Identify every installed, hosted, purchased, open-source, custom and in-house product; assign an owner and business context; then match each exact edition and version to the vendor’s current lifecycle record. Preserve the record and retrieval date, keep roadmap announcements separate from support commitments, and prioritize unsupported or soon-to-expire systems by criticality and migration lead time.
This method gives you an evidence trail that can withstand an audit and a practical queue of decisions: upgrade, replace, retire, isolate, or accept a documented exception.

What a software lifecycle audit actually answers
A lifecycle audit answers four operational questions for each software asset:
- What exactly is running, where, and for which business process?
- Which vendor policy and product record govern its support?
- What milestone comes next, and what changes when it arrives?
- What decision must the organization make, by when, and who is accountable?
“End of life” is not a universal event. A vendor may use separate labels for retirement, end of servicing, end of support, or a move into extended support. A roadmap announcement can describe a planned feature or release without changing the supported status of the version you operate. Treat the audit as a controlled record of identity, evidence, uncertainty and decisions—not as a calendar exercise.

1. Set scope and ownership before searching for dates
Define the estate boundary
Write down the business units and technology locations included in the review. The boundary normally covers employee endpoints, servers, virtual machines, cloud subscriptions, managed services, containers, appliances, databases, middleware, network-management software and developer tooling. Include software bought through procurement, open-source components, custom applications and in-house services when their failure or exposure could affect operations, security, compliance or customers.
State whether the review includes test and development environments, disaster-recovery copies, dormant licenses and software embedded in appliances. A product that is not in production can still matter if it contains sensitive data, is reachable from a network, or is required to restore a critical service.
Name an accountable owner for every entry
Assign a person or team who can confirm the product identity, explain its business use, approve a migration and answer questions about compensating controls. “IT” is not an owner. The accountable role might be an application manager, infrastructure lead, service owner, engineering team or business process owner. Record a backup contact for products with a single point of knowledge.

Reconcile discovery sources instead of choosing one
Compare endpoint-management data, cloud and container inventories, procurement and contract records, identity and access systems, configuration databases, software bills of materials, and statements from application owners. Differences are findings: an unrecognised server, a license with no installation, or an owner who reports a different version should remain visible until resolved.
2. Build a version-specific inventory
The inventory is the foundation for every date in the audit. A product name alone is not enough; lifecycle treatment often changes by edition, release channel, service pack, subscription and build.
Minimum fields for each asset
| Field | What to capture | Why it matters |
|---|---|---|
| Publisher and product | Canonical vendor and product name | Prevents similar names from being matched to the wrong policy. |
| Edition or service tier | For example, standard, enterprise, hosted tier or service plan | Different editions can have different milestones. |
| Exact version and build | Version, release, patch level and channel where available | Lifecycle records are often version-specific. |
| Deployment context | Endpoint, server, cloud service, container, appliance or embedded component | Support obligations and upgrade paths depend on deployment. |
| Location and scope | Environment, region, subscription, cluster and deployment count | Shows the blast radius and whether every instance is covered. |
| Business function | Process, application dependency and customer impact | Converts a technical date into a business decision. |
| Criticality and exposure | Availability tier, internet exposure and data sensitivity | Supports risk-based prioritization. |
| Owner | Accountable team and named contact | Creates a decision and escalation path. |
| Discovery source | Tool, contract, owner interview or other origin | Lets reviewers validate and reproduce the entry. |
| Last verified date | Date identity and deployment were checked | Shows whether the record is current. |
Use stable identity data where possible
Normalize spelling, version formats and publisher names before matching records. Structured software metadata such as Software Identification (SWID) tags can identify a product and version and support inventory and security automation. NIST describes this kind of metadata as useful for lifecycle management; it is especially valuable when several tools report different display names for the same package.
For cloud services, capture the service name, region, plan or subscription, tenant, service tier and release channel. “Latest” is not a version and should trigger a request for the service’s current release or channel. For containers, record the image repository, immutable digest, tag, base image and the workload that deploys it. For open-source components, record the package name, version, distribution method and the application or image that embeds it.

