of placing sensitive records on a personal device. The objective is separation from the account you are about to close, not a particular hardware brand or storage service.
Inspect the archive before importing it
Do not judge an export by its file size or by the fact that the download completed. Open representative material from every important category and compare it with your inventory.
- Open recent and old pages or documents.
- Open a selection of attachments, including large and uncommon file types.
- Count sample database or task rows and verify field names, dates, statuses and identifiers.
- Check nested pages, folders and filenames for understandable structure.
- Look for comments, links, formulas, recurring items and other features that may have become plain text or disappeared.
- Test shared and private material separately; a personal export may not include either category in full.
Compare several known records in three states: the original workspace, the extracted archive and the destination after import. Keep a short exception log that names each missing or altered item. That log is more useful than an assumption that the archive is complete.

Plan for content portability, not feature parity
Use the destination’s importer on a representative sample before committing to the full migration. Import a few pages, a database export, nested content and attachments, then inspect the result in the way your team will actually use it.

Notion’s documented import routes include text and Markdown, CSV, Word, HTML, Trello, Asana, Google Docs, Dropbox Paper, Quip, Evernote and Workflowy. That list shows supported routes; it does not promise that formulas, permissions, linked databases, automations or other features will be preserved. A destination may accept the content while changing its structure.
| Migration question | What to verify | Why it matters |
|---|---|---|
| Coverage | Are pages, tables, attachments, comments and shared or private areas included? | An export can complete while silently omitting content outside your permissions or filters. |
| Portability | Can the files be opened as HTML, Markdown, CSV or ordinary documents without the source app? | Widely readable formats reduce dependence on the departing service. |
| Reconstruction | Does the destination preserve links, hierarchy, formulas, views and automations? | Content may import while the original workflow does not. |
| Access | Can your role run the export, and do plan limits apply? | Administrator or paid-plan requirements can block a supposedly simple migration. |
| Timing | How long does generation take, where is it held and when does it expire? | You need enough overlap to download, inspect and correct omissions. |
| Verification | Can you compare known records and attachments before closing the source? | Validation is your last opportunity to recover missing material with the original access intact. |
Rebuild what exports cannot carry
After importing content, recreate operational settings deliberately. Make a separate checklist for permissions, owners, groups, shared links, templates, formulas, automations, integrations, notifications, recurring tasks and retention rules. These are often configuration rather than portable content.
For each critical workflow, perform the action that a real user would perform: create a record, edit it, attach a file, trigger an automation, assign it to a collaborator and retrieve it through the expected view. A destination that merely displays imported text has not yet replaced the source workflow.
Where a relationship cannot be reconstructed, preserve the original identifiers and links in a plain field or accompanying document. That does not recreate behavior, but it gives future users an audit trail and a way to locate the corresponding source record.

The export button is missing
Check whether your role, plan or workspace permission allows exports. Ask the workspace owner or administrator to run the export, or request that the owner of private or shared material export that portion separately. Do not infer that the data is unavailable merely because your personal menu lacks the control.
The archive is smaller than expected
Review the selected scope and the service’s exclusions. Check private pages, teamspaces, shared drives, attachments and unsupported formats against your inventory. Record every omission, then create narrower exports or have the appropriate owner run them while the account remains active.
The download link expired
Request a new export while access still exists. Notion’s documented link lasts seven days; missing that window requires another request rather than a recovery from the expired message.
Google’s export is not ready
Allow for the documented timing: no earlier than 48 hours, typically 72 hours and sometimes up to 14 days. Check the selected filters and the Cloud Storage destination, and copy the result before the temporary bucket reaches its 60-day deletion point.

The destination accepts files but the workspace feels broken
Separate content loss from feature conversion. Recheck links, hierarchy, formulas, comments, permissions, templates and automations one category at a time. Rebuild unsupported behavior manually and retain the source account until business-critical workflows pass a realistic test.
The original workspace was deleted too soon
Deletion is not a validation method. Recovery depends on the service’s own retention policy and may be impossible. For Notion specifically, deleting a workspace makes its content immediately inaccessible and the content is deleted from its servers after 30 days. That behavior is product-specific, so never assume another service offers the same recovery window.
When a professional migration service is justified
Consider specialist help when the workspace has many owners, regulated records, complex permissions, large attachments, multiple connected services or a narrow shutdown deadline. A qualified migration provider can coordinate administrators, map fields and document exceptions, but the provider cannot manufacture data that the source service does not expose. Require a written scope, security controls, retention terms, treatment of excluded content and a validation plan.

Frequently Asked Questions
Does exporting guarantee that I can restore the original workspace?
No. Export preserves the formats and data classes the service exposes. It may not preserve live relationships, automations, permissions, formulas or other app behavior, so test the destination before closing the source.
Can a regular team member export a shared workspace?
Not necessarily. Roles, plan limits, ownership and workspace permissions can restrict exports. An administrator or the owner of private or shared material may need to run additional exports.
How long should I keep the old account?
Keep it active until the archive is downloaded, inspected, imported and validated against your essential-data checklist. The exact retention policy after deletion is service-specific.
