How to Audit Sensitive Data Exposure Across Microsoft 365 and Google Workspace

To audit sensitive-data exposure across Microsoft 365 and Google Workspace, review three things together: what the content contains, where it is stored, and who can reach it. Inventory SharePoint, OneDrive, Exchange, Teams-connected sites, Google Shared Drives and My Drive; apply equivalent detectors and labels; inspect every sharing path; preserve audit evidence; then remediate in stages. Start Microsoft Purview DLP and Google Drive DLP in non-blocking or test mode, tune false positives and exceptions, and only then enforce controls. Repeat the review because files, links, memberships and ownership change continuously.

What an exposure audit must prove

A useful audit answers four separate questions for every sensitive item:

As an Amazon Associate I earn from qualifying purchases.

  • Content: Which detector, sensitive-information type, label or custom pattern matched, and how confident was the match?
  • Location: Is the item in SharePoint, OneDrive, an Exchange mailbox, a Teams-connected site, a Google Shared Drive or an individual My Drive?
  • Access: Can anyone on the internet, an external named person, a guest, a broad internal group or an inherited permission reach it?
  • Evidence: Which event, alert or investigation record demonstrates the match, sharing change, access or remediation, and how long will that record remain available?

Looking at only DLP matches produces a content list, not an exposure assessment. Looking only at permissions misses credentials or regulated records that have not yet been shared. Join the two views with an item ID, repository, owner and timestamp so an auditor can follow the path from detection to closure.

1. Set scope, ownership and review rules

List every repository and collaboration surface

Create an authoritative inventory before running detectors. For Microsoft 365, include SharePoint sites, OneDrive accounts, Exchange mailboxes and Teams-connected locations. For Google Workspace, include Shared Drives and the relevant My Drive population. Record whether each repository is active, archived, exempt or awaiting an owner.

Inventory field Why it matters
Repository and tenant Identifies the system of record and prevents duplicate or missing coverage.
Business owner and technical custodian Provides a person who can approve access changes and explain legitimate exceptions.
Review period Defines the time window for audit events, downloads, link creation and label changes.
Data residency, legal hold and regulatory constraints Determines where evidence may be exported and which remediation actions are permitted.
Repository status Separates production, test, archived and decommissioned locations.

Classify access paths before you prioritize

Use the same access vocabulary in both platforms. At minimum, distinguish public or anonymous links, external named users, guests, broad internal groups, direct individual grants and inherited permissions. A file with an external named recipient is a different risk from one available to anyone with a link; an inherited permission may require a site- or drive-level change rather than an item-level fix.

Assign risk owners and escalation routes

Give each repository an accountable owner, a security contact and a legal or privacy escalation route. Define who may approve an exception, who can remove a link, and who decides whether a high-confidence match must be quarantined or blocked. Record the decision before changing production access.

2. Define a common sensitive-data taxonomy

Make one taxonomy that can be implemented in both services. Typical categories include personal identifiers, payment data, health data, credentials, confidential contracts and regulated records. For each category, specify examples, exclusions, confidence thresholds, an owner and an approved business use.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Category Microsoft 365 implementation Google Workspace implementation Audit notes
Personal identifiers Microsoft Purview sensitive-information types and, where appropriate, a sensitivity label. Google Drive DLP detectors or a custom content detector. Document country or region formats and acceptable false-positive patterns.
Payment data Purview sensitive-information types with a high-confidence threshold. Drive DLP detector tuned to the payment formats your organization actually uses. Record whether test data and masked values are excluded.
Health data Purview types and labels mapped to the applicable policy. Drive DLP detector or custom detector with documented terms and proximity rules. Require a privacy owner to approve exceptions.
Credentials and secrets Purview sensitive-information types or custom patterns, plus a label for restricted material. Custom content detector where a built-in detector does not recognize the secret format. Prioritize active credentials and rotate them immediately if exposed.
Confidential contracts Sensitivity labels, trainable or custom classification and DLP conditions. Custom detector based on contract identifiers, terms or metadata. Include owner and counterparty in the review record.
Regulated records Purview types and labels tied to the relevant retention and access policy. Drive DLP detectors and policy-specific custom terms. Keep the regulation, jurisdiction and retention requirement with the match.

Store the detector or label version, confidence threshold, test cases and exception rationale in the audit record. A rule that changes next month must still be explainable for an event reviewed today.