3. Match every important entry to the vendor’s lifecycle record
Use a source hierarchy
- Current, product-specific vendor record: the exact product, edition and version page is the primary evidence.
- Vendor lifecycle policy: use it to interpret support phases, prerequisites, notice rules and exceptions.
- Formal vendor announcement: a dated notice can explain a transition, but it should not replace the product lifecycle record.
- Third-party lists: use them to discover candidates only. Do not let them override the vendor’s current record.
For each match, save the source title or page name, the source address in your internal evidence system, the date checked, the exact milestone label, the affected edition and version, and the vendor’s explanation of what support or updates end. Preserve an export or snapshot when the vendor provides one so a later change is visible.

Check policy conditions before recording a date
Read the policy attached to the record. Confirm whether the product follows a fixed lifecycle or a modern, continuously serviced lifecycle; whether the release channel or service pack matters; whether a subscription, license status or minimum update level is required; and whether a successor or migration prerequisite is stated. A date without those conditions can create a false sense of certainty.
Microsoft: distinguish fixed and modern policies
Microsoft’s lifecycle search provides product-specific servicing timelines and an export option. Inspect the record for the exact product and release rather than relying on a general policy page. Under the Modern Lifecycle Policy, support depends on remaining current, holding the required license and Microsoft continuing to offer support for the product or service.
The policy also says that, unless otherwise noted, Microsoft provides a minimum of 30 days’ notice when customers must act to avoid significant degradation in normal use. It specifies a minimum of 12 months’ notice before ending support when no successor is offered, subject to stated exclusions. These are policy terms, not a promise that every product change will follow the same timetable; record the applicable exceptions with the product evidence.

Red Hat’s lifecycle portal provides product timelines and downloadable CSV and JSON formats. Red Hat states that future dates are close approximations, are non-definitive and may change. Record a projected date as provisional, retain the wording that qualifies it, and set a recheck date based on the asset’s risk.
Do not assume that related Red Hat products share one lifecycle. For example, the Satellite policy has a lifecycle and release schedule independent of Red Hat Enterprise Linux. Match each product separately, even when one is used to manage the other.
4. Separate roadmap evidence from support evidence
A roadmap describes planned features, releases, service changes or strategic direction. A lifecycle record defines support stages and dates. Store them in different evidence fields with separate source and retrieval dates.
If a roadmap says a service is moving to a new architecture, first record the announcement as roadmap evidence. Then verify whether a formal lifecycle record, deprecation notice or customer bulletin changes support for your exact version. Do not assign an end-of-support date merely because a planned feature implies that a transition may occur.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
This separation prevents two common errors: treating a planned release as a guaranteed delivery, and treating a roadmap item as proof that the current version is unsupported. A roadmap can inform planning; only the applicable support record should drive the lifecycle status.

5. Preserve uncertainty and resolve conflicting records
Classify the confidence of each date
Mark whether a milestone is confirmed, conditional, projected or unresolved. A confirmed date appears on the current product record for the exact version. A conditional date depends on licensing, staying current, a release channel or another prerequisite. A projected date is explicitly approximate. An unresolved date has an identity mismatch, conflicting vendor records or an owner who cannot confirm the deployment.
Carry the qualification next to the date in the register. Do not place a bare date in a dashboard and hide the condition in a separate document.
Resolve identity and date discrepancies
- Compare the installed or service-reported version with the vendor’s naming and edition taxonomy.
- Ask the owner to confirm the deployment, release channel, contract and dependencies.
- Check the current product record and the governing policy again.
- Contact the vendor when the official records remain ambiguous.
- Mark the milestone provisional until the mapping is reconciled.
- Retain prior snapshots or exports so changes in the vendor’s dates are auditable.
When a vendor changes a future date, do not overwrite history. Record the old value, the new value, when each was observed and what decision was affected.

