Treat every email and attachment as untrusted input, and grant the agent only the permissions its task actually needs.
Why email needs extra caution
An email is not just information for an agent to process; it can also contain instructions intended to manipulate the agent. Those instructions may appear in the subject or body, quoted replies, attachments, or hidden formatting. Microsoft describes these email-specific prompt-injection paths in its Defender for Office 365 documentation. Google likewise explains that malicious content in Gmail can affect an AI response.

This means a message asking an agent to summarize a thread could also contain text telling it to reveal information, change data, or send a reply. The safest design does not assume the agent can reliably distinguish every genuine request from hostile content embedded in the mail it reads.
Choose approval-based automation, not unchecked autonomy
Google Cloud distinguishes between an agent that proposes an action for a person to approve and an agent that acts without waiting. In an approval-based workflow, the agent can prepare a response or recommend a change, but a person checks it before completion. In an agent-only workflow, a mistake or manipulated instruction can have a more direct effect, especially if the agent can send messages or use connected tools.

| Operating mode | What happens | Practical risk |
|---|---|---|
| Approval-based | The agent suggests an action; a person approves before it is completed. | A reviewer can still approve a harmful action, but the checkpoint gives them a chance to catch it. |
| Agent-only | The agent completes actions without waiting for a person. | Outcomes depend more heavily on the agent’s programming and safeguards; Google Cloud identifies prompt injection, insecure tool chaining, and naive error handling as risks. |
Google Workspace also describes explicit confirmation for sensitive AI-generated actions or outputs as a safeguard, not a guarantee. Human review reduces exposure; it does not make an unsafe workflow safe by itself.
Set up a narrow, reviewable workflow
- Pick one low-consequence task. Start with a workflow such as summarizing selected messages, applying labels, or drafting replies. Do not begin by granting broad authority to manage the mailbox.
- Match access to the task. Check what mailbox data and actions the agent requests. An agent that only summarizes should not need permission to send messages or make unrelated changes. Google Cloud recommends least privilege: grant only the roles and permissions required for the assigned task.
- Keep consequential actions behind approval. Require a person to review any outbound message—particularly one going to external recipients—and other significant changes before the agent completes them. Review the actual recipient, content, and requested action rather than approving automatically.
- Test with a limited workflow before expanding it. Confirm that the agent performs the intended task and that its approval checkpoint works as expected. This is a conservative setup recommendation based on platform security guidance, not a guarantee that prompt injection will be detected.
- Reassess access when the workflow changes. A new task may require different permissions; review the requested access rather than assuming existing authorization remains appropriate. Disable the agent or revoke permissions when you no longer need the workflow, using the platform’s current controls.
What Google and Microsoft protections do—and do not—establish
Google Workspace and Gmail
Google says Gemini in Workspace may warn, filter, or block responses when it detects suspicious activity. Its example includes a Gmail summary request that may receive no response if a message contains malicious content. These are product-specific defenses, not evidence that every agent connected to Gmail has the same protections or that all malicious content will be caught. Google’s Workspace API user-data policy lists productivity enhancements, including generative AI summaries, among use cases for Gmail scopes. That does not amount to blanket approval for every app or every permission request.

Microsoft 365
Microsoft describes mail-flow prompt-injection detection as an earlier layer that complements protections at model runtime. The documentation does not say that detection prevents every attack or applies to every third-party agent. Microsoft also says an agent needs declared permissions for each Microsoft 365 surface it uses, with tenant administrator consent before it can send or receive there.
Recommended Free Tools
For organizational accounts, ask an administrator to review the agent’s identity and permission request. Microsoft says the consent screen identifies the information or actions requested, and that an administrator must consent to declared permissions for each relevant Microsoft 365 surface. Access is bounded by the permissions granted; it is not a reason to approve a broader scope than the workflow needs. Microsoft’s Microsoft 365 agent permissions guidance also describes disabling an agent or its permissions.

How to decide whether to expand automation
- Keep it narrow if the task is limited to reading, sorting, or drafting and the agent has no need to send or alter data.
- Add a human checkpoint if the agent can send, change mailbox data, or trigger actions through connected tools.
- Pause and review permissions if the agent requests access that does not clearly match its task, or if you cannot tell what an approval would authorize.
- Do not treat vendor defenses as a substitute for controls. Filtering, detection, and runtime safeguards can be useful layers, but least-privilege access and deliberate approval remain important.