3. Prepare Microsoft 365 and Google Workspace

Microsoft 365 prerequisites

Confirm that Microsoft Purview DLP is available for the tenant’s edition and workloads, that the relevant SharePoint, OneDrive, Exchange, Teams and endpoint locations are enabled, and that administrators have the required roles. Confirm whether Purview Audit (Premium) is licensed for the users whose activities you must retain. Microsoft documents up to one year of audit-log retention for eligible user and administrator activities in Audit (Premium); this is a product capability, not a universal guarantee. Eligibility, custom retention policies, licensing and tenant configuration apply.

Decide which sensitivity labels are published, who can apply or change them, and whether labels encrypt content or merely classify it. Make sure owners understand what a label means before using it as an enforcement condition.

Google Workspace prerequisites

Verify that Google Drive DLP is included in the Workspace edition, that administrators can view the Security Dashboard, Alert Center, Rule log events and the investigation tool, and that the relevant Shared Drives and My Drive populations are in scope. If your evidence process requires centralized correlation, confirm that Workspace audit logs can be shared with Google Cloud and queried through Cloud Logging in your environment. Retention and export behavior depend on edition and configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Protect the audit itself

Use a restricted evidence repository with controlled membership, retention and legal-hold handling. Do not place exported logs or sensitive item lists in the same broadly shared location that caused the exposure. Hash or otherwise integrity-protect exported files when your audit standard requires it, and record the export time, operator and query parameters.

4. Discover matches without interrupting work

Microsoft Purview: begin in audit or test mode

Build DLP policies that identify, monitor and protect sensitive items across Microsoft 365 services and endpoints, but begin with non-blocking actions. Configure notifications and incident reporting without deleting, quarantining or blocking content. Use sensitivity-label activity as an additional classification signal: application, change and removal events can be reviewed in the audit log.

Run the policy for a defined observation window that covers normal work cycles. Review match confidence, the surrounding text or metadata allowed by your privacy policy, affected workloads and the proposed user or administrator notification. Do not treat every low-confidence match as an incident.

Google Drive DLP: use test mode

Google Drive DLP supports complex rule conditions and a test mode that logs a trigger without taking the configured enforcement action. Use test mode to observe which files and sharing events would match, then tune detectors, thresholds and exceptions. Keep the test window long enough to include routine collaboration, external exchanges and scheduled automation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Alerts can record recipients matched before a rule flags content. Re-sharing after the flag does not automatically update recipient information on the existing alert, so perform a fresh access check when investigating a later sharing change.

Build a controlled test set

Create non-production files that represent true positives, near misses and known-safe examples. Include different file types, languages, masked values, copied snippets, archives and documents with inherited permissions. Label each test file with its expected result and remove it or restrict it after testing.

5. Capture the complete exposure record

For every high-priority match, create one record that joins content, location and access. Capture these fields before remediation changes the state:

  • Item ID or URL, file name where policy permits, repository and tenant.
  • Owner, current custodians and whether the owner has departed.
  • Purview label or sensitive-information type, or Google detector and rule version.
  • Match confidence, matched element count and the policy action that would apply.
  • Current link setting: public, anonymous, external named users, guests, internal organization or restricted.
  • Direct recipients, group membership, guest status and inherited permissions.
  • Last modification and last access, where the platform provides them.
  • Relevant label, sharing, download, access and ownership-change timestamps.
  • Exception approval, business justification, remediation owner and due date.

Prioritize public or anonymous access, external sharing of regulated data, departed-user ownership, stale links and files shared with large groups. An old file with a still-valid anonymous link remains exposed even if nobody has opened it recently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Validate evidence in platform audit tools

Microsoft unified audit and Purview investigation

Use the unified audit experience to corroborate the item and the action. Relevant Microsoft audit activities include sensitivity-label application, change and removal, and on-demand classification events such as DataScanClassification and SensitiveInfoDiscovered. Export the event details with the query’s time zone, filters and operator identity. If your organization uses custom audit-log retention policies, preserve the policy version with the export.

Check whether an event is a user action, an administrator action, an automated scan or an on-demand classification. These have different implications for accountability and repeatability. A label-change event proves classification changed; it does not by itself prove that an external party downloaded the file.