NIST’s software asset-management guidance connects comprehensive inventories and continuous monitoring to risk-based decisions. The register should therefore rank findings, not merely sort them by calendar date.
| Priority signal | Why it raises urgency | Typical response |
|---|---|---|
| Already unsupported | Vendor fixes and assistance may no longer be available. | Escalate immediately; upgrade, replace, isolate or formally accept the risk. |
| Milestone inside migration lead time | The organization may not finish testing, procurement, change approval and rollout before support changes. | Set a decision deadline before the vendor date and fund the work. |
| Business-critical service | Failure affects revenue, safety, customers or essential operations. | Use a named executive owner, tested rollback and continuity plan. |
| Internet-exposed or sensitive | Unpatched vulnerabilities can create a larger attack or data-loss consequence. | Prioritize compensating controls and reduce exposure while migrating. |
| No supported successor | Replacement architecture and procurement may take longer. | Start options analysis early; document the exception if retention is unavoidable. |
| Uncertain or conflicting evidence | You cannot reliably calculate the window or choose a safe action. | Resolve identity and source questions before accepting the risk. |
Useful register fields include lifecycle state, days to the next milestone, criticality, internet exposure, data sensitivity, supported-successor availability, estimated migration lead time, compensating controls, accountable owner, decision deadline and action status. Set thresholds from your own change, procurement and testing timelines; the reviewed guidance does not establish one universal escalation number.
7. Convert a finding into an owned decision
Upgrade in place
Choose this when the vendor supports a direct upgrade and the application, integrations and hardware are compatible. Record prerequisites, test environments, downtime, rollback criteria and the date production will be on the supported version.
Replace or re-platform
Use this when the successor changes architecture, licensing or operating procedures. Treat discovery, data migration, integration testing, training and decommissioning as separate work packages. The lifecycle date is a constraint, not a complete project plan.
Retire
Confirm that no process, interface, report, scheduled job or recovery procedure still depends on the asset. Remove credentials, revoke access, delete or archive data according to policy, and update diagrams and inventories.

