To automate PDF generation with Zapier, start with a trigger that supplies the data, use a document-template app to create a repeatable document, then route the resulting file to storage or email. If you already have a file and need to convert, extract, split, or merge it, add a PDF-processing action instead. The right setup depends on whether your starting point is structured data, an existing file, or HTML or Markdown.
Choose the right kind of PDF workflow
First decide what the Zap receives and what it must do. Generating a new document from a form response or spreadsheet row is different from converting or processing a PDF that already exists.

How to generate a PDF from a form submission or spreadsheet row
1. Pick the trigger and prepare your template
Choose a source event that represents one document to create—for example, a new form response, a new Google Sheets row, or a new database record. Then prepare a reusable template in the service you plan to use. Give each field a clear name and keep the layout consistent so it is easy to map data and spot missing values.

2. Add a document-generation action
Zapier’s Docupilot integration lists a Create Document action that creates a document from a specified template. Zapier also surfaces example workflows based on new Google Sheets rows and Airtable records. That makes Docupilot a documented fit when the main job is turning incoming records into repeatable documents such as PDFs, DOCX files, contracts, or invoices. Check the live action picker and its fields before building around a particular output format. See Docupilot’s Zapier integration.
3. Map the source values to template fields
In the Zap action, select the template and map each field to the matching value from the trigger. For example, connect a form’s customer name to the template’s customer-name field and the submitted date to its date field. Keep the mapping deliberate: similarly named source fields can represent different things, and a blank source value can leave an unexpected gap in the final document.
Google Docs is another option when the document should be created from text or a template. Zapier’s setup guide says you need a Google account, and the connected user needs view or edit access to documents they do not own. The guide establishes document creation, but does not establish a direct Google Docs-to-PDF export action; do not assume that export step is available without checking the current integration. PDF Maker – Automate Documents also has a Zapier-listed Create Document action and uses Google Docs for templates. Consider it as another option to inspect in the live editor; the integration listing does not establish its current pricing, limits, output formats, or all required steps. 4. Route the file to its destination
Add a further Zap step for the destination your process needs, such as connected cloud storage or email. Select the exact action currently offered by that destination app, then map the generated file or file link to it. Confirm in a test run whether the generation step returns a file, a link, or another output; downstream mapping depends on that behavior.

How to convert or process an existing file
Use a PDF-processing action when a source file already exists and the job is conversion or document processing rather than filling a template. Zapier’s PDF.co setup guide describes converting files to PDF, extracting document data, and splitting or merging PDFs. To connect it, you need an active PDF.co account, its API key, and sufficient PDF.co credits. See Zapier’s PDF.co setup guide.
- Choose the source trigger that provides the file or document to process.
- Add the PDF.co action that corresponds to the job—conversion, extraction, splitting, or merging—and configure its required inputs in Zapier.
- Connect the resulting output to the appropriate destination step, checking whether the action returns a file or a link.
- Test with representative input files and confirm both the processed output and its destination before enabling the Zap for routine use.
PDF.co’s account, API-key, and credit prerequisites are described in Zapier’s guide, which was updated January 23, 2026. The applicable credit use and available actions can depend on your service account and the current integration, so check those details before relying on a production workflow.
When HTML or Markdown is the input
If your content is already HTML, Markdown, or template content, PDFgen is another candidate: Zapier’s listing describes it as creating hosted PDFs from those inputs and lists a Create Template action. The listing alone does not establish every setup step, action field, or usage term. Confirm how its current Zapier actions represent the generated PDF and how your destination can receive it. Test the complete Zap before relying on it
A successful trigger test is not enough: test the full path from source record to final file and destination. Use realistic sample data, including cases likely to expose layout or mapping problems.
- Test a normal record with all expected fields populated.
- Test empty optional fields and confirm the template still looks intentional.
- Test long text, special characters, and values that may wrap or change the layout.
- Open the generated PDF and check page breaks, text placement, and whether the expected content is present.
- Confirm the file or link reaches the intended storage or email action.
- Check the Zap’s current run and task behavior before turning it on for routine use.
Troubleshooting common setup problems
The connected app cannot see a template or document
For Google Docs, verify that the connected Google account has the necessary access to the target document. Zapier’s guide says the user needs view or edit access to documents they do not own. Reconnect with the account that has the required permissions, then refresh or reselect the document in the Zap action.

A field is blank or appears in the wrong place
Reopen the action’s field mapping and compare each template field with the trigger’s actual sample output. Check for blank optional values, similarly named fields, and sample records that differ from the real submissions. Retest with a representative record after correcting the mapping.
The generated file does not reach the next step
Inspect the generation action’s test output to determine whether it returned a file, a URL, or another value. Then map the output expected by the destination action. A hosted PDF link and a file attachment are not interchangeable unless the receiving action accepts the supplied value.

Confirm that the PDF.co account is active, that the API key is entered correctly in the connection, and that the account has enough credits. Also check the action’s required inputs and whether the source step actually supplied a usable file.
The result is valid but the layout is wrong
Review the template rather than assuming the automation changed the source data. Long text, missing optional values, and special characters can expose spacing or page-break issues. Adjust the template and repeat an end-to-end test with those cases.