Google Security Dashboard, Alert Center and Rule log events

Google Workspace records Drive DLP incidents in the Security Dashboard, Alert Center and Rule log events. The investigation tool also surfaces triggered-rule audit events. Correlate the rule event with the current sharing state and item ID, because recipient details on an earlier alert may not reflect later re-sharing. When central correlation is required, query Workspace audit logs through Google Cloud Logging after confirming that the export and retention configuration covers the review period.

What makes evidence auditor-readable

An auditor should be able to identify who ran the query, which policy version produced the match, what the access state was at the time, what changed, who approved it and when the fix completed. Keep original exports read-only, preserve the machine-readable format, and provide a human-readable index that maps each finding to its supporting events.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Remediate with a graduated control ladder

Use the lowest effective intervention first, escalating when sensitivity and confidence justify it.

  1. Remove anonymous or public links. Replace them with restricted access or named recipients, then verify that inherited links did not recreate exposure.
  2. Narrow external recipients. Remove unnecessary guests, expired vendors and broad groups; confirm that approved external users still have the intended access.
  3. Move content into a controlled repository. Place material in an appropriately governed Shared Drive or SharePoint site with managed membership and ownership.
  4. Require classification. Apply or require a sensitivity label, or enforce the corresponding Google Drive DLP rule, before external sharing.
  5. Quarantine or block high-confidence exfiltration. Reserve disruptive actions for credentials, regulated records and other cases where the confidence and impact justify interruption.
  6. Document approved exceptions. Record the owner, recipients, purpose, expiration date, detector or label, and compensating controls.

After each change, re-run the same detector and access query. Compare open exposure, false-positive rate and unresolved exceptions instead of counting only policy alerts.

8. Platform comparison for a single audit program

Audit dimension Microsoft 365 Google Workspace
Primary DLP and classification tools Microsoft Purview DLP and sensitivity labels. Google Drive DLP detectors, including custom content detectors where available.
Repository coverage SharePoint, OneDrive, Exchange, Teams-connected locations and supported endpoints, subject to policy and licensing. Google Shared Drives and My Drive populations, subject to Workspace edition and configuration.
Non-blocking testing Audit or monitor policies before enforcement. DLP test mode logs a trigger without taking the enforcement action.
Sharing analysis Review link settings, recipients, groups, guests and inherited permissions alongside DLP matches. Review Drive sharing state and alert recipients; re-check after later re-sharing because an alert is not automatically updated.
Audit evidence Unified audit, Purview investigation and label/classification activities such as DataScanClassification and SensitiveInfoDiscovered. Security Dashboard, Alert Center, Rule log events, investigation events and optional Cloud Logging correlation.
Retention and export Audit (Premium) documents up to one year for eligible activities; custom retention policies and eligibility apply. Retention, export and Cloud Logging availability depend on Workspace edition and tenant configuration.
Control granularity Labels, DLP conditions, workload actions and endpoint scope can be combined. Rule conditions, detectors and Drive sharing controls can be combined; confirm the exact action available in the edition.
Licensing prerequisites Vary by Purview DLP, sensitivity labels, Audit (Premium), workload and endpoint features. Vary by Workspace edition, Drive DLP, investigation features and logging integration.
API and centralized correlation Use the tenant’s supported audit and compliance export interfaces and preserve query context. Use supported investigation and audit exports; Cloud Logging can provide centralized correlation when enabled.

9. Test DLP rules without blocking legitimate work

Use a staged policy lifecycle

  1. Draft: Define detectors, labels, repositories, conditions, owners and exception criteria.
  2. Test: Run against controlled files and known-safe content; verify that events appear in the expected dashboards and logs.
  3. Monitor: Enable non-blocking actions for a representative period and collect false positives, missed matches and user feedback.
  4. Tune: Adjust confidence, proximity, file-type scope, exclusions and notification language. Version every change.
  5. Graduate: Enforce progressively, starting with warnings or restricted sharing, then stronger actions for high-confidence, high-impact data.
  6. Review: Re-test after every detector, label, edition or workflow change.

Measure false positives and exceptions

For each match marked safe, record why: test data, public business information, an approved counterparty, a sanctioned automation or an inaccurate detector. Separate a permanent detector exclusion from a time-limited business exception. A broad exclusion can silently create a new exposure path, so prefer narrow conditions and expiration dates.