Isolate temporarily
If migration cannot finish before support ends, reduce exposure with network segmentation, restricted administration, monitoring, application allow-lists, backups and a dated exit plan. Compensating controls do not make unsupported software supported; they document a temporary risk treatment.
Accept a documented exception
An exception should state the business justification, risk owner, evidence, compensating controls, review date and explicit end condition. “No budget” alone is not a lifecycle strategy.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Use dated evidence that another reviewer can reproduce
For every lifecycle entry, retain:
- Product, edition, version and deployment identifier.
- Vendor policy and product-record names.
- Source address or archived export in the organization’s evidence repository.
- Date and time checked, reviewer and method used.
- Milestone label, date and the vendor’s description of its effect.
- Conditions such as subscription status, release channel, update level or approximate-date warning.
- Related roadmap or formal notice, stored separately from support evidence.
- Decision, owner, due date, status and approval trail.
Restrict editing of evidence snapshots and keep access logs where the audit supports regulated or high-impact systems. A lifecycle dashboard is useful for daily work, but the underlying dated record is what lets you explain why a decision was reasonable at the time.
9. Establish a risk-based refresh cycle
No universal review interval is prescribed by the cited guidance. Set your cadence from criticality, vendor change frequency and the time required to migrate. High-risk, internet-facing or business-critical assets may need more frequent checks than low-impact internal tools.
Refresh sooner after a vendor notice, acquisition, major release, security incident, contract or licensing change, inventory change, or discovery of a new deployment. Record who checked each source and when. Use the next-milestone date to trigger work, but do not let an automated alert replace a human check of the product record and its conditions.
10. Evaluate inventory and lifecycle tooling by capability
The method does not depend on a particular commercial platform. When assessing software-asset-management or discovery tools, compare the capabilities that determine evidence quality and operational usefulness.
| Evaluation axis | Questions to ask |
|---|---|
| Coverage | Does discovery include endpoints, cloud services, containers, custom applications, open-source packages and embedded components? |
| Identity accuracy | Can it distinguish publisher, product, edition, version, build and release channel? |
| Integration | Can it reconcile endpoint, cloud, procurement, identity, configuration and application-owner data? |
| Evidence retention | Can reviewers preserve dated source records, exports and prior snapshots? |
| Lifecycle provenance | Does each date show its vendor source, update cadence, conditions and confidence? |
| Structured metadata | Does it support SWID, SBOM or an equivalent stable identifier? |
| Workflow | Can it assign owners, deadlines, approvals, exceptions and remediation status? |
| Security and governance | Are access controls, audit logs, data residency and retention appropriate? |
| Implementation burden | What connectors, agents, normalization work and ongoing maintenance are required? |
| Cost model | How do licensing, implementation, data storage and support costs scale with assets and users? |
NIST guidance supports automated inventory, structured identification, monitoring and risk context, but it does not establish a ranking of products. Select tooling only after defining the evidence and workflow your organization must operate.
11. Common audit failures and their fixes
Starting with a third-party EOL spreadsheet
Failure: The list has stale names, missing editions or dates detached from policy conditions.
Fix: Use it only to discover candidates, then verify each item against the vendor’s current product record.
Best Value
Recording only the major version
Failure: A service pack, build, channel or subscription changes the applicable milestone.
Fix: Capture the most precise identity available and ask the owner to resolve any ambiguity.
Calling every milestone “EOL”
Failure: Retirement, servicing, support and extended support have different consequences.
Fix: Store the vendor’s exact label and describe what updates, fixes or assistance change on that date.
Treating a roadmap as a promise
Failure: A planned feature or transition is turned into an unsupported-status claim.
Fix: Keep roadmap and lifecycle evidence separate and verify any support consequence.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesDeleting changed dates
Failure: Reviewers cannot explain why a plan or deadline moved.
Fix: Preserve snapshots, retrieval dates and the reason for the change.
Ignoring unsupported software while waiting for a project
Failure: The migration backlog hides an immediate exposure.
Fix: Escalate the asset, apply documented temporary controls and set an exit date.
12. Worked examples for a 2026 register
Office LTSC 2021
Microsoft’s 2026 end-of-support listing shows Office LTSC 2021 products reaching end of support on October 13, 2026. Treat this as an example of a date that still requires matching: confirm the exact Office LTSC product, edition and deployment in your inventory, then read the applicable Microsoft record before assigning the action. A desktop installation, a shared server component and a differently licensed edition should not be merged into one row without verification.
Windows Server 2022
The same Microsoft listing separately shows Windows Server 2022 moving to Extended Support on October 13, 2026. That is not the same event as end of support. Record the transition label, what support remains during the extended phase, and the organization’s policy for running critical workloads in that phase. Confirm the precise edition and servicing track before applying the example.
Red Hat lifecycle dates
If a Red Hat product record displays a future date, copy the portal’s qualification that future dates are close approximations, non-definitive and subject to change. Schedule a recheck and avoid presenting the projection as an immutable contractual promise. If the deployment also uses Satellite, create a separate lifecycle record because Satellite’s lifecycle is independent of RHEL’s.
13. Final audit checklist
- Scope includes endpoints, servers, cloud services, containers, custom, open-source and in-house software where relevant.
- Every entry has a publisher, product, edition or tier, exact version, location, owner, business function, criticality, discovery source and verification date.
- Discovery sources have been reconciled and discrepancies remain visible until resolved.
- Each important entry is matched to a current, version-specific vendor record.
- The governing lifecycle policy, prerequisites and support-phase label are recorded.
- Roadmap announcements are stored separately from support evidence.
- Dates carry their conditions, confidence and approximate-date warnings.
- Prior snapshots or exports are retained.
- Unsupported and soon-to-expire critical assets have owners, deadlines and actions.
- Temporary controls and exceptions have an end condition.
- Refresh triggers and a risk-based review cadence are documented.
- Tooling is evaluated for coverage, identity accuracy, provenance, workflow, governance and total operating burden.
NIST’s software-asset guidance emphasizes maintained inventories and monitoring of inventory changes. A 2026 NIST operational-technology asset-management item is an initial public draft, so treat it as draft project material rather than a final mandatory standard. The durable practice is simpler: know what you run, prove which vendor record applies, preserve what you saw, and make the risk owner decide before support changes.
