2. Retrieve and stage the attachment
The trigger supplies attachment metadata and can provide attachment content. Save each eligible file to a location the Windows computer can access. The desktop print action requires a path such as C:PrintQueueinvoice.pdf; the cited Microsoft documentation does not define one universal save-and-handoff design for every account, file type, or tenant, so you must test the storage connector and path used in your environment.
3. Print the staged file locally
- Open Power Automate for desktop and create a desktop flow.
- Add the Print document workstation action.
- Set its document parameter to the staged attachment path.
- Leave the printer selection aligned with the Windows computer’s default printer, then run a test with a non-sensitive file.

4. Connect the cloud and desktop portions
Pass the saved filename or path from the cloud process to the desktop process using the handoff method available in your Power Automate deployment. The Windows workstation must be able to reach the file, have the required permissions, and be online with the intended default printer available. Microsoft’s references establish the trigger and print action, but they do not promise unattended reliability for every assembled workflow.
Safeguards that prevent unwanted or duplicate pages
- Restrict senders and folders: Print only from known addresses or a dedicated intake folder.
- Limit subjects or attachment names: Add conditions for document type or a required subject phrase.
- Record a message identifier: Store a processed ID or filename so retries do not print the same attachment twice.
- Define failure handling: Notify an operator when saving, permissions, the printer, or the print action fails.
- Test each real format: PDF, Office files, images, and password-protected documents may invoke different applications or fail to render.
- Protect sensitive output: A shared default printer can expose confidential attachments to anyone near its output tray.
Limits that can make an Outlook attachment skip the flow
Microsoft says the Office 365 Outlook V3 trigger can skip messages when the total message size exceeds 50 MB or the Exchange administrator’s configured limit, whichever is lower. It can also skip protected messages and messages with invalid bodies or attachments. A missing printout therefore does not necessarily mean the printer action failed; inspect the trigger run and the message conditions first.

Can Outlook print attachments without automation?
Classic Outlook for Windows

New Outlook for Windows and Outlook on the web
Microsoft says Quick Print is currently unavailable in new Outlook for Windows. Preview the attachment and use the available print command, or open or download it in the appropriate application and print from there. This is a manual route, not an arrival-triggered workflow.

Universal Print connector
Microsoft’s Universal Print connector reference lists a Print PDF action that targets a named printer and PDF file. It runs in a different cloud-printing model from the local default-printer action. Confirm that your tenant, connector availability, printer registration, and file format meet current requirements before choosing it: Universal Print connector.
Zapier
Zapier documents New Attachment triggers for Outlook and Gmail, but the reviewed documentation does not establish a direct print action. You would still need a supported print endpoint or another automation service to deliver the file to a printer. Zapier’s Outlook setup specifies Microsoft 365 Business or Enterprise and an Exchange Online mailbox. - File not found: Verify that the desktop computer can reach the exact staged path and that the file has finished downloading.