Protect user workflows

Tell users what will happen before enforcement: warning, sharing restriction, quarantine or administrator review. Provide a documented appeal route and a response target. Test common workflows such as co-authoring, external review, mobile access, email attachment, download and re-sharing; a rule that works in one surface may behave differently in another.

Free tools Windows power users keep installed

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

10. Recheck after remediation and make the audit recurring

Close each finding with a before-and-after comparison

Run the same detector, sharing query and relevant audit search after the fix. Record the previous and current link setting, recipients, owner, label or detector result, and remediation timestamp. If the item moved repositories, preserve both the old and new IDs and the transfer event.

Choose a cadence based on risk and change rate

  • High sensitivity or rapid collaboration: monitor DLP incidents, link creation, label changes, ownership changes and unusual downloads continuously or daily.
  • Moderate sensitivity: perform a monthly exposure review and a deeper quarterly owner attestation.
  • Lower sensitivity or stable archives: review at least quarterly or at the retention and legal-review interval, whichever is sooner.

Increase frequency after a merger, identity-directory change, mass migration, new external collaboration program or policy redesign. Keep a calendar owner and an escalation path so a missed review is visible.

Maintain an evidence package

  • Policy, detector and sensitivity-label versions.
  • Repository inventory and named owners.
  • Exported audit, alert and investigation events with query parameters.
  • Affected-item list with access paths and match confidence.
  • Exception approvals, expiration dates and compensating controls.
  • Remediation actions, operators and completion timestamps.
  • Post-remediation results and unresolved-risk register.

11. Common failure modes and precise fixes

Scanning content without permissions

Symptom: A report lists sensitive files but cannot say whether anyone outside the organization can reach them. Fix: Join every match to link settings, direct recipients, group membership, guest status and inheritance before assigning severity.

Using one detector vocabulary in both platforms

Symptom: Microsoft and Google reports use similar category names but match different formats and confidence levels. Fix: Maintain a crosswalk that records the exact sensitive-information type, label, Google detector, version, threshold and exclusions for each category.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Enforcing immediately

Symptom: Legitimate collaboration is blocked and administrators create broad bypasses. Fix: Use Purview audit or monitor mode and Google Drive DLP test mode first, then graduate controls based on observed false positives.

Trusting an old alert as current truth

Symptom: An alert lists recipients, but the file was re-shared later. Fix: Re-query the current sharing state and correlate every subsequent sharing event; Google alerts do not automatically update recipient information after re-sharing.

Assuming retention is universal

Symptom: Investigators expect an event that has aged out or was never covered by the tenant’s license. Fix: Verify edition, eligible users, retention policies, regional constraints and export configuration before the review period begins.

Fixing a link while leaving ownership unmanaged

Symptom: Exposure returns when a departed user’s account or inherited permission is restored. Fix: Transfer ownership or move the item into a controlled repository, then re-run the access and DLP checks.

12. A practical completion checklist

  • All SharePoint, OneDrive, Exchange, Teams-connected, Shared Drive and My Drive populations are inventoried.
  • Every repository has an owner, review period and legal or regulatory classification.
  • A shared taxonomy maps each category to Purview types or labels and Google detectors.
  • Detector and label versions, confidence thresholds and exceptions are recorded.
  • Discovery ran in audit, monitor or test mode before enforcement.
  • Each match includes item, owner, repository, detector or label, confidence and access path.
  • Public links, anonymous links, external users, guests, broad groups and inheritance were distinguished.
  • Microsoft unified-audit evidence and Google Rule log, alert or investigation evidence were preserved.
  • Cloud Logging was used only after confirming Workspace audit export and retention configuration.
  • Remediation followed a documented ladder and high-impact actions had an approver.
  • False positives and exceptions have owners, rationale and expiration dates.
  • Post-remediation scans show the current exposure state.
  • A recurring schedule, evidence repository and escalation route are active.

What a defensible result looks like

The final report should let a reviewer select any finding and trace it from sensitive content, through its repository and access paths, to the policy event, approval, remediation and verification result. It should state which Microsoft 365 and Google Workspace editions and services were in scope, what was not covered, how long logs are retained under the tenant’s configuration, and which approved exceptions remain open. That level of traceability turns two separate DLP consoles into one repeatable exposure-management process.
